I appreciate that this week we excel in email execution, it’s going to be dave pulis davis principle of granite partners and he’s going to share five elements of effective email marketing and also have other tips about list hygiene. Good morning. Thanks for having me, it’s my pleasure to have you welcome. Dave is the ceo and chief consultant of granite partners, which you’ll find out granite hyphen, part p a r t dot com he has been creating successful marketing programs for clients, mostly in the washington d c metro area for over twenty five years, and i’m very glad that his work and his expertise in email marketing specifically bring him to the show. Welcome again, dave, thank you, david. What does somebody do if they don’t have an email list to get started with him as well? Talk about building the list before we talk about what to do with it. Uh, there are a number of approaches that depends on what situation you’re in. If you’re looking for consumers, there are off a lot of ways to build a consumer list. Um, one of the more prominent and more recently evolved is the social media. You can use social media to evolve yourself into an e mail list based on friendster, facebook twitter followers linked in connections those kind of things can all be gathered and uses a colonel for a personal sort of networking list that you can use to promote whatever business you’re in. Okay, we’re non-profits fundraisers, it’s a little more complicated. Okay, well, that’s let’s deal with complicated cause. Our audience is small and midsize non-profit so that’s that’s where we want to be how should they go about it if they have a list of people who have been supporting them? Maybe just for a couple of years, maybe for many years, but they don’t have email lists. Uh, probably the first thing to do is make sure you have permission to communicate with their members are builders. They say something. Do you have a least an address for them? Send him a postcard asked him to send you back their email address. In response, you’ll give them some sort of data special report or a copy of research or something the value to them in response in return for them giving up their email. Okay, so use their their physical address to get their email address or okay on your website if the organization has a website. And you simply ask visitor’s log in before they can access certain pieces of it or certain information that they need include a lot to give them your e mail address. In that way, you can collect it and use it for later. Okay, so maybe not to get to your home page, but to get to some deeper content on your site. You mean then then there’s ah, little there’s an access that requires email address that’s one good way to do it. Because you’re making sure that it’s not just a casual visitor, you’re having themselves collect by their level of interest. Okay, okay. What’s, what you would end up doing if you if you put it on the front of the home page, you’re going to get every tom, dick and harry that entered that in the search. They wanted to see the front page and make sure they got to the right spot. See if there’s anything of interest there at all, you make them register, you get their email address, you send out e mails. You wasted all that time, money and effort to maintain the list. And they have no interest in on what you’re offering right? Ok? Or you might even just turn people off who might have an interest, but they said just to see the home page, i have to sign in, right? Right, you’re going to get some abandonment issues, they’re for your for your web page as well, and there are people that have a legitimate reason to see your front page and can use the information, but that you don’t want to write. I love how you call it abandonment. I’m not going to put you in jargon jail for that way have jog in jail here on tony martignetti non-profit but i already know you. I said it and then you called it abandonment. I just love the you know everybody every every business has its has its language. So abandonment issues. Yes, of your plus, if you know if you having spouse problems, that could be an abandonment issue. But we’re not going that deep again. That’s a different show that’s ahold of yes that’s a whole different person. Um, abandon ministers? Yes. Alright. What about what about events? And if you’re hosting an event, maybe just put post cards on the table at the events or something like that. Anytime you’re gathering an environment where you have potential donors or potential participants, you want to make sure you’re gathering, collecting email addresses, okay, people importing them on their business cards. It’s a good way to start raffles contest, even offering as i do on my website content in exchange for the information we talked about it buying, offering by mail some sort of special report i offer electronically a report on my website and i forced people to give me their email address, so i consented to them. Okay, electronically and it’s, a much fairer trade and people who are looking for something to read like to receive free reading material and return. It makes a lot of that now. Will people see that example on the site that i gave the girl to granite hyphen p a r t dot com they will there’s a new report there on how engaged customers on the left hand column. If you click there, you’ll be able to download on a free pdf of a report guard through some research. We did a little while ago about how to engage customers. Also have tto log in. To give me your email address, i can send it to you, you’ll get a response back that tells you yes, we received your order, and if you like anything else, please let us know, and you’ll also get a confirmation of the fact that you received the order and a questionnaire about whether you like it or not. Okay, so i assume those are all the best practices because you’re doing them for your business, it’s all automatic. I don’t have to do a dog gone thing, and it makes people connected to me much better and gives them a lot more opportunity to give me feedback on the information. And unless they collect their name without creating too much of a problem with their identity and something you alluded to in that description of the way you’re recommending things go about o r non-profits go about building this list is having permission. What? What is what is permission? Marketing and how do we get permission? Permission marketing is a critical step in producing effective push down marketing. What you’re essentially doing is letting people to give you their permission to market to them. And that does two things. One engages their level of interest and let them self select what they want to receive. Two it also tell you how they want to receive it by medium, he opted in is a way of gathering permission marketing. If you send out an e mail to all your members, say ifyou’re non-profit membership organization and say, we’re updating our record, we’d like to give you would like you to give us your email address so we can communicate with you that way. Check the following boxes about what’s appropriate what the best address to use is if we have this information correct listed below. Check that and we’ll keep that. And also, if you do not like to receive anything from us, check the box below to opt out, so opt in permission has sort of past it if you give them an opt out option it’s a little less over on a lot of people to sort of ignore it, which gives you sort of tacit permission to market to them. But the trick is they’ve given you the information and are allowing you to market to them directly without being directly at fort alright, and then you as the e mailer as the non-profit have a responsibility to honor all those selections that the person has made. Absolutely. And if you don’t honor them, your reputation with that person and in general, gets tarnished to the point where it’s almost unusable, and we’ll go into that a little further with, with the a little later on. Dahna hello and welcome back to tony martignetti non-profit radio we’re live today with dave polish. We’re talking about excel in email execution and since we’re alive, that means we’re taking calls so you can call with a question for dave about female best practices. Frustrations you might be having the number is eight seven seven for a tow for one two oh eight, seven, seven for eight o for one two. Oh, dave, now we’ve developed this list. How do we keep it clean? What’s a clean list? Well, cleanly is one that functions and deliver your message precisely where you wanted to go every time. And there are a couple of things that you need to start with. You’ve built a list that you think is right. The first thing is to make sure that what you start with is good, that we all know about computers, garbage in, garbage out. You have to make sure that you all the addresses fit and conformed to the format for proper email address. Okay. Typos, bat fingering the addresses, getting things backwards, transposing characters. Email addresses are far, far higher accuracy level than postal address. Write the e mail. I just has to be exact, right has to be perfect, another perfect every time or it will not go. I know what you have to do is check it bilich manually and electronically to make sure that all conforms and you, khun, send every piece of mail on their towards both to go ok is the simplest way to do that. To send a test email to someone to verify that on dh, then get their permission in the way you described is that is that a decent way to do it? Uh, you’re better off eyeballing a list firsthand mechanical and then going through optically and and making sure you haven’t missed anything. Because if you get things wrong, you may get stuck or trapped in filters and create problems. And what that’s going to do is block you when you get the right of duitz okay, you want to clean it up visually? First, as best you can make sure that all the symbols are right before the domain name it’s not a exclamation point instead because i’m gonna get the wrong key. Happens a lot. You can do search and replace doing this. It takes very little time. To do it electronically and then go through and i bought a list they just have to three people looking over, make sure there’s no glaring errors. You want to make sure that all the domain names that have the letters spam in them are taken out those traps put in there by the sometimes when you rent list more often than not, but occasionally somebody’ll flip one in there. When they’re registering, they’ll give you a bogus address that doesn’t really exist. You want to pull out the ones that have a domain name that’s sort of suspicious looking, you’ll learn about it after a while to make sure you’re getting exactly what you think you’re getting, okay, so to get behind to get into the content, let’s say so this wouldn’t thiss wouldn’t be people filling out cards at an event, probably or mailing back in response, it’s when registering so people might give bogus address you know i don’t have such a good hearted person, i don’t even think of e don’t even think of people cheating on something so simple is that really learned over time that it’s ok, you fill out a form somebody’s going to send you back something, and often those lists are sold over and over and over again, and by the time the third generation sale is over, you have no relevance to the list of all right, and you’re getting stuff that you really don’t want it clogging up your e mail box, and you don’t want that, so they either make up a fake address to give you so that bill passed through the filters as a legitimate address initially, or they’ll give you one that they never open, which isn’t gonna do you any good. Anyway, a lot of those gmail accounts or a well accounts that are free people will just have one of those strictly as they used to fill out all that junk drops into there. I see you don’t want to be in that list. You want to see a legitimate lift with a legitimate carrier, verizon or comcast, or or one of those for home and the businesses typically you want them to reflect the domain of the business there. Part of that tells you a legitimate what gmail but gmail dahna all those could be legitimate accounts, you couldn’t you couldn’t screen all those out? No, you can’t, but you can see one that looks, uh two, far from their real given name. If you have that to compare it to, uh, nobody’s registering, you know, as nerd sixty five jool and they’re not giving you a scientific address or their name is fred spelled backwards or something. You start to look at the bogus ones and figure it out. Okay? And since you did mention something that we hadn’t talked about in developing the list, let’s, talk a little about purchasing a list. What is that valuable for the small or midsize non-profit purchasing a list rental and compiled lists can be of value. You have to be very careful about the source if you go through a legitimate list broker and you’re looking for a very legitimate piece of a database that concerns especially business addresses. Yes, you can gain a lot out of that because those things have been double opt in check they’ve been verified on a monthly basis that they do exist and they are really and that they do fit the profile that you’ve selected when you rented the list. Now you have to keep in mind that those are usually for one time use only, and you cannot reuse them unless you have a special agreement from the renter compile lists are another story, those of those public things that you could buy that say have been scraped off of websites or have been captured out of the air from from email conversations and that kind of thing. Hackers will market these things to bring an extra bucks. They’re not very useful, they’re not very male herbal, and you’re getting into some serious spamming trouble by even attempting to use most of them because they’re loaded with with the monitors and traps and keys in their little tell people that you’re ok, then you want to be working with a legitimate company that you can verify you mentioned scraping off female what’s your trading closely to jorgen jail has, and it sort of has a a suggestion of what it is, but but i don’t want you to even be anywhere near drug in jail. So what? What is scraping somebody’s? It sounds like unsavory practice. It isn’t unsavory practice in its connotation, and it is information what you want to avoid. There are people out there, who will go to a business website and literally capture copy paste electronically scrape off every email address that’s buried in there. Your entire staff listing all your if you’re going to a law firm, they’ve got every lawyer listed on there with a love with a separate email address for them, they’re going to scrape all those off of there and compile them all into a big list. Listen, this may be legitimate, but they don’t know who they belong to or what they go to what level of persons is they have no information that goes with it, it’s just a list of addresses, as if people would really want to communicate with a bunch of lawyers or anything. There could be no manufacturing firm or, you know, the post office website or anything. They just gathered a bunch of e mail addresses from a bunch of list. Sometimes they’ll use. They’ll sort of piggyback on someone else’s, the internet activity as well, and their going from site to site start scraping through that. Okay, it gets very, very tedious and very touchy when you start doing stuff like that because you have privacy issues, you have legal issues? Uh, spam laws have teeth in them. Ladies and gentlemen, they can sue you for spamming. So you want to be careful what addresses you’re using and who you’re sending? Okay? And i didn’t want to suggest that. Buying a list from from verifiable source would be a good way of trying to get donors. I mean, as a fund-raising consultant, i didn’t mean to suggest that this is a way to acquire new donors, but maybe to acquaint someone with your with your non-profit but you’d have to be very precise in the type of list you bought in terms of the interests of the people. Is that is that possible, dave, to drill into get a list of people who are interested in, i don’t know environmental activism, and but maybe in the pacific northwest, i mean, do the lists from vera from from stable and appropriate cos come with that level of detail, some do, and some do not, uh, they’re further a head for business than they are for kapin consumer availability, drilling that deeply. Okay, if you drill down into segments that deeply on consumer list, chances are good you’re gonna have to pay a pretty penny for it. A good place to start with that if you have a specific interest, they look bilich environmental, you would want to try going to print publication that deal with that concept sierra club or audubon society or any of those that deal in environmental issues routinely subscriber list from them could be segmented by geography. And you could also rent additionally, email addresses that go with those mailing address him that way. Excellent idea. Okay, because that, yes, you know, the publications targeted. Okay, great. All right, so we need to get around that trying to pull that out of a compiled list is virtually impossible. Okay. Okay, good. Thank you. So we’ve developed our list. We understand how to get it clean and make sure it stays clean. Has to be maintained another thing, because now thing out, once you’re going to get some activity coming back from it, not only response is that you want, but response is you don’t want your going to get people that ask you to take them off. You’re going to get because you missed the target. It wasn’t who you thought it was not interested. And they don’t want you to lock up their box for the next six months with stuff they don’t need. That’s a good thing. You like getting those out of there? Because that saves you time and money. Yes, too. You’re gonna have people that were out of the office that day and i just bounced back and told you they may get hurt or they may not. Three you’re going to have bounced back for another reason, theis, and that part of the country was a little slow that day and missed something. There was a glitch in in a certain segment of the internet that went down for a moment your mail got trapped in it could be any number of other things. There’s a whole series of bounce back code that the internet service provider will give you that helps you interpret those bounce back unless you separate them out and decide whether to keep that address that is a temporary thing or whether it’s permanent it’ll tell you if you got the address wrong, if that person’s not at that address anymore. If that business is not there, that remains not active. Whatever they’ll tell you. What the problem woobox with it, when you learn how to read the code, we got to get those out of there. Once you’ve sent the first one, you’re gonna have to be prepared with how to deal with all those. Things that bounce back and those happen fairly quickly, usually within the first hour or so after you send it. Okay, so that’s that’s really list maintenance and that that’s going to be happening every time you send to your list sounds like there will be a certain level of activity depending on how little that down to practically nothing. Yeah, alright, depending on how many people you’re mailing to if it’s just a few hundred, you’ll have fewer of those which is get you in fewer because you’re making good decisions based upon those code taking the bad ones that are going to be permanently bad out. All right, you’re not re mailing, right? Okay. So, uh, well, let me just remind people that my guest is dave polish he’s, the principal of granite partners. And we’re talking about ex selling in your email execution. So then, dave, we have developed our list and it’s clean, and we’ve gotten the appropriate permissions and we know how to maintain the list over time. You have some elements of effective messaging, actually. What to say? What? What? What’s. Your first bit of advice on what the content of the message should. Be, uh, some of it is what to say, and so that is how to say it. Okay, um, the first thing you’re going to notice is that with the new influx of mobile customers that are out there that have their email come to a mobile device, you have far less real estate with which to impress the recipients you have basically a from a dress and a single subject line that’s all they’re going to see on a mobile device there’s no preview function. So what you have to do is make sure that a the address you’re sending from is from a brand they will recognize or at least understand. So whatever service you are using to send these out, if its outlook, you have to set up a box that sort of carrie’s co-branded makes sense for the outgoing mail or if it’s a service, you want to make sure that they’ve gotten you on outgoing address that reflects your brand so that they know who this thing is from and they recognize. But wouldn’t wouldn’t the service just be using your own? You’re you’re non-profit domain name, sometimes they do, and sometimes they don’t they have what’s called rotating? Yeah, what’s. A rotating what’s, a rotating. Why would they understand? Why would they rotate for the same non-profit why would they use different domain names to send from? They’ll mask them behind an existing name, so the recipient will only see your name, but they’re using ten or twelve different outgoing addresses because they could shove more down the data pipe. That way they can spread your list out, get it out the door faster, but if you’re a non-profit you want it to come from your domain, absolutely time your domain is that the physical space that your domain inhabits doesn’t allow enough passed through dahna you can’t shove enough email through it fast enough because you just don’t have enough bandwidth, you didn’t run enough stone, so what happens is they’ll spread it out and they’ll mask it. They’ll refer to your domain name. The recipient only sees your domain, which is good, but they’re using ten twelve different ones with sam filters will pick up on the sub