So let’s see, well, some of the things that she and i are going to talk about, of course she’ll have the detail. Um, we’re going to start with this topic of charity registration, which i’m planning to fill in a little more on in tony’s take two, but you know, the general idea that you need to be properly registered in each state where you solicit our first introspection is the introspection show our first introspection topic for twenty seventeen. Yes, you need to be probably registered wherever you’re soliciting donations, you need to be registered with the state authorities, and we’re also going to talk about a board calendar. I’m not. Sure, i don’t know, maybe non-profits doing this routinely, i mean, i go to board meetings, but i don’t know whether they are planning the full year. Maybe they are. I’m not saying i’m not saying it’s not happening. Maybe greg cohen has all inside, and tonight we might talk about that later on, but it ought to be there ought to be a yearlong calendar of topics for your meetings, however often their car so that you got some strategy around it and some common sense. Um, let’s, see what we’re going to? Uh, yeah, all right, we’ll take a break and we’ll see if we can get i mean, i didn’t mind i don’t mind summarizing, frankly, but it’s bothering sam sam’s bothered sam doesn’t like it. I’m pulling a trump. This is me and i’m pulling a donald trump. This is alleged hacking. This is a land that there’s a mistake. I’m going to go back and check the record. I actually, you know, on dh i’ll apologize in advance, erin, because there’s a good chance. I did make a mistake. I’m usually pretty good, but maybe i did let’s see let’s give her air informal introduction she’s a senior counsel at the non-profit and exempt organizations law group in san francisco where she is calling from she’s, a regular contributor to the very popular non-profit law block dot com and the practices devoted solely to non-profit and exempt organizations she’s at aaron bradrick and the firm is at neo-sage group dot com welcome, aaron the same story and sorry for that computer and i was planning to call in at ten. Thirty. So, uh, sorry about that, but i’m glad to be here. That’s okay, i may be the one who’s. Supposed to say sorry? I thought we ok, obviously i thought we said i i thought i said ten pacific, but i made you know, you there’s a good chance for because i’m booking a lot of guys glad. Glad we’re on now. Yes, and thank you for doing it. Spur of the moment. Okay, so i gave a little introduction into just a couple of the first two topics that you and i we’re going to talk about the filing requirements for charity registration and the board calendar, but i just gave glossy overviews so let’s talk about this charity registration filing thing. You think this is something good to look at in the beginning of the year? Yeah, i mean, i think the basic idea is that the new year it’s, good climb for organizations, kind of take a look in the mirror and see what they have coming up for the next year, make sure they’re organized, ready to go with a fresh start. And i think one of the things that we’re seeing lately is particularly at the state level regulatory agencies really cracking down due to the lack of compliance with registration and filing requirements. And it could be something that’s easy for an organisation to overlook. We recommend kind of the beginning of the year taking a look at what deadlines you have coming up for various filing requirements, which often turned on when your fiscal year and for the organization. I’m not just the annual returns that are filed with the irs and potentially with state tax authority, but also with potentially a charitable oversight and sees which is the attorney general and any ongoing filing requirements with the secretary of state or department of state and creating a calendar for you the year of when the silent or do and making sure you have a point person who’s designated to make sure the organization doesn’t miss the deadline. Yeah, that could be that could be a tough one for smaller organizations where the organization has a lot of filings to keep up with it’s it’s it can be difficult for someone to devote, like a quarter or a half of their time to these compliance issues. Yeah, absolutely. And particularly for all. Fall into your organizations where you don’t have a staff member, you can designate the responsibility of making sure these were met on the problem that we also see with a lot of these organizations is particularly when they’re all volunteer run when there’s a change in the officer structure there’s a change in the board, they don’t update these regulatory agencies with her new address, so even if they do miss a filing deadline, mostly agencies will send out reminders or have notices that the deadline has passed and that you have not seen an opportunity to make this filing before their adverse consequences from missing the deadline. But if you haven’t updated with a new address, sometimes organizations aren’t even receiving notices at all, not even aware that they’re missing with that fine, but we’re seeing greater consequences for missing these types of filing requirements, so it is really important for organizations to make sure they have some sort of system in place to make sure things don’t fall through the cracks. There’s something related to that that happened a few years ago? Now i know you’re talking about going beyond what’s required by irs, the form nine ninety whichever variation on organization may do based on their size, but but it was like three years ago or so ah, a couple of hundred thousand non-profits lost their tax exempt status for failure to file their version of the nine, ninety. Yeah, so the irs regulations we’re past that said that if an organization fails to file on exempt entity return for three consecutive years, then immediately upon the third missed filing, they’re exempt. Status will be automatically revoked. There’s no discretionary basis for preventing that automatic revocation. So if you missed three years of your nine nine year whatever for my ninety year required to file, then you can be automatically revote. There’s there’s some leeway, but for many organizations, if you are automatically revoked, you have to apply all over again to have your exam status reinstated. We’re actually up to almost seven hundred thousand organizations that have been automatically revoked over the last, i guess, six years, seven years now. Oh, okay, i didn’t know it was that large, and maybe that maybe that initial wave was now that the first wave of, like, three hundred thousand that wasn’t six or seven years ago, was it? No, i believe i believe they started them in two thousand ten, but i’d have to confirm falik automatic. Revocation put into effect, there was a big there was a big serge, a bubble, whatever in one year, but i think i was only, like three years ago or so roughly because because i know this show is six and a half years old, and it didn’t come at the beginning of that. I mean, those may have been happening, but then there was that huge one. Like i said, like close to three hundred thousand or so. All right, so okay, look in your look, look in the dusty corners, check your filing requirements, basically let’s say let’s, go to the let’s, go to the board calendar. You do you do you think most non-profits are setting their agenda for the year in advance? Are they doing that? I think probably not, but i think it could be a very effective tool. I think some larger organizations previewed organizations with large staff that helped to kind of coordinate the board meetings or, more likely, that be setting some sort of calendar for a full year. But i think he’d be helpful even for smaller organizations are entirely volunteer run organizations as well. I think it can just help. To set expectations for various meanings in advance to make sure the meetings are effective and efficient and that the board really covers everything it needs. Teo during the meetings throughout the year, yeah, it makes great sense. You you look at the whole year plan and make sure that everything is covered. So maybe you have some training on financials are you want to cover programs and you want make sure i would think you give equal time to all your programs or maybe wake them based on the preponderance that they proportion that they bear to your organization’s revenue or activities or something. But you won’t make sure everything is covered. It makes sense tow look at it for the whole year. Um, and you also suggest leaving some space for things that are going come up at hawk, of course, you know, it would be nice if we could predict in advance everything that was going to arrive throughout the course of the year, but i think that’s a very rare occurrence. So it’s important to make sure that in scheduling kind of topics for a board meeting, you’re not so rigid that there’s not opportunity for the board to discuss the really pressing issues that arise throughout the course of the year. You, uh you call this stargazing? I like that on time. Stargazing. I’ll have to give credit. I think jean takagi uses that term a lot. My colleague at any old locker. But we like the idea that, you know, a big part of the board function is really thinking big for the organization. So it’s not just necessarily thinking about the financials and the more procedural and legal aspects of government, but also thinking about, you know, what the organization can really accomplish, what its mission is, what is exempt purposes are and how it can best carry those out with the assets that has access to the kind of thinking big picture thinking about the potential of the organization. In fact, that could be a problem with a lot of boards is that they do get mired in the detail and they ignore the the larger role that they that they should be filling. Yeah, look at that time that’s looking critically at markets and competition and potentials, maybe scrutinising current activities to decide if we should be doing everything that we are doing etcetera, so these bigger picture items um and i think one of the hardest things for boards is actually to take a critical look at current programs and to make the tough decisions so, you know, if something isn’t working as well as it may be ought to be here isn’t necessarily the best use of the organization’s asset. Is there some kind of big changes that need to be made and those air filter big conversation? You know, there’s, not one that just happened in a short, you know, fifteen minutes section of ah one board meeting, so making sure that there’s room on the calendar for any of those types of conversations that should be taking place and perhaps will come up organically, you like to take a look att governance policies and there there are some that are in new marais tid in the form nine, ninety let’s get you why don’t you take those off? Go ahead. Yeah, the form nine ninety asks about a section has a section in the form nineteen doing be about policies, and it does actually say on the form nine, ninety itself that these policies aren’t required under the internal revenue code, but it is possible it somewhere required under applicability student law, so it is important for an organisation to be aware of any state laws that apply to it. But the policies that are mentioned on the form nine ninety are conflict of interest policy, a whistleblower policy and the document retention and destruction policy. The fact that they’re even included on this in a return form is just signal, i think, from the irs with either things that the irs was kind of thinking are important towards good governance of an organisation and are things that the organization doesn’t have in place, even though not legally required could be advisable and recommended from governance perspective. And then also from a marketing perspective, the ninety is so widely available that potential donors volunteers boardmember sze doing due diligence, whoever’s looking at your your nine ninety e i think it just doesn’t look so good to say no, we don’t have the conflict of interest policy, whistleblower policy, etcetera. Even though the irs, even though the form says they’re not required, i think it looks bad to check off those no boxes. Yeah, i could potentially and you’re right, you know, particularly, i think funders have access to nine, nine years and we’ll take a look at them and they are publicly available document the last three years, as you noted, so again, it it could be, you know, while not legally required, it could be a signal that you have good governance policies and good governance practices in place. You do, in fact, have these policies, of course, though having a policy in and of itself is of no use if you’re not actually making sure everyone is aware of the policy and following it and enforcing it so that’s another part of what we recommend, kind of the beginning of the year or some other time that the organization designate was appropriate based on its annual calendar, but taking a look at what policies you do have in place, whether they’re working for the organization or whether any changes should be made, whether everybody actually knows where to find the policies and his reviewed copies of them, and then also whether there are any gaps in your policy so there’s something that, you know, it would be helpful to have a policy on and you don’t yet and would it be appropriate to kind of put that on your task list in terms of coming up with an appropriate policy on that topic? Ok, one that’s coming to mind is it policy and the use of private personal devices for for organizational purposes? Do we allow it? What what do we require if we do allow it? You know, etcetera, what do you feel about that policy? We don’t see that as having been adopted by many organization, but i think it’s just becoming increasingly more relevant in the way that most organizations operate today, so it actually could be advisable, particularly for larger organization with larger staffs are a lot of volunteers that are potentially using technology resources that belonged to the organization. The use of of resources also comes up, particularly in the context of lobbying activities and political activities, which for five whillans trees you know, obviously, lobbying activities for public cherries have to be an insubstantial amount of their overall activity, but political activities are completely prohibited, and even you seven organizational resource for improper campaign intervention activity could be problematic, and i think a policy could be particularly effective in that area as well. Okay, lobbying ceo compensation is one that you like to see? Yeah, sometimes it doesn’t necessarily need to be in a formal policy, but it is something that the organization often need to be aware of the importance of and make sure it’s falling some sort of i’m specific process for determining appropriate ceo compensation, particularly here in california, we have a requirement that the combination of the ceo be approved by the board or unauthorized committee when it’s first offered, when the period of employment is renewed and then whenever it’s modified, even if it’s modified data word. So there are certain requirements in place with respect to ceo compensation and then also at the federal level under the internal revenue code there’s certain requirements with respect to how you determine whether compensation amounts are appropriate for having a policy in place could be good, particularly for an organization that has significant turnover. Andi it’s in its board, where there might not be a lot of awareness of what practices and policies should be followed with respect to determining compensation. Jean and i have talked about the competition hyre the presumption, etcetera, it’s, it’s in a previous share we’ve we’ve we’ve done something on that listen, sentiments and california because i said you’re in san francisco, but what are you hearing about the suspicion succession movement? Are we going? We’re gonna be down to forty nine six for you to start off the flag. It’s going to be a balance, therefore, i think probably not in my lifetime. I don’t think you do. People talk about a lot of talk about it. Do people talk about, like, over drinks and dinners and things? The result of the election have led to many conversations over drinks in my circle. I will. I will certainly say i’m not searching me. People are christian. Too hard for succession, but it’s definitely been floated. Okay? Yeah. All right, so it does come up. Okay. Okay, forty nine is, uh i was you were talking. I was thinking to forty nine as a prime. It would be hard to be weird to have a prime number, aziz Numbers, but not a prime 7 times seven is forty, so i was wrong there, but i mean, i hope it doesn’t happen. I there, there those who will we’ll send you off. Gladly, but i’m not among them. I hope we still, i’m glad to hear that way. In your mind. We’re keeping you in the union intact. Idealware okay. Let’s see so oh, and then, you know, we haven’t talked about any fund-raising policies, but you might have a gift acceptance and crediting policy and that’s something i work a lot with non-profits and i often find an existing one is not being followed. So in terms of either acceptance, i mean there’s a lot in there that non-profits forget is in there and then same thing with crediting they, i find it’s a policy that gets created and then often ignored. So, yeah, i can often be the problem with particularly these types of policies that are kind of thought of as the core required policies. People might even forget that they’re out there. So i think having some sort of process in place where the policy they’re easy to access and everybody that needs to be aware of them is well aware of what you know what they actually say. And i think the gift acceptance policy in particular, i think there’s often this conception that misconception, maybe that every gift is a good gift, but sometimes the strings that come with gifts for gift that aren’t actually easy to divest us can you be a little bit of a curse in disguise, i guess. And so it can be important to make sure that if there is a gift that isn’t no cash and there’s something that is more complicated or difficult to get rid of for the organisation or turned into value and that there’s some sort of process, we’re reviewing that gift and just making sure that acceptance really is in the best interest of the organization. Real estate comes to mind when you suggest that there may not be great. Real estate can be an enormously valuable and wonderful gift for non-profit on the other hand, i’ve had situations where it was a disputed strip of, like, four feet wide or so maybe ride, and it ran the depth of the properties. I was like two feet wide, one hundred feet deep, and somebody is trying to give it to us, you know, because it was denied and it was easier to give it to a third party and let us a trifle hassle with it. So there’s two ends of the spectrum, it can be magnificent, but around real estate in particular that’s, real estate’s, not the only kind of risky gift. But in particular you really you got to do your due diligence before your organization name goes on the deed for that property that let’s go to aa financials. You won’t take some time in the beginning of the year to do financial oversight. What do your thoughts here? Yeah, i think particularly for an organisation on a calendar year that has just wrapped up. You know, its last its last year. It could be a good time for the board and perhaps it a rather high level. But just take a look at what financials that has access to it. You know, the beginning of the year for the last year’s performance and then think about, you know, what needs to change in the future and then how it can arrive after those desired financial changes. So do any changes to the budget that’s been adopted for this coming here need to be made based on last year’s performance? Basically, just kind of taking stock. Obviously, reviewing the financials is, you know, an important part of board service and should be done more than just once a year. But i think reviewing it kind of that year and can be particularly important, i’m gonna have a guest next week. Diane leonard is going to talk about grant program, a grant calendar for the year, and one of the things that we’re going to talk about is timing your revenue with your budget when you expect when you’re expecting in her case, the grant revenue to come and make sure that’s appropriately timed so that you’re not, you don’t find yourself with cash shortfalls and a programming grayce program management, etcetera, timing those let’s see okay, oh, another thing with the financials to tony is that often you have boardmember zor even some gym staff members, they’re coming from just a range of backgrounds and have a variety of experiences, and sometimes not, you know, it’s not in everyone’s set of skills that they understand how to actually read financial statement something you could be really important as an organization to make sure that you have a process in place for providing some sort of basic level of training on reading financial statements, particularly for directors on denny cast members who don’t have that background, but who need to make sure that they understand the financial statements well, some people do it as part of an onboarding process with new employees or new directors and other organizations will set it up it’s kind of an annual or biannual sort of training that is available for anybody who hasn’t otherwise gone through it in the past elections. If you ah, if you’re going to be doing elections in the year, you want to make sure that you’re following your policy on elections, whatever your by-laws say, yeah, absolutely and, you know, we see sometimes organizations that have just always done their elections a certain way for years and years, and they’ve never taken the time to actually look back at what they’re by-laws actually say, and then one step further to make sure their current by-laws were actually in compliance with africa ble law right now, you’re by-laws were drafted twenty years ago it’s possible that the state law that governs elections and what has to actually be in yur by allies has changed, so can be appropriate to take a good look at what the legal election procedures are the requirements under the applicable law. Make sure your by-laws comply with that and then make sure you’re complying with your by-laws and it’s also kind of ties into the board meeting calendar we’re discussing a few minutes ago and making sure that if you do have elections that are required during this year that you have them scheduled in the calendar and notice that’s required in advance is also scheduled in the calendars that you’re not missing any deadlines, the risk there that he has some sort of disgruntled director or them voting membership organization and disgruntled member. If you don’t comply with the requirements of your by-laws or with law, then you could have potentially the decisions of the board or the or the members subject to challenge, and that just isn’t a good position to being from the organization we have just one minute left, aaron so let’s, let’s get teo, you want to review the articles and by-laws and are our purpose and mission statements? Yeah, and this is one of those things again that, you know, congested, good to counter for the beginning of the year. It was a good reminder. Take a look at what your articles say. The organization’s purpose is make sure whatever the bylaws say, it’s purposes is consistent with what’s in the articles and then take a look at what the organization is actually doing and make sure it’s still complies with the stated purposes. If the organization’s purposes have shifted somewhat over time, then it may be the right time to take a look your articles and by-laws and maybe make some appropriate revisions necessary. Ah it’s an occasional admonition that i make around charity registration, which aaron and i touched on. I wanted to say a little bit more about your need to be properly registered in each state where your solicit donations it’s a morass, it’s awful. I wish it didn’t exist lots of people we should did exist, but it does it’s a morass because every state has its own forms and timetables and fees and definitions of what’s a solicitation, whether it talking, email or texting or u s mail, etcetera. So i’m just urging you to stay. On top of it, it is work that i do if i can help you, let me know, but it can be managed internally as well. However you do it, stay on top of it, please, because you don’t want to be the next headline. The trump foundation had a lot of problems with that. I did a video on that bunch of months ago, like, was that october november trump foundations very embarrassed that you don’t want to be the next headline. Greg cohen, welcome back to studio. I’m so happy to be here. Thank you. Cool topic. You brought it up to me late last year and i love it because we haven’t focused on this board retreats, border treats this can be valuable if you do it correctly and it could be a disaster if you screw it up that’s, right? So let’s talk about doing it right first they got don’t do things, but but just a little motivation. What can we get out of these if if we do them correctly what’s going to happen for our board? Well, this really fouls well from erin’s comments about shaping. You’re bored with intentionality. This is show has prepared, you know i’m gonna it’s it just happens and it’s beautifully coincidence, yes. So there it was on the menu. Okay, thank you. Start interrupting. So what you can gain if you think about your board is forming a high performing team? A zahren said for many of the things that she talked about, there isn’t time within the typical board meeting, particularly for areas that require reflection like let’s. Look at if our mission is still relevant to the activities of the community that we’re responding to. Maybe you’ve added knew board people and you have members who haven’t really gotten to know each other, like on any team you want people to bond, you want them to have a shared conception of their purpose, and you wanna have some ways of operating together might be the agreement on that schedule, that board calendar for the year of how we’re going to conduct our business, and what do we want to accomplish relative to the needs of the organization? So the retreat is about taking more time to reflect without the daily pressures on those key areas of governance and on how the board should perform itself as a team. Take out the bigger picture all these bigger picture items that aaron was referring to. Absolutely being more strategic and less, you know, in the in the in the forest stuck, and i’m stuck in the woods, right? It can range from how has our community changed other new populations and needs? It could be what changes in our revenue mixed dewey anticipating that’s going to be on the minds of everybody with a new administration in washington. And how do we get ahead of the possibilities and plan in advance and planning in particular as a governance function is best done at a remove from the monthly board meeting where you have a lot to accomplish in the agenda? How do you like to do these offsite weekend? How long? Give us a little flavour for right? Well, so it all depends, of course, on how much you want to accomplish and the availability of of your board. Ideally, i would say