Hello and welcome to tony martignetti non-profit radio big non-profit ideas for the other ninety five percent on december fourteenth, twenty twelve our november nine thousand you’re still with us, i’m tracking glad you’re still here, and i hope that everyone was with me last week. Yes, i just i just hope you were with me last week because if you weren’t, you would have missed show number one hundred and twenty one, twenty was last week. You can now spend five straight days listening to tony martignetti non-profit radio. I suggest you start on a weekend this way you have a little extra time for bathroom and food breaks. I would start maybe on a thursday and include the weekend i would include a weekend in your five straight days of listening to non-profit radio last week, which is the one you would finish with because that will be shown number one hundred twenty would wrap you up for five days was your database policy manual? Karen heart, philanthropic services specialist for the main community foundation, and nicole san miguel, database administrator for the naacp rat free library of baltimore city, walked you through data entry standards, indexing and search ability, naming conventions and other topics that belong in your database, policy and procedure manual. Amy, how are you doing? I’m doing well, how are you? I’m very well you’re in portland, oregon, right eye and in portland this is where contends that main office is so i’m out here getting to me with staff in person for a little change of scenery and was actually onboarding a new staff person this week, which is always really fun. Okay, excellent. Our thoughts are with you in portland. A lot of talk about the shooting at the mall this week. Earlier this week. Yeah. Out at the crack of this small and now this morning. The shooting in connecticut, the elementary school so it’s, kind of, you know, end end times holiday season so far, very difficult, let’s talk about first an infographic that that i was sent i was offered people send me things too talk about on the show, and this one is interesting to me, and i thought you and i could talk about it. This is an infographic called very objectively titled how social media is destroying productivity. Andi, i sent it to you, of course, and you’ve had some time look at it, i will post a link to it on the facebook page on the linked in group. In the meantime, people confined this at learn stuff dot com um, you are ever learn stuff dot com all right? Well, so they’re clearly, you know, they’re concerned about productivity. Facebook has close to a billion users forty five. Forty five million short of a billion, but let’s call it a billion. People spend two times more time on facebook than they do exercising, you know, be a little provocative about i mean, they spend more time doing facebook than other things also, but they chose exercising wolber collectively each day in the u s people spend twelve billion hours on social networks. That’s interesting. A somebody who thinks about social networking a lot. Amy what? What do your do your thoughts about what you do? You have concerns about productivity? Well, i mean, for me, i think it’s i haven’t had a chance. Tio go look into their sources of where they got the data and what the data really means. You know, things like infographics are often so interesting to people and share a ble because they they could be interpreted in many different ways for me, i think it’s less, um, less a sign of of you now everyone and their mom wastes their time all day long and, you know, we’re we’re not doing any of our work, but more a sign of a distributed organization, a new era of the way people work. You know, people can quote unquote beyond the clock from anywhere so long as they have an internet connection and, you know, a lot the times and and looking at some of the staff in there, you know, that worker is interrupted every ten minutes by things like instant messages, right? Well i know that i’m quote unquote interrupted, you know, all the time, all day long, buy-in sametz itches, but that’s because i managed staff in other cities and instant messages, how we’re just saying, hey, i just tackled that one project or, hey, i saw that e mail come into both of us and i’ll take it or, you know, just kind of the way that you would work in person by just giving each other updates out loud. It’s now moving over two dozen messages, so it’s not necessarily cat videos, you know, and elearning youtube all day long, but it’s it’s, you know, it is technically an instant message, and and it is technically an interruption, but it gets the way you work now versus aah, total distraction and you know something? What i thought was interesting is that it’s list it was instead of being specific social websites to social networking, it categorizes things as time wasting websites and the number third number three, cnn dot com es o that right number twenty nine percent think i’m going to go to cnn because i want to just, like, chat with my friends, you know, like the way they kind of think about facebook being used that way, but for so many organizations, regardless of what your industry is staying on top of websites like cnn or other breaking news sources means your organization commend the the one that has the very first public statement about it. That student in connecticut this morning, as another elementary school, to be able to respond right away or, you know, whatever the kind of crisis our emergency communications may be, staying on top of, really, what we have as a objective world now, riel time, news and information means that organizations can get ahead of their competitors sabat and speak and be the one with the first announcement or be the ones that have the resources that the other news stations there now looking for etcetera, you know, again, it’s just a different way of working and not necessarily time wasting, you know, okay, andi also for our listeners, they’re they’re spending more time in the social networks because, well, i’d like to think in part because you and i talk about that, and we encourage people to use twitter and lengthen and facebook to the extent that it’s appropriate for them and, you know, all the things that we’ve talked about, everybody wasn’t everybody shouldn’t be jumping in, you know, you and i have been through that, and we’ll continue to teo explain it. No, yeah, i mean, i know organization, nonprofit organizations where a team, you know, a subset of the staff actually used private, you know, totally private facebook groups as the place where they are kind of doing teamviewer based product project management, you know, being able to say what’s going on every day and reporting to each other, etcetera, because it’s a tool that all of the people on that team are familiar with, they know how to use it, they like that email notifications in the back and forth. So instead of adopting a whole different project management tool that would be outside of any other tool there there regularly using, just use the facebook group and again, so that means they have facebook open all day, but they’re not necessarily just again, you know, posting cat videos to their friends facebook pages there, they’re using it for real time team communication. Okay, we’re gonna leave that there wanted to get your opinion on it. One thing i’ll close with is that the average college student spends three hours a day checking social sites, but what they don’t compare that is, too, the average number of hours a day that the the college students spend having sex buy-in i object that they left that out? I mean, i was a monk in college, but but there are lots of people spending a lot more than three hours a day at least having sex either with somebody or or alone, which for some people that’s a favorite weii just have a minute before a break. Amy sample ward, let’s see, we want to talk about our our engagement strategy, but really just have a minute or so we’re talking about goals. Do you have some congee? Just tease a little bit? How do you how do you start to set goals? And then you and i have a lot more time after the break. Sure, i mean first, if we’re going to a break, then i encourage everybody to go look upon their organization’s website and see what your mission statement and you actually have a theory of change, or if you don’t know what, that is just used the commercial break the good little theory of change opportunity, or pull up your organization’s active strategic plan, because that is really where you start when you’re going to create gold that apply to your social media, even though people would think they’re not, you know that high up and organizations chart of some sort. But really, you do start all the way your mission, or your strategic plan, or your theory of change. Okay, theory of change, or your strategic plan or your mission. All right, amy, why is the right place to start with your strategic plan or your mission, or your your change theory? Well, in theory, not nothing that you are doing in your organization regardless of what department you’re in or what your job title is, nothing should should be extraneous from meeting your mission. The whole purpose of all of your staff, the reason that you have different departments, all of it should be to the end of meeting your mission, and when we that social media up as something that’s outside of that normal plan, then we’ve already set it up for first of all, other staff cannot really support it or, you know, to not have leadership for the board buy-in and that work because they don’t see it directly connected to the mission because it isn’t. But secondly, it also means that whoever it is that taft with that work isn’t able to set goals in the same kind of way, they don’t even see their own, you know, purpose for work as contributing to the organization in the same way. So not only do other people not buy-in and support it, but then the person that’s doing it themselves doesn’t see how they fit so outside of even what you do with the work, just setting up the contacts for that person and why they’re doing their job. You know, you either have an opportunity there for success or failure before you even start engaging. So so starting with your mission statement, you know, from there, you just work backwards look for the aspects of your mission that are focus on action and interaction, and then look for the parts that are social, the things that your community is able to contribute, too, and not just the aspects of your mission that, you know, require your staff policy maker or something. So so look for the opportunity where the community can be in and then require interaction, and then that’s where you actually set the gold specific to your social media or your community department now way learned a couple of weeks ago when you were on the last time that you have a real affinity for alligators. Actually, you’re a little scared of algiers, so we’re going to use save the alligators as our example eyes are hypothetical charity, okay, terrific, because because i know that’s something that you could buy into easily, of course, and also want listeners to know that this siri’s on getting engaged began october fifth if you want to catch the first part of it, and the second part was november sixteenth. So if we have our charities, objective is to save the alligators may be in the florida everglades, so not not worldwide, but just in florida in the everglades. There’s there’s terrific opportunity for outsiders to contribute to that in terms of awareness, maybe political advocacy, things like that, right? Okay, on dh and an organization, you know, or this organization that you and i have now founded called save the alligators provoc we probably have some sort of strategic plan or or we’re going to the whether we call it that or not, or something like a theory of change, which is more broad and says, this is how we see our mission coming, coming to fruition that says, you know, we see a few different ways that we’re going to save the alligators first is in the policy that support seven, and this is the kind of policy we’re going to work for it and the next is, you know, and this is where we’re going to create educational programs, so the public is no latto you’re scared of alligators or something, you know, so far down the line like that, you were goingto bucket out how we’re going to do this work, and from there we could say, oh, great, so there’s there’s a policy component of our of our mission? Well, in order for anyone to support a policy, they need to know about it. So a portion of the person’s job, the energy in our social media, they’re going to have a whole bucket, a goal of oppcoll and metrics and and work that’s focused on letting people know what that public policy proposal is understanding what it means getting. Involved probably recruited in their stories to help, you know the organizations public policy statement today if you can have community members saying, yes, we love our alligators, and this is, you know, how we’ve seen are so on the area destroyed and now hurting the alligators, i realized that all of this example shows how little i really know about alligators. Well, then, that’s a part of this person’s job and it’s no longer just yet tweet all the time about how we have a policy recommendation, but it’s so much more tangible because it helped change people’s minds about the policy recruit stories about this policy, etcetera, you know? So so you can translate directly from that mission all the way down to the buckets of actual content you’re posting every week. Okay? And how about some of the some of the advocacy, too? We want maybe people to write letters to editors and to bloggers we want to have people call or otherwise contact their state representatives things and so there’s a way we have our calls to action like we talked about last week, last month, exactly like last way said, you