and block things out on who’s, the who’s the day that we’re talking about is this a company like constant contact? Is that o r who’s today you’re referring to there are service providers after that do nothing but deliver both female. They are, they’re registered there, certified they’re they’re very, very compliant with the service providers that give you internet access and then actually deliver and carry the mail. This is a middleman that you would go to as a non-profit if you have a list of of ten or twenty thousand potential donors that you’re going to be sending to routinely, you’re not gonna be able to shelve twenty thousand addresses through your outlook account and with any kind of accuracy or time limit. Okay, so what you’re gonna do is anything over about two hundred names you’re gonna want to goto what provider that sends out both female for a living that’s all they do and is constant contact an example of what you’re talking about male chimp? Is that an example? Or there are eyes that i am i in the wrong line, the wrong space, you’re in a similar space in a different scale gostin contact and male chimp and those kind of things arm or of the do-it-yourself version of that, their sort of big versions of outlook, they’re attached to larger relation all databases that lets you get mail out in larger volumes by yourself from your workstation, ok, here, but if you’re sending ten and twenty thousand, even though we’re gonna have a problem, they’re going to start to bog down and go very slowly, and they’re going to use up a lot of bandwidth, okay, but for our audience of small and midsize non-profits the ones i mentioned, what might be suitable absolutely after they’re a great way to get started. If you’re looking at that between two and five thousand names of any kind. Yeah, constant contact, be a very good bargain, ok, dave, we have just a little less than a minute left. Why don’t you tell us what you think is coming next? What’s the what’s, the next generation of email going to look like email’s going to get a lot more robust in the next six months to a year, you can bet on the fact that you’ll be able to embed photographs and video in your outgoing e mail and have it be interactive and reacted currently, if you put an image in an email, you run the risk of having it be screened out by spam filters or by network. Firewall because they don’t allow images, they scan for them and they remove the as being too large, and they cut down on the volume of data traffic so they get rid of them. So if you’re putting an image in there, one of the things we tell people who don’t let the image tell the entire story, have some text that tells the story because the image probably going to make it and you see video coming in email, absolutely video will be able to be embedded in outgoing email beyond the capability we have today where it’s, just a lincoln it’s, actually resident somewhere else. We’re going to be able to actually carry video imagery on before too long. All right, we have to leave it there. I chose planned giving as the subject of my evangelism on this week’s blawg, and i’ll just share a couple of the things that i think go into being an evangelist for what you do. Yeah, i love it, you know, in my example, you gotta love plant e-giving you gotta recognize that it has value for non-profits and for donors and for their families, and recognize the good that it khun do for society as you’re helping charitable missions. So whatever it is that you want to evangelize about, you really have to love it and be unashamed about your love of it don’t talk you know sort of humbly or shyly about whatever it is you want to evangelize about, you got you need to be out in the open, you need to be enthusiastic, which should be easy because you love what it is you’re talking about, so carry that enthusiasm don’t don’t don’t talk, you know, sort of humbly about your your love of the subject you want to evangelize about lear, love of your work and and and as you’re being unashamed, spread that word, spread it to people that you work with, people who are in your network that you don’t work with, um, when the topic comes up, you know, what do you do? What do you love doing? You want to be unashamed about sharing it, and you want to use the opportunities that you have to spread the word. I’m joined now my guest is claire meyerhoff. Claire, how are you doing, tony, right, how are you? Pleasure to have you back. I’m well, thank you very much. Claire meyerhoff is editorial director at the plant e-giving company, and she is the creative producer of this show. We’re going to talk about howto write for email fund-raising so that your messages get opened, read and respond to do so. Continuing the topic of excel ing in email execution claire so dave paulus sort of left us with write a perfect point, i think, talking about the header of the email he talked about where it’s from what’s your advice about the subject line of the email? Well, the subject line is really important because if you think about your own email use, what do you do? You’re on your iphone slip. Through it. So the subject find is very important and what you want to do, it make really some buddy. So so whatever you are promising them, you need to deliver it on the inside. All right, clara, i’ll tell you what were you sure need to repeat? Actually, what you said about the subject line because you were you’re breaking up. You’re on a landline, right? I am on a landline, and i’m hearing some feedback. Okay? I know the feedback is a little challenging. Try toe, i guess. Talk through the feedback and or maybe not listen so much, but just just talk on dh when you’re done talking, then put the earpiece back to your ear. But could you tell us again what your advice is for the subject line? I’ll do that. Ok, ok, my advice for the subject line is the subject line is going to be the thing that the person will either open it for. They will delete it so your subject line needs to be something that is really, truly news. What? What is it that you are going to be telling people or you want them to do or you want them to hear about most? So put that in there and basically only about thirty characters or so because they don’t even see the rest of us. Put your good stuff up front. Yeah, you sort of have to write that like headline, right, it’s, it’s, a lot like a headline and think about the news business and think about why you pick up a newspaper and read it it’s because of the headlines and any new yorker knows that york post the daily news, they’ve had a long history of really pretty interesting headlines that really grabs your attention. So think about the same thing with your non-profit what is your non-profits headline? And what is the headline for this newsletter that for sending people something generic, like may newsletter june newsletter? Okay, yeah, i have to. Yeah, the new york times are the sari, the daily news and the new york post. My favorite. Well, one of my favorites there’s a whole book about new york post headlines, which is it’s called topless body in head headless body in topless bar. Aunt, i have a copy of that, but it’s a headless body in topless bar from a murder. But one of my favorites was when jack cousteau’s ship crashed and the headline was calypso collapse. So isn’t that genius? I just have to show you right now, it’s go on and you’re like a save the whales organization. You’re not gonna have that to live so collapse. So are anything like that? So i think that’s pretty cool, it’s. Hard to be that clever. But those clever and you know what? If you were that clever, someone would probably open up your email. Certainly. What do you have any other advice for? The for that header information. Uh, maybe the from la who should be from or or any other advice there. Well, unless everybody knows that lisa is the head of your organization, it shouldn’t be from one person instead, make it from your organization and have it the name something that is sort of more of an action. Kind of a word. Like not information, but news. Maybe, you know, news at habitat for humanity, dot com or something like that. So give it give it a name that is a little newsy sounding might get someone’s attention better than, say, info at or or you know, something really generic and, you know, keep again, keep it really, really short. And you put the key words right up front and whatever some buzz words are that air right now in your field. So if sustainability or something is a good buzz word, that and so definitely just put the key words right up front that the main thing, okay? And you mean in the from line, so maybe sustainability at the domain is that is that what you’re suggesting? I’m talking about the subject line, so okay, you have your nature organization, and you’re always talking about sustainability, and the name of your newsletter is something with sustainability. Perhaps that could be your email address. I hadn’t thought of that, but it could be whatever, whatever you want. So that it’s recognizable and again it’s all about the brand and it’s recognizable and always be thinking about who your audience is. And i like to think of your email recipients, the people that will open the email and those are the ones we care about, the most people that actually open it, and then the few that follow through, right? Who were those people? Those are your most boyle people just like implant e-giving who were the best plan giving donors your boil donors, people, that e-giving for a long time with the people that are actually opening and reading. Your email, those who you’re really boils followers those year loyal supporters? Yes. Oh, so you’re you want you’re saying you want to have them in mind as you’re crafting your message? Exactly. Keep them in mind. What? What do they care about? So think about a few people that you know, supporters of your organizations have names and faces and think about what are they interested in? What is kathy interested in? What is robert interested in and crafted that way? Ok, on, daz were crafting our message. What’s your advice about how long it should be the subject line. Oh, no, the length of the body of the message. The body of the entire email newsletter should be chunked. So if you have, you know, one big article, you know, trumped that up into different articles. But faras length, you know, there’s. No specific lengths to into an e newsletter. It could be his long or short. As as you like. Think about the ones that you read and pattern yourself after that. If you’re bored after a certain amount of time, then your readers our board, pretty sure. Okay. What other advice have you got to share? I’ve been sort of, you know, suggesting topics, but you tell us tell me what? Your your advices. Well, here is some duitz do plan ahead. A newsletter done that’s on the fly usually looks like it’s been done on the fly. So plan your news letter ahead of time and that means preparing an editorial calendar. Maybe for the whole year. How often are you going to send these out? If you feel like you can send out one a month that’s great. And then think about what you might be doing in those months. Like, if you know, your annual report is coming out and you’re gonna have a lot of new information, then you know that khun, your main news letter might be packed with a lot of great, um, like statistical information, all kinds of cool stuff that you know about in may, but of course in december of the holidays, so you know that you can do holiday related things, so come up with an editorial calendar, so if you’re going to do it once a month, pick a day that you think is a good day to send it out when your readers are most likely to read it and then plan ahead, say well in in february and do this in march. We’re going to do that and have a couple of things knowing full well, what what’s going on if it’s september back to school and that’s important for your organization. Well, then that’s your back to school newsletter and you know you’re going tohave information about that and also decide on a goal before you do your newsletter what’s. The goal of the newsletter is the goal just oh, well, we want to tell people a bunch of stuff that’s going on. Well, that’s not a goal. What’s your real specific goal. Are you entering into a campaign? Are you announcing something? And you want everybody to know about it? Are you trying to raise money? Are you trying to get people to come to an event to sign up for a walkathon? What is the goal of the newsletter and then work backwards from what your goal is. Okay, claire, we just have about thirty seconds before the break. You mentioned planning ahead. And maybe as much as a year as you’re developing your email marketing plan. You want that? To be dovetailed with your other marketing activities, right, you might be sending print pieces as well around your events, things like that, right, absolutely. And marketing is a huge challenge for most small non-profits. The person doing marketing is also doing fifty other things, so the more planned you khun b, the easier it makes your job, so have a little marketing plan for the year, even if it’s one page and it’s a calendar, we’re going to do this in january, february, march, april, may, june, july, august and it’s all about when you send postcards. When you send email, when you send a regular newsletter and other mailing, okay, we’re going to take a break. I’m talking to claire meyerhoff and were ex selling in your email execution. Claire, you had a list of do’s that you wanted, teo continue sharing with us. Well, some other dues are due. Motivate your reader. You are sending this email to them, and you want them to do something and you need to motivate them to do it. And the easiest way to keep them unmotivated is too forthem, boring and dull. And the best way to do to motivate them is to tell them about something great that’s going on. That really would matter to them. So, do you have a really great event coming up? Do you have something really cool that you and your organization to tell people about it’s is? And news means it’s, usually something you what’s going on in your organization. That’s important to your reader? Not just what’s important to you? Yeah. You just finished your quarterly report, or or you have a new, you know, drink machine in the break room that might be important to you. But it’s not important to your readers. So think about the things that you are. Reader will think. Okay? And that’s consistent with your advice earlier just have a few people in mind and think about what’s interesting to them and write to that audience and think about what’s interesting to them also do the cocktail party saying or the or the coffee shop thing where if you ran into someone at starbucks and they said, hey, what’s new in your organization will help. Yeah, excellent, right? If you just had a couple of minutes, right? Excellent. Another any other dues? Uh, you might want to tell people why this is important now, which is usually through for fund-raising so what is going on right now? Why this is important. So if you’re an environmental organization and there’s some sort of threat that’s what you want to tell people about right now, we need to do this now you need to sign the petition. Now you need to send the money now we’re trying to fight it now your call to action it’s the call to action and make sure your call to action really is a call to action and that you’re writing matches the urgency of it. What i see a lot of times in email that i get from a lot of different non-profits is, you know, it’s sort of the henny penny email the sky is falling, they’re taking our rights away and they’re going to ruin the environment and they’re really bad, and i don’t really want to see that i want to see the action i want to see, like what you were doing, like, you know, we’ve got a bus on its way to this place full of volunteers, and they’re all going, and we need some gas money, like, i want to know what the thing is right now, the action that you’re doing that you need my help, why are you writing to may? Why is that news? So tell me that okay, before we get to your don’ts, which i’m sure you have, how do you make sure that you’re emails are consistent with your general identity for the organization? So they look like the rest of what you send out, whether it’s emails or website or or print well, that goes back to your marketing plan if you have one in some places, don’t you don’t have one it’s pretty common. So think about a couple of simple things that you always do and include that in your newsletter. So if you always have a pet of the month because you’re the animal adoption agency and you always have a pet of the month and you have a cute little name for it used that, make sure you use that in your in your identity, so use those identifiable things that you’ve already created, and if you don’t have some it’s time to create them, okay, so that’s excellent that’s the substance? What about just the appearance of the messages? How do you mean by the appear? What? What artwork? You might include the photos or our identity elements that you have for your non-profit well, i was listening todavia earlier about sending photos and e mails and how a lot of those get filtered out. So i’m definitely thinking about the photo thing because if people aren’t getting them that maybe not a great fool. I love photos if you can use photos, photos are the best and frankly, a lot of times your most loyal donors are also on facebook, and they’re a friend of your organization on facebook and as long as you’re not putting up things like ten times a day, they’re interested in being what you have there not gonna block you. Okay, so think about your facebook think about your email newsletter in conjunction with each other and how they can play off each other. So if you have a great, great photographic like the best photograph that tells the story of your mission like no other photograph, use that photograph a lot of times, repurpose it so you might want to send it in your e news letter and have it on your facebook and in your e newsletter say there are more photos like this on the facebook or on our web sights and people through the website where there are more of these great photographs and then take that really great that one great photographs and put it in your print newsletter used it on a postcard for fund-raising let’s say, you’re doing a little plan giving postcard campaign. Put that one great photo on that postcard so we use the good stuff that you have. Good, we have just about two minutes left. What are some of the don’ts that you want to share? Well, it’s funny that you say that because i try to be positive these days. So i wrote a big list. Do you have all dues and no don’t so i thought for sure. Ok, right around. Okay, well, so okay. Don’t don’t be not creative. Be creative, be creative use of environmental organization. And you just did a survey about ice source in your community. What are the top three? See, that would really get attention. So be creative with stuff. The good stuff that you have that’s interesting that your organization really had a handle on. So let’s say you are an environmental organization. You just did a big survey, and out of that survey results came the, you know, little thing that wasn’t the main focus, but in it was, you know, people complain the most about the certain areas in your county that we’re the biggest eyesores. Well, that’s a new story for you where you can say, what are the top three ugliest eyesores, the whole county. And you can do a lot with that that’s really interesting people will open up that email is your town, you know? Is this eyesore in your neighborhood? Why don’t you leave? Us with one more of your dues or however you want to phrase it dues or don’ts duse or don’t? Well, i like to talk about, you know, writing and words and storytelling, so just do tell really good stories that are about someone that affect other people don’t talk about yourself and how how great you are, talk about the people that you’re serving and how you’re solving prop emblems for people. I’ll give you this one. This is my one last tip i give everybody these days, you can’t think of a story, look at the money, find out a recent gift that you’ve got and how did you use that money? And then find the person that’s benefiting from the money that you’re using. So, for instance, if you just got a gift and you build a handicap ramp, who is benefiting from that handicapped wrapped rampant your facility to find that person and do a story about them and that’s where you find your story stories, they’re everywhere to follow the money, certainly because charities are doing good work so people who are people are benefiting those stories should be very common, right? Where’s the money. Going find, find someone benefiting from it and focus on them. And where would their life be without this organization? And where would their life be without specifically this money that just came in and how it was used? You had a big campaign. Everybody gave money, you raised thousands and thousands of dollars. Where did it go? Thank you very much. Thank you very much, claire. Welcome back, it’s, time now for my conversation with naomi levine, pre recorded last month at a reception that i hosted at the helmsley park lane hotel here in new york city. We’re goingto play this through without a commercial break, and so here is that interview. Naomi levine is the executive director of the george h heimans junior center for philanthropy and fund-raising at new york university. For twenty two years, she was in use, senior vice president for external affairs, and helped raise over two and a half billion dollars for the university. She is a graduate of columbia law school. She was previously the national executive director of the american jewish congress. Now she is special advisor to the president of n u, and she chairs the board of the edgar bronfman center for jewish student life and the tab center for israel studies. Please join me in welcoming mrs naomi levine. Mrs levine, what do you see as