offsite someplace nice, relaxing that supports the conversation and people can into relate comfortably and there’s room for breaking out in smaller groups weekends, because that gives you blocks of time and i think it’s hard to do retreat in less than half a day. And many retreats actually go a whole day. Some organisations are extraordinary and devote a saturday in a sunday to a retreat. That’s a little unusual, but i think the more you remove it from the day to day constant context, the more you’re going to encourage people to interact and think differently. Okay? She liked to see a weekend day, right? You’ll also avoid people calling into their office checking email, you know, i mean, they you know, yeah. There’s. More of those distractions. You can control the circumstance of the meeting. That air offsite, it’s. Just a wifi ofthe exact it, of course. Those other access, but okay. All right. So what you want fairly distraction free, right? I mean, this is important. This is important time. Okay? Of course. That’s also going to depend on budget you have to spend for this. Maybe a board members home. Have you seen that? Can that work? Yeah. First for a relatively small group that can work very nicely. Okay. If there’s place tio sit around and actually deliberate, you need something like a conference table set up, but home can work very nicely. First board on the smaller side. Okay, okay. Um this, uh, could have some value around orientation for new board members. How we hardly fit that in? Yeah, absolutely, from okay, a number of perspectives, usually during a regular board meeting, there isn’t time to set context for the items under discussion. A retreat allows senior staff and bored leaders to explain a little history to put an issue into into context for new board members so that they get a better map of the environment in which the non-profit is working. Secondly, it’s really important that board members get to know each other on a social basis and interact, particularly if they’re deliberating on hard issues. It’s really good if you’ve had the chance to talk to someone more informally, you know, a little bit more about their background, what they do about their family, personal time, that makes for a stronger team, and you want to build team building activities into a retreat to make sure particularly there’s integration of those new members into what might have been, you know, a pretty cohesive group beforehand. It’s hard for the newest person to break into a club where everybody seems to have special knowledge way don’t have to do ah, walking over hot, broken glass. I love that you do? Yeah, i’m talking about what is it like? It was drew people to our board. What am i doing wrong? No, but i mean there’s, no question, a cohesive team. And you want to have interpersonal relationships that go beyond the business that’s conducted in the two hour board meetings every however often month, quarter, whatever you want to get to know each other exactly. And that’s one way not everybody is very forward and offering their opinions to establish some safety in the room for a really meaningful discussion of an issue. If i don’t really know how i’m going to be received by the person across the table haven’t built up trust, i’m probably going to be a little inhibited, particularly as a new boardmember from from knowing that i can speak my mind. Yeah, comfort with comfort level with that. Is there any favorite exercise? You have that the around team building and he, uh, like you play a little game? Yeah, all the classic ice breakers that involve won a lot of interaction between the board members and to some revealing at revealing some. Aspect of someone’s personal life that one wouldn’t ordinarily discover in the board introduction. I cross dress, you know, friends. Exactly. Exactly. That could be something. Could be a great accomplishment. I want philip boardmember to know exactly. Okay. Alright. Eso bringing drawing people out of right there. Business. And what do you do for a living and having them seeing in their full personality? Not just there. Jacket and tie image at the table. Okay. Okay. Um, let’s. See what else? What else? What else could we could we do around these do in this? Well, so retreats offer an important opportunity to develop leadership among the board, and we think planning is really important. So i know when i was an executive erect the first time i did a retreat, i waited too long. And then i realized g i need someone to run this. And the week before, i called someone who was a facilitator and said, can you run my board retread on saturday? And he said, well, what do you want accomplish? And i said, well, that’s, what i’m hiring you for and i really i recognize how unfair that was now that i look back. Because with a good border treat, you think you you wantto builds a common idea of what you want to accomplish during the day. So we like to form a planning committee of board members and staff and then a sine preparation roles so that many of the board members, if not all, get a chance to lead a part of the discussion and ah, shared leadership. Yeah, exactly. And that models the kind of back and forth and deliberation that you want to teach your board meetings. So this is a chance in a plan fashion to say each of us can have a role in guiding the discussion among our peers. So, like you rotating facilitators, friends, well, it might be on topic. So you have each chair, the chair of finances going toe provide an overview of how we did last year in finance and what the challenges are coming up in this year and that might be heavily supported by a staff person. But the key thing is it’s a boardmember who’s articulating it and the message below the the direct messages each of us can master this you like to see a facilitator? I was ah, instead of the board chair running the retreat, you don’t want to see that. I’d like to see every member of the team be able to participate in a full way without having to do that facilitator role of kind of looking down in saying how’s, this whole group interaction going that’s very demanding. Okay, we want full participation of the executive director and the board chair in discussions and save them from the facilitation role. Okay, facilitator is an outsider. It could be i mean, sometimes for the staff person broke, you know? Could be yes, it could be a fourteen year old like me. Okay. Ah, of course we a cause effective love it when people hyre outside facilitators. But if you had it a skilled staff person but that person could play that role too. I usually for the team building. If i’m working with an organization that uses that in their program, i have a staff person coming and running exercise like the ones they run with their clients. For instance. I see. Okay, we’re going out for a break. Greg and i are going to keep talking about this year’s board retreat on. Ghost. Gonna ask him to talk a little about what cause effective. Does stay with us? Um all right, i want teo, have you explain what cause effective does greg as consultants and non-profit itself? Because it’s an outstanding organization, i refer people to you when they ask questions that they and they need help that that i can’t give, i refer them to cause effect of what you people doing over there? Great. So first of all, we have been around for thirty five years, as you say, we’re a non-profit but were organized like a consulting firm and that we have specific engagements with clients, and we work together to find a way to fund that our focus is primarily on helping groups learn how to be more effective fundraisers in the area of relationship based fund-raising so not so much grantspace ship from government or large foundations or large corporations, but more that one to one kind of fund-raising typically when on organization wants to start raising money from individual donors, and that hasn’t been their emphasis, because maybe they got most of their funding from government of foundations. Now they want to diversify, they didn’t recruit aboard for that purpose and the board is saying, whoa, that wasn’t in our contract that’s when we step in and starting from where each organization is paint the dance steps on the floor that lead them to becoming effective in reaching out and building a sense of community among perspective and other donors that’s the most common type of referral that i’ve sent to you is someone is basically asking, how do we get to the next level? We’re all event driven, and we want to have individual donors, how do we do it? I send them to cause effective great. The other area that relates particularly board retreats is that we think boards are the vanguard of that individual relationship based fund-raising and the best motor motivation for a boardmember to go out and fundraisers to be is to understand the needs of the community and the mission and be driven to raise money. So the group has the resource is to fulfill that mission in the fullest way. So to do that requires really connecting every boardmember to the conception of the potential for the organization to realize its mission if it found the resource is cool. Thank you. Talk to them that you you do. You only work in the greater new york city area were primarily focused on new york city region because our work involves a lot of coaching and being in place. We like to say we embed ourselves with a client. So were present at board meetings that staff meeting staff trainings and there’s. A lot of trust building. So the work has tended to be done best when we are local within the tri state area. Okay, i don’t know what to say for the rest of the country. There are there are we do go out and speak and share our methodology at national conferences. Okay. Everything from the junior league. Teo bi annual conference for social change. You also have an excellent newsletter that i get that julie levine, the executive director, puts out. So, you know, you can sign up for the newsletter. This is all you’ll find. Because if that door okay, exactly. All right, let’s, circle back to the border, treat staff roll what’s the staff role in supporting this. You mentioned they might. They might be facilitating or maybe not facility, but leading cem. Session more supporting the board members to do that to lead those sessions. So i think staff always in relation to board is providing the legwork and context to board members to carry out their governance work so it might be collecting data and might be helping the board members identify what are the most important issues to be discussing in a retreat. Now, particularly exactly the partnership between the executive director and the chair is is always key. But you know, the development director might work with the head of the fundraising committee to say, what is it that’s going to be most helpful to emphasize? To get the board members particularly jazz for fund-raising in the coming year or get him ready for the gala are whatever are the key challenges in each area of governance for the year in the appropriate staff person who provides support to the board members in those areas, i will say, generally speaking, most board retreats on ly include senior staff there. Ah, sometimes there’s a portion where there’s joint board staff as portion of a retreat but really, i believe boards need their own time, so and their own focus. Oh! I’m not in favor of bringing in a lot of staff to a country of their own retreats. Or they might come in for a session exactly on dh, support that somehow and then depart. Yeah, that shouldn’t be here, right to have staff come in and talk about successes in their programs, to give boardmember sze in a nice taste of mission and to get to know a key staff person better even bringing a client for that purpose. But they come, they do their piece, and then they leave. Okay, okay. If we do this on a weekend saturday or sunday, do you like to see a dinner afterwards? Should we be asking people hang around for dinner or are people more likely to just leave when the business is concluded and not stay for the dinner? I i’d like to pull the board because if you have a board that has young children, for instance, they’re the boardmember probably less eager to skip dinner with the family on a weekend. If you have a board that’s older, they may be willing to devote more time and it’s lovely to have to finish with wood dinner together that i said, check in and see what the majority of the board feels. Okay, okay? You have some ideas about things that we want toe stay away from things teo avoid in our in our retreat buy-in you don’t want people doing a lot of reporting when that stuff that they could be doing in a regular meeting, right? So that’s a tendency to say, alright, this, as i say, we want to bring people up to speed and be on the same page, so we’re going to say the same thing to all of them in the room, but what happens is that they sit as passive recipients of that information, so better as you say, provide a report and then figure out how to structure a discussion that that brings in the latest information that you want people to absorb but make them do a little reading and then use that information in deliberation during the the retreat, i will say there’s an exception, there’s a portion of it of a retreat where providing information is appropriate, which is if you’re training for a new skill. So aaron mentioned more you mentioned providing the ability to read financial statements or something for us it’s typically fund-raising techniques like doing a practice, ask for money or practicing an elevator speech where there’s a piece of training involved and we’re really conveying information that’s appropriate for retreat, but for bringing people up to date on the daily activities of the organization. Save that for report and use the time when you’re reporting for the bigger stargazing issues. Okay, you also want to be judicious about what you include so that you’re not packing too much into the day and nothing gets adequate time. Exactly so ah, common issue is we didn’t do strategic planning this year. We need to get the strategic planning process done when we have everybody together, because we’re not gonna have together again in a room for five hours for the rest of the year, so let’s do fund-raising governance, strategic planning and, oh, by the way, we’ve got a bunch of other governance things that we didn’t do, i’m going to put it all, and then people feel overwhelmed and they don’t take away the key lessons well and everything. He’s done sloppy then examine those air such big issues, any one of them could could be a five hour planning planning session. Exactly. Okay, so so you got a pair it down to just a couple. So everything gets the attention that that’s, right? And i think some key years, their touch on touch on mission, touch on fund-raising touch on how the board is functioning in its overall governance, and then you can pick some issues that are specific to the group to focus on, even have a guest speaker who relates to ah, the area of mission for part of it. And the thing is to keep it lively, have it very participatory. I like to say a successful treat is one where people are disappointed that the day has come to an end and they say, why don’t we do this more often? Cool. Let’s. Wrap it up. We just have, like, thirty seconds left. You like to see good food? Absolutely. And wine to have wine, not overload the end. Yeah, absolutely wanted to paint at the end to celebrate the success is no that’s cool. Dan murphy is product manager for my p fundacao n’t ing at abila. He has an extensive background in financial management with degrees in finance and accounting and over ten years of non-profit accounting experience and he’s aboard treasurer of a non-profit in austin, texas. Rich, welcome back to the show. Dan. Welcome to non-profit radio. Thanks for having me here. Pleasure. I did. I mr pronounce the name of the company that when i was first introducing its abila abila abila that is correct. In case i didn’t say that in the in the opening, that is the correct pronunciation and it’s a b l a. Okay, dan, you’re on the on the finance side, rich on the fund-raising side. Rich let’s, start with you. What was this study about fund-raising and finance all about. Why did you feel it was necessary? Yes, it’s. Kind of interesting, though. You know, as a software company focused on the non profit sector, we have products for fund accountants. You know, for accountant we have products for fundraisers, and dan works mostly on that finance side. I work mostly on the fund-raising side. We we we realized we’re not collaborating amongst ourselves. Even here at the office and then dan and i started talking, and we’re like, hey, we have all this all this anecdotal evidence from our past working at non-profits of this sort of adversarial relationship, and so we thought, hey, let’s, get there, especially get to what’s going on and actually ask non-profits is this, you know, collaboration? Or is it really an adversarial relationship? So we surveyed a fourteen hundred non-profits and we really wanted to dig into what is this perception of collaboration? What’s the biggest challenge is on and maybe some ways that we could, you know, help that that that collaboration actually increase. Yes, dan, a perception of collaboration. It’s it’s, not really all that collaborative, a lot of people feel that’s, right? Yeah, it actually turns out that more than half the fundraisers that we surveyed, as well as almost half of the financial professionals about that their relationship with their respective collaborates other departments was either not collaborative or very little collaboration was happening. So we saw there’s a lot of room for opportunity, both in the actual collaboration processes, as well as the perception of whether collaboration could be a value to the organization that is very glass half full of youto recognize it as an opportunity rather than are these kids? Yuki departments are not talking to each other on and there’s also some very interesting differences across the generations, which will, which we’ll get to you very shortly. Um okay. What? What are what are some of the problems? Let’s us stay with you, daniel what’s. What? What? What’s causing some of this lack of collaboration, sir. I mean, there’s a lot of contributing factors to, you know, why these organizations may not be collaborating as much as they could. They have different reporting metrics that they’re using to evaluate their success and their their progress toward their milestones. Some of them, you know, have very distinctly goes, especially on the financial side. You know, we talked about gap. We talked about cosby and there’s. All these other acronyms that we use that our counterparts and development may not be used to using may not understand very well as well. On the fundrasing side, you know, there’s there’s also the very specific acronyms and, uh, different ways of speaking that maybe a little bit different than what? The finance side of the house. Used to and then just in the Job you know what 1 sector down now? We have joined in jail on tony martignetti non-profit radio. So already you the finance trouble guy have ah, you’ve transgressed what you have to tell us what gap and fast b stand for everybody doesn’t know, okay, yeah gases generally accepted accounting principles. So it’s kind of a principal guiding philosophy of accounting in the united states and fast because the financial accounting standards board and their governing agency responsible for regulation of accounting practices. Okay, thank you. So we’re trying to bridget tronvig? Yeah. Okay. We’re trying to bridge the gap here. Let’s not make that right. Let’s not make a warrant and you make it work. So it just in daily activities, the two different development and finance department’s had very different priorities. So, you know, one side of the house is tryingto raise money to make sure that the organization can continue to find its activities and expanded commission on dh. Then, of course, the financial side of the house is wanting to make sure that the resources of the organization are responsibly managed. The finances are adequately classified and reported. The stakeholders so just two different philosophies to see the same mission organizations tryto rich over to you, the even metrics, right? What what metrics the two different sides look at are very different. Yeah, and this is interesting. Dan and i spent a lot of time talking about it because it first, so so we asked the fundraisers and the finance folks what’s your top five challenges and all that stuff and metrics and reporting was in both of their top five, and it was different metrics and reporting at first we were like, oh, wow, that that could be a problem, but then as we dug geever without no that’s, actually, right? I think the fund-raising teams and the finance team should have different metrics and reporting, they’re actually reporting on different things. The problem is when we don’t have common goals and and overarching goals that both of those metrics and reporting feet up into and so when we get into the recommendations in the report, that’s where we really start talking about joint goal setting before you even get to figuring out what you’re going to report on figuring out what the over our goals of the organization are, and then how to both those departments feed into those over our goals. We think that’s going to help overcome a lot of those of those differences that that people are saying a greater understanding way we need to meet in the middle and there’s a lot obviously that’s in common now everybody wants to advance the mission, they wouldn’t be there otherwise, but but let’s let’s find what’s comin and understand what’s outside the common areas for exactly yeah, all right, let’s, go out for a for a quick break and when we come back, the three of us we will we’ll keep talking all have our little ah, we’re going to find out more about the differences across generations. Dan, you are ah, product manager for m i p fundez counting at abila now already. This is three acronyms from the finance side. We’ve had none from the fan fund-raising side, so i’m starting to see where the problems lie. What is m i p or mip? I don’t know. It’s micro information processes it’s a name that we’ve had for a significant amount of time. That’s very well recognized in the non-profit finance sector. Okay, very well recognized. The non-profit in the finance sector. Okay. That’s, right? We’re trying to bridge gaps now. Damn, i not break down bridges all right now. Okay. Um ah, rich acquaint us with some of the the difference is this is really interesting across the generations, boomers feel that three things everything’s fine and the millennials are not as content. Yeah, this is really interesting. That’s something we’re doing a lot in our research studies now is we’re kind of breaking out a lot of the answers based on generation, you know, boomer’s, gen xers and millennials, especially because that’s who’s in the work force right now on what we ask the questions about how they felt, you know, did they feel collaborative? We saw the boomers felt pretty collaborative on both the finance and the fund-raising side, fifty seven percent to sixty percent on the finance side. Ah, but the millennials felt way less collaborative on the fund-raising side on dh then and i talked about it. Dan actually had a really interesting theory on this, and i’ll actually kick it over to him so he could talk about that i thought was really interesting and something i think we can address. Okay, let me ask first, though, am i the only baby boomer in this in this conversation born before nineteen sixty four? I believe so. I’m a gen xer. You are. So we have one of each. Okay, dan, your millennial. Is that right? No, i actually fall into genetic. You’re ok. You have a baby face. Okay? Uh, that’s. Too bad. Because i was going to beat up on you as a representative of millennials. Why? Why? The millennials are causing so much havoc in the workplace. Why? They can’t be more content. But go ahead. What is your what is your theory? Well, my theory. Is that if you look at the data, there really seems to be a tendency for the boomers too collaborate together is somewhat, but to communicate definitely directly, but there definitely seems to be a tendency on the finance side of the house for both the djinn xers and the millennials to have more communication and contact with the senior members on the fund-raising side of the house and i suspect, and we’ll probably dig into this a bit more, but it’s most likely because of the, you know, i strive for efficiency and kind of just wanting to get to the the answer is something rather than build relationships focus. So i think a lot of that is probably more driven by the finance side of the house, which is why you can see the collaborators collaboration, sentiment hyre on that side. Unfortunately, i think that means that the millennials connectors on the development side of the house might be kind of circum bennett in some of these conversations on dh left out in some cases. What about personality, too? I’m generalizing here, but i don’t think you’re average finance side person is is as outgoing, you know, the relationship oriented extroverts, aziz, you’ll find on the fund-raising side. So i mean, i think that’s definitely fair to say not to say that accountants are incredibly wake up on and find accounting. I know beating on the accounting and finance side. I know i’m trying not to, but i don’t know that it’s a stereotype, but so, you know, call it that’s what that’s, what i’m doing, but i think fundez sorry, but i think fundraisers arm or, like, extroverted and so they’re seeking mohr collaboration than the people on the finance side of the same age, even well, i think you could also just very clearly make the argument that inherent in the development role is a focus on relationships that is part of that role within the organization that doesn’t exist as much on the finance side. Okay, all right. So you yeah, and so yes, certainly job responsibilities on the way the two the two sides are organized and what their purpose is our butt. And so i think as a result of that, you get personalities that are different in the two different teams. All right? I know you don’t agree with the personality theory. That we agree that degree of that and you’re back in the report when we get into the recommendations, we actually talked about kind of breaking down some of those personality, you know, division’s, like, actually start doing some joint activities, you know? Do you know i’m a big fan of doing something outside of work, a happy hour after work at the finance and fund-raising folks together outside of the workplace, you know, maybe have a drink and start talking about other things besides work went to get to know someone as a person and of course, on the fundraiser saying this because that’s what we did, you know, you go out and you get to know people you learn about their kids, their pets, all that stuff, and it makes that next conversation you have with them at work even easier. So we have to drag the finance people to this happy hour that’s, right, and then stopped them from just talking to each other, right? We have to penetrate their circle. I’m beating up on the, uh, okay, small organizations, let’s get that damn small organizations a lot more potential. Well, depends what you want to describe. It small organizations are a lot