can’t just create a twitter account and start asking everybody to retweet you and take all of your calls action. But once you build up that community and you started building trust and engaging with people, then you can use the social tools to identify who those bloggers are that everybody listens to and reach out to them and say, great will you write the first the letter again showing that that you recognize them at the champion and influence there in the community? Will you write the first a letter and then other people will want to follow and participate, etcetera? Okay, okay, this is a good cause. And i appreciate that you want to be the co founder it’s a big step for you. That’s. A big step for you. All right. S o we’re so we clearly need to be, as you said, mission focused. Otherwise, there’s not going to be the support and the understanding of why were even engaged online. Why we even doing anything online before we moved to metrics? Anything more that you want to say about about creating the goals? No. I mean, i think, you know, a lot of people feel like well, you know we don’t have ah brand new strategic plan or we don’t have things laid out like this, but i really just i mean, we just showed with this very sophisticated organization that tony and i have just created called save the alligators, it really is that easy to move from a really high level, lofty mission statement, tangible work in in social engagements. So regardless of what your mission statement is or how it’s set up now, i really encourage all organizations to start from that place and don’t feel like, well, you are the organization that can you really can. And i just like that. If there’s ever than a challenge to why do we devote resource is it could be just a two person or three person shot, but why are we spending time on twitter and facebook? Because it’s a direct thes three threes direct correlations to our mission here, we’re trying to get join with advocacy. We’re trying to get awareness we’re trying to get public policy change, and this is how our social social engagement strategy supports each of those elements of our mission, right? Exactly, which is so much more empowering to that that person, but also to the whole organization, they can now translate for themselves how the person working in public policy can work with the person that’s doing the online engagement, and they could work together and not just, you know, separately in their own jobs, they could see how both of them need each other internally as well. Okay, let’s, move, teo metrics way want to start to measure these things? That’s that’s a substantial criticism of social networking that it’s not measurable. How do we know whether we’re succeeding, which we’ll get to, but but that’s what? You want to dispel all that? Right? Because it is measurable. Exactly. I mean, when you you know, a lot of organizations it’s really easy to track certain numbers because the different platform’s show them to you very prominently you goto a facebook page and now the really prominent number of how many people have liked that page well for you, almost every organization i’ve ever met that number isn’t the crucial number that you care about on your facebook page because if you have a thousand people that have become a fan of your page but none of them ever comment. Or share or even read what you post there, it might as well be xero people that like your page because no one would know. So making sure that that you go beyond just those really easy numbers toe look at, like, how many people are following you on twitter or whatever? And again, go back to those schools if we’re talking about state of the alligators, and we know that advocacy is a really important part and people actually taking that action way contract that let’s say, we want to see how many people yet wrote the letter, but how many people shared the letter of someone else, you know, way down that prominent blogger and asked them to write up a love letter to the very first letter, how many people commented on the letter that they wrote, so it doesn’t even have to be your facebook page, but but how many people are engaging with the advocacy appeals, whether you posted them or they’re the appeal you know, in your network, and that goes to all kinds of things, so not just you know how many people are liking or commenting on that letter, but how many? People have retweeted it how many people signed up on your website to stay in the loop on what’s going on on that advocacy appeal? So making sure that even though we’re thinking about this social engagement work as social media, quote unquote ah lot of these metrics don’t stay in that silo of facebook. If you’re doing a really great job on facebook, engaging people around an appeal, you also want to be just a the same time tracking how many people clicked to your website and signed up for the email to stay in the loop or how many people come from facebook to your website. And how long did they stay on the website? You know, looking at that that full circle from your your quote unquote home base, your website or your campaign page to social media and then teo material like emails or videos where it would be something there just consuming and back again. So how is that whole, you know, three part triangle connected and staying engaged throughout? Okay, how do we know what Numbers 22 start with if it’s a number of people who go overto comment on the on the letter. That was written over on the bloggers site let that was posted. How do we know what kinds of numbers to begin with? I mean, some some of the most basic that that all organizations can at least start tracking now to see if they know where they want to go next. What they’re tracking is so be tools specific as necessary. So was twitter, for example, you don’t just want to say how many people retweeted us this week. You want to say how many people retweeted our post that had a lincoln? Um, and how many p people retreated our posts that didn’t have a link, because as you you know, set yourself up to separate that content, you’re better able tto learn from the data, if you see after three weeks of tracking that you have fifty retweets every you know for posts that don’t have a link and you have to re tweets for your post that have a link. Well, that’s your community saying please stop posting links to your website. We just want to talk teo on twitter of or the invert you see, everyone wants to be sharing those links to your policy. Documents, but no one is retweeting you when you’re just sharing information, we’ll make sure that your frequently not always but frequently posting with the link so separate out the data as best you can, so that when you’re tracking it, you’re able tto learn from it and take action on it. And so that was a twitter example, but facebook another place where you can easily separate things out. Is it something that you posted because it had a photo or a video? Or was it something that was just a language or even just taxed? And how? How does your community respond to those things? So look at how many people viewed at term people commented how people shared it on dh then we can talk about more of the measuring and processes in a minute, but basically the best thing you could do is just to start tracking don’t say, well, we don’t have certain things in place yet or we haven’t finished creating this really great profile photos were not really using that page yet. You doesn’t matter just start tracking now because you’re not going to be able to make those informed decisions about what. To try next, or what kind of content to start creating until you’ve at least started tracking some things so you could say, gosh, no one interacts with our videos on facebook, let’s not invest in creating another video right now today, let’s try something else instead of feeling like you have to get all of that set up ahead of time. I mean, i just wanna let you know we’ll talk about measuring success next time we’ll have, we’ll have well haven’t get engaged part for because the metrics this metric section is really important. What about the the metrics that facebook gives you, like free, post like reach on a number of people who viewed and we have just like a minute and a half or so left are those are those of value? Yes, they really can be as far as measuring kinds of your post against each other so that you can say, you know, gosh, this one reached a whole lot more people than the one we posted yesterday. But there are so many variables to that built into facebook’s system, but also into you know, what day of the week was it and what? Time of the day wasn’t and did a lot of people like it right away, and so that then translated it, showing up in all of those people new season, then all of their friends interacting with it, you know? So there are so many variables in there that it’s hard to look at, it is just a static number, you know, a magical silver bullet of a data point, but it is helpful when you do sit down tto look between posts and say, gosh, what made this one reach so many more people? Well, then you can you don’t just say, well, i guess this post is a lot better, but it gives you the opportunity to say, this is the one that reached the most what was going on here that was different. Was it in a different time of day? What is it at, you know, a different day of the week, etcetera, okay? And you and use that information. But, you know, different organizations really focus in on different metrics, so some organizations rely on the talking about facebook metric and not because it’s better or worse than anything else, but they just picked it. And said, we’re just going to stick with it so that we’re sticking with one metric for now, others, they’re looking at reach, another aspect that impacts all of that facebook data. Is it you didn’t invest any money in promoting your post, we have to leave it there. We’re going to continue this subject next time amy is on show way will have her back. My block this week is cause marketing guidance from the new york attorney general cause marketing is when you team up with a company so that you raise money and they either sell stuff or they enhance their reputation or their image because they’re affiliated with your charity on dh there’s a lot of blurriness around this because a lot of people don’t really know how much money actually goes to the charity or how it’s determined how much is going to go. So the new york attorney general had some guidance five recommendations nufer i’ll just mention two of them here explain exactly what’s being donated. A lot of times you’ll see advertisements will say net proceeds to the charity we’ll net net of what? How do they define proceeds? Also after the campaign? Tell us all how much was raised. People want to know what the impact was, did they? Did they? Make a difference for you. I don’t know what she’s going to do in twenty thirteen shut the rest on morals from from the previous year, but so far that today that title’s title remains and you can follow emily on twitter at emily chan, jean and emily welcome hi, tony. Happy holidays. Hello. Thank you, emily. What you gonna do in twenty thirteen? You know, i’m not think reminding thinking about that. I’ll have to say she was last. Year’s american bar association. Outstanding. Young non-profit lawyer it’s it’s. Not the same laurel resting it’s. No. Good. We’re here to talk about documentation. How to get the right documentation and acknowledgements to your donors. But first, how to know what date the gift should be dated. Your your acknowledgement certainly has to have the date of gift gene let’s. Start with you. If if if a gift is a sent by mail us mail. What? What date do we does? The charity use for the date of gift? Well, the charity is probably going to use the postmark days, but the actual date that the don’t i get to take the deduction is the day that the donor dropped that envelope with a check in the mail box. So if it gets postmark the next day or january first, which is the next day, if they do dropped it off in december, thirty person gets post by january second. Donors have to form the charity that dropped it off. Oh, my gosh. Okay, gene, can you speak a little louder? Great. Uh, gene, can you speak a little louder for us? Yeah, absolutely. Tony so great question donors goingto take the deduction on the date. They drop it in the mailbox. But make sure that the charity knows that otherwise the charity’s gonna use the postmark date on the envelope on those could be different. That’s true. It’s. Okay, all right. And this becomes important as we’re talking about december thirty first versus january first or second when the when the gift is actually well, wouldn’t be open to probably january first. But it’s actually received and opened in the office january second or third. This becomes important. For those who wait till the last minute. Jean what about if it’s not received us mail, but it’s received by fedex because the person waited till the last minute or some other overnight service. Another great quest? Tony, don’t send last minute charitable donations through fedex if you’re trying to get a deduction in two thousand twelve because then that the charitable contribution will be deemed given when the fedex arrived and was received by the charity’s avectra steve january second that’s going to count of the two thousand thirteen death. Better to drop it in the mail that i sent it fedex on december thirty. Okay, excellent, excellent advice. And, of course, if gift his hand delivered, if somebody comes to your office, then that would be the day they handed over to you that’s. Right. Ok. Credit card donation. Same way is the day that that credit card is process. So the day that you give it, uh, okay. Well, wait now. Credit card processing, the date you you do the form online might not be the date that it actually gets to the gets to the