the the non-profit role for our society? Let me put this in a kind of perspective that i always use. I don’t think that most people in our society recognized the importance of the non-profit world in our civil society, if you close your eyes for one minute and look at the skyline of new york city, do you hear me? Yeah, you will see that if you took away lincoln center, the hospitals, and why you, fordham, columbia and all of the other universities, medical centers, cultural centers, theatres, dance a group, you will see that this would be a very different society, and most people really don’t think about that when they think of the way we all run. They think a government, they think of the corporate sector, and they don’t think of the non-profits but why is that? That that means non-profits are not fulfilling their work in spreading their the message of their good works? I mean, do you think the blame falls on the non-profits for people not being aware, i think i would suspect so let me lead into that as we progress in our conversation. Because the truth is i’m not really sure i know that most people don’t realize it and what they don’t realise. Moore is not one of those organizations could exist without fund-raising they require financial support, and yet do you know a shingle mother who will say to their child, you know, dear, when you grow up, i want you to be a fundraiser. Nobody says that my own mother, my own mother in the last years of her life, when she was living at a place called cat a house in the bronx, i would come to visit her and she’d say to me now remember, when we go down for lunk, if someone asks you what you do for a living, tell them you’re a lawyer, not a fundraiser. She was embarrassed at her law review daughter was raising money. People think of it as selling cookies for the girl scouts, and you ask me why it is that i must tell you i’m not sure, but one thing i am sure if you let me adjustment, just put that on the table is that unless fund-raising is viewed as a profession a legitimate profession, that is talk. Within a university, not within all kinds of organizations that provide courses, but within the university, it never will be given the kind of status that it deserves. Dentistry at one point was nothing. You went to an apprentice, yet you learnt how to pull a tooth. That was the end. Lawyers like john adams. If you read his book, you know, he was an apprentice in a law office. But once causes were given within universities and got to stamp a university academical provable, they became professions. And the reason i created the heimans center is that i really want to see people take courses, learn and make this area a profession that even my mother would be proud off. So that’s hard to do. Let me tell you and you make a very good point that i don’t know any fundraisers who? It’s. For whom? It’s. The first career? No, no, no. In my office, we had a big staff and we had people who were from every discipline around. They were from journalism, from archaeology, from everything in the world. Nobody studied. And yet if you think about it, i know that i learned on our no. Doremus amount during those twenty five years and every time i prepare for a class, i learned more, i confess to you, i never spent time with my staff talking about ethics. What did we talk about? We talked about what? Your goal, how much money where’s the money, etcetera. Yet when i started to prepare the course on ethics and red doug white’s book on charities on trial and a few other things, i said, you know, that’s, a very important area, and i should learn about it, because if you don’t know the law and you don’t know the ethical component and you don’t know board governance and fiduciary relationship, you’re going to get trouble that’s perfect. And doug white was a guest on my show, talking about his book about ethics, but so now we’re talking about the fundraiser and fund raisers, and you’ve just made a great transition. How about the role of the trustees? What? What are they? Trustees? They’re not really fully aware of their roles, don’t you think with respect to the organization, trustees are also fund-raising if you sit on a board because it’s a nice, prestigious thing to do and it looks good in your obituary in the times, it is a wrong reason to be on a board boards have responsibility. They have the responsibility to keep their organization financially shaky. Sure, that means board members have to be fundraisers also, you know, larry tisch usedto have he was the chairman of gnu during the time that i was vice president, and he had a very simple and crash way. I assume of running his board. He used to say to me, look, we’re not harvey, we’re not princeton. When i put someone on the board, they not only have to be dedicated, decent people committed toe hyre read, but they have tai run my board by the three g’s that people have to give money, they’re not a big amount, but gives something to show their commitment so they have to help get money. And if they can’t do that, they should get off the board because boards have responsibilities. And when you talk about a boardmember they have to be, they have to understand their responsibilities fiduciary, legal, come to meetings to read an order to report readable what your report? There are a whole list of things. If this was a class that i could list for you, that boards have to do so. The relationship between the fundraiser and a boardmember is really a very close one. What was number three? You said he had three, three, three requirements. Get money where you get off the moca or get off the board. That was number three, not in a harsh way. I’m not suggesting you tell your board that i’m telling you, you have to try to persuade them to give and then had people onto your board that will set an example. I never suggested minto fund-raising they come in and get rid of that board members, you’ll be in trouble. On the other hand, you have tohave board training of the sharp pains. Actually, the corporation board i have been instructed to do that is to close are instructed to give bored training, training aboard and what their responsibilities are. Doug and i and ruth ellen reuben is here. We go around to different boards were invited to talk to them about their obligations under the law. Federal law. State law. I venture to say if i went around this room today and most of your fundraisers, air sit on board. You would not know a ll the laws that are involved in fund-raising state and federal. I learned that on lee when i started to teach i did know i know that when i was raising money don’t you think the trend also is that this is only gonna get worse at the booth state and federal level? That oversight from those levels of government is going to just increase among among non-profits i don’t like the fact that you used the word worse in my book, i would say that’s better, more, more. I know you advocate for even greater oversight. I know you do far more oversight and far more regulation. It is an area that everybody thinks so. We don’t have to regulate the nun. Profits are all very good people. The red crossed of good things university how dare we suggest that they be regulated more. Let me tell you that there is a cz much mismanagement, excessive salaries, all kinds of conflict of interest area occur in the nonprofit world that a car in a profit within the nonprofit sector fights your advocacy of deeper oversight. The non-profit schecter no it’s, not eager tohave. More regulation. I will confess to you on my staff in french. No, this for seven years i have gone up to albany fighting for one lousy bill. One bill that would say that if you’re hired as a professional fundraiser, you should take one course in the course of your entire career in law, ethics and board governance. I think you should do that. And every year it gets through the senate and assembly up in albany and then the non-profits come up and they argue against it in their mind. It’s a slippery slope. You’re going to start regulating your going to stock with more rules. We don’t want that. And the governance who don’t want to start up with such good organizations as the heart association of the red cross they vito and it drives me insane. Ken berger is going to be a guest on my show in in july. I think. It’s a july first show, the executive director of charity navigator. What you see is the role of charity navigator and similar rankings ratings of charities. Well, i think that anything that helps a donor get on understanding. Of an organisation is a good thing. I’m not in a position to discuss the details of those organization, but i know if their organizations around that help it donor-centric steam or been dealing more accountability, all those words and now on the table, when i started in fund-raising i’m a very old person of eighty eight years, so i have lived through different parts and different segments off fund-raising the fund-raising world, and in the beginning, you never heard such words. I never heard such words, but now you hear it more and more. So what canonizations like that play a role onda, of course, it’s controversial because the role that they play helps define what people decide to look at. And of course, donors now are more into is it in looking at outcomes, and that becomes very difficult. Teo measure donors are also interested in percentage of budget that goes to program versus administration, but for some charities, it could be very legitimate toe have a very high percentage going to administration because they’re doing things in, but if they’re going abroad and doing things on the ground in, you know, in other continents, i have always been very conservative, i believe that when a person gives money not more than thirty five percent maximum should go for overhead and the russian gulf of the program. Now there may be exceptions, and you may be right, but by and large, i think that people should feel comfortable in knowing that the book of their money goes to the project that they want to support. Now there are exceptions, and i think that when you sit down with the donor like we used to have to sit down with someone who gave us two million dollars for a chair, we had to explain that some of that would go for the over head of that school, you’ll have to be able to explain it, but we never never spent mohr than thirty five cents of thirty five percent that was maximum mr tisch required even less on you’ll have to be very open and honest about that thie audience for the show is small and midsize non-profits the tagline is big non-profit ideas for the other ninety five percent, what would you like to leave small and midsize charities? With what message? So small shops the lessons are not different, because how you raise money for a big organization and how you raise a trish more fundamentally are not different when we teach courses in our heimans center way, my approach is that the principles of generic and they involve developing relationships if you know your fund-raising you know that last year, out of the three hundred three billion dollars it was raised about eighty three percent when you include request come from individuals and individuals will give to small groups, and i’ll give to big groups, so the rules on how you raise that money, the art of the ass is the same in a little group, you use the same technique to get twenty five dollars, as you will use to get a million dollars, it is developing a relationship, knowing howto ask knowing how to divide your mission statement, knowing the process and the rules and fund-raising knowing what you’re bored should do and that should be and knowing the ethical issues, whether you’re dealing with a little group or a big road, which harder with a little good bye don’t knock it you also, perhaps will you social medium or with a little girl? I’m not sure i’m no expert on social media we brought on to our staff of the heimans center last year marchenese vanik she’s, an expert, and she has tried to persuade me that things like facebook and twitter and all that stuff have some value. I am totally illiterate there, but i respect the fact that the coming generations will use it more, particularly the small organizations, and i tell the small organizations, don’t ignore your financial status. Be sure if you can’t afford an audit, at least have very strict rules on how your money is handled. Doug white’s book has a whole list of cases in which organizations big and small got into terrible trouble because they weren’t careful and how they handle their finances. And that is true in little groups as well as bigger pond. That doug white book is charity on trial, but that but that goes back to the trustees, relationship and trustees obligations even for us, even for a small shop, there’s a board and maybe a board of only three or four people, but they have the obligation to be aware of the things that you’re talking about under the law. Whether you’re a big organization or a little, the charity’s bureau, which is the hand of the attorney general in the state of new york, will look atyou and look atyou carefully and don’t make mistake. I’m not here selling doug’s book i couldn’t give any i’m not interested in that. The only reason i pointed out is that it has in it the cases that are very imp fortune for you to understand, and you have to know all the people that got in trouble. Let me give you one example. The american red cross during the nine eleven tragedy, they got in a lot of money and they used a whole bunch of it for the purpose that nine eleven required. They had a little bit of money left over the director of the red cross, one of the most terrific people in the field use that money for the blood drive. She didn’t put it in her pocket, she was fired. Why was she fired? Because the law says if i take money from you for a and i use it for b you’re wrong. I have to use that money for a unless i write to you and i say to you, do you mind if i use it, etcetera? So they’re a little things like that that if you were a fundraiser in this room or a boardmember you have to be very sensitive to whether you’re a little group or a big group, we have just a minute or two left. What is it that concerns you most about the charitable sector over the next couple of years? One to two years? Where? What do you think about most what keeps you up at night? Xero well, i think that competition is very it’s going even increase and the government are cutting back drastically and so on the shoulders of the non-profits we have to provide for the help that the poor need, the abused women are the st joseph’s, full kitchens and all the social services that keep our society going. There’s a book that somebody called claire got eonni road that has wonderful chapters on how capitalism could not exist in this country, unregulated capitalism without the help of the non-profits we provide the helpful the people that fall between the cracks in our society and i worry that with the government cutting back and the competition the way it is it’s going to be hard and hard and harder also. Europe, which never was here before, is now facing the situation where their governments are cutting back. They never had a non-profit sector, they relied entirely on government support. Every university in europe is supported by the government. Oxford cambridge is so bone, everyone now ox it hasn’t office in new york, cambridge has an office in new york and everyone overseas we have more people in our class is now trying tto learn fund-raising from europe, asia, china every place that’s going to give you a great deal of competition and so i don’t spend nights worrying about it. I am certainly concerned about it and i would hope find may end that i’m too old to see the end of it. But i would like to see fund-raising fundraisers, given the recognition that they deserve, and each of you in this room have that obligation. I could be proud of what you’re doing to make certain that when you work in any agency, people know that without you, that agency is going to close that this is a dignified profession, and you have to carry that flag. Go ahead, have a great fan of what you think about. It fundrasing coming together to create a voting bloc we are. Your economy. As i’m told, hyre grayce counting together issues. We could be a voice in albany for your force, which, of course, i’m very. And for other things, like maybe creating a bank. Non-profits jim, i think it’s the syrian say once you make a finger together, you make of this. If we have concerns go ross the industry, could we not consider and i can’t think of a better well, but there are s o the question is generally about how the non-profit sector could organize to be a more cohesive voting bloc now, but their organization, like independent sector, you know, so there’s that what else would you like to sell? Well, i can say is most of those organizations are run by their executives, as most organizations are in the average member plays a very minimal role in your right. If the average member played a bigger role and then insistent, i’m sure nothing. Then you would have more effective involvement in albany and other places, but you have the organizations around there’s, a million of them it’s just sort of my book there, not doing anything, uh, along the lines. And i think that should be done. Yeah. Does independent sector is that one of the groups that opposes broader on government oversight? So nobody should fortuny chelation hearts of then that would be a yes, doug white does, even though you panned his book, doug white support, sir, we’re gonna have dug it up for rebuttal after this. I’m now joined by claire meyerhoff. Claire is a marketing specialist for non-profits we’re going to be talking about your five minute program, super streamlined events that keep your audiences informed, engaged and awake. Clare is a marketing specialist who works with fundraisers and nonprofit organizations she’s, a former broadcast journalist with lots of acronym big acronyms, cbs radio, x m and cnn and during those stints she covered lots of events either covered or attended hundreds of non-profit events, she combines that experience with her production skills to help non-profits design and execute programs that are entertaining, informative and concise. And we’re going to talking a lot about concise because the topic is your five minute program. I’m very glad that claire’s work brings her to the show today. Claire, welcome. Thanks, tony, thanks so much for having me, because this is a great forum to share with the non-profit audience about events which are so so important. Yes, i’m pleased to have you back clears a repeat guest and also the creative producer for tony martignetti non-profit radio clear, i think organizations don’t pay enough attention to planning their their events, their program. What advice do you have? Well, i think that in my in my little a world where i where i come up with little acronyms for things, the little names for things i’ve just come up with this is i was waiting to come on and that’s that i think the event and specifically the program portion of the event is the final frontier of fund-raising you could see that you can see why claire is the creative producer of this show, she’s waiting on hold to join the show and she comes up with final frontier fund-raising please go ahead. Elaborate. Sorry, it’s it’s, the final frontier of fund-raising is what’s what’s. The first step of fund-raising is just is just the ask the simple. Ask, you know your son is raising money for jump rope for hard, and he goes to the next door neighbor, and says, would you support me and that’s an easy one, right? Because that’s the neighbour, and not for very much money so that’s that’s a pretty easy ask so that’s, sort of the first frontier of fund-raising and then we go, you know, down the line for very sophisticated asked, and even, you know, planned getting and thank you she she mentions plan giving say so dear to my heart. Yes, the more sophisticated you know that’s sort of a deep frontier of fund-raising it’s a long time before you get that donor to the point where they’re goingto do a bequest a charitable gift, a new innovation so there’s, all these different levels of the ask and fund-raising and when you put on a fundraising event, that is the time of year where you’re celebrating your organization, you’re having fun with it. You’re inviting all these different people to come. They bought a ticket for thirty dollars, seventy five dollars, one hundred fifty dollars, six hundred dollars, depending on where you are and how fancy your event is. So now these people have come and they’re all dressed up spent a lot of time on the food and the orders and the decorations and we have balloons or should we have four kids? And what should the place look like? Should we have strolling singers and acrobats running around our event hall? So it’s it’s very events are very labor intensive. Start my clear greenlee labor intensive and then when i found from working with non profit organisations, is that the program part of the event is almost an afterthought. It’s something that happens maybe the week before or even i’ve seen it the day before where they say okay, well, who’s going to get up and speak and what? Are we going to say and who’s going to say what? And the program is really one of the most is more important than the little shrimp order bs that you serve? Or if you’re going to have caviar or little tiny hot dogs? It’s much more important what you actually say to your donor’s while you’re up, they’re on a stage and you have their undivided, hopefully attention. So that’s, why it’s so very important this is an opportunity for you to speak to donors, whether they’re long time dedicated donors or they are that donor’s guest at the event. So let’s say you have someone they’ve been coming to your event for ten years, and they are very good supporters. They’re in your hair in your special circle, they give you twenty, five hundred dollars a year and they are very important donors to you, and they have brought their friend, their