more collaborative. That’s, right? Yeah. We found that there’s a significant difference between large organizations and small organizations in the level of collaboration that’s happening. We also theorized that a large contributing factor to this is that in the smaller organizations you have smaller staff, and so people are forced to collaborate, you know, there’s fewer people to get the job done. A lot of organizations, people may wear multiple hats or, you know, play different roles in the organization. So there’s a hot a lot higher level of interaction, there’s, more frequency of interaction on a lot of time. People are, you know, just physically located closer together. And so whether you know it’s a small organization and only has a single office or small office space many times, these finance and development individuals responsible for those roles are physically closer to each other. And so there’s a lot of a lot higher level of interaction that leads to more collaboration. That makes a lot of intuitive sense. But i think it’s important to point out, you define smaller organizations as less than ten million dollars, right? Listen, krauz million annual revenue, so we’re not talking about necessarily tiny shops where it’s two or three people and obviously there more collaborative than bigger organizations. But, you know, a ten million dollar annual revenue that could have dozens of employees that’s, right and that’s a good point there, not there not, you know, five or ten person shops, but at the strategic planning level on the less than ten million dollar organizations we saw a lot hyre interaction in the strategic planning processes and the budgeting process is and, you know, kind of the key processes for each role. And so we also saw smaller staff size, and so their just was a lot higher level of interaction required to get things done. And so, you know, there’s kind of a necessity there for these these rules to interact more and there’s more opportunity for him to do so, as opposed to above ten million. There started to be, you know, significant layers within the organization that lead to inflation. Right? Right. Rich. Anything you want to add about the small versus large organizations? No, i think it’s pretty much what diane said. Where? You know, if you have a smaller office, you’re gonna bump into people in the hallway more and then you know, you’re not you’re not divided by department as much, you know, there’s, not a finance department over on floor four and the fund-raising department on floor three when you’re not even a ten million dollar zorg, you’re probably all in the same office and you beat each other in the break room and everything in those again hi. Always go back to the human interaction. That human interaction is what really breaks down those silos. Also reporting structures. No smaller organization like that have fewer vice presidents. So teams are more cohesive because they’re clustered together. Yeah, definitely. All right. So we got some problem areas, you know, lying around like goals and priorities. Language, metrics, personalities, let’s. Move to the positive now and start identifying some opportunities for ah, making things, making the world a happier place. So this is not a boxing match between fund-raising and finance. Rich want to stay with you? What? What? What’s. Ah, let’s. Talk about the social ideas first since you already touched on that. Yeah. I mean, definitely social ideas. It’s. You know, finding ways to get more human interaction there. And you’re like you’re saying, you know, dragging the finance folks out the happy hour again. A lot of them may not want to go to that happy hour, so maybe start with a brown bag lunch, you know, has at the office, everyone gets in the same room, bring your own lunch on dh. You know, watch a movie, you know, just talk about something else. Just start to get those interactions to start anyway, that you can do it, andi and you have to keep pushing that, you know, so that that would be not mayan number one tip. Okay? Yes, i like i like the social ideas, too. That’s. Why? I was i was glad you mentioned it, but we could be more formal to some training. Right? Some basic training. Dan that’s, right? Yeah. You can really structure your onboarding process and offer training to, you know, cross training between the two different departments to facilitate the interaction too. You know, in increase that cohesion between the two teams to work toward the joint mission of the organization. And that could be, you know, it’s. Simple as modifying your onboarding processes to have, you know, an explanation and as part of those processes of what the different departments do, what their goals are, kind of what they’re key processes are, and it could even advanced something where there might be a periodic schedule training where one department will train the other one. And you know what they do, how the reporting works, other systems work, or even just a collaborative meeting that’s on the calendar every month or, you know, every other week or however frequently it might be in order to keep each each other aware of what’s going on within your respective department so that you’re kind of synchronized on on what’s going on and what the priorities are across the organization and maybe in in orientation, we can have a day or so, you know, whatever, where the fundraiser goes over to the finance department spend or is at least onboarding by someone in finance, and so from day one, we’re getting a an empathy for what’s happening on the other side, right? And making sure that you understand how your processes are, you know, feed into the processes of the other departments, so for fund-raising maybe that’s gift entry and understanding how you know, downstream that goes into the accounting system and how that kind of goes through the financial reporting process. So you understand what you’re doing, it directly impacts the finance department and the reports that they produce and on the finance department side in accounting, understanding the gift solicitation process and what it takes to get that money in the door and entered into your serum or whatever your dahna records system is on dh, then how that gets to you an accounting. So you understand that full process because it’s, nobody really operates in a vacuum, so we’re really making sure that you connect the dots between the organizational department. Dan was a part of the tension. I thought i read that finance doesn’t understand the need for spending money on relationship building. Yeah, it definitely can be a challenge to understand why you would spend resources on something as abstract as relationships that that’s definitely a story that resonates more with some than it does others for accountants and finance related in, you know oriented individuals you want to be able to show direct outcomes for resource is used for money spent and its hard to quantify. That whenever you’re saying you’re investing in relationship, but you know that, but that is required to cultivate relationships with donors that will ultimately lead revenue in the front door. And so there is a return on that it’s just very hard to quantify that through reports, you know, through the traditional financial reporting process so it can be hard for to rationalize and justify spending funds or resource is in that way. But i think that through collaboration, that story can be told jointly from the department of, you know, development narrating kind of the relationship side of that and helping them finance to quantify what the return on that is and communicate that out. Do either of you know our master’s programs in non-profit management brake, bringing these these two department’s together, and helping people with the finance background understand mohr of fund-raising and vice versa? Do you know if that’s happening at the degree level or certificate level? Okay, i don’t know if it’s happening at the degree level. I do know that there are sort of think it’s available for non-profit management and leadership, that tie kind of the executive roles finance rolls, the development rolls it’s some degree the volunteer roles together for people that are enrolled in that program to give people have a three hundred sixty degree view of the organization. I don’t know that the intention is specifically for collaboration, but it is too kind of enhance the literacy of the participants in the various areas so that they can be effective leaders. Yeah, okay, i mean, i hope that’s going on. We have meteo thie. Only degree i have is a law degree, and i don’t have a certificate on, come on, classically under credential to even host the show. I don’t know what somebody’s looking like in front of me six years ago. I don’t know what happened. All right, a dan you start of ah alluded to this talking about the budget let’s, let’s jump over to rich, we can work together on our budgeting. Yeah, most definitely eye on me. And i touch on this earlier little bit is, you know, we have these different priorities and these different metrics that were that were held accountable for in both departments on and i think instead of starting at that point, which is where most budgets get put together, the fund-raising side says, we need this in the finance side says, well, i got all these departments say that need all this stuff, taking a step back and going to that joint goal setting and budgeting as step one look at the look at the big bucket first, and then break out into your department’s and trying to figure that out. I think some of the frustration we heard a lot in the in the open ended answers of the survey was, you know, fund-raising sango finance just gave us this number to go fund-raising it doesn’t really mean anything. They just pick the number out of the sky it’s not like, and i’m sure finances saying the same thing, you know, who are these fundraisers that are just throwing these numbers at us? You mean? And so if you just take a step back and out of that silo and do that joint gold setting and budgeting, i think that everyone knows where the where the basis is. And then we break and do and figure out our, you know, our specific goals in there, and then come back together again to make sure that those makes sense for everybody. So it is it’s really a three hundred sixty degree? Ah process there and again, just another one. Another way to break us out of those silos. And i think that’s going to increase the collaboration greatly. When you understand what the other side is struggling with, then you do a much better job of making sure your data clean. Making sure your data is getting to them in a way that they need. And then everything just flows better. Have you had any feedback on the survey that it’s stimulated conversations are? We used it as a way to start well, that’s stimulate the conversation or it helped bridge this gap any feedback like that? Way, actually have our vp of marketing test that gerard has some really good friends in the industry. And he talked to one of his fundraiser guys. And he said they took the report with the his counterpart on the thunder on the finance side, and they went out to lunch and just talked about the report. And they said it was one of the best conversations that they’ve ever had in, like, ten years. So we are getting really good anecdotal evidence that it just it gives you something to talk about, something to start with and then go. Okay, so how how do we match against that? Are we doing better? We doing worse? Where can we improve? You know, it’s sometimes easier to have at least something in common that you’re talking about. And then, you know, again, break down those silos. That’s, outstanding that’s, a that’s, a that’s, a grand slam. I hope some listeners will. Another opportunity, dan let’s, go to you some some shared terminology we can we can put together, yeah, something that could help. And it can also kind of jointly work with the train and onboarding is to create a reporting in metric, so we call it t cheat and that is just a place where, you know, both apartments can kind of see what the critical metrics for each department are, how they’re being used, that kind of how they’re derived. And then what? The important reports that are being generated for stakeholder consumption for public use, whatever the case may be, basically, what the story of the organization that’s being communicated is through reporting so you could make sure that you’re both on the same page, that you’re being consistent in what’s being reported. And really, i mean both from a practical point of view to make sure that, you know, i don’t boardmember you’re not telling two different stories. To your board and also from a community and mission point of view to make sure that you’re really making the most out of the data that you have out of the stories the organization have, that you’re effectively communicating the missions so that you can raise the most and really, you know, put your best foot forward as an organization for your mission. It sounds like a cz much as the the the outcome of that, that that that deliver herbal will have value just the collaborative process of putting it together together. We’ll have value. Absolutely. We’re gonna work together. We gotta define what are unknown terms are to each other and things like that’s going to start the conversation, right? You have to be able to communicate effectively internally before you can communicate externally. Okay? All right, rich, we’re going to wrap it up, which is just, like, a minute or so. You have some opportunities around software integration. Yeah. Yeah, integration was another one. And, you know, we definitely go deeper into the into the report on that. But we ask, you know, how important was integration, you know, to to the finance and fund-raising quotes. And we saw some interesting things there, including it seemed the younger the person was, the more they wanted integration, which, you know you would would would make sense. Millennials have had their lives integrated online forever, so they’re very much into integration. Some of the older boomers, um, tended to be a little more skeptical of of integration. So there’s definitely some stuff to teo look at their what dan and i found on the integration pieces that there might be some fear around integration about, oh, that’s, our data and i don’t know if i trust, you know, a machine to actually move the data correctly. I’d rather do it myself manually. So i think we need to do a lot of training on dh showing folks that that that software integration, you know, data going from your finance from your fund-raising software to your finance up our can actually save a lot of time can actually save a lot of double entry on and and and keep your data very clean. So i think that’s something that’s going to take a little time for people to get comfortable with it powerthru deeds, director of fund-raising strategy at abila also dann murphy, product manager for was it micro integrated processes fund accounting my p my p my p i got it wrong in other words, okay, we’ll stick with that. Right, lincoln i hope you didn’t take me too seriously when i was admonishing you about requesting live listener love careful, they’re not at all ok, good. Don’t take nobody listens to me, it’s all in good fun. Okay, your book is ah siri’s of questions, which i love, that that ceos and board chairs should be asking each other. What? What shortcomings do you see in this relationship? That you want to be a partnership? You know, i wantto start with the possibilities that you can achieve from a really healthy and successful partnership before i get to the shortcomings. If i could. The possibilities are amazing. Too high achieving, growth oriented, talented, passionate people can really support each other and accomplishing together for themselves, for the organization and for the mission, something they wouldn’t be able to achieve a part. And so it can be a really fulfilling effort asked, spend their wanting two, maybe three years of the border chairs leadership term together, really accomplishing something that they could both feel proud of at the end of those years. Okay, um, but i’m still gonna ask my question. Don’t be an anarchist now taking over the show. What? What? What now? I got two shortcomings or what? You know what? What’s typical of the board chair ceo relationship that that you see and when? You build that strong partnership, you can avoid a number of pitfalls. One of them is just failure to develop trust and transparency in your relationship, which was really the bedrock for leading together at the start. Next up, you can sail to communicate often enough, and as a result, neither the board chair nor the chief executive gets what she or he needs in terms of information to even run an effective board meeting, much less provide some really inspiring strategic direction. Two the organization and the last thing that you can do is fail to establish clear expectations of each other. So you’re sort of casting about rudderless, not really knowing who’s. Responsible for what? And that’s not a fun or indeed the filling of productive position for either of the leaders to be. How about that trust the how do people in these positions let’s take it’s? Ah, new relationship. Either the board chair is new, or the ceo is new to the organization. How do we start to build build that trust? You know, it really just begins in conversation, tony change begins in conversation conversation with your most important partner that being your board chair if you’re the chief executive, the chief executive, if you’re the board chair, it’s just a matter of starting off the relationship, right with some open ended kind of deep questions that let you start to develop that trust and transparency from the very start in the book associate in the workbook associated with the book, i have a list of those questions that go from sort of short to medium so long, and you can kind of customize it based on the time you have, and you have them broken down into categories and then within the categories, there are lots of different topic areas, marketing and accountability, and that’s right succession planning. So i really like this question and answer that i mean, i they’re they’re all questions to stimulate conversation and conversation hopefully is going to be honest and open, and that helps us get to trusting partnership. Indeed, it is a virtuous cycle. Okay. All right. Let’s, let’s, talk about some of these questions. I like them so much. Um, you don’t mind if we start with marketing, do you? Would that be okay? No. Let’s, let’s. Go right into it. Ok, so you’re the way. It’s laid out is you give some perspectives, cem quotes for thinking for the people. Tto consider on the subject and then ask your partner and there’s lots of ask your partner questions and, uh, you know that you ask some very basic ones around marketing. What should our message be? Who needs to hear it? Where where does it need to be? Can two people, though sitting in a room together out, answer these, they can begin to answer them, tony and in a way that generates questions for other people, let me let me use one of your previous guests as an example of how this could work. So you have a guest one or two weeks ago talking about your board as brand ambassadors, and there was that there was that question, as i recall about, you know, what does our organization even do in terms of category where we capacity building organization? Or were we making social change organization? I believe your guest said, and and that’s a question that you and your board chair i’m just going to talk from the chief executive’s perspective because those of the clients i work with you can ask your board chair? Well, bored share? What the you how would you categorize our organization and then ask your board chair? How do you think your colleagues on the board would categorise the organization? And that helps the board chair decide? Well, hey, maybe i need to lead a discussion on this at the next board meeting because i’m not sure and i want to find out. So starting a conversation with your board chair starts conversations that she or he has with her or his colleagues. Okay, so these are not going to be questions that we’re going to sit down in a couple of our long meetings, and we’re going to have answers to no, we’re not going to figure it out for ourselves, but we’re going to we’re going to start the conversation. We’re going to use our knowledge at my knowledge as the chief executive of the leadership teams perspective and the board chair her knowledge of her colleagues on the board, their perspectives. We’re going to use it to narrow dance on our information, gathering our question, asking for our colleagues. Okay, by the way, that guessed that you were referring. Teo, your board is brand ambassadors two weeks ago was roger sametz, um, also with the also in one of your marketing questions, looking internally, how good a job are we doing? Getting our message to our own board and staff, you want some introspection here? Yeah, absolutely, i mean, one of the one of the challenges that that i i always here when i’m working with, not for for-profit is the staff in general are pretty dissatisfied with what they perceive as the board’s level of knowledge about and interest in the organization and then what i find when that when when we really examine it, the board tends to have more knowledge and information about the organization, then was the staff perception and so conversations about marketing and branding and the, you know, sort of internal outside perspective on the organization can be sort of a safe and comfortable way for people to get rid of negative assumptions they might have about their colleagues. I’m going to move to one that also i find interesting internal threats to the organiser from, like you ask who is a flight risk on the board who air flight risks on our staff? This is right. This is very, very good. You risked management. I would call it, too. Yeah, absolutely. And it’s it’s something not not every organization really has the time or bandwidth to consider, but it is pretty hard to attract high quality talent. You are not for-profit organizations for various reasons everyone’s familiar with so once we have a really talents and high achieving, competent person on board, we need to take special care to ensure that we retain that person by continuing to challenge her or him offering a clear way up in the organization and so on. That could be the downside of term limits. Indeed it can. On the on the board side and boy, you know, if we get into the question of term limits will get into the question of government governance structures, and this conversation will get too complicated and i will wind up in jargon jail well, but you’re well, i’ll i’ll put your there, i’ll put your but they’re easily so you may end up there anyway, but let’s not let’s, not let’s. Not underestimate the capacity of non-profit radio listeners. Very sophisticated audience. Ah lutely. So i think they’re up for ah governance. Conversation. We may. We may get there, you that’s one of the other topics that you have questions around governance and accountability. But oh, i mean, if i can, if i can address term limits for just seconds under under governance, you know, that’s one of the frustrations of building a partnership with your board chair is that it’s a short term relationship. You could be doing all this work that i recommend. And i recommend doing a lot of work on this relationship on ly to have that person term out of the board chair seat one year from now, maybe two years, probably at the most three years. So term limits are a big deal in this context. Okay, buy-in but as we’re identifying let’s say, you know ah, well, who’s, the who’s a flight risk on the board we should be. Then the next question is going to be, well, what’s our succession plan for for that well, flight risk or, you know, whether it’s term limits or whatever whatever reason president is going to in the position. So how do you how would you feel about having a neg zsystems chair and the planned successor? Whoever that is the vice chair. Whatever the the chair to be named in this conversation, could we do this is a three way. Sure, we definitely could do that. The first thing you need to do is have the two way conversation where you’re building the solid partnership with your board chair. And honestly, if that’s all the two of you have the time, space and bandwidth to do, just stop there because you’ll be ahead of many other people who are in a leadership partnership. But if you can, by all means bring device chair, they’re electing the president elect that sort of thing into your discussions and and talk about how we can keep the strong leadership goodness culture flowing. But then also talk about how we need to customize the relationship to the prospective, the incoming board chair, because the nature of building trust with that person setting expectations, clarifying rolls and the style and manner and frequency of communication. It’s all going to be different for that new person? Yes, customized not not cookie cutter. And yes, not one size fits. All right, right. That’s, that’s offensive to the incoming person. Then you know right. Alright. Loss of trust there. We just have a minute or so before a break. Um, you would also like us under internal threats, to be looking at which of our programs is below par or failing. Sure and and that’s a great conversation. Tio have with your board chair, because you’re bored. Chair isn’t in the organization twenty six hours a day. Thinking about it, like like you are, doesn’t have probably that attachments teo each of the programs, and so can offer and unbiased mohr outside you at what is working and what is not in the organization and honestly, can help you strategize about how to do the influence campaign necessary on your board, and indeed, with your staff, and maybe even your thunders, to eliminate a failing program in order to allocate resources to something that is creating social change. John, do you mind if we, since we’ve sort of headed in this direction to look what some succession planning for the for the board chair and for the ceo, we’ll do it that way, okay? Your questions for for those two are pretty similar, so i would just take him in a bunch recognizing that nobody’s going to be in the position forever. What? What skills and qualities do we need in our next chair and our next ceo? Right? The reason i include the succession planning of questions in the book is because it really gives away toe have that conversation about succession planning, which is so sort of inconvenient and awkward and about your own mortality on a regular basis. What i recommend is that people go through this list of twenty four strategic discussion topics with their board share hyre one at a time, actually go through the entire list um, twice a year, so they’re having forty eight weeks of conversations taking four weeks off, but this just brings it up automatic so that it’s not awkward now that’s a that’s. A lot of time to ask. Ah, volunteer to spend is that you have you have clients that are doing that. This is realistic. Ideo i do have clients who were doing that. Okay? And what do we say to the board chair? Who may be reluctant to spend that kind of time? We’re talking about at least an hour a week, right? Sure. I mean, it can go faster or slower than that. What we say to the person