charity and process. So how does that work? Well, it will be the day that it’s processed by the credit card companies. So it will usually be instantaneous. Okay. And would you use the date on your statement then? As the as the right date of gift watch? The donor’s probably gonna deduct it on the date that they made that charge. So yes, if they’ve got a receipt for it on december thirty first. That’s, the date you it might be different from the bank statement dated the bank takes a delay in processing. Take your receipt if you make that charitable contribution. Okay. You mean the credit card credit card receipt? Yeah. Okay. Okay. Emily let’s. Turn to you. Now, we now we’ve figured out how to know what date to put for the for the gift date. Let’s. Start with gifts of of cash. How do we appropriately acknowledge those for our donors? So, you and tony, tony, you and jane have already talked about some of the ways that you do. This is the donor. For example, looking at your bank records were having some kind of receipt that maybe automatically prints out. But when we start looking at gifts over two hundred fifty dollars, it’s important that the substantiation you have is something that actually comes from the organization. Um, and this is an irs rules, so again, default attacks mary-jo have a receipt for everything that you’re going to deduct, but when you’re looking at something over two hundred and fifty dollars, you need to make sure that the organization gives you some kind of written substantiation if you plan to take that deduction. And the funny part of this rule is that generally speaking, the organization isn’t required. Give that to you so again, as the donor is good to be informed of what you need and same thing with an organization and know what the donor needs, that you have good donorsearch right on dso our listeners are mostly the charities, so so over two hundred fifty dollars, they’re required to send an acknowledgement. No, they’re not required to something unknown judgment, but the donor is required to have one so it’s good donorsearch to put something in place for the organisation, that you’re able to issue out those in a timely manner and also with the most efficiency from the organization’s perspective, and the substantiation should say, you know what? You would expect, like, the amount of the contribution, but as well as whether that dahna received anything in return for the contribution. And if they did, how much they received a return. Okay, and we’ll get to that shortly. But also the date of the gift, right? You have to tell them, is not sufficient to just date your letter, but you have to give the date of the gift correct and it’s important to give that substantiation in what they consider a contemporaneous manner, which means before the end of the year of when the donor would make that deduction basically. Okay. Okay. Before so it before the end of twenty. Thirteen. You mean when they would claim the deduction? Is that what you mean? Right? Right. Okay. But of course, you want to do it before then, because there probably going to be filing their taxes by april fifteenth or october at the latest. Okay. All right. So now i wanna make sure i didn’t confuse listener. So two hundred fifty dollars, what’s the what’s, the what’s. The rule around two hundred fifty dollars, for two hundred fifty dollars, or more. The donor’s required to have a written substantiation from the organization the caveat here that was generally speaking, an organization isn’t required to issue one on we’ll get you an exception like he said in the seconds, but this is really important for organizations. No, not just look at what they’re required to do, but what would be a best practice to do, and it is the best practice as far as your donor issue, those, uh, received for them so that what your donor isn’t going to come back and say, hey, i tried to take the deduction that you never gave me this acknowledgement, and now i’m upset will never don’t you again, right? And of course, the really best wayto be thankful for gift and to express that is tio acknowledge every gift, even if it’s only five dollars? Yes, we would say so, but i don’t know that especially have it’s the hyre amount it’s even more important, we would say, because of this extra requirement from the irs. Okay, let’s, go teo publicly traded stock, and we’re not going toe listeners. We’re not going to talk about, um, privately held stock in privately held companies because it becomes very difficult of value. And things like that. But emily for a publicly traded stock first let’s define that. What do we mean by publicly traded? So this would begin stock that’s being treated openly on the market right now. So you would be able to look at the stock market and figure out how much it’s trading for at any given day or time. All right. And how do we acknowledge that kind of a gift? So this would be assuming that the organization is going teo, liquidate this right away, meaning that they’re also going to sell it. You’re going to treat it just like another contribution again? That could be tax deductible. So the organization is going to want to know again. Asshole of the donor. How much? That doctor’s words on the day that it’s given to the date of the gift. And basically the way that you do that. If you look at what it’s being chased out the high in the low and you take the average okay, excellent. Some people there’s some confusion. Sometimes people think it’s the value that the stock closed at on the day of the transfer. But that’s not right, it’s that average that you just explained if i can jump in it’s important to realize, though, that that’s going to be the donor’s responsibility to figure out what the deduction amount is. And the charity is giving those numbers just a matter of convenience for the donor and the donor’s tax advisor. So should there be some little caveat in your letter that says we’re not providing tax advice in giving you the value or what? What? We estimate the value of your deduction to be, i think that’s great advice, tony, to just say that caesar for internal gift recognition purposes, and to please seek guidance from your tax or financial advisor regarding the deductibility of your gift. Okay, gene let’s, stay with you. We have just a minute before a break so let’s, you know what? Okay, let’s, gene let’s, talk a little about when someone gets something in exchange and let’s start small. Suppose you make a gift and you get back a mug or a pen or a t shirt. Kind of what generally, the rule is if the gift for the contribution or payment that is being made by the donor is more than seventy five dollars, and you’re getting something back in return of value, then the charity has got to give you some sort of written disclosure that indicates the value of the item is given in return. But if it’s a token, ida, um, then there may be no need to do that, so token item might be okay. And what is a token is actually kind of defined, um, by the amount it is, it could be a low cost item. Or it could be an item that has the organisation’s name on it on. And if it’s a low enough value than that that’s going to be okay. And so the dollar figures i’m goingto let emily provided it doesn’t come off the top of my head. But it’s the low. Cost article, i think, is nine seventy with the organisation’s name or logo and if it’s not with the organisation’s name or logo, if the mug is less than two percent the lesser of two percent of the donation or ninety seven dollars, then you don’t have to give that written disclosures statement that says the amount of the value of the item given back to the donor return. Okay, that’s, a that’s? A lot to unpack, but listeners could go back and play that play that part back-up emily does does jean have? The number is correct. Okay, okay, now, gene, that was if the if the donation is more than seventy five dollars, if the donation is less than seventy five dollars, then you don’t have the charity need not disclose what was given in return. Is that is that right? Yet although it’s going to be a good idea for the charity to do so anyway, because the donor can only deduct the amount of the payments that is actually a charitable contributions so other than for those token token items, then something for the charity to indicate. So even if he gave a fifty dollars, gift to charity. And you got twenty five dollars, back. That charity should indicate what that amount given back. Okay, so, so sort of similar to what we talked about before it’s. Just it’s. Good practice to just do it all the time. Uh, disclosed what was received all the time. Okay. Plus, i just got makes it easier for your for your gift processing people. Teo did not have different rules. Just do it all the same way each time. Yeah. And note that this comes up all the time when charity’s hold their holiday party events and copied the chicken dinner with the ticket. Um, so the chicken dinner given back is a benefit that probably is more than the token benefit or the low cost benefit. So that’s going to be something that the charity will want to get back into receipt? The whole ticket may not be deductible, but a portion, maybe. Okay. And what? What about the silent auction items that you have? You have advice around those two? Yeah. Now, that gets to be a very tricky area. Because when you received ah non-cash contribution from a donor, the charity not goingto value that so. If somebody gives you a expensive vase and they say, you know, this is our donation to you, the cherry has no responsibility and is not in the business of appraising that for the donor. The donor is gonna have to do that themselves begat the deduction. But the charity will give back a receipt stating that a description of the items given, however, the big exception is if now the charity goes ahead and take that vase and puts it into a silent auction. And somebody bids sport let’s say somebody bid five hundred dollars for that body, right? The charity has got a responsibility to let the donor or the person paying for the box know what portion is a donation. And what portion is really the value of that vase? Uh, that they’re actually making just a strict payment for quid pro quo. Because it’s part sale and part gift and only the gift portion is deductible. Okay. And how are we going, teo? Value that? Yeah. Really tricky it it depends upon the item. So you know, if it’s super expensive than the charity, may have to get an appraiser to do that, otherwise they might. Look into, you know, being if it’s a fairly modest item, you may just look on ebay or craigslist that used and try to figure it out, but you don’t have to use reasonable method based, but, you know, pop your resources and the valley of the gift. Okay, emily let’s, go teo volunteering if someone’s instead of instead of making cash gift or stock if they’re spending their time with the organization, what what does the charity have a responsibility to? Teo teo, disclose that or acknowledge it in a certain way. And what can the donor deduct? I’m not necessarily so. The thing about volunteer services that the individual volunteering not deduct. I got the value of that volunteer time. So let’s say it’s the equivalent to paying, you know, twenty dollars per hour for your bookkeeper or something like that. You’re you’re volunteering the service, an organization that not deductible. But what could be deductible are the expenses that are incurred that are related to the volunteer services. So what say the cost of gas to get to the non-profits a place of business in order to do the financial services for them? Okay, we really have to leave it there. We just have a brief moment. Emily there’s a couple of publications that are valuable for for charities to figure this stuff out. What? What are those? Please? So there’s, the irs publication seventeen. Seventy one that’s. A really easy to read pamphlet. There’s also an irs publication. Five twenty six, which is a more comprehensive guide on charitable contributions and anything that’s tricky, like art or vehicles. There are special irish publications for that as well. So i would look for that specifically. Okay. And you’ll find the pubs on iris dot. Gov. Yes, that’s correct. Okay, we have to leave it there. Cause Marketing Guidance From NY Attorney General

Cause marketing: when your charity teams up with a company so that you raise money and they sell stuff and/or look good.

Questions have been asked, most recently in the The New York Times. There are no rules and the amount of money raised can be questionable.

The New York Attorney General wants to help. The office has issued a five-point guidance document. It’s on the web and as a pdf. Here are the recommendations:

1. Clearly describe the promotion
Prominent disclosures should include: charity name and mission; benefit the charity receives; minimum guaranteed or maximum imposed on donation to charity; consumer action required; and, dates of the campaign.

2. Allow consumers to easily determine donation amount
Do you wonder what “net proceeds” means? Net of what?

3. Be transparent about what is not apparent
Protect your brand so it’s not injured by an unclear campaign. For instance, if the company is making a fixed donation, don’t let promotional materials suggest that buying product makes a difference in how much your charity gets.

Likewise, if there’s a cap to the donation you’re getting, don’t flood stores with more goods than reasonably expected to reach that maximum. (I like that one. How ethical are you when it’s hard for the public to know how ethical you are?)

4. Ensure transparency in social media
If it’s a campaign to get the company likes, followers or +1’s, follow the other recommendations here. Social media campaigns aren’t exceptions to transparency and accuracy.

5. Tell the public how much was raised
Cause marketing is no exception to the public’s demand for impact measures. Tell us how you did.