neighbor, who they would like to introduce to your organization. So this is your chance to speak can not only your dedicated donors, but also your your new donors, your potential donors, potential friends of your organization so it’s really, really important? It’s almost more important to me than just about anything else, except perhaps the auction if you’re going to have an auction. Okay, so that’s really important. So so clearly now the program of those people you are on stage, you’re on the air, you know, let’s say your, you know, a newscaster, and you have five minutes or ten minutes to talk to your audience. What do you tell them? You tell them the most important news of the day or things that you think your particular audience is interested in learning about so that they don’t shut you off or turn you off. So think about your guests as viewers that are watching your little show about your organization, and so you’re recommending claire the five the five minute programmes you want, you want the program to be more important than whether the bunting matches the flowers clearly and you have the really the five minute program tell us about what buy-in organization should be doing at this gala in just five minutes. Well, there’s, a lot that you could do in five minutes and you have these people and they’re usually sitting there right there, the round tables in this big room at the d’hotel and they’re sitting there. And what i like to say is that your guess? Our donors and guests and friends, they’re not hostages, they’re not a hostage for the next five minutes ten minutes a half hour to your speakers and your program, they’re your guests and they could just get up and leave, but they’re much, much too polite to do that. So your goal is to keep them engaged and keep them informed and keep them entertained. And i think that that’s the perfect way say it and so what’s, your first step is you want to, you know, welcome that you want to greet them. That’s easy to do, you don’t have to say a whole lot to greet them. You don’t have to go on and on with the greeting. You just simply you know, thank everybody for being there. So that’s, the most important part is to thank everyone several times. Justus, you would thank a donor several different ways of very you know of a good donor. You would thank um, several different ways you’d call them you send them a note? You didn’t fight them to a little event. You thank them in a lot of different ways, whereas whereas we’re as we’re developing the program, who should be the key speaker who should be the first one up to say thank you? Well, the first one option to say thank you should be really quote the host of the event, whoever that person is that was kind of the most important person in bringing all these people together. So let’s just say this particular year you have a local person who’s very well loved. Maybe you have the local weathercaster from the tv station whose daughter has really benefited from your after school program that you’ve been running for years, and she’s decided this year to step up from doing something kind of simple to being the chair of the event. So let’s, just say she has been very, you know, she’s been key in planning this event and that’s why people are there, she should be the person that should get up and thank everybody, not the executive director of the organization, so it should be that key person that people are going toe really appreciate them getting up and saying thank you, so think, really think about and not just go to the default like, oh, we should have, you know, our event chair. Or we should have our executive director get up and speak so it could be, you know, anybody that you think is that person that everybody that’s in the room would be interested in having them thank them. So come up, come up with who that person is, and and that person kind of plays the role of the host and that is a simple little roll of just keeping keeping things moving along because it is a little program it’s a little show, just like when you watch jay leno, he is the host. He keeps the show moving along. Yes, the band plays. Yes, the guests come on and talk. Yes, there’s. Some other there’s a singer performing or something like that that jay leno was the host that he keeps things moving, so appoint someone the host i can think of another host isn’t isn’t there another host you might like to use as an example? Most of ah, a radio show, perhaps, who keeps things moving along and has guests and they come in and is there possibly? Another example besides jay leno. Oh, what a coincidence. Oh, thanks, carrie grayce non-profit radio show on the planet. As far as i know, i didn’t ask you to say that part. Thank tony keep things moving along and he decides what the show is going to be like, and he can keep things moving along and makes people feel welcome. And most importantly, tony martignetti is a radio host. What he wants to do is keep people entertained and engaged and informed and staying on. Dh claire, i have to tell you, just clear to my role we just have about ninety seconds before the break and you had just explained who the the first guests should be. The main host should be thanking everybody in just a ninety seconds til we have before a break what should come after that person in your five minute program? Well, in my five minute program, i could probably do that. I’ll run the whole program down for you in ninety seconds, and i’ll do it head into the brakes. So your first thing is someone greet, greet the crowd. The next thing is they tell them why they’re they’re so tell them something important about what’s going on right now that they might not know about. So you know you’re here because because this year we’re launching this major endeavor where we wantto, you know, we serve fifteen schools now, and by this time next year we hope to be in every school in the county and that that takes a lot to do that. So tell them something very important give them some news about why they’re there and why it’s important then the next thing that you khun dio is is simply give someone a gift and that’s my favorite way tio, to build a program around the gift. So say it’s an after school program and you have a teacher in the program who’s really done fantastically she’s done wonderfully. And her dream is tio, you know, take the kids, ice skating or something and do these different things for the kids. But she needs a certain amount of money to do it that’s outside of the normal budget. So this is a great way to honor this person. Plus explain a little bit more about your mission so you can say, you know, we have our guest. Of honor tonight is, you know, mary katherine stewart, and she is the director of such a program and she’s been here for twenty years and she’s done extraordinary work and we would like to say thank you to her tonight. Then she comes up and you say, and we have a gift for you, mary, catherine and it’s, something that she doesn’t know about. You know, we know that you’ve been dying to take the kids to the brand new skating rink, so here is a gift certificate from the skating rink. We’re in the midst of the five minute program with my guest, claire meyerhoff of marketing specialist for non-profits and claire, we were so far have covered the greeting, why we’re gathered, give a gift what are the other elements? Just briefly of your five minute program and they will dive into a little detail? Well, the other elements of the five minute program are basically what you feel like you absolutely have to include so that’s where, you know, you’ve decided that well, we have our board chair is retiring this year. We need to honor him or we have a new director. We need to have him speak. He has to speak. If he doesn’t speak, you know the world will collapse. And that’s that’s what’s really important with the program is to completely tryto limit the number of people that are getting up in speaking. And then the next challenge is to limit the amount of time that they are speaking. So if you could give people something to do rather than just give them this open ended, we would like you to speak that’s your first step in in controlling on and that’s something. To do was probably give a gift. Let’s, let’s, explore that. There are two things i definitely want to dive into e-giving the gift and sharing your timeline, but let’s talk e-giving the gift. What do you mean by that? Well, in the giving the gift is this is a way for you to do it numerous things with one simple gesture, one simple action, and that is you can have the, you know, the giver of the gift could be an important person. So let’s, just say you have a new executive director and it’s important to introduce him to your crowd, but you don’t really want him to speak for ten minutes and give his resume and his vision for the future because you’re going to bore your audience with that. Yes, so instead you can have your new executive director give that gift to the woman that has done a great job for your after school program for the last twenty years. So this is where you if you have an honoree, in other words, you’re saying this is this would be a great opportunity to honor that honoree by having that the special person give a gift to the honoree is that what you’re talking about? Exactly? It gives everybody like something to do, as opposed to just an open end, and we would like you to speak or we’re going to, you know, give you this award, so please get up and speak for a half an hour, and boris altum also tears. So if you have this honoree that’s, a way to introduce them, so you let’s just say it’s, the new executive director, and and she has come from, you know, let’s, just say you’re in st louis and she’s come from new york city, and she used to run some big organization, and now she’s with you and and you want to let people know that so that you introduce her? You say we’d like to introduce our very new executive director she’s part of all our exciting plans for the future and she’s come from new york and and she’s done this and she’s done that and it’s a better way should do it rather than have the person talk about the selves, because when people talk about themselves, it’s one of two things it’s either they you know, go on. And on and on to tell you how great they are or their humble like hopefully most people are, and they don’t like talking about themselves. A lot of people have said to be really don’t like talking about myself, so let someone else do it. And in this case, it’s your host of your event so they could say we have our new executive director. I’d like you to introduce her to you, she’s come from new york where she ran this, that and the other thing, and we’re so excited to have you we could not possibly dream of ever having a wonderful person like this here in st louis helping our organization. And we’re gonna we’re gonna put her right to work by announcing who our honoree is this year. So then your your first honoree, really? Your new executive director gets up and then they know all they have to do is say, oh, thanks saying that night so happy to be here in st louis. I love it here already and there’s so many great people here, and i’m going to tell you about one of them right now. And that’s mary katherine stewart who? Is our executive, you know, our director of our programs and is doing it for twenty years done such a great job, we have a gift for you, it’s exciting, you know, trip, you can take your kids on whatever it is you give her, and then the executive director gives the gift to your other honored person. Now all your other honored person has to do is say thank you for the gift you have to say anything else and look at the things you’ve done now in a very short period of time for your audience, your donors, you’re dedicated donors and your potential donors, your new friends, they see that you have great people working for you. They see that you’re very generous and that you have your act together, that you went out and got a gift for this person, that you could afford to do that, that you’re not dying in this economy, like so many people are cutting back, you actually went out and got a gift for this person. Perhaps the gift has something to do with another sponsor. So in this case, i’ve come up with this skating rink where thie person the honoree is going to take her kids from her program, and so now that skate rink gets a nice big thank you in front of the whole crowd of people. So you’ve now brought in another spot, sir, and you’ve, you’ve highlighted somebody else. We have a right and a small amount of time. Thank you. And you’ve also explained a little bit more about your mission e-giving should have something to do with way have to move on to the next topic i want you to share your ideas on, and that is you alluded to it the value of the timeline, but we just have about thirty seconds. Claire what’s what’s the value of the timeline and who should we be sharing it with? Well, a value of the timeline is that it keeps everybody on schedule, so someone needs to be appointed a producer of an event, and that should be someone with experience doing something like that. They don’t have to be a professional producer, but just someone that knows how to make the trains run on time and everybody knows somebody like that and you say we have five minutes. How are we going? To fill that up and they come, they just do a little run down timeline. What happened? You know, from the you know, the first minutes of the second minute, second minute of the third, fourth, fifth boom and if you try to make it five minutes on paper in reality it might be about ten minutes long. We have to wait. We have to stop there. I’m sure there’s also value in sharing that timeline with the people who are going to speak so that they see you speak for one minute you’re on for two minutes and all of this adds up to your five minute program super streamlined events. Good morning. Thanks for having me, it’s my pleasure to have you welcome. Dave is the ceo and chief consultant of granite partners, which you’ll find out granite hyphen, part p a r t dot com he has been creating successful marketing programs for clients, mostly in the washington d c metro area for over twenty five years, and i’m very glad that his work and his expertise in email marketing specifically bring him to the show. Welcome again, dave, thank you, david. What does somebody do if they don’t have an email list to get started with him as well? Talk about building the list before we talk about what to do with it. Uh, there are a number of approaches that depends on what situation you’re in. If you’re looking for consumers, there are off a lot of ways to build a consumer list. Um, one of the more prominent and more recently evolved is the social media. You can use social media to evolve yourself into an e mail list based on friendster, facebook twitter followers linked in connections those kind of things can all be gathered and uses a colonel for a personal sort of networking list that you can use to promote whatever business you’re in. Okay, we’re non-profits fundraisers, it’s a little more complicated. Okay, well, that’s let’s deal with complicated cause. Our audience is small and midsize non-profit so that’s that’s where we want to be how should they go about it if they have a list of people who have been supporting them? Maybe just for a couple of years, maybe for many years, but they don’t have email lists. Uh, probably the first thing to do is make sure you have permission to communicate with their members are builders. They say something. Do you have a least an address for them? Send him a postcard asked him to send you back their email address. In response, you’ll give them some sort of data special report or a copy of research or something the value to them in response in return for them giving up their email. Okay, so use their their physical address to get their email address or okay on your website if the organization has a website. And you simply ask visitor’s log in before they can access certain pieces of it or certain information that they need include a lot to give them your e mail address. In that way, you can collect it and use it for later. Okay, so maybe not to get to your home page, but to get to some deeper content on your site. You mean then then there’s ah, little there’s an access that requires email address that’s one good way to do it. Because you’re making sure that it’s not just a casual visitor, you’re having themselves collect by their level of interest. Okay, okay. What’s, what you would end up doing if you if you put it on the front of the home page, you’re going to get every tom, dick and harry that entered that in the search. They wanted to see the front page and make sure they got to the right spot. See if there’s anything of interest there at all, you make them register, you get their email address, you send out e mails. You wasted all that time, money and effort to maintain the list. And they have no interest in on what you’re offering right? Ok? Or you might even just turn people off who might have an interest, but they said just to see the home page, i have to sign in, right? Right, you’re going to get some abandonment issues, they’re for your for your web page as well, and there are people that have a legitimate reason to see your front page and can use the information, but that you don’t want to write. I love how you call it abandonment. I’m not going to put you in jargon jail for that way have jog in jail here on tony martignetti non-profit but i already know you. I said it and then you called it abandonment. I just love the you know everybody every every business has its has its language. So abandonment issues. Yes, of your plus, if you know if you having spouse problems, that could be an abandonment issue. But we’re not going that deep again. That’s a different show that’s ahold of yes that’s a whole different person. Um, abandon ministers? Yes. Alright. What about what about events? And if you’re hosting an event, maybe just put post cards on the table at the events or something like that. Anytime you’re gathering an environment where you have potential donors or potential participants, you want to make sure you’re gathering, collecting email addresses, okay, people importing them on their business cards. It’s a good way to start raffles contest, even offering as i do on my website content in exchange for the information we talked about it buying, offering by mail some sort of special report i offer electronically a report on my website and i forced people to give me their email address, so i consented to them. Okay, electronically and it’s, a much fairer trade and people who are looking for something to read like to receive free reading material and return. It makes a lot of that now. Will people see that example on the site that i gave the girl to granite hyphen p a r t dot com they will there’s a new report there on how engaged customers on the left hand column. If you click there, you’ll be able to download on a free pdf of a report guard through some research. We did a little while ago about how to engage customers. Also have tto log in. To give me your email address, i can send it to you, you’ll get a response back that tells you yes, we received your order, and if you like anything else, please let us know, and you’ll also get a confirmation of the fact that you received the order and a questionnaire about whether you like it or not. Okay, so i assume those are all the best practices because you’re doing them for your business, it’s all automatic. I don’t have to do a dog gone thing, and it makes people connected to me much better and gives them a lot more opportunity to give me feedback on the information. And unless they collect their name without creating too much of a problem with their identity and something you alluded to in that description of the way you’re recommending things go about o r non-profits go about building this list is having permission. What? What is what is permission? Marketing and how do we get permission? Permission marketing is a critical step in producing effective push down marketing. What you’re essentially doing is letting people to give you their permission to market to them. And that does two things. One engages their level of interest and let them self select what they want to receive. Two it also tell you how they want to receive it by medium, he opted in is a way of gathering permission marketing. If you send out an e mail to all your members, say ifyou’re non-profit membership organization and say, we’re updating our record, we’d like to give you would like you to give us your email address so we can communicate with you that way. Check the following boxes about what’s appropriate what the best address to use is if we have this information correct listed below. Check that and we’ll keep that. And also, if you do not like to receive anything from us, check the box below to opt out, so opt in permission has sort of past it if you give them an opt out option it’s a little less over on a lot of people to sort of ignore it, which gives you sort of tacit permission to market to them. But the trick is they’ve given you the information and are allowing you to market to them directly without being directly at fort alright, and then you as the e mailer as the non-profit have a responsibility to honor all those selections that the person has made. Absolutely. And if you don’t honor them, your reputation with that person and in general, gets tarnished to the point where it’s almost unusable, and we’ll go into that a little further with, with the a little later on. Dahna hello and welcome back to tony martignetti non-profit radio we’re live today with dave polish. We’re talking about excel in email execution and since we’re alive, that means we’re taking calls so you can call with a question for dave about female best practices. Frustrations you might be having the number is eight seven seven for a tow for one two oh eight, seven, seven for eight o for one two. Oh, dave, now we’ve developed this list. How do we keep it clean? What’s