is, i value your counsel and your input. And i know you joined the board because you felt like you have something to say. You cared about the mission, and you felt like you had something to say about advancing the mission and getting mohr dunaj for the social change cause that wee boat care about. And so i simply want teo give you the opportunity to be strategic about that as often as possible. And i promise that in our conversations, we’ll try to keep it at the high strategic, interesting and compelling level and away from boring taxable day today as much as possible. Yeah, yeah, for sure. We want to encourage the board to be looking at bigger pictures and not what the office supply budget line should be. How about let’s? Look, a little external. Now, we’ve been in to do a lot of introspection. You have a section on meeting community needs, right? I mean, this, the basic. What does our community need from us on dh? How are we doing in providing it? Yeah, this is this is really a question i like to use, teo, inform strategic planning processes. And so what i what i see this conversation as tony is ah, logical and easy progression from, uh, tapping the strategic thinking capabilities of the chief executive and the board chair and then moving that discussion to the executive committee or the officers of the board and then moving it from there to further board members in, say, a strategic thinking slot on aboard agenda and then moving that all the way to the strategic planning retreat. So strategic conversation are happening constantly at all levels of the organization, but starting at the top it’s kind of like one of those chocolate fountains that you see at wedding receptions and so forth where it’s this yummy, gooey, rich chocolate and it bubbles out of the top, and it flows down to the next layer and the next layer, and then it bubbles back-up from the top strategic thinking happens in organizations the same way, okay, we don’t have to explain it to the person or maybe the people we’re going to have these conversations with as a strategic planning process, dewey, because that has a lot of baggage to it that maybe people aren’t ready to take on or you know what we have, you know, you’re completely you’re completely right, tony, i’m i’m working on a year long strategic planning process with a client right now, and as i’m doing the strategic, the preplanning interviews with the leadership team, they’re being kind enough to tell me, hey, some of us have some trepidation about that. The board says that has as well you do want it to be clear at the board chair level, though, that you have a shared responsibility to, no matter how you phrase it or how you present it. Teo, get strategic thinking happening throughout the organization consistently. It can’t be something you do just once a year, okay? Or once every three years or something, and then it ends up on the show, which would be even worse. Okay, yes, these are that’s true and seen it this way, but these are very good strategic planning questions, even if you don’t want to call it a strategic planning process there. Very good strategic questions, i guess is what i mean. You have a section on external threats. And we just have about a minute left. But so let’s. Just throw out that we should be looking at who’s doing a better job than we are at providing program. Right. And that’s a that’s. A question that your your board chair is especially well suited to help answer she or he may have the answer himself just by being virtue of being a philanthropist in the community, caring about the issue, seeing what others have to say or your board chair main not know the answer himself but can go to other, uh, you know, really connected on that particular issue. People on the board who then can offer some information that again comes from somebody who has that outside. Unbiased, not thinking about the organization, you know, more than twenty four hours a day, like twenty six hours a day, like the chief executive is all right, lots of strategic and thought provoking questions. We’re in the convention center in san jose. Naturally, where else? Where else would we be? And my guests? Yeah, session topic is fantastic volunteers and where to find them we’re going to meet the guests very shortly. She’s, a program coordinator for volunteers services at the multnomah county library and multnomah county, encompasses portland, oregon. And it’s, oregon not oregon. There’s no e at the end of oregon, i’ve learned that many times. Gina roberti is community engagement manager at reading partners. And taryn kearns is the americorps volunteer coordinator at reading partners. And i started closest to me. So liza is closest to me. And then it’s gina and then taran they’re topic is yes, the fantastic volunteers and where to find them. Let’s, talk down the end there, taryn. What is it that you ladies field non-profits or not getting maybe quite right with volunteers. Gino was in with the face is coming. What you got stuff i want you look it’s. Tough looking issues. You really like the question? Okay, what is it? Well, i’m sorry i directed for tarrant, but i’ll give you the follow-up if she doesn’t, she doesn’t lackluster job at it. Then you can you khun ad on? What do you mean she will do great. Karin, what are we not getting right about volunteers? I think there’s a couple things that we’re not getting quite right volunteers. Perhaps one is retention a lot of non-profits struggle with retaining volunteers, long term reading partners, we retain roughly thirty percent of our volunteers year to year doesn’t seem like a lot of volunteers. We do retain our amazing, but we’d still need to constantly invent new strategies to keep those volunteers engaged, excited and coming back for more to serve our population. You’re retaining thirty means you’re losing seventy percent of your volunteers each year. True? Yeah. That’s. The same as donorsearch a tous ticks no non-profits lose seventy percent of their donors each year. All right, gina, how did she do anything great? If anything, you’d like to add teo terrans assessment of what? We’re not getting quite right. Well, she did great. Okay, i actually think attention. So retention one problem a problem. I actually think we’re really fortunate reading partners where we have dedicated staff to focus on volunteermatch judgment. And i don’t think all non-profits have the capacity to have paid staff. So i feel like that’s you need people who are focused on volunteers and engaging them, appreciating them and developing the program. So i feel fortunate reading partners, but i know that’s not everywhere, and so i feel like that’s what we’re getting wrong in the nonprofit world do we have strategies to help people who aren’t devoted to volunteer management but have other responsibilities as well? We have some ideas for them. You came to the right place, we will have some okay way have twenty five years together, so okay, we do have some ideas, okay? Liza, anything you’d like to add? Yes, oh, something that really leads into a retention is that a lot of non-profits don’t know what they’re looking for in a volunteer, so they don’t know who they are actually trying to attract before they want to retain them. So they go out and they say, yeah, well, take anybody if you believe in our mission will take you, but you don’t really focus on what they’re skillsets is what their knowledge, their background, their availability. And so once you can do that and figure out who your ideal volunteers are, then you can work to engage them and retain. Them for the long term. But it starts with that first relationship. Excellent lead in let’s. Begin there. How how do we identify who the ideal volunteer is? Yeah, perfect. So something that you can do is create a volunteer persona and figure out who? Just like, when you do marketing personas or daughter personas, you can figure out what are the specific skills that i’m looking for and all of that khun lead into a position description. But you also need to think about. So if i am recruiting somebody who can teach computer classes, who are they? Where are they currently at? What is their availability like? So in portland, we have ah, few tech companies, not as money is down here in silicon valley, but we have a few and so, you know, do they have daytime availability? Maybe if they have a corporate responsibility program, they can come and and volunteer during their work time. But if not, well, then you kind of have to taylor, you’re programming maybe have your computer classes at days and times when volunteers are available. Okay, what should we be thinking about? A cz we build these personas? What attributes? Yeah, so you want to think about not just their knowledge and their skills, but also their beliefs or their values? Because if somebody doesn’t have alignment in terms of your organization, then you might not be a good match. So on the one hand, if i am recruiting a bunch of volunteers to stuff envelopes doesn’t matter that they believe in army mittens, maybe, maybe not. If i’m recruiting somebody to teach classes like, for example, citizenship classes at multnomah county library, i’m gonna want somebody who believes in the things that we do and making sure that they have a welcoming personality that can make sure that people feel welcome and also that they believe in the concept of intellectual freedom so people can come in, use the library. We’re not judging them. We’re not censoring anything. We believe people should have free access to information. You know, if somebody doesn’t believe that we’re not a good fit for that. Gina, are there other attributes we variables we can describe to our volunteermatch personas? I think liza covered a lot of really well, well, the age wouldn’t talk about age. I mean, yeah. Yeah. Well, i think it just varies per per volunteer opportunities like reading partners. We have one type of volunteer that we look for. So and for us, it’s fourteen, to retired is the age range which brought age, so we have a bigger audience that we can recruit for. But we also we have a volunteer opportunities monday through thursday between nine and five. So what liza was saying is, here in silicon valley, it works for us because there’s a lot of companies and they have huge corporate social responsibility departments who helped, you know, connect us to the companies, but, you know, oftentimes we’ll find high schoolers there over programmed and, you know, they’re only available between three and five or people who don’t have the same corporate culture of volunteerism they want to do evenings and weekends, and that doesn’t necessarily fit for reading part doesn’t work for you. Yeah. Okay. Okay. Other strategies for finding the ideal volunteer. Taryn besides the user, the volunteer persona. Did you talk about others in your your in your own? Do you programmed yet? Yes, you did. Okay. Ten. Thirty? Yeah. Were there other ideas? Are we exhausted that that part of it? No. I think that there’s so much to talk about a sfar strategies go if you want to get into that and, you know, separate from identifying the ideal volunteer. Okay, great. So based on each type of volunteer that you’re looking for, you need to really assess the community as faras. What kind of resource is either online or actually in person are around you, it’s helpful to be so aware of what schools are around? Maybe if any clubs meet at local coffee shops during the day. So as you get that information and create either a visual layout or just have it in your mind, you can start to target those locations for either long term volunteer opportunities or short term and fill those needs match those volunteers are available at certain times and have different interests with the needs of your organization. So what we’re gonna do? We’re gonna go into the coffee shop and start talking up reading partners and whatever organization is that they may be a strategy for the coffee shop. What if there’s a no solicitation sign on the door? Well, we’ll probably have to obey by that sign, but most places you feel like you go into a place and it’s a gut feeling that you get if they’re open. You want to raise your hands? Anybody guidelines? Yeah. Another thing that you can do is you can survey your staff and find out what our who have been the most successful volunteers in the past. And so, if you say, pick your top ten percent that you would say, i want these people and i want to clone them, and i want to have volunteers at that level on lee, what is it about them? So is that their age? Are they retired? Are they high school students? So they have a lot of technical knowhow. Or is it somebody who has, you know, they are willing to just do what needs to get done? Like if you have a clerical volunteered, you don’t need somebody to go above and beyond necessarily. You just need them to be reliable, dependable and get the work done. So who are the volunteers who have been the most successful? And then you can use that to create your ideal volunteer. And then you, khun specifically target your recruitment for that type of person. And plus you this ideal volunteer that you want to clone? How do we find her? Yeah, you know, who does she know? How could she connect us to people like her? Absolutely right. Okay, okay. Excellent. We got other before we go online or not, i know you have online strategies to we’re not there yet. Other offline in real time. Face-to-face strategies for recruitment. These are excellent. I’d like to build upon that point you just made about how can you talk to someone that’s? Your perhaps ideal volunteer, maybe sametz already volunteering for you and get that person to talk to their friends about opportunities. Peer-to-peer volunteer recruitment is one of the most successful strategies because if you haven’t in, you know sametz already volunteering for going elearning organization and they can vouch for you going to tell you how awesome it is. You know, exactly when i’m teaching kids and their learning and it’s great, you’re much more likely to want to even just try it out and see if it’s a right fit for you, right? Yeah. And i think that using people’s personal networks leveraging those to create further connections is so useful. Excellent works for reading partners is that you get a lot of of your volunteers through testing volunteers with public latto personally. Okay. Anything else we should talk about? Offline. Real world? Yeah. It’s something that i saw it actually in a cafe in nashville, tennessee was a table number sign. You know, you place your order and you get a table number sign has we’re number the restaurant. It was in a restaurant, okay? Restaurant. And so i get my table number and it’s two or whatever and the rest of it is actually a kind of restaurant barbecue, you know, it was like it was like a healthy, you know, like begin. Yeah, s o they have those in tennessee as well. Although it was one of the one you were at the world. I was at the one and only you have it and you were at it. And so i get my numbers are in, and it has the number. But it also has a brochure about a dog rescue non-profit and it was specifically on the back of the tent, the number ten, it was. No, it was it was, you know, sticking up out of ah, like a metal holder and so on. Both sides that had information about volunteering a great partnership. Absolutely. Okay. Have any of you done that successfully with local businesses where they’ll they’ll basically let you have your solicitation materials? No, but like restaurant did mention that to us. And that is on my list of things that we will do next here in silicon valley. You got some places in mind? Yes. Okay. Okay. Next interview. I’ll update you. Okay? You’re presuming you’re gonna be back. Don’t don’t be presumptions will determine that in a couple minutes. Okay, uh, that’s. Excellent. You got ladies. You’re full of ideas. Anything else off line? I don’t mind if we talk more offline before we go online. Nothing else, really world. I think one more thing is another in person. Strategy is inserting yourself the organization into local community events. Say the community center is having a resource fair for non-profits maybe homeowners association or any other business to come and have a free table. Talk about what they do. Connect people that air interested from the community that’s a wonderful way. And often you, khun basically get a free space to just either recruit volunteers or spread organizational visibility. Once you create a presence for yourself and you start going to these types of events and meeting the same people over and over, they’ll say, ok, actually remember seeing this logo. I remember seeing your face, you’re here, and i like it, right, right on dh, there are community organizations, like maybe a chamber of commerce or something, exactly, uh, yeah, okay, karen, i don’t know if you know, gina agrees with very much of what you say, a lot of nodding, i say they work very closely together, we dio, she approves of everything i don’t you don’t not when she speaks, though, so you’re very disapproving of mentally, not idea, so you are okay, we believe you. Okay, okay. Okay, so let’s go online. Who wants to start? Gina, once you start, do you in the middle? Some online strategies you have for recruiting volunteers? Awesome. Fantastic volunteers. Yes. That’s a very good question. So i would say speaking for us at reading partners, we have actually always had our typical social media pieces of facebook, right? And this year our specific region has utilized twitter more. Andi, i think we honestly we have just skim the services to what we can do with our online recruitment on we definitely pay for facebook ads and things of that nature on dh has been extremely helpful. But it’s working it’s working. But you know what the problem is with that is that you need more money in order to make that happen. So it took a while to get some movement on. As soon as we got movement, we realized our budget is depleting. We had to go for the second movement. And now it’s like, what is it going to look like to continue that the ads and things of that nature. Okay, so so you were spending more than fifteen or twenty dollars? Yeah. Yeah, you’re okay. And what does that look like? Way have fourteen regions and we all need ads and our eight regions. And what does that look like for marketing budget? Ok, sorry, so facebook ads, but they’ve been valuable. You most definitely paid off. Yeah, yeah, liza, how about you and multnomah public? Yeah, so we utilise all our social channels as well. So facebook, twitter, instagram also flicker. We post photos there as well, and something that some of our volunteers participating is called a m c l hel p so m c l multnomah county library. Hel p is a selfie that you take while you’re helping or volunteering, right? So, yeah, so we every year we have a summer reading program and to encourage kids to read all year long. And we have eight hundred volunteers close to eight hundred volunteers for that program, ninety percent of which are under the age of eighteen years old, so ninety percent are under eighteen. Yeah, and those are our volunteers. That’s. You know the participants. We have over one hundred ten thousand participants just for the summer reading program. So we were looking for a way to engage our summer reading volunteers. Many of whom have smartphones and want to take selfies, and so we encourage them. Hey, take a selfie while you were at the library hashtag it this or, you know, put it on instagram and show your friends what you’re doing this summer, and so that could be a way to recruit volunteers and get them to you show their their other friends what they’re doing for the summer. What are we doing in the channels in these facebook ads or instagram? Whatever to advertise the the volunteer possibilities, what we what we saying? What are we showing, etcetera? A great regular facebook campaign reading partners, which each week we have a feature called thank you tutor tuesday we feature a picture of the tutoring question and the student they work with if both have photo permission don’t use real names in many instances, but it gives a glimpse into either of them working together or them doing something fun together. Maybe during a spirit week with cem, funny props of what it looks like for them to be volunteers, and also matched that with a quote from them about their volunteer experience that lets them speak from their own perspective and give people that do follow us on social media is chance to say okay, maybe i could do this and work with a student that looks super happy and keep with their tutor. Right? Must be other stuff we could talk about online before we before we go to the next topic. What else? Yes. Oh, at melanoma counting library. We have a monthly volunteers spotlight, which is not a new thing. Many organizations have monthly voluntary spotlights to showcase what their volunteers were doing, and what that is is it doubles as both a recognition tool and a recruitment tool. Because you are recognizing the volunteer by saying, hey, you are so great that we want to talk about you and we want to post you know, this blogger on on our website, and then we share it on our social media channels, but also when other people see that they see oh, that’s, what a volunteer does who you know is teaching a citizenship class or is delivering books toe homebound patrons. I’m interested in that not just learning about somebody else doing that, but maybe i can do that, too. And so it doubles. Is recognition and recruitment excellent, excellent. All right, i like, uh, thank a tutor tuesday. Gotomeeting every partners your own hashtag was that your idea? I think it was a collective decision. Okay, i like i like a little rations. So on this show, i ii send live listener love because show street live, i have podcast pleasantries for the podcast listeners. I’ve affiliate affections for the am and fm station listeners, you know, so i do tony’s take, too. I’m over the moon with, as listeners of the show will know, with a liberation. Okay, uh, well, should we go? There we go offline. Anything else? What? I got online on the networks go online network. So good. I want to say, i don’t know if we even mention this, but we definitely use that reading partners, you know? Volunteermatch and, you know, volunteermatch croup, mint websites get amount of our two shot out. Some of the ones that you use a helpful idea. Why am i drawing a blank? So we definitely is craigslist volunteermatch is an idealist, idealist, idealist. We’ve done volunteer center, which is more local to the francisco bay area, but we’re on many and all, especially more local, more local, you know, centered silicon valley pages. Okay, that’s been a huge help over those who know where to go or choose to go to those kinds of pages for volunteer opportunities right way, use volunteermatch and also hands on greater portland, which is part of the hands on network through points of light and so hands on greater portland is more focused on the portland metro area. Volunteermatch of course, you can search through, you know, different areas, but is more national. And so both are great because with volunteermatch if you get people who moved to portland, we have a lot of people moving to portland, then they already know about volunteermatch from their past community, and so they just switched to portland, and so we find a lot of people who moved to the area are looking through volunteermatch postings and finding us, and even if they’re not interested in the specific position that we’re recruiting for, they will then be drawn to our website, find something else, apply and then become a volunteer. Yeah, you know, i want to mention one more that is it’s probably giving us some success because it’s fairly new it’s next door and for when you’re trying to engage the community when a a current volunteer for us, lives in the community in which we’re serving and they post about it it’s that peer-to-peer but of a larger network of community members that maybe we’d never even touched, which has been a really cool thing to try out. It’s cool, it’s cool. What next? Next door next door? Yeah. Okay. All right. Go. Another one that i haven’t used for recruitment yet, but i have scene people who are seeking volunteer. Opportunities uses read it. So i have a google search alert for anything mentioning volunteermatch portland, oregon and it’s just a way to be aware of what’s going on in the area and sew something will come up and somebody will say post on reddit for the portland read it general think gina likes your ideas about to put it in her notes way steal the best ideas, okay? And and so they you know, they’ll post hey, i’m looking for a volunteer position where can i go? And then people talk about hey, you should try the oregon food bank. You should try free geek, which refurbishes, you know, older computers and gets him into the hands of people who need them. And so those air probably the two that i see most often is is the oregon food bank and freaky, but then other ones will say, oh, well, i’m really wanting to volunteer at an environmental organisations so somebody might recommend friends of trees or something like that, so yeah, and that’s another thing is that with oregon food bank, you can. I’ve personally volunteered there, so i’m a huge fan. I had a birthday party there. I had a fallen bir birthday where i volunteered and then ones on the other side, i think of the first has to be mine, to be funny calling peer-to-peer and so, yeah, so volunteering at the oregon food bank, posting a healthy on twitter and instagram, and then we went to a place called oregon public house, which is a non-profit pub in portland and had beer eso with any of those aiken then go online and say, hey, have you tried oregon food bank? Because they’re great and here’s, why? All right, let’s, just move. Teo some of the partnerships, i think my voice just broke moved too. But thirteen years old. But partnerships you talked about finding and cultivating partnerships. Now we just touched on his very lightly. We’re talking about the possibility of what i mentioned chambers of commerce when you were talking about local organizations. Is there more we can say about finding and cultivating these partnerships? To find volunteers who wants to go wants to volunteer to talk about partnership volunteering opportunities? I can certainly speak briefly more gina’s area of expertise. She’s, right? I shouldn’t say anything quite the experience cultivating partnerships, but it’s important, teo follow-up i don’t know if you need to call it a strict list of partnership planning steps, but haven’t idea of first what you can offer or what your strengths are as an organization, then see what that potential partner can also offer you it’s making sure the relationship is mutually beneficial. If you want to move forward with more of a formal agreement in the future, make sure both parties are really going to get what they want out of it and along the way, sorry, go what types of organizations are we talking about? You have some examples? Yeah, we have one of our strongest partnerships within the silicon valley region of reading partners is with the department at san jose state university here, locally it’s child in the adolescent development and their students who go through several different classes learning about various stages of child development, and they come to us. We have a program tailored to their needs as far as a service learning