Oh, i want to welcome the november nine thousand november last month we had over nine thousand listeners per show per show. And i hope that you were all with me last week. I’d be in distress if i had learned that you missed the requesting brain. Of pecan twenty twelve, i guess now are karen heart she’s, the philanthropic services specialist being community foundation and the cold sand miguel database administrator at the naka pratt free library of baltimore city. They’re topic is reserves h policy siege emmanuel ladies, welcome. Thank you, karen. Why don’t you explain what you do as philanthropic services specialist xero unity foundation. Do you want the whole list? No, i just want neo-sage about thirty seconds. I am the database manager. I am the charitable gift annuity specialist. I write all those contracts and i also do the research for the razor’s edge. Okay. And nicole, as database administrator. What are you doing? I do everything. I process gifts. I generate letters, put information and pull it back out of the database. Okay. Everything in and out of david. Okay, let’s, just start with what they call. What you see, something charity is doing wrong around there. Procedures around razor’s edge. What? What? What? What? What is it? We’re trying to move on. They don’t have them. I think that’s probably the biggest thing, karen is not. Yep. Definitely not having procedures and data standards on how to put the data. In to get the data back out again. Okay, well, let’s, just keep it simple and start. Karen, why don’t you give us a first? A first good practice that belongs in your first year manual should be written, i presume, right? The first thing you need to do is understand how the data is in the system. And then you need to figure out how you want your data in the system because it can be the way razor’s edge trained you to do it. Or it could be how your finance people tell you they want it. But for us, the biggest thing was putting the data in in a standard format every single time. So my procedure manual starts with constituent entry, and it works off of the address standards that the united states post office puts out and that’s how we enter data based on the address standards. Do you both have multiple people entering data? Your office is? Yes. Karen is a much bigger office than mine. I’m in office of five people, and we all have to intern ada. And we have twenty five employees in six different sites. We have remote user’s on. We also have ah, secondary office down in the southern part of the state of maine, so everybody interest data not everybody has the capacity to do all the data entry, but everybody as the capacity to do constituent entering, okay and let’s have a little motivation. Step what’s the downfall. Karen what’s the problem if you don’t have standard data entry, your reports are messed up your mailing list so messed up and your executive directors on your back saying, why can’t i send out three thousand letters to three thousand people at the correct address at this time? If you don’t have standard data entry, you don’t have standard data export, you can’t get it out. Everything is all over the place all called the same thing, so you can’t do it. What should be a pretty simple query, i guess, in a lot of cases to get out everything that you should get out. Yes. Okay. So if you have three thousand records, you could have the data in multiple ways. And so if you’re doing a mailing and you have an address field that’s the post office p o box listed above the street address the post office is going to mail it to the street address. They’re not going to mail it to the p o box, but the post office the physical address doesn’t have a receptacle a mail box and so they returned the mail. And so that’s not how the post office reads addresses they read from the bottom up so your post office box, which received your mail, has to be the first address in the line going up and then the city and state yes, just above the city and state, and then your street address so that the post office khun deliver the mail where it needs to go and if you don’t know that address, standard feature and your data comes in from akash certification in the post office boxes listed first on the first address line that’s wrong and it will get returned to you. So you’ve wasted your first class mail all the time it took to process that nailing piece and the time it takes to fix the record in razor’s edge, right? So data standards are efficiencies. All right, so we need standards inputting data there has to be, i guess training you said. You have people in multiple sites, karen, be training around the policies. Yep, and i, my policies and procedures manual, is my training man. I used my training, my policies and procedures manual, to train all my new staff and to do my continuing updating trainings that i run by annually. Nicole is the is the manual changing it’s constantly. Jean well, i think you kind of have to look at it as a document that’s never actually complete, because blackbaud is constantly updating its products. People are constantly changing address or constantly being hit with different situations or events, and you just kind of have to be able to adapt its kind of like the constitution. Okay, it’s, a kapin all right, all right, the call what’s another important element of the policies, procedures. Back-up. I would take it index a table of contents index because of karen had, for instance, has a very large policies and procedures manual and how many pages can it’s one hundred fifty separate documents totaling almost three hundred fifty pages? I don’t know, five or six, i don’t know, i’ve been the d be a first for fifteen years, and i have a very established policies and procedures manual mine’s not nearly that long, but still even in just one hundred pages. Your users have to be ableto find what they need in those hundred pages. And if you have a policy and procedure manuals only five pages it’s not nearly long enough. All right, well, that’s, why i’m in your fight? Your dvds. Finally, when karen says d b a i want to keep her out of georgia. I learned right before the session. Diva, of course, is a database administrator doing business as okay buy-in index and table contents. Right. It’s gotta be searchable. Gotta be able to find it. I assume this is all elektronik form, especially three hundred fifty pages. So yeah. Ok. So it’s not it is not in a print for men like everybody, i get a lot of questions from blackbaud users to have access to my manual, and they want me to send it electronically, and i explained to them very assisting clea that it is one hundred fifty documents totaling three hundred fifty pages, and i would be happy to send you zip files of portions of the manual, but it is more than twenty five megabytes and size, and my email server does not allow me to send it, and i’m not going to upload it on google dogs, so i have a specific pieces that are categorized by my index for i would say, structure buy-in introduction, the constituent entry, and then it goes through for other blackbaud parts of the system, andi, i’ll send them the basic constituent entry procedures and along with my tips and tricks and so that’s a zip file, and i’ll send that to them. Or i have five six different procedure zip files uploaded on black buds website in their shared client document folder, and people could go access it that way. So you also have a document that, as we said a minute ago, is kind of constantly changing and constantly being updated. So a paper document isn’t necessarily the best format for your users. If you, if you make a change, you don’t have to reprint that beat one hundred pages of three hundred fifty pages. And i also like it to be somewhere that my users don’t have toe look through their desk, through their cabinets, through their drawers, through there. Finally, cabinet to find their copy of. I like them to be able to open up a file on their server very quickly and go right to it. It’s. Also a lot more searchable, electronically us, and where i have central f, i have six different. Sites that use my procedures manual, they have to be able to have access to it. And so they have an access electronically so they don’t have to print it off. Okay, let’s, move on. I’m just keeping general. And karen, why did you threw out another practice that belongs in your the procedures, um, campaigns funded appeals and how you how razor’s edge has campaigns, funds and appeals that’s the structure for sending out solicitations and what funds are associated with that solicitation, regardless of whether you’re using a named fund, we have seventeen hundred named funds at the main community foundation because that’s what we do and another orcas nation might only have three of four different funds which are, like, restricted, non restricted general or whatever. And so your campaign’s funds and appeals need to have the same naming process and the same structure so that you can find information and report on information in the same format in the same way. And you get the results you’re expecting so on dh should that naming b is that particular to the organization? Or can you share what? Some of the ideas? What your what your ideas are. Around around these naming convention well, how we think of campaigns, ones and appeals campaign is the umbrella that the appeal falls under, and then the fund is under the appeal so we can have an appeal that has three or four different funds that were raising money for and that naming structures always the year the appeal that’s, the appeal name and then thie campaign is a general name where you re use those year after year after year because we don’t do capital campaigns, we don’t raise funds for ourselves, we give money away, so we raise money to give away so an example of a campaign would be end of year. I can’t bend county fund a great capital campaign. The capital campaign is county funds. There are eleven different appeals underneath that because we have an appeal for each of the funds that’s associated with the campaign appeal, and then those appeals are done every year, so they appeal is renamed every year. The old appeal gets in activated, and the new appeal comes on and that’s, how we do our solicitations and our appeals talking alternative radio twenty four hours a day. Is something similar or different radcampaign funds our campaigns, funds and appeals are a little different because karen raises money for other organizations basically are not raises money for other organisations, but the money that she uses goes to other organizations are money stays in our organization. And we a za public library was twenty three different branches constantly have campaign appeal up campaign’s going on capitol campaigns. We also have an annual campaign, and then we also have campaigns that may be related, teo special projects. And but just like karen and i are different, every other organization is going to be different. Everybody does something very specific and can tailor razor’s edge to their specific needs. Okay? That’s the beauty and the curse of razor’s edge is the flexibility of the system. So, karen, it doesn’t have to be the hierarchy that you described. No thinking about campaigns. You know, there are lots of organizations that i help structure their systems, that they don’t even use a campaign. They use everything on the appeal level or everything just on the fund level. So it’s how your system needs to be set up. But what? You have to do is think about how that process is going to be best for you to get the data back out of the system and what works best to get the data out. And then you structure your system based on that, and then you write policies and procedures so that you have a constant naming structure and a constant format and flow of your data in and out. It sounds like you should be thinking about what you want to get out of razors edge before you’re just exactly, exactly almost work backwards. Yeah, you think about what you need and what report somebody might need toe it might. It actually dictates how the data goes in the system. On our standpoint, from i converted the database in nineteen, ninety nine took over, and so it’s my baby and i helped design how the data is in the system. But i met with all of my officers and said, what do you need for reports? And that dictated how we put the data in the system? And so i wrote my policies and procedures basically, teo, make sure that format doesn’t get lost and for those annual things that you don’t do all the time so i can refer back to them because my memory is like a sieve sometimes, and also so that if i was to leave the foundation, they aren’t hamstrung by not knowing what i did and why i did it. And so they could use that as a training tool or as a fallback to see how i record a campaign or how i record a pledge or how i record a gift and it’s also very important, knowing the reasons why things aaron there a certain way, i can’t tell you how often i pull up data in our older data in our database, and we do not know why it has been entered that way. What thie rationalization for this particular type of coding wass and or even just what certain abbreviations stand for? So i mean definitions of in your policy and procedures manual, and also, i mean, you don’t have to justify every single thing that you do, but perhaps a little bit of insight into why those decisions were made is useful, especially looking back and when staff changes, okay, if we’re going to change something in the database, we talk about it as a staff and what the implications of that change could be future and historic, and it also we’re tracking a lot of data that was in hard copy before is now in the database for a good example is success our advisors. So we have a specific way that we code our successor advisors who are advisors to an advised fund, the donor advisors not allowed it’s no longer available to us to the donor, right? And so that dictate we have that policy, that the information is recorded and raises edge it’s in a specific format. And so when we know that somebody’s passed away, we can go and to the razor’s edge database and say, oh, yeah, this is how we’re supposed to be doing it. So it’s it’s a really good way toe track for historic data as well as future data, because you might have somebody who’s in the position now, but in fifteen years they may not be there, and you might have somebody who’s passed away and it’s a huge request if there’s no documentation on how that request is supposed to be processed in the system. Then it’s, it may not be processed. How was intended to be a stalker? The call? What else should be in this table of contents that you said? Is it self important to them? Document? What else belongs here? Well, i think you just need to have some basic day today. Operating procedures? Um, such a such a gift processing what’s. You know what? What? What