a clean list? Well, cleanly is one that functions and deliver your message precisely where you wanted to go every time. And there are a couple of things that you need to start with. You’ve built a list that you think is right. The first thing is to make sure that what you start with is good, that we all know about computers, garbage in, garbage out. You have to make sure that you all the addresses fit and conformed to the format for proper email address. Okay. Typos, bat fingering the addresses, getting things backwards, transposing characters. Email addresses are far, far higher accuracy level than postal address. Write the e mail. I just has to be exact, right has to be perfect, another perfect every time or it will not go. I know what you have to do is check it bilich manually and electronically to make sure that all conforms and you, khun, send every piece of mail on their towards both to go ok is the simplest way to do that. To send a test email to someone to verify that on dh, then get their permission in the way you described is that is that a decent way to do it? Uh, you’re better off eyeballing a list firsthand mechanical and then going through optically and and making sure you haven’t missed anything. Because if you get things wrong, you may get stuck or trapped in filters and create problems. And what that’s going to do is block you when you get the right of duitz okay, you want to clean it up visually? First, as best you can make sure that all the symbols are right before the domain name it’s not a exclamation point instead because i’m gonna get the wrong key. Happens a lot. You can do search and replace doing this. It takes very little time. To do it electronically and then go through and i bought a list they just have to three people looking over, make sure there’s no glaring errors. You want to make sure that all the domain names that have the letters spam in them are taken out those traps put in there by the sometimes when you rent list more often than not, but occasionally somebody’ll flip one in there. When they’re registering, they’ll give you a bogus address that doesn’t really exist. You want to pull out the ones that have a domain name that’s sort of suspicious looking, you’ll learn about it after a while to make sure you’re getting exactly what you think you’re getting, okay, so to get behind to get into the content, let’s say so this wouldn’t thiss wouldn’t be people filling out cards at an event, probably or mailing back in response, it’s when registering so people might give bogus address you know i don’t have such a good hearted person, i don’t even think of e don’t even think of people cheating on something so simple is that really learned over time that it’s ok, you fill out a form somebody’s going to send you back something, and often those lists are sold over and over and over again, and by the time the third generation sale is over, you have no relevance to the list of all right, and you’re getting stuff that you really don’t want it clogging up your e mail box, and you don’t want that, so they either make up a fake address to give you so that bill passed through the filters as a legitimate address initially, or they’ll give you one that they never open, which isn’t gonna do you any good. Anyway, a lot of those gmail accounts or a well accounts that are free people will just have one of those strictly as they used to fill out all that junk drops into there. I see you don’t want to be in that list. You want to see a legitimate lift with a legitimate carrier, verizon or comcast, or or one of those for home and the businesses typically you want them to reflect the domain of the business there. Part of that tells you a legitimate what gmail but gmail dahna all those could be legitimate accounts, you couldn’t you couldn’t screen all those out? No, you can’t, but you can see one that looks, uh two, far from their real given name. If you have that to compare it to, uh, nobody’s registering, you know, as nerd sixty five jool and they’re not giving you a scientific address or their name is fred spelled backwards or something. You start to look at the bogus ones and figure it out. Okay? And since you did mention something that we hadn’t talked about in developing the list, let’s, talk a little about purchasing a list. What is that valuable for the small or midsize non-profit purchasing a list rental and compiled lists can be of value. You have to be very careful about the source if you go through a legitimate list broker and you’re looking for a very legitimate piece of a database that concerns especially business addresses. Yes, you can gain a lot out of that because those things have been double opt in check they’ve been verified on a monthly basis that they do exist and they are really and that they do fit the profile that you’ve selected when you rented the list. Now you have to keep in mind that those are usually for one time use only, and you cannot reuse them unless you have a special agreement from the renter compile lists are another story, those of those public things that you could buy that say have been scraped off of websites or have been captured out of the air from from email conversations and that kind of thing. Hackers will market these things to bring an extra bucks. They’re not very useful, they’re not very male herbal, and you’re getting into some serious spamming trouble by even attempting to use most of them because they’re loaded with with the monitors and traps and keys in their little tell people that you’re ok, then you want to be working with a legitimate company that you can verify you mentioned scraping off female what’s your trading closely to jorgen jail has, and it sort of has a a suggestion of what it is, but but i don’t want you to even be anywhere near drug in jail. So what? What is scraping somebody’s? It sounds like unsavory practice. It isn’t unsavory practice in its connotation, and it is information what you want to avoid. There are people out there, who will go to a business website and literally capture copy paste electronically scrape off every email address that’s buried in there. Your entire staff listing all your if you’re going to a law firm, they’ve got every lawyer listed on there with a love with a separate email address for them, they’re going to scrape all those off of there and compile them all into a big list. Listen, this may be legitimate, but they don’t know who they belong to or what they go to what level of persons is they have no information that goes with it, it’s just a list of addresses, as if people would really want to communicate with a bunch of lawyers or anything. There could be no manufacturing firm or, you know, the post office website or anything. They just gathered a bunch of e mail addresses from a bunch of list. Sometimes they’ll use. They’ll sort of piggyback on someone else’s, the internet activity as well, and their going from site to site start scraping through that. Okay, it gets very, very tedious and very touchy when you start doing stuff like that because you have privacy issues, you have legal issues? Uh, spam laws have teeth in them. Ladies and gentlemen, they can sue you for spamming. So you want to be careful what addresses you’re using and who you’re sending? Okay? And i didn’t want to suggest that. Buying a list from from verifiable source would be a good way of trying to get donors. I mean, as a fund-raising consultant, i didn’t mean to suggest that this is a way to acquire new donors, but maybe to acquaint someone with your with your non-profit but you’d have to be very precise in the type of list you bought in terms of the interests of the people. Is that is that possible, dave, to drill into get a list of people who are interested in, i don’t know environmental activism, and but maybe in the pacific northwest, i mean, do the lists from vera from from stable and appropriate cos come with that level of detail, some do, and some do not, uh, they’re further a head for business than they are for kapin consumer availability, drilling that deeply. Okay, if you drill down into segments that deeply on consumer list, chances are good you’re gonna have to pay a pretty penny for it. A good place to start with that if you have a specific interest, they look bilich environmental, you would want to try going to print publication that deal with that concept sierra club or audubon society or any of those that deal in environmental issues routinely subscriber list from them could be segmented by geography. And you could also rent additionally, email addresses that go with those mailing address him that way. Excellent idea. Okay, because that, yes, you know, the publications targeted. Okay, great. All right, so we need to get around that trying to pull that out of a compiled list is virtually impossible. Okay. Okay, good. Thank you. So we’ve developed our list. We understand how to get it clean and make sure it stays clean. Has to be maintained another thing, because now thing out, once you’re going to get some activity coming back from it, not only response is that you want, but response is you don’t want your going to get people that ask you to take them off. You’re going to get because you missed the target. It wasn’t who you thought it was not interested. And they don’t want you to lock up their box for the next six months with stuff they don’t need. That’s a good thing. You like getting those out of there? Because that saves you time and money. Yes, too. You’re gonna have people that were out of the office that day and i just bounced back and told you they may get hurt or they may not. Three you’re going to have bounced back for another reason, theis, and that part of the country was a little slow that day and missed something. There was a glitch in in a certain segment of the internet that went down for a moment your mail got trapped in it could be any number of other things. There’s a whole series of bounce back code that the internet service provider will give you that helps you interpret those bounce back unless you separate them out and decide whether to keep that address that is a temporary thing or whether it’s permanent it’ll tell you if you got the address wrong, if that person’s not at that address anymore. If that business is not there, that remains not active. Whatever they’ll tell you. What the problem woobox with it, when you learn how to read the code, we got to get those out of there. Once you’ve sent the first one, you’re gonna have to be prepared with how to deal with all those. Things that bounce back and those happen fairly quickly, usually within the first hour or so after you send it. Okay, so that’s that’s really list maintenance and that that’s going to be happening every time you send to your list sounds like there will be a certain level of activity depending on how little that down to practically nothing. Yeah, alright, depending on how many people you’re mailing to if it’s just a few hundred, you’ll have fewer of those which is get you in fewer because you’re making good decisions based upon those code taking the bad ones that are going to be permanently bad out. All right, you’re not re mailing, right? Okay. So, uh, well, let me just remind people that my guest is dave polish he’s, the principal of granite partners. And we’re talking about ex selling in your email execution. So then, dave, we have developed our list and it’s clean, and we’ve gotten the appropriate permissions and we know how to maintain the list over time. You have some elements of effective messaging, actually. What to say? What? What? What’s. Your first bit of advice on what the content of the message should. Be, uh, some of it is what to say, and so that is how to say it. Okay, um, the first thing you’re going to notice is that with the new influx of mobile customers that are out there that have their email come to a mobile device, you have far less real estate with which to impress the recipients you have basically a from a dress and a single subject line that’s all they’re going to see on a mobile device there’s no preview function. So what you have to do is make sure that a the address you’re sending from is from a brand they will recognize or at least understand. So whatever service you are using to send these out, if its outlook, you have to set up a box that sort of carrie’s co-branded makes sense for the outgoing mail or if it’s a service, you want to make sure that they’ve gotten you on outgoing address that reflects your brand so that they know who this thing is from and they recognize. But wouldn’t wouldn’t the service just be using your own? You’re you’re non-profit domain name, sometimes they do, and sometimes they don’t they have what’s called rotating? Yeah, what’s. A rotating what’s, a rotating. Why would they understand? Why would they rotate for the same non-profit why would they use different domain names to send from? They’ll mask them behind an existing name, so the recipient will only see your name, but they’re using ten or twelve different outgoing addresses because they could shove more down the data pipe. That way they can spread your list out, get it out the door faster, but if you’re a non-profit you want it to come from your domain, absolutely time your domain is that the physical space that your domain inhabits doesn’t allow enough passed through dahna you can’t shove enough email through it fast enough because you just don’t have enough bandwidth, you didn’t run enough stone, so what happens is they’ll spread it out and they’ll mask it. They’ll refer to your domain name. The recipient only sees your domain, which is good, but they’re using ten twelve different ones with sam filters will pick up on the sub and block things out on who’s, the who’s the day that we’re talking about is this a company like constant contact? Is that o r who’s today you’re referring to there are service providers after that do nothing but deliver both female. They are, they’re registered there, certified they’re they’re very, very compliant with the service providers that give you internet access and then actually deliver and carry the mail. This is a middleman that you would go to as a non-profit if you have a list of of ten or twenty thousand potential donors that you’re going to be sending to routinely, you’re not gonna be able to shelve twenty thousand addresses through your outlook account and with any kind of accuracy or time limit. Okay, so what you’re gonna do is anything over about two hundred names you’re gonna want to goto what provider that sends out both female for a living that’s all they do and is constant contact an example of what you’re talking about male chimp? Is that an example? Or there are eyes that i am i in the wrong line, the wrong space, you’re in a similar space in a different scale gostin contact and male chimp and those kind of things arm or of the do-it-yourself version of that, their sort of big versions of outlook, they’re attached to larger relation all databases that lets you get mail out in larger volumes by yourself from your workstation, ok, here, but if you’re sending ten and twenty thousand, even though we’re gonna have a problem, they’re going to start to bog down and go very slowly, and they’re going to use up a lot of bandwidth, okay, but for our audience of small and midsize non-profits the ones i mentioned, what might be suitable absolutely after they’re a great way to get started. If you’re looking at that between two and five thousand names of any kind. Yeah, constant contact, be a very good bargain, ok, dave, we have just a little less than a minute left. Why don’t you tell us what you think is coming next? What’s the what’s, the next generation of email going to look like email’s going to get a lot more robust in the next six months to a year, you can bet on the fact that you’ll be able to embed photographs and video in your outgoing e mail and have it be interactive and reacted currently, if you put an image in an email, you run the risk of having it be screened out by spam filters or by network. Firewall because they don’t allow images, they scan for them and they remove the as being too large, and they cut down on the volume of data traffic so they get rid of them. So if you’re putting an image in there, one of the things we tell people who don’t let the image tell the entire story, have some text that tells the story because the image probably going to make it and you see video coming in email, absolutely video will be able to be embedded in outgoing email beyond the capability we have today where it’s, just a lincoln it’s, actually resident somewhere else. We’re going to be able to actually carry video imagery on before too long. All right, we have to leave it there. I chose planned giving as the subject of my evangelism on this week’s blawg, and i’ll just share a couple of the things that i think go into being an evangelist for what you do. Yeah, i love it, you know, in my example, you gotta love plant e-giving you gotta recognize that it has value for non-profits and for donors and for their families, and recognize the good that it khun do for society as you’re helping charitable missions. So whatever it is that you want to evangelize about, you really have to love it and be unashamed about your love of it don’t talk you know sort of humbly or shyly about whatever it is you want to evangelize about, you got you need to be out in the open, you need to be enthusiastic, which should be easy because you love what it is you’re talking about, so carry that enthusiasm don’t don’t don’t talk, you know, sort of humbly about your your love of the subject you want to evangelize about lear, love of your work and and and as you’re being unashamed, spread that word, spread it to people that you work with, people who are in your network that you don’t work with, um, when the topic comes up, you know, what do you do? What do you love doing? You want to be unashamed about sharing it, and you want to use the opportunities that you have to spread the word. I’m joined now my guest is claire meyerhoff. Claire, how are you doing, tony, right, how are you? Pleasure to have you back. I’m well, thank you very much. Claire meyerhoff is editorial director at the plant e-giving company, and she is the creative producer of this show. We’re going to talk about howto write for email fund-raising so that your messages get opened, read and respond to do so. Continuing the topic of excel ing in email execution claire so dave paulus sort of left us with write a perfect point, i think, talking about the header of the email he talked about where it’s from what’s your advice about the subject line of the email? Well, the subject line is really important because if you think about your own email use, what do you do? You’re on your iphone slip. Through it. So the subject find is very important and what you want to do, it make really some buddy. So so whatever you are promising them, you need to deliver it on the inside. All right, clara, i’ll tell you what were you sure need to repeat? Actually, what you said about the subject line because you were you’re breaking up. You’re on a landline, right? I am on a landline, and i’m hearing some feedback. Okay? I know the feedback is a little challenging. Try toe, i guess. Talk through the feedback and or maybe not listen so much, but just just talk on dh when you’re done talking, then put the earpiece back to your ear. But could you tell us again what your advice is for the subject line? I’ll do that. Ok, ok, my advice for the subject line is the subject line is going to be the thing that the person will either open it for. They will delete it so your subject line needs to be something that is really, truly news. What? What is it that you are going to be telling people or you want them to do or you want them to hear about most? So put that in there and basically only about thirty characters or so because they don’t even see the rest of us. Put your good stuff up front. Yeah, you sort of have to write that like headline, right, it’s, it’s, a lot like a headline and think about the news business and think about why you pick up a newspaper and read it it’s because of the headlines and any new yorker knows that york post the daily news, they’ve had a long history of really pretty interesting headlines that really grabs your attention. So think about the same thing with your non-profit what is your non-profits headline? And what is the headline for this newsletter that for sending people something generic, like may newsletter june newsletter? Okay, yeah, i have to. Yeah, the new york times are the sari, the daily news and the new york post. My favorite. Well, one of my favorites there’s a whole book about new york post headlines, which is it’s called topless body in head headless body in topless bar. Aunt, i have a copy of that, but it’s a headless body in topless bar from a murder. But one of my favorites was when jack cousteau’s ship crashed and the headline was calypso collapse. So isn’t that genius? I just have to show you right now, it’s go on and you’re like a save the whales organization. You’re not gonna have that to live so collapse. So are anything like that? So i think that’s pretty cool, it’s. Hard to be that clever. But those clever and you know what? If you were that clever, someone would probably open up your email. Certainly. What do you have any other advice for? The for that header information. Uh, maybe the from la who should be from or or any other advice there. Well, unless everybody knows that lisa is the head of your organization, it shouldn’t be from one person instead, make it from your organization and have it the name something that is sort of more of an action. Kind of a word. Like not information, but news. Maybe, you know, news at habitat for humanity, dot com or something like that. So give it give it a name that is a little newsy sounding might get someone’s attention better than, say, info at or or you know, something really generic and, you know, keep again, keep it really, really short. And you put the key words right up front and whatever some buzz words are that air right now in