requirement, and their program it’s little bits is actually tailored to our curriculum and tutoring so local college you could look at college university another example of successful partnership. Organization? Yeah, new partnership we have just going on is with actually a food truck collective that’s all over the basement. Portland. I know, right? Okay. Great terminology around trucks, which you’ve gotten since i was there, but a cluster. What was it? A pod? A pod, right. That’s right apart? Yes, i heard that. It’s a cluster of trucks. You don’t call it a cluster or collection? You call it a pod, but their carts there lorts their carts, not truck that’s, right? That’s why i’m getting that wrong to not trucks the cards, but you would never say i’m going to the part of cards. You would just say i’m goingto just like on the pot. I mean, you might say that, but i wouldn’t wait. Don’t have carts here in silicon valley. Well, their truck’s, but they call them courts, owe their trucks. You put your right thumb and there’s a lot of a lot of times. They’re trailers that really there that you can’t drive them. They just have to hitch onto something. But either way, they’re called the coal carts. I’m going to the cards or the pod, but not the part of cards. Not say that you would be laughed out of portland. Okay, um, we gotta wrap this up in a few. Actually, this one fast. All right. Well, guy’s got about another minute or so let’s focus on the partnerships. What was the one you were just mentioned? The new one you were starting at? It’s called off the grid. Food trucks and group. Yeah, they have a very important emphasis on community in their markets. So we’re able to get an in with one of their markets in san jose. And we’re gonna have a regular appearance at there sunday. Food truck gathering its great. Let me turn the liza. You have any, uh, successful partnership type organisations? Yeah. So, atmel, uma county library. We don’t have too many formal partnerships in terms of volunteer, but we do reach out to our there’s, a local cohort cohort of library students from emporia university. And so they meet here in portland. And so we can send information about different volunteermatch positions that we have for them, and then they can come and get engaged. There’s also? Ah. Library media specialist program. I believe at portland community college. And so we can easily reach out to that college. Okay, so look, a civic organizations is tearing. You were saying like minded organizations where there are potential volunteers. All right, you’re gonna wrap it up. There are ladies cloudgood some excellent unison. Amazing, remarkable panel. Jean takagi. You’re out there, right? I am, honey, i know you are. You’re the managing attorney of neo, the non-profit and exempt organizations law group in san francisco, that’s still true, right? Absolutely. And fire yourself, all right, and you also still edit the popular non-profit low block dot com, and on twitter, you’re at g tak gt a k right, all correct, okay, just like the check. Double check the biographical information every every once in a while. And plus, being an attorney, i don’t like to ask questions that i don’t know the answer to, so i knew that was all correct. All right, gene, we’re talking about unity and dissent on your board this arose from, although we’re not going to nit pick the details of this, but this arose from a university of virginia proposal that that board members silence their descent and there was a little bit shocking for some people to read in the paper when they read about ebba talking about so sad, discouraging or actually prohibiting dissenting board members from publicly expressing their view. And that was just a proposed policy that somehow got released to the public, and some people were very, very upset about it thinking of it a censorship um and that caused them once, you know, the public was made aware of it. There was all sorts of articles in the washington post and other newspapers about it, and they rescinded that part of the proposal, but they kind of added a more common governance spot after about well, you can talk about your descent publicly, we won’t. We won’t chill that from happening, but once a decision is reached by the board. The board members each have a responsibility to ensure that the board’s actions and decisions are successfully implemented. So they really downgraded their initial thought. But it was a a source of a lot of controversy at the time. And i think it’s a really interesting subject. Yeah, i love that. Some dissenter released to the public, the non dissenting policy hyre and that there that’s interesting at virginia. I just this is just a small detail, but they call their board the board of visitors. I thought that was interesting. Hey, i i i do it. Well, i don’t know what the historical artifact of that is, but it is their governing body. Yes. This’ll all go back to the days of this is from thomas jefferson, i think is the founder of via university that’s a little bit ironic and some people’s mind about, right? You know, quenching public dissent? Yeah, this statesmen who spoke out of, um and they’re doing just the opposite. But askew said it turns out they’re not doing it, that that part of the proposal was was killed. There is, in fact, value in diversity and dissent. On aboard, right? Yeah, absolutely way need tohave open discussion. And in a lot of governance, experts will say having a culture that encourages open dissent is actually one of the most important indicators of bored effectiveness, the opposite being, you know, usually a culture of group think and rubber stamping one person’s decision and all just sort of reinforcing, you know, the first point of view that comes up rather than actively debating and thinking about, you know, critically thinking about what would be the best decision of the board amongst all of the possibilities. So so every board vote should not be one hundred percent in a unanimous in fact, it’s you’re saying it’s a good sign if there’s there is disagreement. Yeah, but, you know, from from time to time and that’s, you know, a pet peeve of mine and many other lawyers that work with non-profit boards to see by-laws that say board actions will only be taking taken if there is a unanimous vote in favor of aboard actions. That’s really just chills. You know, the board from discussing, you know, individual boardmember from discussing their dissenting opinions. That’s part of some by-laws of some organizations that has to be a one hundred percent vote. Yeah, after my gosh, she is an uncommon to find consensus. A xero required vote, teo get bored. Action. Well, but consensus could be an easy majority or two thirds or something, but but you see it often that it’s one hundred percent unanimous requirement. Yeah. It’s not uncommon. I wouldn’t. I would i would say, you know, it’s, not the majority of by-laws permit that, but certainly i’ve seen several that that require one hundred percent consensus vote in order to take aboard action, and that is to promote their culture. What they feel like is a culture, a beauty. Mmm. All right, there are ways of dealing with the descent in a in a board discussion on dh valuing the honesty and the openness and the diversity if you just if you just manage and facilitate the conversation yeah, you know, you’re absolutely right. And i think it takes a really skilled chair of the board or whoever is the presiding officer at the board meetings to really encourage that. That dissent without letting it, you know, devolved into infighting and ah, and, uh, a culture where nobody wants to be there, and everybody is apprehensive about showing up at the next board meeting because there is that culture of stress and tension and disagreement. So it is a bit of a balancing act, and i think it actually like many, many things take some exercise. The effort, teo, create that culture of open dissent where, you know, people can descent. This takes place in families too, doesn’t it? Tony, especially in italian cultures, open dissent and at the dinner table, but always mine afterwards. Yeah, i went after the thanksgiving dinner at my cousin’s house. When, when i was walking down the sidewalk in getting into the car to drive home, i realized how quiet it was. I felt like i had been in a springsteen concert for, like, four hours. And then i was back at home and my ears were almost ringing. Yes. So there’s a healthy descent at least among my cacophonous family. Yeah, for sure and my part of the family. And i have ah, through marriage, some italian family as well. And yes, it is this healthy dissenting atmosphere, but it’s very vibrant it’s encouraging of discussion. Um and at the end of the day, they can move forward. So, you know, creating that culture is not necessarily the easiest thing, especially for non-profit board, who may not meet so often like the way family gets to meet andi, everything gets remedy, you know, the next time they have dinner, but when you meet, like once every other month or once every quarter on and that’s, the only time you see these people, you may be a little hesitant about, you know, starting a fight by by presenting a dissenting views. So i think it takes practice. And, you know, one way you might practise is and there’s some dangers to this as well. But in short, formal, just say creating a doubles advocate for a particular issues, you know, in a particular issue, maybe where the board all sees the thing, you know, in the same light and would all vote unanimously in favor of it. Maybe at that time assigning one person to just raise issues and take the other part and encouraging discussion to see what happens. And you may end up with still the same opinion, but ah aboard that’s learned to discuss things a little bit more. Vigorously and critically look att issues and weigh conflicting viewpoints. There’s a policy governance model from interestingly, from a married couple, the carvers that has some very good ideas for howto manage this whole process and maintain good governance. Yeah, and they’re they’re aspects of the carver policy governance model that i really like and and it is a model that encourages discussion, even passionate disagreement, i think they say to rip represent the diversity on the board, hopefully the diversity in all kinds of ways, on the board, with different perspectives in different ways of looking at things. But i think part of the model says is once you’ve made a vote, you know whether it’s a unanimous vote or if it’s a five for a slim majority vote and that’s enough to take board action, the ceo and the staff have got to treat it the same way. It’s a board decision in favor of going a certain direction and that’s what needs to be implemented. And so the carver model goes on to say, you know, if a boardmember two cents, you know, with that, well, you should absolutely record that descent. So in a five, four vote, you’ll record those who have presented their dissenting opinions, not necessarily by name. However, if they don’t want their name to be to be entered into there, if they’re minutes or public, they may feel that that might chill future board discussion if they’re not in the majority. So, you know, it could just indicate that there was a five four vote and anybody who wants to be on record as dissenting should have their name recorded otherwise, maybe not, but if if the if you do disagree with it and you want to go out and publicly say it, we don’t chill that process, you let them say that, but they’ve got to balance that with a duty of confidentiality, so they have to make sure that they’re not releasing confidential information out there. They have to be careful of not chilling board participation in future discussions. So if they go, you know, john smith disagreed with me, and he came up with all sorts of terrible arguments in favor of that. Well, that’s not going to be a healthy way to descend, you know, naming out individual board members who disagreed with you and, you know, taking down their argument without the chance for them to present the side. And then i think what’s important about the carver model. The balance is that if a boardmember disagrees, they should go on to say, on the record, whoever they’re speaking out to in the public, that the process used by the board with proper so they disagreed, but they were in the minority. But the process used was proper to get all those things out there and that hopefully we’ll create a good culture of open dissent and ability to expect dissenting views in public without harming the organization. All right, there was a lot in there that this is getting into the details. Very interesting of of good governance, right? I mean, a lot of times we talk about good governance and it stops with well, you should have a conflict of interest policy. You have a whistle blower policy document retention. But this is getting into the process of board meetings that create good governance and proper oversight. Yeah. And you know, onboarding typically take actions that board meeting. So how boardmember things air run? How their chairs, what type of discussions you choose toe have. Board meetings when in the meeting do you take your, you know, place your most important discussions? Maybe it shouldn’t be approving the board minutes right at the front where everybody, you know has the energy to vigorously discuss important issues. Maybe that gets put in the back. So prioritizing what you’re goingto, you know, discussed at the board meetings and creating that culture of open descent and possibly allowing everybody toe argue different points beforehand, circulating that in the board agenda and sort of meeting prep materials would be a very good and healthy way to get bored to be able to discuss the most important things to the organization because boards are ultimately in charge of the organization. You mentioned the agenda, and this ah, this carver policy governance model, which, by the way, you’ll find it. Carver governance dot com has something to say about the agenda who should be creating the board agenda because that could that could be a source of of dissension also is what belongs on our agenda for the month or whatever. For the for the meeting. Yeah, that’s, that’s absolutely true. I don’t actually, i’m not familiar with how, how carver’s model treats who will create the what’s? What typically done is is bored chairs. After conferring with the executive, the executive director’s, ceo of the organization developed the agenda. But i think knowing what i do about policy governance, it is openly encourage other board members to chime in as the chair developed the agenda. Ah, figure out what topics are most important to the organization and figuring out at that point how to proceed with finalizing the agenda and the meeting materials beforehand on dh that’s, very consistent with what carver recommends in there in there model, which is that the board developed its agenda. Not that the ceo create the agenda for the board. Yeah. You know, that’s, uh, i don’t wantto go too far off, but that’s sort of the problem with when the board acts by written consent because whoever drafts that that consent and circulates it is possibly planted just one point of view and argued only one side of it. And that can be very persuasive. And nobody has had a chance to look at the other side. So developing an agenda with only one point of view can make things look very, very. One sided in developing organisation melkis rubber stamped the chairs decision. Okay, we’re going to go out for a break for a few minutes. So could we explain what consent agenda is sure, andi, you know, i didn’t realize that i did not say that i thought i was accused and i was guilty, okay, but i don’t think we’re buy-in consent agenda. Is basically a group of routine, typically procedural, self explanatory, noncontroversial decisions that the board has to make, like approving the minutes of the last meeting, approving committee actions that were very non controversial and it’s done all in one action. So rather than going through them one by one and having a lot of discussion about each one if they don’t deserve that discussion, it’s just something that should have been read before the meeting it’s all presented on the consent agenda, one person moves to adopt it, it gets seconded, approved and then it’s done and you don’t have to spend, you know, half to your board meeting talking about thes routine on controversial board actions that everybody should have read beforehand and instead of, you know, having them read it at at the meeting and wasting everybody’s time. Thank you very much. Probation granted a parole parole granted program when how do we know when a boardmember has gone too far? You suggested that its fine for board members to speaking descent as long as they’re they’re not speaking on behalf of the board and they and they say that. But when does the boardmember go, too? Far, yeah. I wish i had one easy answer to that. And i think i mentioned before, you know, balancing against being a balancing that openness against the duty of confidentiality. So not giving away any confidential information and also not harming any individual on the board or sabotaging, if you will, the board action that ultimately was taken by majority vote, even though you were dissenting on it. So if you try to unwind and unwrap it, that that’s probably not acting in the best interest of the organization could harm the organization and their four year breaching your fiduciary duties. But exactly when when you cross the line is not always clear, for example. And if you thought the boarded approved an unlawful action, both well, it’s going to be you do need to speak out. And at worst case, you need to bring it to the attention of ah, the authorities in much more common cases. Maybe it’s something if you if you feel very strongly about that, you send a private letter out each boardmember and the ceo. And if somebody asks you about it, you just say you disagreed with it vigorously. But the process used again was proper, and a majority voted the other way. And if you really can’t live with that decision, think about resigning from the board, okay, the private letter to the individual boardmember is that’s an interesting approach, but that’s discreet but still could be very firm, right? And i think it allows you to state your argument in a way that you can get all your points across the way you might not be able to do at a board meeting when you know everybody’s interrupting each other and there’s this vigorous discussion amongst, you know, five, ten, fifteen, twenty people all trying to chime in in a short amount of time. Would you be asking if you felt that strongly about something for the board to reconsider its decision and have the discussion again at another board meeting? If it’s the type of decision that can be reconsidered, maybe it’s something that’s going to be? Ah, a strategic ah plan for the future and not a contract that has already been signed on dh where you can’t back out of it. If it’s something that far off enough that the board decision can be reversed in the organization can change course without any harm, and then yes, i think the board can reconsider it if if they didn’t get a chance to hear your arguments, perhaps because the board meeting cut short and didn’t give a chance give you the opportunity to put out all your points that you thought were very important, sending it in a board letter, at least to the chair of the board. But but possibly toto, all board members and and the executive might might be the right thing to do. Do you see money? Occasions? And we just have about a minute and a half left where an outside facilitator could be valuable for for these these kinds of difficult discussions in board meetings. Yeah, you know, i think when when the board starts to disagree each other and creates this culture, not only have open dissent but of open ah hostility, yeah. So just where they can stand each other anymore, i think you really need to get a facilitator to help. Ah, figure out the process and howto get boardmember to understand their different viewpoints. You also have tio select board members very carefully, not only for for their diversity and skills and backgrounds, but also for their ability. Teo operate in a culture that that encourages dissent on where they they’re not afraid to speak out, even if they may not be in the majority view point. That’s, that’s really important in our democracy on, certainly in aboard as well. My voice just went up like a high school girl like you often voice cracked like a fourteen year old, and i do that all the time. No, but it is very important. That’s, a very, very interesting point two to bring in the recruitment process, the not only the skill that you might be seeking real estate attorney, whatever, but fitting into the culture of the organization and the culture of the board. Yeah, i i think that could even be a valid statement for the organisation when it when it, you know, think about all of the valleys that it wants to to promote is encouraging dissenting views as a core governance or organizational values. Marcus, welcome back. Thanks so much for having me back. Did tohave you? Pleasure? Sharon staple she’s the president and executive director non-profit coordinating committee. She was named a white house champion of change. As executive director of the new york city gay and lesbian anti violence project, she joined the non-profit coordinating committee in october of fifteen and she’s at n pcc. And why underscore prez pea are easy. Welcome, sharon. Thanks for having us. It’s. A pleasure pushing up both ofyou. Melkis. Uh, you got a promotion since you were here last time you were you were you were deputy. Then you were deputy director of programmes. I was director, director of programmes. Now your deputy director. I share your whole thing. Cool. Congratulations. Thank you. Um, we’re talking about these eight key areas of non-profit excellence the know that these are a criterion for a competition. Sharon, don’t you start off what you acquaint us with the competition and how these areas fit in? Well, i think it’s important. Understand what? Who and what and pcc is on and why we care about non-profit excellence and and pc sees a membership organization of fourteen hundred non-profits in new york city in the new york area, and we are really the voice and information source for non-profits and one of the ways that we think non-profits need to get information or the things we think they need to know about is non-profit excellence and management excellence because we think that for non-profits to be able to really get to their mission and be able to focus on the thing that they were created to two, they want to be managed and manage themselves as efficiently and effectively as possible. So the non-profit excellence awards is really a formal way for us to teach people about non-profit excellence and two go thank you. So it’s really informal way for us to teach people about non-profit excellence and two really recognized and celebrate that excellence in the sector and melkis having been a part of not just n p c c for five years, but also the non-profit excellence awards is probably our best guide through the history of the probe. Grandma and it’s already anarchy, so i asked you, but you’re going to defer to melkis way just want to make sure you have the best person talking your subject thought so. The key areas are really the driver of our near community trust non-profit excellence awards program on dh, the awards air program that and pcc created on dh manages and so we created the program in two thousand six, so this is our milestone tenth anniversary and it’s an exciting year for us and the awards are really an opportunity for non-profits tto learn from other non-profits and so we really go beyond honoring excellence, and the awards program are truly an educational experience for the organizations that go through it, but also for the other non-profits in the sector that are able to benefit from the best practices that we highlight throughout the process. Okay, thie awards ceremony is coming up it’s friday, december second, right? Okay, that’s the same day of non-profit radio airs every every week, so you may have t pretend you make pretend it’s trouble in new york city area. Okay, let’s see, i am goingto i’m goingto take through the eight areas so that everybody knows what we’re going to be talking about for the next hour. Uh, and then we’ll cover a little more about why. These are bona fide before we actually get into them. But so number one is overall management focus on results and impact and then governance structure moves the organization forward. Financial management is strong, transparent and accountable. Organization is diverse and inclusive. Number five is human. Resource is our valued and developed. Number six use of information technology systems improves efficiency and advances. Mission communications are strategic effective and build brand latto and the final area fund-raising and resource development. Our strategic donor-centric and effective. Okay, melkis let’s, stay with you. How do we know that these recommendations these criteria are are bona fide? I mean is this is not just something. And pcc decided and foisted on the community that’s, right? What’s the process through the get to these eight areas. So when we were creating the awards program ten years ago, we looked at what other state associations of non-profits were doing, and we looked at the other state associations in particular that had standards of excellence programs. There’s about twenty three, of them now on day in total represent about twenty thousand non-profits across the country. And so we looked at what they thought matters for non-profit success and so we picked the areas where there was consensus, but also balance that out with areas that we know are important in the new york city area. So for example, diversity and inclusion is an area that appears throughout the country as part of their standards for us. It’s a discreet section in our guiding eight areas, as we feel that it’s an important topic and management area that organisations in our area need teo be focused on and managed towards. Ok, so ten years ago you crowdsourced the genesis of this yes, through all your sister organizations call a colleague organizations throughout the country, right? Okay, cool. And in the end, they’re updated every year. I’m just gonna get yes, sharon, the awards i’m sorry. The key areas have changed just since last year. Yeah, well, the key, the key areas actually remained the same. We what we did really was to try and make more clear for the non-profits that we’re applying and make more accessible for everyone who is interested in the key areas. What we meant by them. What are the standards for those areas? Where do we think organization should be aspirational and how can they be aspirational and gave sort of slightly more specific examples about what we meant in those eight key areas? So so the overarching eight areas are not change, right? The sort of description and hopefully accessibility of them are ok, you were finding there was some misunderstandings about what some of the areas are meant. You know this, tony, because you do this work, but, you know, a lot of management khun feel amorphous sometimes right, and what it means to be a good manager of religion, good organization or what it means to be effective or efficient, sometimes