happens when a gift comes in? What reports need to be submitted to your business office? What are they saved as? How do you change parameters? What gift types belong in this report? What? Give types. Don’t who do you hard credit for something? Who do you soft? Cut it for something? How do you split gifts? Do you split gifts? Everybody does. Everybody does a lot of these things differently. And we have staff turnover all the time. And i could go from where i work to where karen works and not do anything right. And it would be different. We don’t record pledges unless there are material to our financial statements. So if it’s not a material pledge let’s say somebody is doing a fundraiser and they’re going to raise fifty thousand. Dollars and their pledges. And they want us to record pledges for that that’s not material. So it doesn’t go through to our finance department. We put it in as a placeholder on the razor’s edge. But then we also have a fundraiser where it’s four and a half million dollars. That is a material dollar amount. We do record those pledges. They they have a sign, documentation. They are what we call collectible pledges. And so nicole might have pledges that she runs all the time for her campaigns. And we don’t. We do one massive pledge. Maybe once every ten years, and the rest of the pledges aren’t booked because they’re not material to our bottom line. And we do pledges all the time. We have pledges that may last a year. We have pledges that may last ten years we have, you know, all kinds of pledges and it’s just the difference in the nature of the way are two organizations work where the difference in the nature of the way all of our organizations work. Not everyone non-profit works the same way. Of course. Going to start to wrap up. Karen, why don’t you share what? It is you love about being a d b a database administrator work. But i never do the same thing in the same day. Twice. I do a lot of different things every single day, even though it’s the same basic format i do gift entry. I do. And i do all the stock. So i do stock gift entry. I do charitable gift annuity entry. I work with chargeable maine to truss. I work with prospect management. I work with bringing a new funds. I opened my own funds. I do data services. Esso i never do the same thing every single day, any day. So i love the challenge of it. The puzzle of it. How to figure out getting the data in there. So it comes out the way my people need it. And i love the software. So it just makes my life so much easier doing what i do. I like that. Well, i don’t like that. I’ve spent a lot of time cleaning up a database, but i have spent a lot of time cleaning up a database. Product is gratifying and and it’s gratifying. And now everyone in my office can pull information. And is actually so excited about what they pull out it’s really amazing you, khun go from hardly being able t see any kind of of analytical data in your database to being able to pull this stuff out and just infinitely filed down your donors and they’re they’re giving histories, and they’re giving trends and what they respond to and what they don’t and in the end of the day save money and raise more money because your data is so much better. Nicole had a fabulous slide yesterday where she had it was a period of darkness where the data was a messed up and you couldn’t get anything. And then when the data was clean, it was like having a light bulb. Then you could actually find the filing, so it was a fabulous graphic, and it works really well, but there is great analogy that was karen heart and she’s, a philanthropic services specialist at the main community foundation and also with us was nicole san miguel, database administrator for the free library of baltimore city. So there’s a there’s, a main person who gets credit and then maybe somebody gets an assist and that’s that’s the hard credit versus the soft credit, an example would be, ah, husband, wife. If the husband and wife are both donors, maybe separately, or they’re both in the database, because they both want to maybe get email separately. When you’re soliciting by email, you would hard credit, perhaps the wife. Maybe she’s got the better relationship with the organization, and then a soft credit might go to the husband that’s, an example of heart credits off credit. You have the list, so i’ll say the first one you’re number ten is search systems, search systems, right search systems, dot net and it’s a way for you to be able to access public records by state, for example. So i know we have listeners from all over, and you can go into each individual state and then look at the various types of public records they have available, whether they’re free whether there’s, sea bass and it’s just i think it’s just a great jumping off point for anybody to be ableto bookmark so that they can access it and then go right from there to the particular state they’re interested in. Ok, so so it’s that’s. Interesting. So it’s state based resources because you you talk a lot about those that you like chambers of commerce, newsletters and websites and things and local business publications. You like those? Yeah, i do. I do. But what’s interesting about this is it’s. More like government public records. So you’ll get access teo information on properties. Uh oh, i’m sorry, okaying all that type of thing. So anything that sort of a government entity would be overseeing. In terms of public records, you can access it state by state right through this site. Okay, cool. That was search systems dot net, right? Right. Okay, you’re number nine maria’s number nine boatinfoworld is called boat infoworld dot com, so i’m frequently asked by non-profits when they’re kind of putting on their proactive prospecting hat you know, how can i find wealthier people in my community and my state in my county? And although, you know an indicator of simply having wealth or simply having a yacht or a boat wouldn’t necessarily equate to your organization receiving funds from that person, it is definitely a resource that i do check when i’m profiling an individual, for example, i have a known name of an individual, and i’m trying to determine whether or not perhaps they own a yacht or a boat, but really a non-profit that serves perhaps the marine community, any of the thinking about some of the connecticut based organizations or new york based organizations that really serve either an environmental purpose or some sort of an education based purpose on the water? Well mirriam out there are the benefit from knowing about this because you would have outreach to a group of people who really have an affinity for for your type of cause, way down deep, that one is not free. The first, when i mentioned was free this one sea bass, but it’s really not that expensive? I just did a quick test before we came on the air and, for example, new york steak if you wanted to buy a ll the records of the recreational boat owners in that state. Now these numbers are our prior to superstorm sandy hitting us. Of course, there were a lot of boats were actually wiped out, but there were eighteen thousand six hundred ninety six boats in the entire state, and that list was only ninety nine dollars ninety eight cents to be able to purchase as an excel spreadsheet. Okay, now, of course, there are other bodies of water that touch the united states besides just the atlantic ocean. So this could apply in texas north carolina comfort example there about you know what one could think about paying for this type of a resource that you can get it down by county. A swell by city and state. So it’s, pretty interesting, because you actually get the name of the individual and a snail mail address. Okay. Oh, interesting on and you and you can’t break it down by county so you don’t buy the whole state, but they’re more local. Organise a chef. A county has just over fifty, six hundred recreational boats registered. And that list with sixty nine dollars. Ninety eight cents there. Really? For you? No less than one hundred dollars. You can get access to quite a large list of people if you were interested in some house beginning a mailing campaign to those individuals. Now, why do you search for boats and not planes? Why do search for planes and, well, i do just not didn’t make the top ten. Well, see, i mean, i was constrained, okay? You worry about myself because i know you provide this list when i’m doing my my life workshops and seminars. Sort of a top ten. Okay, but yeah, this is when i always happened to a swell. Okay? Yeah, of course, owning a boat could be indicative of wealth, but the person could be in boat. Hell, also all right. You know, they can’t afford their vote. Or it’s. In bad shape. Okay, but it’s ah, it’s. One factor of many as your profiling a prospect. Right? Right. It’s one that’s, right, exactly. It’s one factor that i’m looking for in terms of an indicator of wealth. Okay, good. You you introduced number eight. Okay, number eight, count the countdown. I like to look a sec filings, which are securities and exchange commission filings on a resource that i used for that you can access, by the way, sec data for free through their website, however, i really like this particular resource for the weight compiled the data and the accessibility and ease of use. So it’s called ten k wizard dot com. And it is he based i actually have the lowest level of service is just over four hundred dollars, a year. And i really like the resource because i can look for those corporate insiders. And we’ve touched upon that before me in the show. Yes. And how beautiful they could be in terms of trying to perhaps gain a gift. A stock from somebody is supposed to give cash. Say a little more about why you prefer ten k wizard over the s e c. Website. I like ten k wizard because i can search by an insider’s name. So i have a name of an individual. I’m doing a research project on that individual and i can put their name in. And then i can see all of the companies that they might be connected to either as an officer at that company or sitting on the board of directors of that company. Okay, and then i can go into the individual sec reports to determine exactly how much stock they own in that company and and on the website, you cannot search by individual name, i guess. Just a little bit more cumbersome. Yeah. Okay. Definitely a little more cumbersome. So i like the resource. I mean, for me and in the numbers, you know, names that i’m researching it, it’s worth it. But certainly the website dot go of you could find similar information. Well, exactly the same information, actually, but just search ability in the output of the data. I find it a little bit better on the way. Okay, well, that’s important to know. I mean, you’re the doi end of dirt cheap and free. So but if you’d prefer to pay for the same two options right now. But if you’d prefer to pay for ten k wizard dot com so that obviously there is value there. And by the way, listeners ten is spelled out. Because you’re because they’re contributor thiss particular resource is used heavily obvious if you do a lot of grantwriting right, so you would look for foundations that would support your organization? They also have something attached to them called big online, which is corporate research um and basically i’ll go ahead mention the code very quickly and all posted on your page. Okay. And you kind of alluded to it earlier when you were talking about the looking at resource is that cover businesses on dh? This resource is available free through through almost every library and certainly any library i’ve ever tried to research it through and it’s a database and it’s. Very useful. Because if you are looking for again, proactively to develop lists of potential business owners in your community who might be supportive of your cause, uh, you can search this list. Uh, can you set up the search criteria yourself? So if you’re looking for a list of oh, i don’t know. Medical device manufacturers in a specific county that have sales over five million dollars. You can actually generate exactly that type of list. Okay. This is reference. Yusa any i’m sorry. Any fee for this one? No. It’s. Well, it’s free through public libraries. So that’s, where you want to start at your public library link generally, uh, county library will have links to online databases. Uh, some of the library’s might require you to go on site. I actually access it off site through my county library. So using my barcode on my library card, i can access this particular resource. All right? And you and i have talked about the value of the local libraries in the past. That there are a lot of free resource is in local libraries either online or or if you have to go in person, but sometimes you’ve you made the point worth the trip, even if you have to go in person. Yeah, absolutely. You know, this type of the database would be very expensive if you had to pay for it yourself. So, you know, might be worth just rerouting your commuting trip a little bit and then spend a few hours at the library if you need to. Okay, now you’re number five. Ah, you wrote fcc and i only know federal election commission, but alright, that’s exactly what it is. Federal election committee. What is your interest in the centre election dot gov and its data on political contributions. And so you would be able to determine if people have made donations of over two hundred dollars, that becomes part of public records. And i think most people know that. However, every once in a while you come across somebody who’s surprised to hear that those donations are actually recorded in a public wife. Okay. And that one again. Oh, uh, this is particularly useful, of course, for a non-profit who have might have some, you know, issues. You know that, are you? Know, politically motivated or divisive so you might want to, you know, just have an understanding of where you are particular prospect, eyes contributing their money politically, right? You might you might yourself be ah, politically, act active or be involved in political advocacy, but also you would be interested in the level of giving if someone is giving it a very high level. To what, whatever campaign that’s indicative of some wealth or not way have to take a break. Sam, we have still a minute, right? So that would that would just the size not necessarily where they’re giving right. So i looked for both, um and actually one of researching somebody i look att both their e-giving and their spouses e-giving politically because, you know, very often their spouse might be giving equal, if not more money than the prospects that i’m actually researching. Yes, so, maria, i’m going to say, number four zillow, i love to look up friends, houses, i’m zillow, i love zillow. I love to look up friends, houses, i can’t help it. Why don’t you explain what zillow is spelled like a pillow, but with a z? Well, who knew you were such a nosy