your field. So if sustainability or something is a good buzz word, that and so definitely just put the key words right up front that the main thing, okay? And you mean in the from line, so maybe sustainability at the domain is that is that what you’re suggesting? I’m talking about the subject line, so okay, you have your nature organization, and you’re always talking about sustainability, and the name of your newsletter is something with sustainability. Perhaps that could be your email address. I hadn’t thought of that, but it could be whatever, whatever you want. So that it’s recognizable and again it’s all about the brand and it’s recognizable and always be thinking about who your audience is. And i like to think of your email recipients, the people that will open the email and those are the ones we care about, the most people that actually open it, and then the few that follow through, right? Who were those people? Those are your most boyle people just like implant e-giving who were the best plan giving donors your boil donors, people, that e-giving for a long time with the people that are actually opening and reading. Your email, those who you’re really boils followers those year loyal supporters? Yes. Oh, so you’re you want you’re saying you want to have them in mind as you’re crafting your message? Exactly. Keep them in mind. What? What do they care about? So think about a few people that you know, supporters of your organizations have names and faces and think about what are they interested in? What is kathy interested in? What is robert interested in and crafted that way? Ok, on, daz were crafting our message. What’s your advice about how long it should be the subject line. Oh, no, the length of the body of the message. The body of the entire email newsletter should be chunked. So if you have, you know, one big article, you know, trumped that up into different articles. But faras length, you know, there’s. No specific lengths to into an e newsletter. It could be his long or short. As as you like. Think about the ones that you read and pattern yourself after that. If you’re bored after a certain amount of time, then your readers our board, pretty sure. Okay. What other advice have you got to share? I’ve been sort of, you know, suggesting topics, but you tell us tell me what? Your your advices. Well, here is some duitz do plan ahead. A newsletter done that’s on the fly usually looks like it’s been done on the fly. So plan your news letter ahead of time and that means preparing an editorial calendar. Maybe for the whole year. How often are you going to send these out? If you feel like you can send out one a month that’s great. And then think about what you might be doing in those months. Like, if you know, your annual report is coming out and you’re gonna have a lot of new information, then you know that khun, your main news letter might be packed with a lot of great, um, like statistical information, all kinds of cool stuff that you know about in may, but of course in december of the holidays, so you know that you can do holiday related things, so come up with an editorial calendar, so if you’re going to do it once a month, pick a day that you think is a good day to send it out when your readers are most likely to read it and then plan ahead, say well in in february and do this in march. We’re going to do that and have a couple of things knowing full well, what what’s going on if it’s september back to school and that’s important for your organization. Well, then that’s your back to school newsletter and you know you’re going tohave information about that and also decide on a goal before you do your newsletter what’s. The goal of the newsletter is the goal just oh, well, we want to tell people a bunch of stuff that’s going on. Well, that’s not a goal. What’s your real specific goal. Are you entering into a campaign? Are you announcing something? And you want everybody to know about it? Are you trying to raise money? Are you trying to get people to come to an event to sign up for a walkathon? What is the goal of the newsletter and then work backwards from what your goal is. Okay, claire, we just have about thirty seconds before the break. You mentioned planning ahead. And maybe as much as a year as you’re developing your email marketing plan. You want that? To be dovetailed with your other marketing activities, right, you might be sending print pieces as well around your events, things like that, right, absolutely. And marketing is a huge challenge for most small non-profits. The person doing marketing is also doing fifty other things, so the more planned you khun b, the easier it makes your job, so have a little marketing plan for the year, even if it’s one page and it’s a calendar, we’re going to do this in january, february, march, april, may, june, july, august and it’s all about when you send postcards. When you send email, when you send a regular newsletter and other mailing, okay, we’re going to take a break. I’m talking to claire meyerhoff and were ex selling in your email execution. Claire, you had a list of do’s that you wanted, teo continue sharing with us. Well, some other dues are due. Motivate your reader. You are sending this email to them, and you want them to do something and you need to motivate them to do it. And the easiest way to keep them unmotivated is too forthem, boring and dull. And the best way to do to motivate them is to tell them about something great that’s going on. That really would matter to them. So, do you have a really great event coming up? Do you have something really cool that you and your organization to tell people about it’s is? And news means it’s, usually something you what’s going on in your organization. That’s important to your reader? Not just what’s important to you? Yeah. You just finished your quarterly report, or or you have a new, you know, drink machine in the break room that might be important to you. But it’s not important to your readers. So think about the things that you are. Reader will think. Okay? And that’s consistent with your advice earlier just have a few people in mind and think about what’s interesting to them and write to that audience and think about what’s interesting to them also do the cocktail party saying or the or the coffee shop thing where if you ran into someone at starbucks and they said, hey, what’s new in your organization will help. Yeah, excellent, right? If you just had a couple of minutes, right? Excellent. Another any other dues? Uh, you might want to tell people why this is important now, which is usually through for fund-raising so what is going on right now? Why this is important. So if you’re an environmental organization and there’s some sort of threat that’s what you want to tell people about right now, we need to do this now you need to sign the petition. Now you need to send the money now we’re trying to fight it now your call to action it’s the call to action and make sure your call to action really is a call to action and that you’re writing matches the urgency of it. What i see a lot of times in email that i get from a lot of different non-profits is, you know, it’s sort of the henny penny email the sky is falling, they’re taking our rights away and they’re going to ruin the environment and they’re really bad, and i don’t really want to see that i want to see the action i want to see, like what you were doing, like, you know, we’ve got a bus on its way to this place full of volunteers, and they’re all going, and we need some gas money, like, i want to know what the thing is right now, the action that you’re doing that you need my help, why are you writing to may? Why is that news? So tell me that okay, before we get to your don’ts, which i’m sure you have, how do you make sure that you’re emails are consistent with your general identity for the organization? So they look like the rest of what you send out, whether it’s emails or website or or print well, that goes back to your marketing plan if you have one in some places, don’t you don’t have one it’s pretty common. So think about a couple of simple things that you always do and include that in your newsletter. So if you always have a pet of the month because you’re the animal adoption agency and you always have a pet of the month and you have a cute little name for it used that, make sure you use that in your in your identity, so use those identifiable things that you’ve already created, and if you don’t have some it’s time to create them, okay, so that’s excellent that’s the substance? What about just the appearance of the messages? How do you mean by the appear? What? What artwork? You might include the photos or our identity elements that you have for your non-profit well, i was listening todavia earlier about sending photos and e mails and how a lot of those get filtered out. So i’m definitely thinking about the photo thing because if people aren’t getting them that maybe not a great fool. I love photos if you can use photos, photos are the best and frankly, a lot of times your most loyal donors are also on facebook, and they’re a friend of your organization on facebook and as long as you’re not putting up things like ten times a day, they’re interested in being what you have there not gonna block you. Okay, so think about your facebook think about your email newsletter in conjunction with each other and how they can play off each other. So if you have a great, great photographic like the best photograph that tells the story of your mission like no other photograph, use that photograph a lot of times, repurpose it so you might want to send it in your e news letter and have it on your facebook and in your e newsletter say there are more photos like this on the facebook or on our web sights and people through the website where there are more of these great photographs and then take that really great that one great photographs and put it in your print newsletter used it on a postcard for fund-raising let’s say, you’re doing a little plan giving postcard campaign. Put that one great photo on that postcard so we use the good stuff that you have. Good, we have just about two minutes left. What are some of the don’ts that you want to share? Well, it’s funny that you say that because i try to be positive these days. So i wrote a big list. Do you have all dues and no don’t so i thought for sure. Ok, right around. Okay, well, so okay. Don’t don’t be not creative. Be creative, be creative use of environmental organization. And you just did a survey about ice source in your community. What are the top three? See, that would really get attention. So be creative with stuff. The good stuff that you have that’s interesting that your organization really had a handle on. So let’s say you are an environmental organization. You just did a big survey, and out of that survey results came the, you know, little thing that wasn’t the main focus, but in it was, you know, people complain the most about the certain areas in your county that we’re the biggest eyesores. Well, that’s a new story for you where you can say, what are the top three ugliest eyesores, the whole county. And you can do a lot with that that’s really interesting people will open up that email is your town, you know? Is this eyesore in your neighborhood? Why don’t you leave? Us with one more of your dues or however you want to phrase it dues or don’ts duse or don’t? Well, i like to talk about, you know, writing and words and storytelling, so just do tell really good stories that are about someone that affect other people don’t talk about yourself and how how great you are, talk about the people that you’re serving and how you’re solving prop emblems for people. I’ll give you this one. This is my one last tip i give everybody these days, you can’t think of a story, look at the money, find out a recent gift that you’ve got and how did you use that money? And then find the person that’s benefiting from the money that you’re using. So, for instance, if you just got a gift and you build a handicap ramp, who is benefiting from that handicapped wrapped rampant your facility to find that person and do a story about them and that’s where you find your story stories, they’re everywhere to follow the money, certainly because charities are doing good work so people who are people are benefiting those stories should be very common, right? Where’s the money. Going find, find someone benefiting from it and focus on them. And where would their life be without this organization? And where would their life be without specifically this money that just came in and how it was used? You had a big campaign. Everybody gave money, you raised thousands and thousands of dollars. Where did it go? Thank you very much. Thank you very much, claire. The policies you need in place to protect your non-profit and your employees. Karen is a human resources consultant working with startup organizations to protect and grow their business. Good to be here. Thanks very much. Glad to have you. I have a big interest in sexism lately and sex harassment issues because of a block post that i did originally in november and then just a few weeks ago, sort of confirming what i asked in november does workplace sexism exist and i got resounding yes comments, mostly from women. So i was a little embarrassed that i even bothered to ask the question initially, what are the risks? Too small and midsize non-profits around sexism and sexual harassment, the risk is huge, there’s different kinds of harassment. There is targeted harassment, which is where it is. An individual or a group of individuals has a specific person that they’re not treating equally. Tough guy targeted. If someone sues your organization for targeted harassment, it can shut down your business. And how is that? Well, there’s damage is that that you will end up paying if they can prove it and they’re good, they go through lawsuit. I don’t know the limits, but it’s significant, this is under federal law is where the lawsuit would come from or state law. Well, both both. But harassment has looked at pretty stringently. It’s a part of title seven, which is, you know, ingrained in our culture in title seven. Just tell listeners what that is. We have jargon, jail, remember so okay. Title seven. It was started for race discrimination, but all kinds of discrimination is included in title seven and most recently, gina, which is genetic information. So all of this harassment really stems from title seven, which has been around a while, okay. And gina, what is jenna? Stand for genetic information. Think it’s notification act which president bush signed, signed in enacted and now something’s air taking place where you can’t discriminate, especially for insurance companies based on genetic information. Okay, so if you have a predisposition for certain illness, you can’t be discriminated against, etcetera. So this is title seven of what? The employment law. Internal revenue code. The internal revenue code. Okay. All right. So the sewol but let’s, take it a step further is just makes good business sense. If if you have a mission that’s important. Can you really say that on ly? A certain sector of the population can help you with your mission. It doesn’t make sense to exclude any kind of person based on race, genetic information, sexual orientation, any of that or including sex or gender. Exactly. And so if there are risks, who where does the risk lies it with board members? Is it with the corporation? The non-profit? Where is the risk it’s been broadened? Buy-in especially the serbians. Actually, it rests with even the management level if i’m a manager at an organization and ice and employee comes to me and says so, and so when it could be a vendor, could be this just isn’t employees harassment can involve vendors consultant’s also, and they come to a manager and reported that manager is obligated to either go to someone who can investigate it or investigated themselves if they’re trained to do so. All right, now you mentioned sarbanes actually does. Does that apply to non-profits, though? Or we strictly talking about title seven for non-profit i think there are some aspects of sarbanes oxley that applied all businesses. Okay, including, you think the discrimination? Yeah, i don’t know if it goes as deepest discrimination testing, but there is the idea of accountability and and the underlying responsibility and needing toe audit. And the idea of harassment in the workplace is considered a significant piece of auditing. Okay, and at the very least, title seven still applies. So so your point is the manager has a potential liability. Absolutely. Who else within the organization, including maybe the organization itself, the organization it’s, our board members boardmember sze management. Hr clearly, and you typically can’t even get employment practices liability insurance, which organizations should have unless you have a policy manual with how to report it listed in detail. Okay, we’re going to get into what those things are that we should have in place. And you just mentioned to insurance and employment practices manual ah, so in terms of these these liabilities, can they be individual? So in other words, what i mean is, can an administrator or a boardmember be liable as an individual? I have, and i don’t know the court precedent on this that have to do for an attorney, but i my understanding, is as hr. I can have personal liability. I’ve had two in the past. Fire a client because of some issues around this has put my business in jeopardy. Okay, well, i would think that if if the hr administrator manager has individual liability than most likely other other managers in the company and again, you know, i keep hitting the board members, but we often forget about boardmember. But they are absolutely fiduciaries to the to the organization, and they have a legal duty to make sure that office is in the organization generally is operating legally within title seven and possibly star beings. Actually, okay, we’re going to take a break. And then after that break, we will continue with karen. And we’ll start to talk about some of the details of what your organization needs. My guest is karen bradunas, and we’re talking about saving your office from sexism scene. Karen. What is the role of human resource is if there is ah ah, complaint. Human resource is is responsible to investigate the complaint. Human resource is may not be the only avenue in depending on the size of the organization. You may not have a formal hr department many dahna right? It doesn’t make sense to have one into your certain size, but that function needs an individual doing that really needs to understand that there is really a huge risk, especially when a complaint comes in if you choose to ignore it not only from the sense of a lawsuit, but just in the sense of productivity, because that really sends a strong message to staff that complaints go unheard. Yeah, that they’re not working in a safe workplace is not a safe environment it’s harmful on when i write policy manuals for organizations, i really stress that you need to have in the policy manual detailed information off what the process is like and to whom the individual should go, too, and i suggest that you have two avenues either their manager or h r if there is no hr that they can go directly to the board or the executive director, but there needs to be two avenues. If i’m uncomfortable going to my manager to discuss this, i need another place to go. Okay, so let’s, get that, then this is the first obligation that a non-profit has tohave unemploy eee practices manual in place. And what else should it should that manual talk about in terms of sexual harassment? Sexism in the workplace? Depending on the organization, you can go into detail of what sexual harassment means actually define in the mind and touching. And you, khun yeah, you can go into e-giving examples others just state what the law is and then say, if you feel you’ve been a victim of harassment, thes air the steps to take. I also encourage organizations to including there that if you don’t notify us of the harassment, there’s, nothing we can do. And i understand that because there are times that something may be going on, that people don’t know the detail of what it is. Yeah, what if what if it’s just rumors? You know, there are a lot of people talking at the water coolers about ah, woman who’s suffering something at the hands of maybe another woman or or a man or a vendor, but or event right you mentioned didn’t mention it before, too. And but suppose there isn’t a formal complaint that just there’s just rumors around. Everybody hears it, but nobody the woman who’s suffering this has not come forward formally. What happens then? I encourage who’s ever doing the hr function. Whoever has a relationship with that that individual it’s a it’s a woman that they approached her one because you want to make sure that you’re sending a message. Hey, we care if something’s going on we want you to be aware that this is being said. You don’t really want it work environment where rumors the running around about people it’s not a safe environment, it’s not safe and it’s not productive. Exactly. And so, just with a little detail, how would someone do that? Suppose it is an executive director that there is no hr there’s no hr manager, right? How would an executive director approach that person about whom the rumors are swirling and she may very well know that the rumors just being talked about but irrespective of that, how does how do you make that approach? And had that meeting i would apart someone by saying, you know, i’d like to meet with you. Go off somewhere. Not in front of everyone behind closed doors and say, look, i’m hearing scuttlebutt about a situation and this is what i’m hearing i want to make you aware of it one to find out if it’s true toe let you know if it is true, this is serious stuff. This is not behavior we approve of here, and i want to get your take on this. Is this really going on? If the individual doesn’t want to share it, i ous an h r professional would wantto sort of see what’s