that’s really hard to grasp. And i think i know as as someone who has applied for the non-profit excellence awards of my former organization that sometimes the standards it’s helpful to have a little bit more clarity when you’re not doing this every single day and when you’re sort of looking into the award greater specificity, yeah, okay, cool. All right, let’s, dive in, ladies! Sharon let’s, let’s stay with you the first area overall management focus on results and impact. You want to see a clear mission statement and articulated values what’s this a little more about the values? Well, i think it’s important that organizations no, not well what i think isn’t actually that important. But what we know from the eight years of non-profit excellence is ah, clearly articulating a mission is critical. Of course we need to know why we exist in what we’re doing and and why the non-profit is is in the world, but understanding the values that go along with that what does the organization stand for? What does the organization wants to be? What does the organization i want to do around the way it treats its employees the way it approaches the issue the way it intersects or interacts with other organisations? Is justus critical as knowing that we want to end hunger? We want to end homelessness. We want to work with survivors of violence whatever the mission is now you have for each sub area within. The eight areas there’s their standards. And then there’s aspirational. There was you standard aspiration. Does does an organization not do well in the judging? If everything is standard and not very much is aspiration, i’ve achieved aspiration? Well, you know, i think it’s there’s sort of two purposes for this program, right? And so one is it’s an educational opportunity. And so any organization whose meeting all of the standards is doing great work, right? Those air what we think they are, the foundations of how folks should be using the eight years non-profit excellence, then there’s the actual competition of the awards, right? And there we have a selection committee of experts who know these eight key areas, and they are looking for aspirational, replicable, innovative and exciting practices when we’re looking at sort of overall non-profit excellence in terms of the competition, the award, okay, let’s, go into some or the area that we’re going to get the education component i know there’s a program for everyone these eight i mean, this is not is not just judging, but there’s a lot of training and help that goes along boosting lots of non-profit whoever wants to participate in let’s see, we’ll do you might can i just say another thing about overall? Management focus on results already anarchy. Yes, but i appreciate your asking. Thank you, it’s, you know, so it’s important to have a clear mission? Absolutely, but it’s also in court, important that we see organisations being able to measure review and most importantly, use data that points to organizational programmatic results, right? And we also want to see that organizations or strategic planning and thinking in a forward way. So when we’re looking at sort of the i talk with my hands too much or got tio here, somebody bumped a micro follow-up s so when we’re looking at the sort of overall area we’re looking for mission, we’re looking for vision, but we also want to know, how do you know you’re doing what you’re supposed to be doing? And how do you use the information? How do you think about your strategy, given that information and how it relates to your mission? And how do you plan in a way that allows for learning environment and understanding that not all programs air perfect all the time? And so you’re going to learn the lessons, but also that you’re able to see that you’re moving toward the ultimate. Goal of your organization. Okay, so they really were to things wrapped up in what you were just saying impact reporting, basically, i mean, i’m i’m not we have to focus a little, you know, i have to make a lot more concise because we have, like, fourteen pages, so so i’m going, to paraphrase the impact reporting and also you want to see a vibrant strategic planning process, yes, and the learning environment, learning, learning from the results that you’re reporting and and then hopefully, i mean, you’re also you want dissemination of the results, right? Is that not a part of this or that? But i mean that somewhere else, but you don’t want to keep the results internal you want you want stakeholders to be seeing these, right? And i think that here we’re focused on the way that you monitor or use the results, but certainly in the governance of the organization for transparency. What you want to see, those results disseminated in communication strategies you want to see, you know, so you’ll see results because, you know, non-profits air created for the social good and to meet their missions, we want to see results used. In multiple different ways, but when we talk about sort of overall management with a focus on results we’re looking at, how are you using the data that you do? You have a data available, and if so, how are you using that data? I gotta be honest, as i was reading through these key areas is okay if i call make standards, is that is that is that is that word bother you if i call him standards or recommendations or what? What besides areas give me another word that you’re comfortable with, so i don’t offend the program. So i would say that the the eight areas and we call them that on purpose is because they go beyond standards, right? So one of the things to know what you’re right, they become aspirational. Yeah, give me a word. Besides harish, i just keep using areas. Yes. Okay, you’re right. So as i was reading through the areas, i was thinking, i mean, this is sort of a test for non-profit radio. Like how much of how much of this stuff have we talked about? Because the mission of non-profit radio is two help small and midsize non-profits with all the areas that they are struggling with a face challenged every day. So i’m sorry, you know? I mean, like, testing the show against now. S so i’ve got some shows to recommend. I haven’t got it. I haven’t got a recommendation for every single area, although we were, but we’ve hit every area, but i can’t i can’t impact report that, but so if anyone wants teo, get learn more about impact reporting. Look for the guest doctor robert penna, whose book is the non-profit outcomes toolbox and he’s been on a couple of times. More recently, he was on talking about the history of non-profits going back to the sixteen hundreds in in england. But before that he’s been on it was on talking about his book non-profit outcomes. Toolbox. Ok, ladies, let’s move on. Melkis you ready for? You want to take area to governing structure? Move the organization forward. You dealt me out with this defined. Ah, boardmember has a strong fiduciary. What does that mean? Sure. So what we mean by that is that board members are engaged in the oversight of the organization, not just in the finances and making sure that they’re engaged in the budgeting process and making sure that the finances are in order, but really that they’re holding the organisation accountable, promoting and ensuring transparency and accountability on that they’re also partnering effectively with the staff to really drive the organization forward and to support the mission of the organization. How do you tell that all these things were happening through examples right that the thie organizations are highlighting throughout their applications, right? So they give examples that really show not just that the practices exist, but that show riel impact on the organization, right? So it’s not just enoughto have a stellar boardmember show us what that stellar, what meat? What having that cellar boardmember on your board has meant for your organization has have they’ve been able to connect you to, you know, particular donors? Or have they been able to help advocate for certain policy and change that that impacts and influences the organization? Okay? And then now for semi finalists, there’s an interview is that right? Or there’s there’s onsite visits? I want to get to the semifinals, so we’re at eleven semifinalist now we’ll narrow those down to six finalists, and they’ll have in person meetings with our selection committee, okay, is there an onsite component to it? You visit officers? We’ve reformatted that part of the process and so would you used to, but you don’t anymore. We don’t anymore on dh, so they all come and meet with this election company at a neutral space and it’s great to see what different organizations do with the same space, okay? And don’t no shame in that i’m not like him shaming your in that we’re not ashamed chaillou think decision, but i think i think durney since we’re talking about the application process, one of the things that we’ve done this year in an effort to make the awards and the educational opportunity more accessible to people is we created at the very beginning of the process of readiness assessment, which is basically a yes, no check, you know, sort of list and it’s an online application it’s, an online assessment, you go online, you answer the questions and we have sort of ah scale of scoring on the higher end it’s like this is you guys are doing great, you should definitely consider applying for the excellence are on the lower end it’s like, you know, you may have some work to do before you want to actually think about applying, and we then linked to resource is in specific air specific eight excellent the areas and then if it’s in the middle, we say to people like, give us a call and we can talk to you about where you’re at because we know it’s a big lift for organizations to apply for the excellence awards it’s a multi month process for them. The first round is four open ended questions about how the areas affected their meaning or how their management is is viewed through those areas. And then the second round is an incredibly intense application that examines each of the eight areas carefully, and then you have to do as you’re saying this in person visit and it’s it’s very rigorous, and we don’t want organizations wasting their resource is applying if they’re not going to be there. But we do want to give everyone the opportunity to assess their management practices through the eight areas because we think it’s an excellent tool to get people to move in the direction of making management changes. The sticking with the governance structure, the board has a giver get policy, one hundred percent board giving melkis you wantto you wantto emphasize the importance of that? Sure so that i would say that that’s something that the selection committee is looking for across the board of all organizations of all sizes and missions, is that there’s one hundred percent board e-giving on dh the idea behind that is that if your board members don’t give, how can you convince other donors other funders to give right? And so i think, and sharon, you might be able to speak more of this as a leader of a non-profit but foundations are increasingly asking for that metric that that board members are giving it doesn’t matter what the amount is per se, but that they’re giving something to again show their commitment to the organization on to the mission. Okay, and later on, when we get teo fund-raising you ask for a personally significant, i think that’s the phrase personally significant, okay, we’ve had lots of people are talking about boards. The ones that come to mind are michael davidson. You could search his name he’s twenty martignetti dot com michael davidson’s on your selection committee. Army veteran one has served since the beginning of the program, standing all ten years, years, he’s been a guest on the show, like three, four times i let happen. Um, we both are i could, and also for board fund-raising specifically, when get to the board fund-raising part. Gail perry, whose book is fired-up fund-raising she talks a lot about board fund-raising she’s been a guest. All so you could look for her on the history of the show. Um, okay. Oversight informed board provides oversight you haven’t, you haven’t. Interesting aspiration here. The succession plan. So it’s aspirational though it’s not standard. Why? You know, that doesn’t seem like it should be a standard thing. A succession plan. I think that many organizations think about succession planning as something that stops at the leadership of the organization. And so the aspiration here is that there should be a thoughtful succession plan in place for board leadership as well. Okay, okay. That’s, the operational partner. Right? The board evaluating its own performance? Yes. Say something about that s o we’ve seen a range in terms of how what this practice looks like. So we’ve seen that some organizations will do individual assessments of board performance in terms of meeting attendance fund-raising participation at events, site visits and involvement in programs. But we’ve also seen organizations do a performance assessment of the entire board, right? So instead of individual assessments doing a group evaluation but now your standard says that is boardmember performances individually assessed him. Reported back to the individual yes. So you really want to see that as a standard, the individual performance we dio and bored performance also board as a whole performance also we do, and the ideas that were striving towards engaged board service and having an evaluation process allows board members to know where they need to up their game and where they’re doing great in terms of supporting the organization like that, you specifically say, and is reported back to the boardmember there’s no there’s, not a lot of value for the boardmember if his or her performance is evaluated and it’s only discussed among the executive committee that’s absolutely what am i learning as a boardmember if i don’t know where my shortcomings are so like, okay, we evaluate what we’re going to share it with you, okay? I don’t know, like i don’t mean really do ping pong, but it’s turning out this way, sharon, you wantto area three years comfortable with the financial management is strong, transparent and accountable. Absolutely okay, and so i think what we’re looking for here and this goes back to the idea that non-profits are built for the public trust that there’s an obligation to be transparent and to build that trust with their donors and a part of that for a lot of donors is understanding. And frankly, a lot of a lot of constituents of the organisation is to understand where the financials air at, so we want to make sure that as a team, minimum organizations or transparent about their financials, posting things like their nine nineties and their audit on their websites and making sure that those air easily accessible documents, but we also want to make sure that internally, they’re really regularly reviewing what what is their performance versus their goals, not necessarily their performance versus what life looks like right now, which is, i think, what a lot of profits non-profits end up doing, um, did you want to say something? No, i’m agreeing with you and yeah, and and i think i think this is really hard, especially when you don’t talk, i’ll just interrupt, uh, i think this is especially hard during times of economic uncertainty, and we’ve sort of we may have in parts of our non-profit sectors climbed out of the sort of two thousand eight uncertainty, although there’s still a lot of non-profits as we’ve seen in recent reports that are teetering on the edge and we want to make sure that folks are being as intentional as they possibly can in times of crisis or near crisis, right? And and so that means having a plan that goes beyond the sort of reactionary and his various you’re proactive talk about budgeting, budgeting for surplus. Exactly. Exactly, actually, that’s an aspiration? Yeah, just included. Surplus, right? And then also, we want to make sure that people are looking at their day to day sustainability because a lot of times financial, financial analysis is can often be done at a board level on a quarterly level on an annual, you know basis. And we want to make sure that the leaders of the non-profit are looking at what does this mean for your day to day? What your cash flows look like? How profitable or your programs are you investing money in the right places? Are there places that as painful as it might be? You have to say, this isn’t either profitable and profitable in the sense that the program can pay for itself. Um, or it’s? Not as related to our mission as it should be. And we need to think about the finances there. You you have something? A statement under standard, the organization’s chart of accounts is aligned with the organization and program budgets what’s a chart of account is that just an excel spreadsheet? So hopefully, i mean, i suppose you don’t know in some very small, so basically it’s, the way that your accounting system categorizes the way that you spend money, right? And some for some organizations, they could be incredibly detailed for other organizations that could be less detailed, but basically what the standard is, you need to know where every dollar is going, and you need to know whether that dollar is going to the right area, right? So if it’s restricted program funding, it should be in your chart of accounts as restricted program funding if it’s unrestricted and you’re using it for fund-raising then you should be able to tell how many dollars you’re using for fund-raising versus if you’re using for management or other purposes. Or maybe you’re using your unrestricted dollars to cover the costs of your programs because you’re funding sources don’t cover the full costs, but you should know where each of those dollars is going, and you should be able to tell people about where each of those dollars is going. Okay, we have about a minute before we take another break. Heimans and i want to get back to something if we could do this in a minute. Sharon what you were just talking about earlier, you know, the assessment for on dh, not wasting non-profits time. But it sounds like the assessment is something valuable. Is that available now? Knowing that the awards are in process or not wear? Where where can we find find it on and pcc. And why dot or ge? Do you know the the actual part of the website it’s on it’s under the non-profit excellence awards are and it’s called the assessment a readiness is matter-ness assessment? Okay? Because it sounded excellent. It’s i think it’s such a huge resource for non-profits. And they should take advantage of it all year round irrespective of whether you’re in new york and you can fly these awards or not. Okay, exactly. Okay, ladies, if you’ll indulge me for a couple of moments, we have more on these areas coming up first. Pursuant, they help you raise more money. Their tools are ideal for small and midsize shops. Okay, thank you very much, sharon. Thank you, marcus. Short indulgence. Thank you very much. Hey, well, it was important to talk about our sponsors graciously let’s move on. We’re in the next area four and melkis you want to take the organization is diverse and inclusive. I noticed that it it’s not only policies, but also practice, right? So as i said before, diversity and inclusion is one of the areas that we feel is a true value to highlight in our area. As i said, diversity is part of other standards across the country. But for us we thought we needed to have diversity and inclusion as a standalone area so that we can continue to focus on it as a riel area for management performance for non-profits and what we mean by that is that the organization’s practices and policies need to reflect a commitment to diversity and inclusion at all levels of the organization. So not just making sure that the staff is reflective of the communities that they’re serving, but also that the board and the volunteers are as well on. Do you include training’s? Yes, yes. I want to see training’s regularly with all these different constituent areas that you mentioned, right, exactly. So that everyone can effectively support and promote the mission on deliver on the performed the activities effectively that move the organization and towards achieving its policy wise. You have ah, you’re looking for. And this is a standard looking for a written diversity policy and a policy for reporting discrimination, right? So at this point organization, the selection committee is looking for for organizations to have a written diversity policy which is different from an affirmative action statement. But is where a lot of organizations just stop there on the election committee. Can you differentiate between those for us? Sure. So, sharon, you might have a better thought of these, but my for diversity and inclusion. My understanding is that the organization is stating those two areas and cultural competency as well as values for the organization and they’re informing hiring practices, promotions as well in terms of also the training of professional development that’s offering that are offered to the staff. Sharon, you might be able to distinguishing that with affirmative action. Yeah, i mean, i think affirmative action is a legal obligation, right? You’re not you’re legally prohibited from discriminate against people based on certain classes of identities. Well, we’re talking about diversity, inclusion, cultural competency and to some extent, equity, which we don’t really get into in the key areas but is an important part of the conversation. What we’re talking about is affirmatively embracing and understanding the value that diversity, inclusion, cultural competency bring to being able to achieve your mission, right? So it’s, not a sort of prescription it’s really a value and a business decision that the organization makes that we will be a better organization if we have a diversity of people. If we have a diversity of ideas, if we have a diversity of approaches to the work that we’re doing and making sure that that at a minimum that is encompassed in their policies and procedures, you know, and also assessed you have one. Of the standards assessing staff inboard diversity, yes, i mean and goals measured time against measurement against goal. Absolutely. I mean, i think that there is ah lot of people i think when they’re thinking about diversity inclusion, they often think about it as identity characteristics and that’s really important right race, ethnicity, sexual orientation, gender identity, religion, all citizenship, immigration status, all of those things are really important, and we want people to be aware of and tracking where they are at, especially as it relates to the consistencies that they’re serving. But we also want people to understand diversity as bigger than just identity care characteristics. It’s also do you encouraged disagreement that is healthy and constructive? Do you have diversity of opinions and ideas that can result in innovation and moving people forward? And we know that from the literature and from the research that that makes it that that makes business better, that makes the meeting the mission better. And we also know that people who come from diverse backgrounds are going to be more likely to have diverse opinions, right? So it all sort of works together two with the aim being that it’s our job to the best work that we can do to meet our mission, and if that means that we need diverse people, which we think it absolutely does mean, then that has to be one of the key things were looking at when we’re managing the organisation, it can’t be an afterthought or as the affirmative action plan might be sort of a legal, you know, legal disclaimer in our problem exactly, exactly. Okay, let’s stay with you, sharon. Talking about human resource is the human resource is air valued and developed now in small, small shops there’s very likely not even in h r for a person devoted to this topic, i mean, it could fall to i don’t know, theo, or maybe the executive director even this this could be a tough one other thing, i think it can be tough. I’m going to take a moment to say that part of the reason n pcc exists is to provide for our members thes trainings in this information so that they don’t have to have someone on site to still know what they’re doing, so there is a resource for smaller organizations, but i think it is tough. And i think that we do our very best to keep non-profits particularly are smaller members apprised of compliance issues and legal issues so that they’re running the best hr department that they or their running the best organization is in terms of hr as they can. But this is also about and and i was actually listening to your most recent podcast where you had against talking about happiness and well being, and this really is also about what, how we treat our our human resource is, like, literally after anna lisa sherman just exactly like the happy, healthy non-profit exactly, and, you know, really, i think we say hr without understanding, we actually mean, the human beings that are in a sit in are non-profit and we need teo and study after study shows your guest last week talked about this that healthy work-life balanced work environments which are incredibly difficult to achieve and non-profit sometimes because of the under resource ing and thie over demand, but really focusing on are your employees happy and are they are? Are they finding a work-life balance that’s going to make your business more effective, more efficient? You’re going to be reaching your mission. One of things you you’re looking for a standard. His job descriptions, including for well, it’s, aspirational. I think for volunteers, you have definitely job descriptions for employees on board members. And then is it aspirational when it’s job description for volunteers or is that part of the standard? I mean now volunteers when you realise they’re considered the end of the meeting, the mission. So now you’d be looking for job descriptions for volunteers, i think. Yeah, i wantto listeners. We have. Ah, just recently replayed heather carpenter. Her book is the talent resource platform, and she was just on a couple weeks ago talking about job descript. Specifically, the the segment was called your job descriptions could search that and also going backwards. One just occurred to me. Um, fields jackson has been on the show talking about diversity and the value of diversity in your non-profit his name again. Fields. Jackson. Okay, see everything else on, uh, a charm. And you covered quite well. Oh, succession planning is important. Charon. Right for ah, in succession. In hr. We talked a little about that with melkis. Anything more you wanna say about importance of succession? Planning? No, i think i think melkis when she was talking about it, with the board that’s really important and not a lot of non-profits do it, i will say the one thing that i hear most often about succession planning is the fear to start it because it might seem to signal a departure out of the organization on and really, i think one of the things that we’d like to see is tohave succession planning be so routinized that it begins on day one of the Job that on day 1 you’re starting to think what would happen if i wasn’t here, who would be doing this and who would be doing that? Because it also helps you figure out your chord structure and are due to the right people in the right places, and it helps you figure out your strategy and who’s going