neighbor? But i can’t help it. Go ahead, tell everybody anyway, says illo, is a great tool that fuse by prospect researches, but it’s, really it was developed for the real estate industry to be able to track sales data as well as where evaluations are currently at. What i like about it is you can get information about where house price wass when the when the home was purchased, you get since general information you don’t know who owns the home, but gosh, you could find out so much other information you’ve got the photo of the home. Typically you have taxes that are paid on the property and generally goes back several years as well. So you could see, you know, the home valuation even over time as well as the taxes over time. So i really like that it’s definitely a stopping off point every time i’m doing prospect research. Okay. Now you would have to have the person’s address in order to use zillow, right? Yes, exactly. So you actually put in a home address, and it will give you all the pertinent data on that on that address. So, you know, real estate is a huge component of doing prospect research. You want to know about their primary residents and any secondary residences that they may own as well. Buy-in again, just her gaining a general level of wealth. Okay, i might have. I was once researching somebody. Tony and i came across data that i actually had to cross check elsewhere. Like i couldn’t believe the results on the two properties that this person owned. They were paying one hundred twenty five thousand dollars in property taxes. Yeah, well, okay, and i can vouch for zillow. It is very robust friends will stop giving me their their home addresses. But i convinced from personal experience a very, very interesting site. Zillow and it’s. Free and free. Yeah, yeah. Oh, yeah. Trust me, it’s free. Um okay, maria. Simple what’s, your number three. Number three on my list. We’ve talked about this resource a lot. It’s linked in on lincoln is a great social networking site, but it’s a great prospect research site as well, as far as i’m concerned, you know, people have profiles up there. It’s clearly marked public profiles. So i definitely like to use the data not only to check on, you know, people’s, employment history, their education and so forth. But also you can mind linked in by using the advanced search feature. Okay? And you can mind it for potential volunteers for potential donors. Um, and, you know, interestingly enough, i had done a, uh, workshop earlier this week, and i was looking for some statistical information that kind of talked about. Well, what are the income levels of people on lincoln? Generally, you know, on average compared to say, facebook and income levels are one hundred nine thousand dollars on average, uh, on lincoln versus twenty five thousand dollars on facebook really that’s very interesting, i thought it was a fascinating statistics, so you know, it really points to the reason why non-profits need to get better about howto leverage this tool, check out their new board connect feature, which will enable you tio have access to more advanced, more teachers on the search on the advanced search page. Then you would under a free account and they will give access to one person in the organization, free access to their talent. Find your tools, they’re calling it board connect. Yes, you, you and i have talked about board necked so listeners could go back. Listen to a previous podcast, andi don’t just remind people how you get to the advanced search, so to get to that particular tab, when you’re on the home page of lincoln up in the right hand corner, you’ll see a search box and to the right of that, you’ll see a link that you can click on called advanced search and that’s what you want to click through because it’s going to come up with again, going back to that earlier example, if you’re looking for men. You know, people making medical devices in a certain community, you can’t get it by income level, but certainly you can, you know, look for people in specific industries with certain titles, maybe having certain keywords in their profiles. So a great way, tio, come up with new list of people to connect to and potentially reach out to. We have to move on. Let’s, go to number two. Wealth engine number two wealth engine. So this is a sea based resource, it’s most people no wealth engine for their screening service, and so they’ll have their their dad based screened in order to be able teo elevator to the top, those prospects they would want to concentrate on again. Um, certainly, you know, a couple of tips to make your google searching a little bit more effective when you’re researching somebody’s name if you’re researching tony martignetti, make sure you’ve got the name and quote so it’s not finding every web page that has the name tony and every web page that has martignetti so in quotes on let’s say you know everything about tony and his, his, his company and so forth, and you’re much more interested in knowing where tony is active in the nonprofit world. You want to make sure that you have google filter down the search results for you by putting in the word after you put in tony martignetti unquote space and the word site e colon dot org’s so it will return to you on ly the hits where tony’s name is associated with a dot or ge? Of graduate studies in charitable financial planning at texas tech university, where he also supervises the graduate certificate and charitable financial planning. He has spoken at the f p international conference, the big twelve gift planters association and giving korea we have listeners from korea pretty regularly, actually, he’s presented his research at universities in the u s, spain, germany, the netherlands, ireland, scotland and england, but i noticed not whales, i guess the welsh don’t care for russell james for some reason, the welsh have not invited him, but the irish, scottish and english have he’s, a consultant to the south korean government, around their effort to adopt plant e-giving legislation, he’s been a plan e-giving fundraiser and a college president. Russell james, welcome to the show. Thanks so much, tony. Glad to be here. It’s a pleasure to have you. You’ve had a lot of jobs but a lawyer. Fundraiser, college president now, college professor, you’re you’re having trouble holding jobs? Yeah, that that is an issue. But hopefully i can. Okay, what’s next, the construction trades. Maybe. I don’t know. No, i’ve got ten years. I’m gonna stop. Okay. Well, that’s it you’re set. Okay. Um, our big questing brain. This is really very, very interesting to me. You do? Ah, neuroimaging research. Why did you decide to pursue this? Well, i’ve spent a lot of time in the area of fund-raising a particular plant giving, and there have been a handful of studies done on shared will get e-giving decision making in the scanner, but nothing had been done yet. Looking at decisions for request, a charitable giving. And so that was something new and something i was interested in. And after getting ten years gave me the opportunity to take about a year and a half or two years to learn how to do this neuroimaging so that we could proceed with finding out how the brain works. When you ask people questions about making charitable bequests, this is not a line of research that a non tenured professor would have the luxury of pursuing. Well, it it takes a long time. And since my original background is not in neuroimaging, it takes a fair amount of time to get up to speed with the process. And it helps having a little bit of job security before you start chasing rabbits like this. That’s one. Of the few jobs you have not held is neuroimaging scientist. Thank you. Um, and what was your methodology for this? So the approach was tio have people when they’re in the scanner, they can observe a computer screen, and we could ask them a variety of questions. And what we wanted to do here is we wanted to have questions that were identical but on lee different and whether we were talking about giving money or volunteering or leaving a bequest gift. And since we can’t actually enforce a bequest gift in the scanner, what we did is we ask them if you signed the will in the next three months, what’s the likelihood you might leave request gift to a particular organization. And we used about about twenty eight large charitable organizations on we also ask them about if they were asked in the next three months, what was the likelihood they might give, give money to the same organizations? Or that they might volunteer time to those organizations in the idea being here, we want to see what brain areas are engaged when people are thinking about the probability or thinking about this idea of, well, let’s. See if i was asked if i was finishing a will. How likely is it that i might do this? Okay, and you compare that with a current gift and volunteering, okay? And because you see those as as different methods of support. And so you thought there might be some different segments of the brain that are that are involved exactly. And also because we understand a lot more about current giving and volunteering because people engage in that behavior very frequently, we can observe it a lot. But the quest e-giving is something that people engaged in very rarely oh, and oftentimes not observed. And so we sort of want to compare with the thing that we know about better. Did the volunteer part did that involve boardmember ship buy-in a chance it did not. It was just a generic question of hey, if you were asked the next three months, right, your likelihood that you might volunteer time too. You know, the american cancer society, for example, okay? Because i think it was boardmember ship. I think their brains would have exploded inside your scanner. You have what we want to avoid. You’d have a mess, and plus you you have a dead subject. So it’s no, in these invalid research. Okay. Concerned with their safety. So that’s a that’s cool this other inside a scanner. And does this look like now? I’m just a little curious about the technology. Does this look like an emery that people slide into? And then the screen is above them? Or what does it look like? That’s? Exactly. Right? So they’re inside an m r i it’s a fairly large boardman sheen, but it still they’re sort of locked in there. And before they do this particular experiment, they get used to using the screen, have a couple of buttons that they can use on each hand to respond to questions on. So they sort of get used to and really, you know, they focus on the screen because there’s nothing else to look at. I mean, it’s fairly dark out there. And you have this projected image of the computer screen on that’s the process which seems very weird, but you actually get used to it pretty quickly. Is you’re going through these preliminary process? How did you get volunteers for to be subjects for research like this? Well, for this first for this first group, we just asked folks who were around the university campus so employees graduate students, that sort of thing in the future we’re looking at once we find the results to make sure that those results are also replicable when we are doing with other populations. Ok, i see grad students. I mean, they’re hungry. That right? So for twenty five bucks, they’ll do anything. You know what? They are paid. Yes. Ok. Eso what did you what did you find? I’m interested in what you found across the three different types of, of, of gift of a way of ways of supporting now also, russell, we just have two minutes before our first break. So just, like, sort of tease what? What you found what we found was two different areas that were much more strongly activated for bequest decisions. Van forgiving, volunteering decisions. Those two areas are the call once called the peculiar and once called the lingual gyrus. Now the brick union is something that’s engaged frequently. When people are taking an outside perspective on themselves, sometimes called it’s been called the mind’s eye. And the lingual gyrus is actually a visual or visual ization area. So when you’re dreaming, for example, you will engage the lingual gyrus, and if you have damage to that area, it can eliminate your ability to dream. So we saw these two areas and independently we’ve got some activity that involves people looking back on themselves from an outside perspective and also engaging in visual ization. But what was really exciting is what we found in other studies that simultaneous osili activated both of the same areas that i think is a lot more applicable to this situation where we’re looking at now so i can tell you about those way have time, or we’re going to take a break first. You said the lingual gyrus is the dream center. Is that right? It’s engaged in that engaged okay area. My lingual gyrus was was hyperactive last night, but you’re probably not into interpreting dreams out suppose you dont go that far do don’t go that far. We will not be analyzing my dreams. Sorry, but those were disappointed in that, but we will continue. Of course, this is conversation. So this is russell. This is what people sort of their self image and and what you call, sir there, their life story right in the reason we say, that is we looked at some other studies that engaged both of the same areas simultaneously. And one of them, for example, was where they i had older adults in the scanner in their sixties and seventies, and they were shown photographs from across their life from the the different ages of their life. And when they saw those photographs in the ones that they remembered what they were doing, they remembered exactly what was happening in these two areas were much more strongly engaged. And so the idea is that these are areas there is associated with what we would call visualized autobiography and there’s, a variety of other studies that also suggests that your reasonableness of this conclusion so the idea being that when people are thinking about making a charitable request decision they’re actually thinking about this concept of how does this fit in to my life story? It’s almost like they’re riding the final chapter of their autobiography and asking about whether or not this cause or this organization fits with that life story. And so it turns out those are very different questions than we might ask with, say, a current gift issues that are in other context, really important, like what’s the next big project, or how financially financially good is this organization, those things sort of fade into the background on this actually fits with some other research that was just finished last year in a phd dissertation by claire roundly and united kingdom, where she interviewed folks about why they had left money to the organizations that they had identified in their in their state plan. And it turns out that really it was all about their life story, it was about their connection with the cause, or with the organization