going on in the office, and i might if the scuttlebutt is affecting. A lot of staff members call people and say, why are you saying that? So you’re actually doing the investigation, even if the person says i don’t want to talk about if it’s affecting productivity? Yeah, if it’s going to, you know, give people a bad name, you know, if it’s going to be, you know, a slander, i want to address it and i’m you know, depending on how much the scuttlebutt is if it’s one individual and you talk to the woman in this case who is being named as thie victim sometimes if she’s sharing with one individual that will stop it if he doesn’t want any to go further. But if it’s already spread throughout the office, it’s not a safe environment if it’s if it’s a false claim, then you have an issue with an employee being bad. Muffed you don’t want that either, right? All right. Yeah. That’s. That’s. Very possible to it, you know. Well, we’re talking about rumors on in our hypothetical the woman who’s. Supposedly the victim doesn’t want teo make a formal claim. Maybe there isn’t anything going on. Maybe that’s. Why she doesn’t want to. But your point, then somebody’s being talked about badly a za potential, the perpetrator. Now, what you just mentioned is what if it’s not happening? If it’s not happening in someone is starting this rumor or making a false claim, i recommend to two employers to start to terminate the employee that’s making these false claims. Because, again, it’s a nun safe environment where someone can falsely accuse someone else of doing something. Okay? And you think termination is appropriate? Yeah, yeah. I mean, if you’ve got an office where someone’s being spoken against and you, you start an investigation that individuals going to know it, no matter how, especially a smaller office, no matter how discreet you are. It’s uncomfortable? Do you really want? Do you really want someone who lies to be in your office? You know, i mean that’s the bottom line right now, it’s someone you don’t drop, and if you go through this and you let them stay or don’t discipline them, at least in some fashion, you’re essentially saying it’s, okay and it’s not right, you are, and this is all this all goes back to protecting the organization, so even even if the again and our hypothetical the woman is a victim, even if she doesn’t want to make a claim, you still the executive director. However, has this hr function roll still has an obligation to protect the organization and whether or not they make the claim. If something happens, the organization is going to suffer even if it’s just bad publicity employees who leave because they don’t like the work environment, talk about the organization to other people, so word on the street is going to get out. Anyways, i’m with karen bradunas hr consultant, and we’re talking about protecting your office from a sexism seen potential sexual harassment claims or or or sexism in the office. So karen, besides thea employee manual and if we have time, maybe we’ll come back to some of the details that should be in emmanuelle, but we’ve touched on them somewhat. What else doesn’t organization need to have in place? There’s some insurance that they should have? What kind of insurance is for some organizations, directors in officers at which may or may not apply here, but employment practices, liability insurance they should have, and that is protects an organization from things such as this, and you can talk to a broker about it. They’re specialized brokers in this area that’s that specialized in it and there’s certain, you know, claims it’s very specialized insurance. You cannot typically get it without having an employee manual in place. Yeah, just cassette. You mentioned that earlier because they won’t underwrite it is because without emmanuel, they don’t know what you’re doing. So how do you want to underwrite something where we don’t know what your employment practices are? You can’t even assess the risks that can assess a premium, and so they can do right now would insurance company of that type that has that employment practices, liability insurance typically help the organization constructed non-profit i mean construct the employee manual, or would they have a template, or would you not expect that? I have not seen them have it. There may be some out there that do. You can get boilerplate manuals from some accountants, have them. I don’t know if they’re they’re the most current, and certainly attorneys have them. I work with organizations who want to customize it and the ones you get from attorneys are oftentimes legalese, and often organizations say that doesn’t really feel like our organization, so we’ll customize it because it is part of the orientation process. Emmanuel sort of gets an employee to get a sense of what the organization is like, and in some cases i will write managers manuals based on the employee manual. Well, that’s interesting. So that’s that’s something else that should be in place? Well, it doesn’t have to be in place. And but if you haven’t organization where you want to ensure that there’s consistency for all managers, you’d like a document for them to refer to so that they know they have the policy manual. They know what the policy is, but how do they enforce it? You know, do they have forms they have to use for corrective disciplinary action? Is there a template? We are these forms. How do you do this? You know where things do? Sort of a guidebook for managers i create that it cuts down on training time, and it also ensures some consistency across the organization. Okay, so sort of. Does it also, that manager’s manual includes sort of interpretation. Of the policy and as well as you’re describing the process for carrying out the policies in the employee manual, so it’ll typically say, here’s, the policy, you know, way, expect you to be on time, i’ll give, you know, we expect you to be on time, so it will say in the manager’s manual employees, you know, if an employee’s consistently late, fifteen minutes or more for x number of days, they really should have a verbal warning or a written warning, and it goes through that steps just to make sure that, you know, you don’t have one man, and you’re putting someone on written warning for one, you know, one minute after the hour and another, you know, never yeah, okay, consistency, fairness and of course, that would relate to claims of sexual harassment is, well, exactly and the more consistent in the more you follow your policy manual and and understand when someone is claiming harassment suit, they’re going into court with that manual it’s a legal document. Oh, talk a little about that thie employee manual is the manual that goes to court that talks about how you do what you do with your organization. So if an employee is suing you because you’re not, you’re not treating them the same as everyone else that’s what they’re going to court with, not what you said, although that that is part of it, but what the legal document is. You know when when an employee says, i got fired for poor performance and they say, but here all my performance reviews the all salmon excellent employee there’s, a disconnect so saying between the practice and the manual, the mexican so i mean, i sent an email that i was being harassed by this person, i here’s the manual that says that they will investigate it, and i’ll get back to me. Nobody got back to me, it was never investigated. I also have a friend who complained about the same individual. I mean, it could become then a class action. Okay, so should these manuals. So we’re talking about the employment practices manual and maybe the manager’s manual. Those should be approved by the board, then a lot of boards do look at them, yeah. When i’m working with organizations, i typically work with executive director level and maybe the top manager level and then it’s given to the board for approval. Okay? Because as you said, it could end up as evidence in court. All right, um, all right. So the manuals, the employment practices, liability insurance, um, what about training around these? Is that is that an element of, yeah, you have to get included. You have to do sexual harassment, avoidance, training, not sexual harassment training, like most people say. And that should be done at least annually, and that is for all employees, all employees, and you need them to sign a document that they went. And what are the elements of that training is to talk about what sexual harassment is is to talk about if you are, if you feel you’re a victim of sexual harassment, what to do in the process so that everyone knows and everyone has a heightened awareness of it. Now, some people call it diversity training as well, you know, and they’ll encompass in in diversity training, depending on the organization, how they feel about using the term sexual harassment avoidance, but it does need to happen. I’ve heard some anecdotal stories of organisations that have had their hr person give the training, and typically the person who was making fun during the meaning is the perpetrator. What that shouldn’t even be tolerated. I mean, if we’re in a meeting to talk about sexual arrested avoidance and people are making off color jokes. It’s difficult when it’s executive director, though ditigal director making the jokes? I mean, yeah, you’ve seen that i’ve heard it secondhand, i wasn’t there because if i was there wouldn’t have been what would you do in that? Okay, so if you were the hr consultant, i’m gonna put you on spot. You’re the hr consultant in an organization. You’re doing sexual harassment, training your annual training. And the executive director of the organization is making some kind of off color jokes about women. What would you do in that case? I would first state. Look, this is really serious. And do you understand the implications to this organization? You’re doing this? I’m sorry. In the meeting, right in the meandering in a public. Okay, you’re stopping the meeting. Okay, go ahead. And because if if it’s important teo to really set the tone that hey hr takes this seriously, people need to know they can come to work and be safe, and so i will address it that way. And if that doesn’t, that doesn’t stop all has the person to come out. And if that person i know of is suspected of doing things, i may directly talk to them about it and say you’re you may be an offender of this. This is a big deal, you know? Yeah, that includes we’re talking about the executive director. Anybody, anybody, because the because the risk runs to the organization right now, your job is to protect the organization, the person who has the hr role, their job is to protect the organization, right, not the executive director, right? And that means if you’re not going to talk to me about it, i’m going to have to fire you as a client and notify the chairman of the board. I understand, okay, we have just we have just a minute left, first serious stuff. Dahna what about what about orientation for new employees? Can you say something about that in just a minute or so? The policy manual is in a really important part of orientation, because you’re telling everyone these are the rules we play by as an organization and that’s. Why you want your manual to really reflect who you are and what you’re doing, and to be written in a way that reflects your culture. They need to feel that it’s a it’s, a tool that they can use to go to. I suggest that people, when they give orientations, that they also have time to meet with various departments, we have to leave it there. Karen. Very good advice. The problem with planned giving newsletters. How come a lot of them go on red? Well, there are some problems with plan giving news letters, but there’s some good news that i just heard about planned giving newsletters. And this was an anecdotal bit of information i was recently talking. To a colleague. And he said that he had gone to visit a perspective. Donorsearch had known for a long time, and, uh, donor. Information in there his his own financial information. But he also had the last ten or so letters from his institution. That’s great that he had saved. And he had them all neatly in that folder. And i just heard that about a month ago and that it’s really kind of changed the way that i think about plan giving news letters in a way. And what it makes me think is that we need to give people something that they’re willing to save. Yeah, i think that’s a big win that that story is a home run. If people will save those for when they go to their estate planning attorney to revise their will or prepare their will. And they have a stack of these that’s that’s a home run, i think for the organization because that person has there has the organization in mind when they go to revise or prepare prepare their first will that’s true and so often we like to just, you know, do stories or write little nice things and that’s what we’re so focused on, but at the end of the day, it really is the planned e-giving content that the person that’s the reason that they saved the newsletter so i think that the key is really combining really cool, neat stuff donor xero nasty things, but also keep in mind that you need to provide some of that really content like a little, you know, give annuity rate chart and definitely your request language and those kind of things, okay? And we’re going to get into your tips just though who’s, the who’s, the audience for planned giving newsletters who are we writing for? Well, you have to think about your audience so that’s different whichever organization your four and you have to know your donors it’s just like anything else. So if you’re the plan getting person or the development person or even the executive director or communications director of your organization, you have to be thinking about who was getting this newsletter at my organization. So you know who that person is, who you’re sending it to? You might want to do a targeted plan giving news letter maybe your donors that are a little bit older, you’re adjust your boiled donors, people that e-giving consistently for ten or fifteen years at the plant giving company sam caldwell. Who’s been, you know, with the company, he started the company a long time ago, and he says that it’s, your loyal donors that are your best plan e-giving prospects, not necessarily your high end donors, it’s your people that have been given consistently, even fifty dollars, a year for more than twelve or fifteen years, that it’s those people that are most likely to do plan about those people in that audience that writing i’m always stressing that in seminars that the best plan giving prospects of those who are consistent long term donors and exactly as you said, ignoring the size of those gif ts but if somebody’s been giving for, say, eighteen of the past twenty years on and some of the non-profits that i work with have been around for much longer than that, so maybe twenty seven or twenty, twenty five or twenty seven of the past thirty years, even if it’s just ten or fifteen dollars a year, they’re always planning for you, and that makes him a terrific plan. Give prospect, right? It shows a couple of things. It shows one that they love your organization and they continue to care about your mission. But to that there is a certain kind of a person that they’re organized. They do, they do the same things every single year there were probably more organized people, which means they’re more likely tohave a will or teo be really interested in there, you know, financial planning. And they’re so organized that every time a plane giving newsletter comes, they put it in their file, right? So let’s, let’s think that that’s our typical persons were writing for all right? So let’s talk about some of your tips for punching up plan giving newsletters whatyou want start with. Well, i’d like to start with the stories. So it’s something i call the savvy story style instead of doing your typical donor profile where you you know, you know what we call gushing gushing flattery where you just say, oh, they’re on the board of this and there’s ahead of this, and they love this, and they’re so wonderful in the community. Forget all that we assumed that that’s who this person is find that riel nugget of information, the real reason that they give to the organization and that might just be a little, you know, funny. Little story. And then what? Something that you could do is instead of doing the paragraph format, try something else. Think about the magazines that you read and how you see interviews with people. The ones you read and say a celebrity magazine where it’s, like, you know, five questions for nicole kidman? Yes, a lot of the mark q and a format, right? Yeah, q and a format and that’s more fun to do. It’s easy to do and think about this it’s. Easier for the donor you don’t have to, like, take up all of the donors time like getting all this information you just get, you know, a few questions and get the answer to that. And it could be more fun and it’s so much more readable for your audience. Okay, okay. What else do you have for us? Well, the key to the the question style is in that last questions. Say your first questions were like, how did you get involved in the organization and what’s your favorite thing about the organization and what’s? The best thing that we do or something like that? Your last question should always b what would you hope? To see the future for our organization. How do you hope? What do you hope to see habitat for humanity doing in the future? And that gives the person the chance to say what they dream about the future for your organization. And then you tie it into the plan. All right? You can say that leads naturally to the the planned gift, which is almost always cash to the organization in the future. Right? So the answer might be. I’d love to see us double the number of houses we build and that’s. One reason i decided to put habitat for humanity in my will. And then after that that’s, where you you anchor your interview, the interviews, you know, on the top and it looks nice it’s all laid out well. And then you skip a couple of spaces and you anchor it with that. You know that hard information that you want people tohave the call to action. If you would like to put us in your will, here’s, how you do it, it’s really easy, here’s our request language. And then you also want to encourage the person to get in touch with you. The development. Director of the plan e-giving director. Because what’s. So important. So you give them a reason to call. So you give them the outright bequest language in the article, and then you encourage them to call or email for alternative language, like a fraction of the estates, residual or any other reason you can think of to actually call or email you now, let’s, define a few of these. Now, you know we have jargon jail on tony martignetti non-profit radio. So let’s, just go in a little detail now. The outright request. What do you mean by that? Well and outright. Seaquest is i be quick to the university. A gift of ten thousand dollars. Okay. And you mentioned you contrast that with the residual bequest. A residual request is you could. You could, after you have made provision for everyone in your family and your friends and your, you know, dogs there. Then you can leave the residual a percentage of the residuals. So you could say i leave ten percent of the residual of my estate. Or you could leave the entire residual of yours, right? And the residual is what’s left after the after taxes and the death expenses and all the outright requests have been paid. Okay? Expert tony. Well, you’re on probation from jargon jail. Careful, careful. And walking a fine line. Um ok. What about what about pictures? You have some advice about making those pictures? Mohr interesting, yet the photos they’re definitely the sticking point. When you’re putting together a plan giving news letter often it’s an afterthought, you have this great story. You have it in there and at the end you only knew the future of the donor. And then you might call the donor and they send you some really lame snapshot that’s not high resolution. And when you do things in print, you should really have his high resolution photographs possible. So to stay out of jargon jail high resolution is the number of pixels and that’s pretty much the image that comes straight out of your digital camera onto your computer before you compress it stayed to put on the webber sent to your friend in an email. So it’s more of that original big photograph for your work with that’s. Important is to get a nice, clear photo. So if you don’t have that great photo your best case scenario would be that when someone went on a habitat for build a habitat for humanity, build their nephew who’s, an art student came along and took pictures for his portfolio and he has some. Then you can use that in your newsletter. Give him a credit that that’s your slam dunk that’s. The best thing possible is casual and the daughter has no great photograph. This is a good opportunity to actually spend some face time with that wonderful person that left you. It left your organisation in their will, so use this opportunity. Hey, you know i need to take a picture of feature. You would love to have a great photograph. Can i come over? Can i come over with our young staff member who’s a great photographer and spend a little time with them? So that’s that’s something to really think about that that’s an opportunity as opposed to something that’s. A problem that’s like, oh, we don’t have a photograph. What a pain in the neck and what i find a lot with people and organizations is things like photography writing for the web. People treat these things like a chore because it’s not what they do and they think it’s complicated, so i would advise people to really get those skills. If you’re not a great photographer, take a little class. Ask a friend who’s, the photographer, you know by a little bit better camera if your organization doesn’t have one and make that effort because you could do so much with photograph, you can with photographs, you can take