to put that strategy forward, and i think we have to get over this sort of, i don’t know and it’s almost like this embarrassed like shyness about doing succession. Look, if there’s if there’s trust between the bored and the video, then i think the board chair can reassure the ceo that this is not about your departure exacts about the long term viability of the organization and a potential crisis exact a cz well, as you know, you, you might decide that you found a job that dropped in your lap, and you want to take it five years from now or ten years from now, we need to be prepared exactly it’s all those things. So hopefully there is that trust between the board and their ceo. I could have one more thing, i think that what we’re talking about, a succession planning beyond the ceo that were also thinking about succession planning as an opportunity to really invest in the staff and going back to your first point about developing the talent in the organization and just building up the bench in the organization. S o succession planning is not just about the ceo potentially leaving, but also being really smart about who you have on your staff and developing them to take on more responsibility in the case of an emergency or in the case of just more opportunity, teo, grow and and promote your staff and that feels good for the staff to they see you, they see a career path within the organization or they see that when they get to a certain level, there’s a discussion of career path within that organization. So you know that i mean that’s promotes honesty and comfort within within the organization. You working for let’s? Go to aa number six. Let’s. Go. Sharon, if we stay with you for information technology, i feel like playing this ping pong game. I don’t like it. So information technology improves efficiency and advances the mission. You got some very basic standards. I hope these are not hard to meet. Offsite, elektronik back-up surge protectors, virus scans, firewalls. Are their organizations still struggling with just the standard stuff? I think so. And i think you know melkis khun speak much better than i can t the applicants that we’ve seen with the excellence words, but i think one of the things about it is that it is hard to find funding for specifically for idea. So you may have folks who know what to do and who want to do it and are desperate to get themselves up to the standards and really want to aspire to the aspirations. But there just isn’t. Any sort of funding that is earmarked for upgrading it tea or connecting your networks, or doing any of that if you’re including this in, if you’re if you’re a grants partially grantspace porter or condition partially, of course, because you want to be very diverse and your fund-raising including that in grant application, is that realistically no, no, i think if you’re right, it is important to running your programs and someone sponsoring your someone supporting your programs. It’s a direct and sometimes indirect, but often a direct cross for your programs. And obviously each organization has to analyze what it is for them when they’re making the application on. And i also think that we should be we should be thinking there are lots of really wonderful tech organisations that work on non-profit tech and i know you’re about to talk about why i’m probably they’ll do it not now. Is that technology’s actually supporting mission? Someone’s responsible somebody’s responsible for it. And again, this is a hard position teo create as a full time employee at an organization, right? And so we don’t think that responsible employment means that you have to have an afternoon for you, you know, on on on your payroll. But we do think that you have to be working with a night provider who is reputable, who knows what they’re doing, who is responsible. And, you know, it can often create many crises in the ways that you know firewalls, air down or whatever that are in critical to the organization. So they have to be someone you can rely on is well and making sure that you’re thinking about this is an interval business structure, strategy procedure, potter, not an ad on exactly equal to your to your business to your mission. They should be strategic, effective and build brand what you want, let’s? Open it up broadly. What’s this about. So what is this about? So this is about effective communications and planning. We think that communication should be strategic and integrated again. As we’ve said before, communication should not be an ad on or something that is just done every once in a while, communication should engage thie organization in terms of programs and other key areas of operations. It should be a organization wide conversation, and we’re proud to do that at and pc. See if we can put ourselves on the back. Andrea lee, i think that one other thing to know about communications is that it’s it’s two ways, right? So it’s, not just about what the organization is putting out there, but also how are we responding to what our key stakeholders and audiences are telling us? Are we listening right? And so it sze that feedback loop the loop and being mindful of the feedback that we’re getting and being responsive to that as well annual annual report, you want to see a robust annual report, right? So that is, i think, one of a key marketing to elena and a fund-raising tool that many organizations use and it’s it’s meant to highlight thie organizations, accomplishments from the prior year and so that’s one key way that they can communicate impact of the work that they’re doing, i would say that that’s external facing for the most part, this area also considers internal communications and the power of effective communications, too inform and motivate staff on dh so just making sure that that communications doesn’t stop with social media or e blast, but really thinking about how staff are communicated with as well. Um, you’re looking for hyre understanding among lots of stakeholders that they can act as representatives, outward facing representatives of the organization and that their empowered to do that right. So boardmember is there’s a good example? Right? So how can they be strong ambassadors for the organization? Bond? We we’ve seen organizations do this successfully when they prepare they’re boardmember sze to be effective champions, making sure that they can communicate the mission and the values of the organization and to be able to really speak to the impact of the programs and the effectiveness of the work. Other volunteers to rather volunteers. You want them, you want them to be empowered? Exact. We want people talking about the organization that they love, that they’re spending time or money with or, you know, i mean, these are critical. Resource is people e-giving you want you want them in power, right? You all right? See one of these? Oh, you have a nice ah, organization has this a standard organizations confidentiality and opened this policies and procedures sabelo about the openness policies. Is that is that basically we were were talking about yes, that is that. Okay, cover that. Okay. Yeah. Okay. And then confidentiality what’s that related to well, that you have the proper safeguards in place to protect confidential information both of the staff, but also of donors. A. Cz. Well, you wanna make sure that you have the systems and policies in place to make sure that that information doesn’t go beyond the organization and that only the folks that need to know it have it. I love the one two that’s ah sites website content updated regularly. Having this static website is not going to encourage people to visit on dh, melkis says. You said the communication is to go beyond social media, and that includes your website, it’s basic. But for for guess that we’ve had on this. Well, kibby larue miller was on recently because i interviewed her as part of a panel, of course. She’s, the non-profit that marketing guide guru, guru. But give you a room, miller’s been on, and you could search a tony martignetti dot com for branding or marketing communications. We’ve had lots of other guests on talking about that. Let’s, move on. Two fund-raising general, you don’t need us for this, tony. You could do this one way. Natural not fund-raising plan e-giving fund-raising and the child administration work i do. And that’s ah, minor minor part of what you’re looking for here, that resource development is strategic donor-centric and effective, the chief executive and development staff, together with the board, set the fund-raising strategy. Why? Why is that important sharing so inclusive? I think you can. And this goes back to actually what i think melkis was just talking about in terms of of who could be your ambassador for the organisation. What you were saying about multiple people should be able to talk about the organization, and then also something you said earlier about, which is also ah focus of this area that you’re fund-raising has to be diverse in order for it to be sustainable, right? And so you can’t really rely on one type of funds and be sustainable on along over a long period of time. So hear what we’re saying is the strategy to raising money can’t just come from the development director who says, okay, that’s, why i think our options are can’t just come from the d a who says okay, this so i know or can’t just come from the board saying, like, okay, this is what we need to do, it has to be a group activity and a group strategy because everyone is going to be deployed in that strategy, and you need to be able to have people understand what it not just what the strategy is, but where they’re headed in the long term. So we think that that work has to be done holistically in the organization, ok, wait can’t spend as much time on fund-raising as we did the other areas as critical fund-raising is so what i would like to do, sharon, is where can people find these areas and all the bullet point of this, some tub sub areas and the bullet points that we’ve been talking through? Where who knows best where to find that going to be on our website? My guests are gene allen and nancy rose. They’re session topic is moving social media into the non-profit board room. Gene allen, seated next to me is trainer and consultant, a gene allen consulting, and nancy rose is the executive director at the north carolina center for public policy research. Incorporated ladies gene, nancy, welcome welcome, thanks for having thank you. My pleasure, my pleasure geever a bit of interesting maybe i don’t know, maybe provocative topic social media in the non-profit boardroom and we’re gonna get through it very shortly, i just to shout out our swag item for this. This interview, which is from start male it’s, a very, very firm bug. I could hear that. If you’re not, you’re not watching the video on the backside from start mail. Okay, this is very interesting. Nancy let’s. Start with you. What what’s the potential for for social in the boardroom. Well, i’m coming at it from an executive director’s position, as well as in my former position as the technology person from our organization and moving boardmember sze into social media helps a lot with four duties, if you can get them to do tweeting for you communications, but not only that things like working in committees, if you can get them toe move online, and actually i let gene talk a bit more about it. I’m sort of the non-profit. Side kick teens. But there’s this interesting. Now, as a technologist, you became executive director. Yeah, i don’t think that’s very common now, it’s not, uh, how does that work? Well, i’ve been with the organization for a little over thirty two years, almost thirty two years. And our executive director had been there for thirty three and he retired and i was in the finance operations in technology side. So i was doing all of that side and ended up moving into the position about seven months ago. But you were broader than just broader than just technology. Okay. Okay, alright. Jeanne what’s the potential here transform how boards do work. Transformed. That’s. All right. That’s. That’s. Pretty dramatic. Yeah. Be creative. Duitz concept of fell fast. Just trying new things. See what the board could get involved with. Okay. We got two ladies from north carolina, by the way. So, uh, onda gonna guy actually, north carolina, just very recently, not thirty two years for me. All right, so let’s, say now the description includes i don’t know if you read this that you proof. Read this. Yeah. It says ah, this session is feared for those who work with leadership or boards, i think, supposed to be geared, but it does, say, feared snusz feared. There, i circled the word feared we’d like to keep people on their toes, so i don’t think geared. Yeah, so is their fear a in the board room around social? Are they so unskilled that they’re they’re fearful? You got a wide range of people on board? You get people who are ready to use social media to get people who like the way things have always been done. Yeah. Plus i think the point here also is people just don’t think of using social media this way. They think of using it to get boardmember is to ask for money. Sure, they think of events they think of broadcasting out and the ideas well, how can we take some of this these products that are out there and use them in this in that boardroom? Okay, well, you identified working internally and and having the board be external ambassadors on social. So how about we start with the internal? Because i think aside from the fact that this is not really very much thought of, i think the first thought would be oh, well, we could have them out tweeting as as you said, but let’s start in so let’s start internal, the board committee structure and the mechanisms of the board. Right. So what’s the potential here. What? What? What are they gonna do when i presented this before the group, some of them are well advanced in some of mark’s there’s. Kind of two. Two different strategies here. One is the idea that you can do collaborative tools. To get bored or committees to me. But the other side of that there’s been a lot of talk of this going on his conferences. What’s the strategy for just making change happen. How do you get people to try something new with a willingness to have that learning curve and a willingness to fail? That’s? Why, nancy, not make a great pair? Because i bring these great ideas and nancy tries them and then says, well, some of these work better than others. What can we learn from it? You know, great idea needs to be a diaper adapted by somebody. Okay. Okay. So what are some of the collaborative tools that we can that we can employ for our board? Well, summer simple, like google plus and just learned how to share your documents have been in a lot of workshops talking about the paid platforms that you come by. So, it’s, just the idea. Board, pack or board effect where you can have your whole board process online. The bigger non-profits alright, let’s not gloss over these resource ideas. Board pack is one right. Ph you and another’s board effect. Okay, so that is you buy a platform and you can have all of your documents, all of your information, and one space that’s organized now the people who work for the huge non-profit sitter nationwide often have these platforms, but the individual non-profits don’t have anything, so they have to they’re the ones that might be most interested. Well, those are our listeners, actually small and midsize. Non-profit so even though i think some of the people inside national organizations could learn, they’re there, i’m not producing the show for them, we’re so we’re targeting the smaller midsize non-profit so all right, so you don’t have to be his fancy as the ones you’re named right but simple google docks and google plus, right? Yes. Yeah, for example, with some of our board members with our committees. If we have boardmember sze that air taking notes for their committees, they can put those into the google docks so that everybody can can see that would add to them as well. Now, getting everybody to use google dogs moving them along sometimes takes a little longer than you would might hope. Say you have toe you have to try it and keep at it for a while. Before you, you decide that it’s not going to be working for you. Ok, there is this age dependent sometimes. I mean, i find that there are people who are all ages come with different expectations, but part of it is people the board members, you’re recruiting the new ones. We want to bring on the boards, bringing new skillsets how do we make sure they’re interested in being on the board? So the process forever has been paper driven? How do we change it? Make it more online? Ok, somewhat aged driven. But not everybody who is young uses all the tech called upon all the platforms and not everybody who’s older doesn’t use them. Okay, i think one of the other things is, you know, our board mirrors the population of north carolina, so they’re coming from all across the state there. You know, we have business people, we have academics. We have people in government, and they all use lots of different tools. And so trying to find one tool that everybody is comfortable using, that can be a challenge sometimes. Okay. How do you have you overcome that challenge? Well, sometimes i’m not sure at the moment the you know, google docks has been fairly successful for us. We do have board members that work and financial institutions that if they are asked if they’re remote ing into a, um into a meeting, they may not be ableto access google docks through their workplace wifi because of security reasons, so they either have to bring in a personal dahna device or they have to leave the premises and work it, but they they’ve been pretty good about it about doing that, okay, okay, songs you give me a heads up. So what are the potential activities that that boards could be doing around the social tool? So we mentioned committee meetings, right? Committee committee meetings between the full board meetings, other other things, they they’re cheating or what? Well, the other one of the things you want boardmember is to be is an ambassador for your organization. Instagram is a great example. Fifteen seconds you considered a board meeting and say, what are some points we could all make? Passed the phone around into a fifteen second video of each boardmember in front of the logo of the organization. So then you have some content you can put out once a month or whatever, and it’s, i’m on this board for this reason, and somebody else gives another one you khun planted ahead of time by everybody saying one of the points we want to cover shows the personality, the face of who’s on the board and people don’t think using instagram that way, and maybe you’re bored doesn’t come in and think that’s, the way they can show their enthusiasm. Yeah, yeah, we’ve also had boardmember tze, when we’re doing our nominations, process du videos of why i serve on the board and then we’ll post those on youtube and share have them share out so that people understand you have different various boardmember see why they’re passionate about the way you’ve actually done that once we have done that and then have the board members themselves share it, or they were or you have done it for them, we’ve shared it and tried to encourage them to share it. We’ve had less success. We’re still working on getting them, but they’re still working on that. Okay? Okay. That’s. Why? The beauty is you can do it on a phone right there in the room. You can practice everybody, does it instead of go home and do it. We’re doing it right now and we could look at it and see what it is. It’s fun. So you’re creating these board meetings that are fine and, you know, and look at this video, you could be silly and then do another one and just to make it have fun, ok? Excellent, excellent. What? Elsie? Glad i asked because i was just thinking of committee meetings on dh nancy mentioned the board minutes, but okay, motion content, you’re tuned to non-profit radio tony martignetti also hosts a podcast for the chronicle of philanthropy fund-raising fundamentals is a quick ten minute burst of fund-raising insights published once a month. So another example i use in the workshop we’re going to do is i take the picture, ellen, the generous tweeted out from the oscars remember that one that you have the selfie? Yes, our kevin spacey and much people, yeah, but just celebrity. So i did a little bit of research on this, and i found some other pictures where people kind of newsjacking s so so to speak. There’s one where there’s a picture, it is the picture right after the picture was taken, so it shows all i’m after they step back about three feet looking at the picture, then there’s another one that shows this person who’s associating united way, who then photoshopped himself into the picture with a united way shirt like you’re bored could do that. It’s just silly things to say to people, look, you can start newsjacking what’s out there mean jacking taking pictures that are out there and adapting them, getting your board toe laugh and have fun so they don’t just see the serious part of the job. All right now that’s a great one for the united way pictures. Great. Yeah, yeah. Like that film zelig, you know the woody allen looking up? He sees it through the kennedy assassination in that place that the lincoln inauguration hour and whatever you know throughout history is face is always there, okay, is there more? I mean, sharon, what else can we now internally still still keep it internal before we start having the board go out and tweet for us and, you know, facebook close for us? Well, actually, i think internal board management stuff so one of the things that i have found about twitter that’s very interesting is i find it to be a great search engine so you can put in topics you’re interested in and stuff pops up boards are always one thing they seem to not know his financial management, so you could get somebody to tweet with it. I mean, search within twitter and i for the trial run to this and found a free webinar there’s being offered on non-profit financials, so you could ask boardmember is to do some searching on twitter to find topics that might be of interest and bring it back to the board members so they could then have signed up for one or two people. Could have signed up for the webinar on non-profit financials seen what it was about brought it in and said here’s, a couple of ideas of what i learned so it’s using twitter is away toe search for information. Then i did an example had to do with lung cancer just for an example of a non-profit that might be with that as a focus, and some report came up from the journal of american medical association that if you were on that board, it might have been of interest to you and it’s one you would have found otherwise. So it’s just getting people thinking you can use twitter to find information, not just tow broadcast put it out, of course, okay, uh, nancy much much with on the board with twitter. Um, we haven’t had the board do much with twitter yet, other than searching for media outlets when we need to do press release those people in their area who we should, who we should be adding to our list and that’s helpful, but the most recent thing we’ve done internally with board is working with our board treasure we’ve implemented slack, which is, you know, sort. Of ah, tool that’s a combination of texting and file sharing all in one place. I don’t know this one it all okay, so it’s of the howto explain slack messaging. So yeah, so it’s sort of like instant messaging back and forth. You can have secure channels and you can have open channels that anybody can anybody that’s invited can be a part of so the treasure and i have a secure channel and that’s where we share all of our financial conversations back and forth our budget information, our treasures reports that we’re working on together so that it’s also searchable, so that if he puts in the word budget, all of the conversations that we’ve had with the word budget and all of the budgets come up in one place so we don’t have to go through lots of emails back and forth or have, you know, set up a specific site excellent that land slack. All right, so using it for internal communications so you and the board or boards could board committees could use it? Yes, and that’s what? I’m hoping we’ve started just with the treasure and i, but i’m hoping it’ll it’ll spread. Out toe have the rest of the committee’s use it. Very interesting. Did you find that one who brought interestingly enough center and ten brought it to me the antennas using it for their five o one tech club for there. What are we called? Were father one tech club in the raleigh durham tol arika oppcoll nc tech for good. Ok. Yes. Come visit sometime. I may so they started using that for communication tool between all of the organizer’s and i thought, oh, that’s a great idea to try with board members so i got used to using it with in town and then started trying it with with the board treasury. Okay, excellent slack. Ok, i love this resource is people khun you can go online and see if it works for them. I love those kinds of ideas i think listeners really appreciate. And the bass part that we’re using is free. So okay, so there’s a page version is the papers and you haven’t found a need for it. So funny before. Yet you said there’s security there could be secure or public. Yes. Ok. Ok, right. So i see how it diverges from email. Plus that they’re all concentrated to search all the remaining on board budget. Just search my communications with nancy. Yeah, talk about budget, and i also integrated double level search. It integrates with other tools, like ed ingrates with box and drop box, so that if you have files that are stored over there, you can just share a link to those files. And when you do the search with, then it’ll pull those up as well. Yes, that’s, what you mentioned, okay, excellent that’s, a great one, all right. Anything else? Internal? Well, they’re all kind of internal from the perspective of it’s, about looking at social media is a way to do the work of the board, so one of the ideas boards need to do is recruit new board members. So what would you use that? So we decided, how can we use link thin? And the idea behind lengthen is if you got all your board members to put that they were on your board, which sometimes people don’t even put that on their profile, then it starts toe raise the profile of your organization because there’s your name out there of people wanted to search, they could see who’s on your board, you could have boardmember put a statement while i’m on this board, he wouldn’t think to use linked in. It helps with your searching when you come up, and it also just helps with if if anyone was asked to be on your board and they might search to see who who’s on the board that comes up that way, who’s on what kind of skills they bring it. You should listen to non-profit radio because we’ve had people talk about some of these chicks linked in cars to me most recently, but you just mentioned, but we’re just and none of the tell you the truth. None of these are brilliant new ideas, the packaging them just for the board to say here things boards khun do right right with social, yes, excellent, excellent. Um, go ahead. Nancy was going to say, i think, gene, you have some, um, examples of using it for orientation as well. Well, that’s, my i like the fun when it’s using slideshare, which now is part of linked in. But the idea