because of something that had happened to them or to a family member that makes that that connection come together. So this it’s a little bit with an example, one of my friends who’s been planned e-giving after he graduated from law school and had this background training when he would go out and talk to people, he would see that they had all of these tremendous tax advantages that they could take advantage of. Maybe they’ve got qualified money that they want to make a gift and, you know, there’s, a state gift and there’s ways to do that, and he would start by talking about that. And he said i had to learn to stop doing that, that what i needed to do was to start by asking, how were they connected with the organization? What was their life story and how it was it was connected in on so that seems to fit with some of the things that we’re seeing in the scanner here, okay? And that’s pretty widely recognized, i think that it’s it’s, the love of the, the charitable work, whatever it might be feeding people, sheltering, education, spiritual, whatever it is, it’s, it’s, the love of the work that that moves people to include the charity in there in there will absolutely. And i think, it’s the issue here of you know, when we think about this sort of related into some psychology from fifty years ago that talks about how two people deal with it, reminders of their own mortality and a couple of things they do one they tend to avoid those reminders, but the other thing they tend to do is to seek what’s been called symbolic immortality, that’s that something about me that’s goingto live beyond me. So it must be, you know, my name or my values or my my family, and we tend to focus on those things mohr when we’re reminded of our of our own mortality. And so this links in with this old psychological research from for many years ago that talks about people’s desire for symbolic immortality, and it’s actually a form of to use another technical term, a form of autobiographical heroism where we wantto see ourselves as being a significant our lives is being meaningful. And so this, uh, psychological theory fits with what we’re seeing in the scanner, in the sense that people are engaging in this kind of autobiographical thinking when they’re making this kind of you did a very good job there of keeping yourself out of jargon jail by defining that very hard to do, but okay on dh this has some implications for recognition of gift, which will get recognition of gift by will, which will get through this thiss idea of immortality i have to send live listener love got tons of listeners today, it’s incredible! This is the way we were perceiving ourselves. This is not this is not rational, right? But this is our our our own self image of ourselves. Well, self image, the difference in an inactive activation here was not taking place in the in the number crunching part of the brain thing wasn’t the purely rational prefrontal cortex this is mme or the you know, the the imagery on the scene oneself and sort of your your own life story or or autobiography, you know, finding some support for some of this earlier research in psychology about people being reminded of their own death kind of lends support to certain results that we see in certain strategies that we see if somebody is pursuing consciously or unconsciously symbolic immortality as part of their estate planning problem that’s, symbolic and what i’d like to be symbolically immortal. Well, i would like to be a very good well, you know, let me tell you about some plan giving opportunities. They’re over there at texas tech and the graduate certificate and channel financial planning to wear. When we look at charities that receive a larger share of their income from the quest sources. Often times, you’ll see charities such as universities that are expected to be around for a very long time, especially giving things like a, uh, an endowed fellowship for a scholarship that that we expect to live on beyond us. And it may be one of the reasons why these organizations or other organizations focused on saving lives, whether finding new cures for for new diseases or other kinds of lifesaving approaches can sometimes be particularly attractive, and if you compare that to other organizations that don’t necessarily focus on raising funds for something that’s going to be permanent, but rather raising funds for something they’re going to do right now and spend right now that’s very attractive for current gifts, but it may not be particularly psychologically attractive force st gifts, because we don’t really want something that’s. Just all of the money is going to be used for a big bang immediately after we die. We’d rather have something that is going to last a long time that maybe our grandkids could come and and say, oh, yes, that’s something that my grandfather set up and still here today. But organizations that might have a more current mission could certainly create a fund or an endowment. Or maybe, ah, part of their mission, that is. Something that’s going to be that is everlasting exactly, and what i would encourage because i know there’s always a tension in those organizations if you set up something that’s permanent, those air funds that you can only use the interest off of, for example, endowment that income off. So what i would suggest is setting up these kinds of permanent giving opportunities exclusively for the quest donors on say, you know you can set up a permanent endowment, you nose let’s say it’s, an animal charity, a permanent endowment that will support, you know, one or two are five animals of whatever the interest of the charity is forever, but that this gift is on ly through request e-giving so you don’t have to worry about cannibalizing your current giving, but yet you give those kind of permanent opportunities that are more psychologically attractive when it comes to charitable bequests. Decisionmaking. Okay, i want to remind listeners. Russell james is an attorney, phd and his associate professor at texas tech university, where he supervises thie graduate certificate in charitable financial planning, and you’ll find information about that at encourage generosity dot com is there also, then the concern russell by the way, do people ever call you james russell? People mess that up all the time. I notice i have not done it once. I’m being scrupulous about not calling you james. I don’t get that with, you know, my name’s, it’s, not generally, not a problem, very black, but i will not. I’m being very careful not to make that mistake with you. Do do smaller organizations now, you think have have a little a bit of a challenge over larger, well established institutions that have been around for decades and generations? Yes, certainly, i think that’s a much bigger challenge when it comes to raising the quest dollars as opposed to raising current dollars, especially if we’ve got this connection where we want something that’s going to last a long time, then we sort of have to overcome that barrier if i’m not even sure the organization itself is going to last a long time. There are some ways to overcome that, though. I mean, you could certainly set up permanent endowments that were, you know, managed by a large corporate trust or bank or something like that so that you could give that that feeling, that sense of permanence that would be there regardless of the sea organization but it’s definitely a barrier. The other thing, though, is that people don’t necessarily have to be attached to a particular organization. They may be attached to a cause and it’s just a matter of finding those people who have that life story connection where it is attached to a cause, if that’s the same cause of your organization on dh trying to make that connection with the life story. And so how would a smaller or newer charity go about doing that? How do you make that connection with the with the person’s life story, based on what you’ve learned? Well, there’s, a couple of different ways to do it. One is obviously if you just know your donors and you know, those those connections and those stories, the other is to remind people of those possibilities by telling stories that give them examples, you know, telling the story about a person who has supported a particular cause been involved with the particular cause and ideally, if you have an example, this may be only for a little bit older organizations. But if you have an example of someone who has left money in a bequest that you could talk about how that person is still having an impact today, even though they passed away a number of talking about the deceased request donor zach plea because that’s that’s, the thing that’s really attractive is if i see that example, not only is an example to me in my behaviour, but it’s a signal that says, hey, these people are still being remembered, they’re still being talked about, and they’re still making an impact and that’s the real message that i think we want to get across. That’s, that’s, symbolic immortality, exactly, and that’s different than what we typically see, which is here’s a story about current donors who have made a plan now that’s fine, but that’s not the same thing as showing that we recognize people who are deceased in there, sir. Still having an impact because that’s, where we get that real example of the symbolic immortality. Excellent, i think that’s really that’s very concrete, valuable advice um, there’s also, you have some advice around recognition based on a person’s longevity of giving, irrespective of of the size of the gift. Certainly so if you think about the goal here, the goal is to make it obvious to the person that putting your organization in their state plan fits with their autobiography. It fits with their life story. So one of the ways that we can remind them of how much they fit their life story fits in with the organization is to consider giving recognition to people, not just for how much they gave this year, but recognition to people for their longevity and giving, especially your older donors who, you know, maybe financially, they have a lot of assets, but not a lot of income, and so they’re not giving us much currently, but recognize them for, you know, reaching a five year club, ten year club, twenty year club, you might even consider recognizing them for their lifetime, giving that this is some amount that you’ve given throughout the line throughout your life and the purpose there, you know, certainly if you’re recognizing him for longevity, that has a nice side benefit on current giving that, you know, you want to keep the street going, of course, but it also is a way of saying, you know, it’s, just like, you know, you get one of these credit cards, and it says members sense, you know what if i’ve got that member since nineteen seventy eight will you know, i’m going to stick with this organization because it’s, just part of who i am, you know, part of my my my autobiography in a sense well, i think charity’s aaron a much stronger place to be. Able to do that if they just remind people, you know, look at how long we’ve been together that that kind of idea, where it makes it clear that the organization that the cause is part of their life story and that that makes it fit in very well when they’re deciding which beneficiaries to use in an estate plan, excellent listeners, i hope you’re taking notes or you’re gonna have to go back and listen to this podcast again. Here i thought, russell james, you know, i figured academic is going to be stuffy, nothing is and nothing is going to apply it’s all going to be a theory, a land, and but we’ll have him on anyway. You know? I’ll make fun of him and things like that, but no, i mean the value, the advice is really valuable. No, i knew this is this is really valuable advice for forgetting bequests. And russell. I never thought you were stuffy. I’m just getting well, i can be if you want me to. Because i also presented academic conference. Yeah, no, i know i left that out of your bio now. No, no, we don’t we don’t want that. Don’t turn. Don’t start turning that on. Keep keep the charming side. All right, so also that this this idea that the organization is going to live beyond me, i know you touched on this a little bit, and i just want to i just wantto see if you have any more advice around how we can get people to recognise that this organization will will live beyond you when when they’re sort of a new organization, we just have about a minute left. Well, one thing to consider is this if we look at the strongest competition and our field for those charitable request dollars, the absolute strongest competition comes from private family foundations, and they’re psychologically very attractive because they have your name on it. They follow your rules, and they could live forever. But keep in mind these very attractive organizations are also new organizations. They’re ones that people create essentially for themselves. So it is possible to set up a scenario where you could emphasize that this fund, for example, is a permanent fund. And, you know, if you feel so compelled, you could even indicate that it’s administered by a, you know, by some other financial institutions or entity. Yet if you if you need to do that, but understand that is the gap. It is easier for a long time organizations, but there’s, some strategies that you can do, which will try teo bridge that gap a bit absolutely excellent. Part of my consulting work is doing charity registration, four charities that don’t want to do it themselves. This is registering in every state where you are soliciting donations so it could be a texas charity, and they may be sending email to wisconsin and paper us mail to pennsylvania and that texas charity needs to be registered in wisconsin and pennsylvania. I do that work, and i also wrote a book for charities that want to do it themselves and my block this week is just reminding charities that it’s important teo be in compliance for three reasons you could be embarrassed. There have been charities that are become public and in the headlines. Um for their failure to comply and have a couple examples on the block. Your board members are at risk because their fiduciary steer charity and if you’re not following laws, there’s potential for personal liability, actually among your board members and the irs inquires the year your annual form nine ninety has a couple of questions that i ask about your compliance with thes state laws and that’s a lot. Looks like you climbed a desert mountain or something. Is that is that photo shopped? That was actually in phoenix a couple years ago. Okay, it was i did. I did perform some photo shop on it, but nothing that you could notice. Hopefully. Really? Well, it looks very noticeable to me. Were you actually in that setting? Where? The photo that the photo purports tohave one that was sitting on that rock you were? I extracted the cactus