is, i’ve seen cem orientation. You can put your orientation slide, show up on slideshare, and then the idea is to use the concept of the classroom where you would do the work ahead of time, right? Flip the classroom where they where they look at the slide show or video first, and then you come in and you have your education after they’ve already looked at. Okay, so you take your somewhat boring, perhaps orientation to being on the board, but you can watch it at eleven o’clock at night and i could watch it it’s six in the morning and then you show up saying to people, come to the board meeting and we’re going to discuss what was on there. And i shows some examples that i found of a couple of groups, one of which embedded some questions and said, we’re going to talk about these questions when you get here, the ideas you don’t pull people into a room and use their precious time to look at a slideshow that’s one dimensional even though it’s important, they can look at it on their own time. Yeah, why slideshare and not other places you don’t have to keep changing it. It sits there. You don’t have to it’s just it’s. Ah threespot to put your information don’t have to go in and change it once a week don’t have to change it twice a year. Every time you have an orientation, if you upgraded, you could put something in there, and then other people who might want to know something about your organization might come across and go. Oh, isn’t this interesting? So the questions i get sometimes about that is what we have information we don’t want to share. Well, then, don’t put it in the slide show. I mean, if it’s crucial, we’ll just deal with that at the board meeting. Exactly. All right. But the key on that is to use people’s time in a wise way and say, we’re gonna use your time when you’re together doing things you could only do together and use the time alone where you could go what’s the slide show. Okay. Excellent. Slideshare for boards. Yeah. Brilliant. All right, all right. We still have a couple more minutes left together. What? Whatever. We talk now. Okay. Well, i guess i mean, i was organizing it inside and outside. Yeah. Let’s go. So let’s, go outside. Okay. Um, you’re boardmember xaz social media ambassadors. Yeah, yep. You’re doing this, nancy. So we’re just starting, i mean, we’ve had a couple of tries and fails, so when we’ve released a publication, we’ve certainly ask board members to repeat our tweets toe tweet out in comment, etcetera, but we’re finding we have a couple of board members that really do that, but we’re finding that if we go ahead and craft tweets and craft facebook posts and send them to them and all they have to do is cut and paste and they consent it from their own that’s what? We’re going to try for our next release and we’ll see how it goes, okay, yeah, i mean, the wisdom, the conventional wisdom is that you want make it as easy as possible for people to share and at least getting started, you know, write, especially for those that are not as comfortable with it as others. All right, all right, we’ll get there, but you’re you know, you said you’d try and fail, try and fail sometimes that that’s what we should be don’t fear that don’t feel failure. That’s part of the flow of the organization is not at risk for what your trying you know, you’re just trying some simple tweeted to twitter and facebook outreach try it, it’s creating the culture who were willing to trust something what works and find the two or three tools that work well for us. Part of this is bringing on new people on the board that creative class, the new thinkers. I had a friend who just joined the board who said to me i only want to join the board whether to one fun things and creative things. I don’t want to be on an old fogey board. Well, it’s not necessary in age thing, but it’s a tool thing sometime and a culture. Yes. What do you know? What are they using their board for? How were they using them? I was how engages the board. Okay, there’s. A lot to that. So do a lot of more development. And with the number one question, i get asked us how to get our board more engaged. So that started this whole presentation. How can we do things that engage? Boardmember is it’s not just telling him what to do but gives them a chance to create stuff? So the idea would be perhaps what i have a board come up with. What? Are some of the topics we need to learn more about, which is always financial management and then instead of staff driving it, divide it up amongst the board members and say, okay, here’s, some topics, tony, you’re going to charge the september meeting, we’re gonna have a ten minute time slot. We just want to do a little bit of introduction on this topic, why don’t you go look for it on twitter or look for a video on youtube and you bring the content to us and i wouldn’t ask you if you were the lawyer or the accountant necessary because we don’t want that high level. We just want some layperson description of whatever the function is, so you could bring in a a video you found on youtube said, hey, this is one about non-profit financial management that really lays out some ideas we could look at, so people are taking some ownership for teaching themselves how to be on the board nasco you’re doing that are the are board members bringing topics either on their own or once you’ve asked him to look into well boardmember zehr always bringing us topics study for our for our policy studies way. We have not had them bring topics necessarily for board development yet. Okay. All right, so we just have a few more minutes. I mean, another minute or so really men and a half. This is really it’s very motivating mean, they’re very simple things you contest. You know, this is no, nothing outlandish, but but true productivity, i mean, the idea of the of slack love that one, you know, simple productivity tools that board’s air just not thinking about and boards can be very paper intensive. Yeah, we but we all know that yes, yes. Created a culture who are willing to try new ideas because if we try i’m in the board room with using social media. We might come with other ideas for how to do fund-raising or take some ownership in some other ways. I have one. I’m going to throw out for you. I was in a board meeting for ah client organization, and they invested in ipads for all their board members. Now you have to give it back when you leave the board, but they’re boardmember it’s. Well, don’t you start with the minutes report packages leading up to the board meeting instead of these three ring binder is being shipped out all over your state or something? Just upload you put them somewhere. They all grab them from there, they will grab them for their own into individual ipad. Read them at their leisure so you’re not you’re not. I don’t know if they found that they saved money, but they know that they have safe time in copy and reproduction and on dh. Maybe they haven’t in these shipping costs because they have board members all over new york state. So i’m thinking north carolina, you know? So yeah, it’s an upfront investment. Although the older ipads now are a lot less expensive uh s so all the board packages they’re online, right? Please download it at your leisure and obviously have read it. And then the board minutes get circulated that same way. And we need to take the stories of the non-profits doing that and kind of write it up and share. So we get more people trying things like that. Okay, i agree. Yeah, we finally moved from eight and a half by fourteen hundred and thirty eight page paper board packets to bring your own device and download. Download the you’re doing that way just now got into that. Space, but it took about four years. All right, all right. And that is tony’s take two here is carly leinheiser from september twenty six twenty fourteen talking about creative commons welcome to tony martignetti non-profit radio coverage of the non-profit technology conference and t c twenty fourteen we’re at the marriott wardman park hotel in washington, d c with me is carly leinheiser she’s, an associate at perlman and pearlman that’s ah, law firm in new york city. And her workshop topic is share use remix an introduction to creative commons. Carly welcome. Thank you. Pleasure to have you. Thanks, it’s. Great to be here. Thanks. Thanks. And thank you. For taking time on a pretty busy conference day. What is creative commons that i think a lot of people have heard of and not so familiar with? Sure, so creative commons is itself a non-profit they were founded in two thousand won with a mission of making the basically making content on the internet accessible, so they developed a suite of licenses, which are basic copyright licenses that allow creators, artists, authors to disturb you work under one of these licenses, and that signals to anyone who might find their work that it’s freely available for use subject to certain different restrictions. So this is quite a service really it’s a certain unorganised ation serving non-profits and making content available, right? I mean, they’re serving not only non-profits but sort of ah, the larger idea of basically the commons there, they’re making a easier to put more works into not exactly the public domain because they’re still under copyright but making more works freely available for anyone to use. So the idea is that right now, the way copyright works is any time that somebody creates a work it’s automatically subject to copyright, you don’t have to register it. You don’t have to put a notice on it if you’ve created a work it’s copyrighted and so that’s what is known as the all rights reserved model and that’s, what happens automatically? So if you are an artist and you get benefit from distributing your photos online and having other people take them and incorporate them into their works, it’s hard to do that because somebody would have to seek you out and get individual written permission from you in order to do that, otherwise they’d be infringing your copyrights. Um, but most people’s experiences it’s incredibly easy to find content online that you can just, you know, screen, grab our download and creative commons brings the law in line with that experience that it’s fine it’s easy to find content online, it’s easy to incorporate it into new works. And so by with using these licenses, it makes it easy for people to know they have permission from the artist to do that. Do we need to know a little bit the basics of intellectual property law before we go to into too much detail? Well, i think that that sort of covers it so i could say copyright well, i could talk a little bit about it. Copyright is ah, is basically a bundle of rights that anybody who creates a creative work gets in there in their work. So you have a set of exclusive rights that you’re the only one they you khun the only one who can exercise those rights with respect to your work. And um, and then you can also assigned those rights or licenses rights out to other people, so you have the right to use the work to distribute it, to make copies, to make derivative works or a new work based on the original work, so that something like a translation or collage would be a derivative work and to license that out to other people. So what you’re doing with the creative commons licenses, you have your bundle of rights, and you’re saying anybody can use my work. Anyone has access to my work on anyone can exercise those same rights as long as with all creative commons licenses, you have to give attribution or credit. So you link back to the original work and then there’s certain other restrictions that are in some of the different licenses. Okay, andi, some of those different restrictions is get a little too technical. Know that’s that’s, sort of the heart of creative commons there’s. Six basic licenses. So all of them, including attribution requirements. So say i post a photo online and i license it under a creative commons attribution license. That means anybody who came across my photograph could take it, download it, use it, put it into a new work. All they have to do is give me attribution. So that means maybe linking back to my web page just putting my name on it. And i would normally specify how i want to be attributed. So some of the other restrictions are share alike. Which means that i would license my photo under a creative commons attribution share alike license meaning anyone could take my photo, download it, use it, make a new work with it. But if they did that and distributed that new york new work, they’d have to release it under the same license on. And this is a concept called the copy left. And the idea is that i’ve created a work that someone else is used. And then now their work is also in the commons for anyone to use s o, for example, wikipedia’s content is licensed under c c it’s, cc by essays or a creative commons attribution share alike license so anyone can use the content on wikipedia and incorporated into a new work, but then they have to also license in the same way so grows the body of work. Yeah, exactly. They’re two other restrictions. One is no derivatives, meaning you can download my work, you can share it or distribute it, but you can’t change it in any way, so i’m not allowed to make a new work based on it. So you’ll see this sometimes with some sort of reports that in the case of non-profits maybe report that you’ve published on a particular policy issue and you want that shared as widely as possible, but you don’t want people sort of taking accepts reinardy um or, you know photos or maybe personal histories, things that i’d like you want shared sort of intact on dh. The last restriction is a noncommercial restriction, so that means anybody could use the work as long as what they do with it is for a non commercial purposes. Ok, thank you, little detail. But details, i think, are interesting. I think they are. You think they are. I think they are all right. How do we how doesn’t non-profit go about using creative commons? What do we need to do? Right? Assumes we create something. I understand we have a bundle of automatic rights, but we’re talking about now making it available under creative commons license. Sure. So if you want teo well, i guess i’ll start with how do you find works that you could better license? Okay? Because they think that’s a lot more people have experienced with searching on flicker, for example. So if you’re looking for safe photographs to put on your website or incorporate into a brochure and you want to find a photo that’s, all you have to do is give attribution to the person who made it. Ah, you can go on. Flicker flicker has a search feature and also the creative commons website itself has a search feature where you can go in and specify what you want to do with the work, whether it’s going to be for commercial or non commercial purposes. O r all you want, you want the least restrictive license and you put in your search terms and it pops up. So when i was putting together my talk, i wanted to find pictures of cute cats because that’s, what people like to look at on a saturday morning esso i search for cute cats license under creative commons license and found a whole bunch as far as really seeing your work under creative commons license if you’re distributing it online, creative comments has a license chooser on their website, so you don’t even have to really know the technical restrictions you go in and you say, i want people to give me attribution. I want to allow derivative works or not. If i allowed derivative works, i want them to be released center share, like license or not, and i’m ok or not with the commercial uses, and then creative commons tells you which license you’ve picked on degenerates thiss html code that you can in bed on your site, which then makes your work searchable by license. Okay, you become part of the search results and and it generates a little button you can put on the work, so you’ll see in a lot of like footers of websites this you know, this pages published under creative commons license in which one? Okay, now the search function sounds pretty easy finding finding going back to finding content. Pretty simple. Yeah, it’s really simple. The the only risk is you want to make sure that that thing’s air correctly tagged so but it is really pretty intuitive. And you khun search you can search flicker you khun search through google images i think that there are more and more search engines that are supporting a search by license, so it is really easy to use and in terms of releasing your own content, any restrictions on what that content is? Well, i mean, it’s basically anything that’s subject to copyright so you wouldn’t you use a creative commons license with se your trademark or something that was protected by patent law, not copyright law. It also doesn’t deal with model writes in photographs, so if you have a photograph that includes an image of a person, um, creative commons doesn’t really deal with that person’s, right of publicity or protections that they get for being in the photograph. So there was actually a litigation over this issue where a company used a photograph that included an image of a person, and the photographer had released the image under creative commons license but never secured the model rights s o the person in the image sued the company and ask them to stop using it. Okay, are there other other cases that air don’t necessarily mean litigation case? Maybe client examples? You know that air that interesting, that and somewhat, you know, instructive. Yeah, so, no, i don’t have any specific client examples. They do have some examples i found in researching for my talk. One of my favorite it’s actually is the brooklyn museum, which is i live in brooklyn, so i have a lot of pride for the brooklyn museum. They do really interesting things with their they’ve done two very interesting things. One is that a lot of their collection, they made their collection searchable by license. So much of their collection is very old and in the public domain, so you can have search their collection online and see what’s in the public domain and use those images if you want, and i actually incorporated a few of their images into my presentation and where stuffs not out of copyright but they on the right, innit? They’ve released it under creative commons license, so you can use some of the works in their collection. Another interesting thing that they did was in connection with the show they did a few years ago, go called who shot rock n roll, which was a siri’s of portrait it’s and photographs relating to rock n roll. They did a remix contest, so they had chris stein and believes his name from blondie put together a bunch of tracks that he released under a creative commons license. And then anybody could download those tracks, remix them, upload them and those tracks would again be really center creative commons license. And they picked a winner and they’re all available on their website it’s really interesting. So it was this great way to engage with their community and sort of further their mission of, like getting culture out to the public on really engaged people while completely avoiding the issue of having to get signed releases and have people wave their their rights or sign rights. Tio in their tracks that they made to the brooklyn museum, they were just available to use, which i think is a really interesting example of what you could do. So photo contests, anything like that. Video as well. Video? Yeah, absolutely. I think on a new tube, isn’t there? Ah, little pull down window, whether you want to use a have a standard creative commons license to your video yeah, i wouldn’t be surprised i’m not positive, but i think that sounds right. Ok, i think they have a three or maybe four licensing options, and one of them, i think, is standard creative commons license. Yeah, and actually, when i was uploading my slides teo the ntc, they asked whether i wanted to release my slides under creative commons license or not, so they’re they’re on top of it is excellent, you know, i don’t know what teo asked specifically, but what more do you want to share that we haven’t talked about? Let’s? See, i think i mean, one of the things that i think is most interesting for me is they think a lot of non-profits have have sort of limited experience using creative commons in looking for photos and things like that on flicker, but i think that there are a lot of great examples of non-profits releasing their contents under creative commons license, so not only so the brooklyn museum is a good one, yeah, but and wikipedia is another one. There’s another organization called teach aids that creative commons features it’s a case study on their site. They big they make sort of educational health materials that are really sandorkraut of commons license so anybody can download materials from their sight, redistribute them on. And i think for non-profits that have any kind of educational mission thie idea that you could create these materials and then just release them out into the world and they would be freely shared and no one had to worry about, like, violating your copyright if they wanted to download a report or, you know, i know your rights pamphlet or health materials, those kind of things i think are really great uses for creative commons, particularly for non-profits that have a mission based on education, where you’re not worried about so much selling individual copies of your materials, but that the more you get the word out about your organization by distributing materials, you’ll get your name out donordigital here about you, and you don’t have to worry about the transaction costs of negotiating, you know, okay, that person could buy a copy. To do this or that so i think it’s one of the more interesting things, all right, i hope listeners will pay attention to a creative commons both in terms of their own you’re your own work and searching for others as well. We’re here at nextgencharity and i have the pleasure of speaking with south code hyre regina. Hi. Um, question when you were giving your speech, you were talking teo charities about how to adjust to this new world of work. Can you give a quick summary of what you were talking about? I’m not sure i’m happy with the word adjust. Okay, as a revolution. But this is the first revolution since tv nineteen. Fifty and henry ford nineteen twenty. It’s the revolution of our lifetime. If you look at the revolution, we are buy-in and you view it as something one needs to adjust to that’s a little bit like being a horse sales and say i have to adjust to the car. No, you have to embrace it. You have to dive into it. You have to figure out how do i use this open door and this opportunity to make a dent in the universe. Right? So from that perspective than what do you recommend for people? Tio? Jump in and embrace and revolutionize. And teo, you know, innovate three steps ship, get it out the door haven’t intersect with the marketplace until there’s an intersection. Nothing happened to connect. Understand that the internet is a connection machine. That’s what? It’s for that’s what was invented for wasn’t there to help you sell shoes was there to connect one to another. So you have to keep track of how many connections you’ve got and what are they worth? And number three is fail fail. Often people in revolutions fail in nineteen twenty. There were two thousand three hundred car companies in the united states. Think about that for a minute. Wow. Right. So you don’t say i’m going to start a car company if i can be guaranteed to be general motors. No, you say. Well, give it a shot. Let’s. See what happens and that’s, you know, non-profits have so. Much at stake in the on the upside and so little its take on the downside that there is no excuse whatsoever for them not to make the choice to ship and to fail and to repeat, because if you do nothing, you’re going to get what you already got. But if you do something and it works, then you can make some lives change. Great. And so this connects to your point when you brought up charity water and and i do remember, you were saying, if you d’oh what scott does it’s not gonna work, so can you expand on that goes back to the idea? Purple cow, right? You know, marcel duchamp was a visual artist, and he was a dada ist he put a urinal into an art exhibit, and it was a sensation. The second guy who put a urinal into museum was a plumber very big difference between being the first guy in the second guy. So if we’re doing art, if we’re making conversations, if we’re telling stories that spread, we have to be the one who does it first, you have to be the one who does it in a way that impacts people, if you say, well, i’m just like that guy, but me, we’re going to go with that guy. He was first, he got our attention. Now we don’t need you. We’ve solved out whatever problem he solved, right? Okay. And just one more question at least, is that with nextgencharity, you know, there are a lot of new charities here, but with tony, he does a lot of work with plan giving. You’ve got to be around for ten years and before you can even start that process so and people are trying to keep up with, i’ll bring him up again. Charity water people are trying to keep up with these new guys. So how do you help them or what can you say to them? The older charities that are still going well, i would start by saying this that ten dollars, texted donations are dramatically overrated. You can’t count on them, you can’t build a real organization on them, they’re flashy but that’s not the future permission is the future, the privilege of anticipated personal and relevant messages to people who want to get them. The american cancer society has permission the legacy charities have permission and they’re blowing it. They blow up the way politicians blow it to get your e mail address they have for you for money until they burn it out and then you’re gone. The answer instead is to say, these people care enough to listen to me. How can i say something to them that they want to hear? How can i create platforms and scenarios and stories that make them look forward to hearing from me? How do i take this permission and nurture it and grow it over? Time has supposed to slam bam! I got to make this quarter’s numbers of the board’s gonna get mad at me. Mindset. That shift is a fundamental shift from the tv spams economy to the connection permission economy that we live in now. Okay? And just one more thing in terms of revolution. What? I talk about this in terms of what i do, which i won’t talk about a lot. I also talk about how in some ways it’s going back, you know, it’s. Like when your grandfather was talking, teo, you know, whoever and they’re just talking over the fence. It’s just it’s nowhere fancier and flashier. Would you agree? Your dad? Actually, they call it a global village. And when they think about it, what they mean is, tribes are one hundred fifty, two hundred fifty people who care about each other. Well, now it doesn’t have to be geography. It can be one hundred fifty people in united states who all grew up in that village. And all grew up in that slum who are now coming together to fix that thing. It can be the three hundred scientists who care the most about the truth about global warming and want to connect over that. So it’s. Yes, it’s, that conversation over the back fence. But it might be digital. So stop worrying about slamming strangers and start worrying about creating friends. Okay, great. So thank you so much for your boss.