songs, though, so that they wouldn’t show. Okay. Oh, i see. All right, they were stuck in your leg? Is that why? Okay, we’re talking this month about donordigital baste dungeon there’s a lot of sensitive data in people’s databases isn’t there there is and it’s one of those things that i think i think everybody kind of knows about it, but i think also that it’s it’s also something that is typically beyond the the the understanding of most folks who are engaged in managing a non-profit i mean, it’s pretty technical stuff, you know? Well, you’re going to break it down because you’re a former officers ceo, right? You’re a former chief information off, you’re going to break this down information off, okay, so we’re goingto this maybe typically outside people’s can, but we’re going to get it within their ken great, but what’s in their first of all what we need to be concerned about what kinds of data first? Well, typically it it could be any data. But the most sensitive, of course, is the information about your donors on a sensitive for a whole bunch of reasons one is you really don’t want that information being spread around, too, although we’re all friendly within the non-profit community let’s, face it. Everybody’s competing for the same funds. So you really don’t want that whole list of donors and their history, uh, kind of spread around to somebody else who may be able to make them, you know, make a better appeals, right? Right. So just just just not letting you get out of the bag the names, right? But then you might have ah, dates of birth. You most likely have addresses. Credit card. What? Right? I mean, well, sure, but right now i’m talking about just the competitive nature, but okay, okay. I’m getting getting someone’s eso security number, which i think typically is not part of a donor database, but definitely credit card information. A cz you said, probably date of birth. Certainly addresses. And those kind of things are pretty sensitive. Um, well, i just moved to south carolina, and just before i moved here. Thank goodness they had a break in of the south carolina, um, business and resident database. And there were literally millions of so security numbers and names. I just sucked out of the database and people around the world, man. Now, imagine if that was new york that that would actually have value. Terrible, right? But in north and south korea in south carolina, no that’s, terrible money, there’s. Nobody listening. I don’t think live listener loved, but nobody in south carolina today, so but i will send live. Loved out tio reston, virginia, forest hills, new york where i used to live. I used to live in a hundred street sixty seven thing i used to write. Buy-in forest hills high school and brooklyn, new york all right, we got some local of local live. Listen, love no. Alright that’s. A terrible new yorker joke. I’m sorry, south carolina. I apologized. No it’s critical. So so that’s that’s pretty embarrassing to the government to the state of the government. What they found out wass that if they had installed a twenty five thousand dollars update to their database, they would have they would have prevented the whole thing which cost them something like forty million dollars. Zoho and isn’t the security doesn’t cost anything it’s relative cost and the damage to your reputation and, you know not to mention the damage to your to your constituents. Financial, no stability and abilities, right? Identity theft is a huge issue. Okay, you haven’t ordered that one of the okay on, we’re going to talk through it. You have an article on this subject at p tech news. Dot com let’s talk about something that i’m not sure you can prevent this one, though inappropriate use right by people who are authorized to access data, right? Did you know tony? And you probably didn’t know this because you’re smart guy, that’s, ziga risk the security is not from outside the the organization, but from inside. Well, i can’t say i knew it, but it sounds intuitive because if somebody’s going to do bad acts, you can’t prevent that all the policies and all the procedures, if somebody wants to get around them and they ran inside are already they’re going, they’re going to do it right, right, it’s pretty easy to do. You put a thumb drive in your computer and you copy it out and there you go. Yeah, typically nobody knows who or what happened. Yeah, there are, by the way, uh, software and systems operating systems like windows. Mac. Um, i got tools that can that can actually prevent that. But again, you have to know about it. You have to know. Think about it, then you have to actually install it. Monitor so it’s not a story simple, but the point is that yes, it’s really possible and happens all the time that somebody within the organization absconds with your data and something they shouldn’t. Yeah, that seems like the toughest one because, like i said, if somebody really wants to get it and they’re inside already, i think they will what’s the physical damage is next what’s your concern that well, you know, physical damages is basically if your computer dies or if your hard drive, uh, you know, fails and he didn’t have been appropriate back-up of your data and again that’s one of those things that just happens all the time and people don’t really think too much about it. Everybody thinks about back-up, you know, you get a computer and set up your back-up hopefully, but unless it’s a an automatic function, unless you’re monitoring it and unless you actually test e-giving bringing your back-up data back from the world story asked the retrieval, right? Yeah, you never know if it really works and you know, the day comes when you really need it, you try it. For the very first time ever. And guess what, probably a thirty percent chance that it’s not gonna work, okay? And that and the back-up shouldn’t only be local shouldn’t only be in your office or even in your in your town. Geever right, absolutely should be. You should have in addition to your local back-up you should have offset back-up, and that could be if it’s physical you can have courier service, pick up a a thumb drive or or a hard drive or wherever and physically carry it off site, and they’re also more and more online back-up services that you simply connect to over the internet cloud, right when you and i have talked a lot about the cloud we have right sabat besides that, a lot of databases now are actually stored in the cloud, so you may not actually have a copy of it anywhere physically within your facility. Okay, so wait be sure you know where it is and where the copies are that you are able to get it back when one and if you need it, something that struck me as interesting you. The article talked about sql so well, i’ll give you a break and i’ll bring it up so you can avoid jargon. Jail? Explain what we’ll explain what sql is. Do you know what? I hope you know what sql stands for? I looked it up. Well, actually, it’s irrelevant, you know, it’s. Very relevant. Weary language structured clear language. Yes. Don’t say it’s irrelevant when you don’t know it’s and it’s enormously relevant. Oh, no, i do know, but the okay. All right. Well, it’s, what? Really right? See, what it stands for is the only thing i know about it that’s all i know that’s. So i’m trying to show off. That’s. The only thing is all i know is what the initials with the abbreviation stands for. Okay, what does west culwell metoo tony martignetti okay. Donordigital base. Which hopefully, in sum of money, what you’re actually doing is your you’re performing a sql query. You’re asking the database to find specific information and that, like that query language. You know something and actually in english, it says find data, like, quote tony martignetti in database a, b c that’s. How actually looks like. But those queries can do a lot of things besides find they can actually delete data. They can change day there, they can move data. And so i could perform equity that says, find all records that include tony martignetti and delete them. Okay, that’s so and there’s all kinds of other things. But you but how would somebody who doesn’t have access to the database this is an outsider now, right? How would somebody who doesn’t have access to the database execute thes sql queries? Well, that’s, that’s what hackers do they find vulnerable spots in certain systems on they just do it. Sometimes they just do it because they’re mean and nasty. And sometimes they do it because they want to move your data from where you have it to where they want it. All right, so so it can’t happen, but it’s basically can it comes up with the under the domain of hacking? Okay, i see you don’t visit, right? It’s, not just inside. I think i think to be more damage done to a database if the if the command was to add tony martignetti, that was probably more create more. That would be much more destructive. What we have just like a minute before before break. Or so ok, you have another interesting one inference. This was logical but interesting what’s what’s inference about in front er, otherwise known as social engineering. If i want to find had the president of a company, i’ll call in to just pick up a phone, call the front desk and say what’s the name of the president company and they’ll give it to me and then i can ask for not in the same phone call, okay, right, separate call or other information and over twenty calls, i’ll get everything that i want. Okay, so each individual bit is innocuous, but you put them all together some nefarious actor is doing, and you can have some really private information, right? Right. And it’s pretty easy to come by surprisingly, yeah, ok, well, yeah, because each little pieces is innocent. All right, scott koegler we’ve laid out these problems and there’s even more in your article. Att n p tech news. Dot com what are some ways toe? Get around and prevent to really prevent these these problems? It really is tough, tony, because there are so many ways that things could go wrong. So the biggest, biggest thing to do is to make sure that you’re paying attention. Uh, number one, i know where your data is and know that it’s backed up half the fact that you have, uh, valid back-up so you can restore check? Uh, check your employees and your your people that are working and have access to the data. You really may not be able to actually prevent it, but no, i just talked to them about how sensitive this is. Be sure that anybody who has access to get to the data has not disclosure. Uh, language in whatever document signed with them, it won’t protect you won’t actually keep them from doing it. But for a lot of people, it may be enough of a, uh just a warning for them toe not go there. It just makes it a little bit tougher. Okay, what about having different access levels? Certainly. And fortunately, most of the applications that are for sale today for non-profits i already have those kind of things. So you have? Ah, user who is able to look up information and possibly key and donations, but they probably don’t have the ability to look into personal histories. They have the ability to delete records, those kind of things. So for the most part, what kind of function is is built into software that amount profits will will buy in order to run their operations. Okay, um, when? When you do buy software, aren’t there sort of default administrative ieds that hackers might be ableto exploit? Uh, yes. Absolutely. Good points a little about that. Would you please? Sure every application comes with the typically it’s the admin or administrator password with password? Password? Uh, absolute first thing you want to change that, uh, you may want to. If you’re actually in charge of setting it up, you may want to remove that that user after you’ve already set up a different one and also check the list. Of existing user accounts because sometimes there may be some in there that air again set up by default. Good remove any that you you don’t know what they are, you can do that also just kind of during your and during the course of using the system, check the usual to see who’s in there. You may have somebody who was registered inappropriately, either by accident or on purpose. They may have found some way to get into the system and register a high level access the count. There really shouldn’t be there. And the best thing to do is just either restrictor access or just delete them. If they are actually somebody that you want in there, go call you up and say, hey, what happened? And if they’re not good, okay, former employees to write, you might have old account old ieds for former employees, certainly, and that should be covered under the hr policies. And i know a lot of small organizations don’t actually have hr policies that goes along with the non disclosure agreement. The sooner someone is charlyne ated, actually, before they walk out the door before you terminate them, you should remove access. To any of the information that you hold right? Okay, so before you actually have the meeting where they’re ended, where they’re terminated, you wantto cut off their access so that they don’t go back to their office and do something mean, sure, because one of their going to do the most right after the meeting, not before yeah, okay, okay, now, i mean, it sounds underhanded, but its protection, i mean, it’s just basic risk management, okay, what about is this much of a deterrence? If if users know that all they’re i don’t know, maybe a keystroke, logging or all their activity with the databases being logged, is that a deterrent? Um, you know, it’s a return for somebody who thinks that they will be held accountable for somebody who who believed that they could get away with it, they don’t care. So it really comes right down to how trustworthy, ru employees and, you know, what kind of people do you have volunteering? And, um, yeah, it’s tough, and i’m not sure that those kind of things are are effective, but it’s, you know, it’s one of those things that also probably couldn’t hurt, right? Yeah, okay. I mean, it will keep the honest people from crossing the line, right? Like putting a lock on the glass door. Okay, okay, um, the thing i was thinking about is maybe this sort of suggests that doing background checks on employees is valuable. I know their their charities that object to doing that, but this is sort of suggesting that knowing the background of a potential employees could be could be helpful. Absolutely. And i think it depends on what’s at risk if you’re a small charity that, you know, has limited resources and limited funds. And, um and you know what, you’re actually what they’re actually what they have, that risk may not be all that much, and i don’t mean to say that you know, that there’s little at risk, but you made you may not really care about doing background checks, but if you’re a respected organization, i think anyone who is coming to volunteer there appreciates that kind of thing.