a picture and and and send it as a thank you note to someone. Take that photo printed out. Put it in a card, write a thank you note so you could do a lot with photograph, but for your organization for this newsletter, you really want that good photographs have a couple of tips about taking photographs if you get to the donor’s house and one of them is, you know, get us close as you can to the subject don’t stand way, way back it get closer up, have them actually do something. So if your habitat for humanity have the person stand there with a hammer there just holding the hammer. That’s a cool photo it’s not fake because you know they’re they’re standing in their front yard. With a hammer haven’t have some have some sort of a proper doing something. And then, like i said, get close up and make sure the light is right on them. The light should be right on their face and their eyes that’s the main thing, if you get that right, you’re in good shape, and then my last tip is shoot from above. So if if you’re shorter than your subject, hold your camera up hyre and tilt down a little bit and you can see it in the viewfinder and that is a much more flattering way to take a photo. Just trust me on this it’s really most flattering way to take a photograph of someone okay? Or that the little short version of the you know how to take a picture, okay? And even if if you’re shorter, you stand up on a little stepladder or chair or something. Exactly stand about a little a little stepladder or something like that. Ok, we have just a minute before a break. Claire, can you get another tip in the next minute? I can nappy nasty headlines. Very important. That’s, that’s a really waste of newsletter. Really? State are dull headlines like donor-centric we have to be careful about our criminal code here can’t expand the criminal code the way the way some some people might like. Teo, i’m not sure that that qualifies, but tell us tell us what the trouble is with dahna profile. All right, all right, parole probably don’t profile it’s generic it’s like sitting down to watch the television show thirty rock and an announcer comes on and says, comedy television show that’s inside jargon that we use, we’ll say, hey, tony, what we’re going to her donor profile this month, that shorthand it’s, not it’s, not a headline. Find something about the interview and put that in the headline. Okay, we’re going to take a three minute break. I told you she’d come back clear. You’re still there. Right? Okay, what else do you have for us? Punching up our plan giving newsletters? We want donors to actually read these things. How do we do it? Well, we make it more like the things that they’re used to reading instead of things that look like a church newsletter fifties so that a key point is that what our people reading these days, what air they used to looking at more and more people are online, even your older donors, they’re online, they’re reading, you know, punching nifty things online so they’re used to reading huffington post or use a today online? Uh, there used to more punchy writing, punchy layout. Just let just a different look than this old fashioned sort of newsletter looks really think about your style of your newsletter. Try to get more white space in their remaining believe more space around things you don’t have to crowded with content and that’s usually a challenge because we do have a lot of great things to tell people, right? We want to get it all in there. So try as best you can to leave more white today so much more attention to your layout when you’re flipping through a magazine. Your favorite, you know, magazine that you’d like to read on your off time, and you see a layout that looks good, rip it out and think, well, why do i like that? And then try to duplicate that in your plan e-giving newsletter is not hard to think about that a little bit more wood. One element of that bee keeping this short stories the articles to a certain length yeah, i think there’s no specific the word count. Okay, article more about how it looks and what you’re trying trying to get across but definitely keep your articles to, you know, a couple of hundred words or less. You can say a lot in fifty words, believe it or not photos tell a great story. What for? The idea that you’re trying to get across plant giving is very, very simple, really. It’s it’s just about leaving a legacy, leaving this this gift for the organization it’s something that comes from the heart. It’s not complicated, it’s not about, you know, doing anything it’s really complicated it, it’s a simple, simple thing when you think about it, anybody, anybody can do that. And so you just want to get to the heart of the matter why people want to be a gift. So use those little donorsearch stories and use a little examples of things. So if you are one organization that recent recently had a a real estate gift, someone left you a farm. Explain that to your donor’s that’s really interesting that’s inside information to them and and cool. So write about that about how that works that you’ve got this farm and and it was valuable to you for this reason, and you sold it and used the money to put up a new community center or whatever, tell people the nitty gritty details of that cool gift. So if you’ve had interesting plant gift and you would like more of them, talk about that, we have just about two minutes left. Claire, you mentioned something. You said this is all, you know, at its roots, it’s. All very simple. But plan giving does have a technical side. I mean, so should we spend newsletter landscape explaining the details of the charitable remainder unit trust with makeup provisions. Well, i think that you should spend a little time with the technical part for the things that you would like your donors to dio. So if you do have a say, a gift annuity that you have to offer and you would like people to do that, then talk about it a little bit and you could do that in a simple way. Just talk about the benefits of the gift, so you could say, check out our charitable gift annuity and check a few things off your to do list and then under, you know, to do like it’s a list increase my retirement income, decreased my taxes now and give back to habitat for humanity. And that sort of tells people in a nutshell what it does and then just, you know, put a little rate chart down there that you get from the person that provides you the rate chart. So a sample rape charge for a ten thousand dollar gift annuity for someone this age sixty, and then you want a little disclaimer language under there. So you briefly explain how it works, but you don’t have to. Get into a lot of details because they’re not going to not fill out something below that and send it in and do it it’s not that kind of a gift, so you don’t have to tell them every single thing. Just tell them the benefits tell them who’s eligible and how they would go about doing it. And given that information, claire, in just a thirty seconds, we have left it sounds like, you know, going back to your original advice, you’re not writing a newsletter for cps and estate planning attorneys does not need to be a technical explanation. No, you’re writing for your loyal donors and keep in mind that you want them to hang on to this. You want them tow to read it and think about it and go well that’s interesting and maybe tuck it away somewhere instead of throwing it out. Because that’s, how plan, gift get made over the years. People think about it, it’s in the back of their mind that something happens in their life, a change where they think, oh, i need to really get on this. I need to really work on my they plant and do these kinds of things and then they’ll have you in mind you’ve already offered them solutions, and hopefully they’ll give you a call and act on it clear, thank you very much. My guest then was maria simple, and she shared strategies to get to know your current donors better and find new ones. Jeff is the president of resource centers for management, and before founding the resource center’s, he was the first housing division director of the volunteers of america in new york city. He also has management and planning consulting experience throughout the u s and in saudi arabia, including two stints with booz allen and hamilton. So clearly you can see that his background is in non-profits and the corporate consulting area. So he brings that for-profit and corporate experience to our small and non-profit small and midsize non-profit audience, and i’m very pleased that jeffs practice brings him to the studio today. Welcome, jeff. Good to be here, tony. Pleasure to have you. We want to talk about saving money for small and midsize non-profits on the in the back office. Let’s, start with something that i think is a pretty substantial budget item for a lot of organizations, maybe all that that are able to even offer it. Health insurance. What suggestions do you have around health insurance and tony, i very much recommend that non-profits when they’re taking a look. At cost reduction. Start with health insurance because is usually the biggest item second teo salaries and wages so one of the critical issues in dealing with health insurance is never just renew your policy don’t just blindly say it’s another year, let’s, go let’s, continue where we’ve been, ok, what should we be doing instead? First of all, for smaller agencies and and small is fifty and under is that, uh, there are only six providers insurance providers in the state that will will deal with these small, smaller organizations in which state of your friends in new york’s, new york and the critical issue is to work with your broker, and you must pull your broker in as a consultant and is an adviser on dh that’s that advice applies regardless of where you’re located in any of the fifty states have this sort of consulting relationship with your broker exactly, and if you don’t get a new broker, they want your business and they will provide consulting services, advisory services work with you and if they’re not change brokers. And what sort of advice should you expect from this kind of a consulting relationship from your broker? Is a consultant. Two or three of the key issues are one. Do we have the right structure? There’s, the traditional structure of health insurance and where you have a relatively low deductibles and you have the other kind, the h r a h s a great deductible if we have to stop you. And in this show, we have jargon jail. Okay? And i’m the warden of jargon jail. I hate to put you in there, but it’ll be of a temporary stay. Please tell us what h r a and the other acronym of mean, but i can’t tell you with h r a stands for but h s a r a health savings account. Okay, they’re also known is high deductible accounts. You should at least talk to your broker about whether or not those structures that makes sense for your agency. And if they don’t know or they refuse to talk about it, get a new broker. Okay, thankyou. Your sentence in jargon jail is commuted. Okay, thank you very much temporarily. I hate okay now. Go ahead. Another thing is that since there are relatively few insurance companies in any state, do not go shopping for health insurance every year because the insurance companies will know you will get a bad reputation, and since their costs in the first year of serving you are much higher because they have to sign you up, they have to do all the data processing, et cetera you’re going you’re you’re going to get a negative image, so you want to stay you want to get into a situation where you stay with health provider for at least two or three years, unless they’re provide terrible service on dh, maybe you’re changing plans or benefit levels within that provider, but your advice is stay with the same provider whatever plan you’re into, correct thie other thing i would say about health insurance is that seriously, consider wellness programs, especially if you’re a larger agency and your broker and your health care providers should be able to work with you on that so your people use fewer health care services and therefore your premiums have a chance of going down and in just a minute or so we have left before a break, you’re going to be looking for your broker consultant to be advising you on the suitability. Well, you know, the suitability for your agency and what the wellness plans are that they should be, that you should be looking at absolutely which part of it is a professionalism? Part of it is the personality of the person. The other is are they the right size broker for you? If you have fifteen hundred employees, you don’t want a one person shop broker, and conversely, you’ve got fifteen employees. You don’t want to have one of the world’s five biggest brokers because they’re not going to care about you. I’m joined by jeff marston, president of resource centers for management. Jeff another a sizable portion of probably most of our audience is budget is office space office leasing. Most of our audience does not own a building. What about saving money around office leases? What advice do you have? It is a major area where people can save money. In the biggest blunder in the office leasing area is to not get your own broker. Everybody who has purchased a house. Ah, condo. A coop gone out and gotten their own real estate broker. And the sellers have their own real estate brokers. Yes, certainly. Every building owner has a broker right in commercial real estate, you never want to talk to the person whose name is on the building. The broker whose name is on the building that working for the landlord, you need to go and find a tenant only breaker. Who will work for you? This will save you money in the negotiations, and it will not cost you extra money. That landlord is going to pay a commission. When a transaction happens, he can either pay all of it to his own broker. Or he can split it in half and pay half to his broker and have to your broker. So this consulting advice does not cost you any money. So all right, so this non-profit does not pay for this broken relationship. And there are so many variables in a commercial lease on dh that doesn’t only apply in a big city, but there’s all kinds of chargebacks and emergency clauses, and how to get out of the lease and all kinds of contingencies. It’s. I think it’s just too complex for a non broker, non lawyer toe to figure out. And i’m not going to go in to a bunch of the details. But i would say to other things, first of all, because of all those details, do not rely on even the best real estate attorney, because the real estate attorney is not necessarily up on the market in terms of vacancy rates, costs of the give backs and he will make it happen, but a broker is the one that knows what the market is, so you need a good real estate attorney do not rely just on your real estate attorney to be your brokering represented the second thing is take advantage of the market today it is a buyer’s lee sir’s market, and it is very likely that if you have less than five years left in your lease, even if you love your building and want to stay, this is a good time to explore extending your lease, renegotiating your lease and so take advantage of the market. Ah, broker is going to know what the market is and be able to give you the good advice. I’ve often heard the advice that even if you intend to stay, it’s it’s valuable to go out into the marketplace, as you’re suggesting, because you can use the marketplace as leverage for re negotiating your release in the current space? Absolutely, and with today’s market with the vacancy rates hyre if a landlord loses a tenant, it is much more likely that they’re going to have vacant space for um, or extended period of time than, say, five years ago when ten a day left you clean it up, knocked down a wall paint put in new carpeting and three weeks later tenant he moves in that’s not the way it works, so landlords are much more interested in keeping good tenants. Um, what about phones and internet service and that’s something that every non-profit has what’s the what’s, the marketplace like there in terms of trying to save some money for them? Well, there’s good news and bad news on this we have the good news is that everyone, whether it’s, it’s, your home or your or your business of your non-profit has been saving millions and billions of dollars over the last twenty five years as a as a t and t was broken up, and new competitors have come in. And so we’ve all been saving an incredible amount of money. Therefore, i would recommend that someone ah non-profit not take a look at telephone and internet connections as a high priority area for cost reduction because so many contradictions have already been squeezed out of the market buy-in just because of of with market trends. I think that the first place to start within that area is in your data, not on your voice communications, and there was a lot more competition in the the line charges between communication hubs and you knows we’re starting to get technical, but they’re okay if you get too technical, put george in jail, but go ahead. But on the data side, ah, most non-profits are less sophisticated in that area and the in the market there was more competition buy-in in that area than there is over on the voice side. Okay? And on the voice side, i know that there are consultants who will work on a contingency basis. Now, i do understand your caveat that this is not a place to look maybe first or even second for cost, because we’ve already we’re all enjoying the savings and we all pay unlimited. We’ll pay a flat fee, probably for unlimited service, but if someone wanted to look at it, the phone side, there are these consultants to work on a contingency, right? And we’ll review your bill. Yes, there are, they’re two kinds of consultants, and they’re two different perspectives. There are certain consultants that will do an audit of your past bills and see whether you’ve been overcharged charge for things that weren’t in your contract and there’s a basically a fifty fifty contingency situation. Usually, if you have not, if you’ve either never had an audit or you have not had an audit in the last three or four years. It’s reasonable to consider it. Okay. The other kind of consultant is looking at the future and they probably will not charge a contingency. They they will get paid by the phone company the way an insurance broker is on a residual basis so you won’t have to pay for this service. They they will show you how to save money. And then you will just pay the phone company what you pay and the phone company will pay them a residual commission. And for these look back phone consultants. When you say it’s a contingency fee basis, that means if they save you money and i guess if they actually get your money back from previous errors, omissions, whatever mistakes they get fifty percent and you keep fifty percent that’s. Correct. There should be no other fees. Ah, no other exchange of money. And this sort of assignment, unless they actually save it and get it back correct and let’s look sort of expand from phone internet and look att utilities a little more generally. What way? Be talking about gas and electric, primarily gas and electric in some in some areas also a fuel oil. I know this is getting really boring. People start to glass over when you talk about when you, when you think about your utility bills, if you are paying them directly as opposed to paying them is part of your lease. This is an area where there is a whole new market, and in new york, they’re called s coz ceo energy supply companies. They are state regulated. They are approved by your local utility. Tell you’re afraid of george in jail again. I’m a quick learner, tony. By the way, my guest is jeff marston and he’s, the president of resource centers for management. We’re talking about backoffice blunders, saving you money in the back office. And, of course, i interrupted you. Jeff let’s, talk more about those energy service companies. Okay. Basically, they are legitimate. As they said, their their their their state monitored it. Is a legitimate organized market, and anyone can save sixty seven percent on their total utility bill now gas and electricity and ah also, most customers now have the opportunity to enter into a fixed price contract, and especially if you are interested as a non-profit of you were interested in budget certainty over a specific period of time. These energy supply companies can now offer you a fixed price for a year. Two years, three years. You you may save money. You may you made not save money because of the market goes down significantly. But if you are comfortable with where the market is today and you want that budget certainty then this is now offered to you through this this new energy supply company idea. And how do you find the energy supply companies? The s goes in your area, wherever you are in the us. Well, there are there two basic ways. One is you. Give me a call at eight, six, six two seven seven, eight, six, six xero or you go to the website of your local utility of or of your state public service commission and of do a little do a little seeking on. And you will find the names and contact information for all of those. The vast majority ofthe states that have decoupled supply from distribution in the energy business are located from the district of columbia to maine. Oh, okay, it’s, atlantic seaboard, the mid atlantic. Yeah, admit atlantic and new england. If you’re listening to us and in denver or minneapolis or or new orleans, your states are are not are not doing that yet. So so so outside the area from maine to washington d c you’re saying it’s pretty much just you work with the supplier that that is state authorized? Correct? There aren’t thes energy service companies s coz that’s? Correct? Let me also add that if you want to go broader than our discussion, i have something from jeff. The file name is cutting costs and it’s ah it’s from a workshop that he did on cost management strategies. He was the facilitator and i have it up on my block now that’s at mpg a dv dot com you click the media tab and you’ll find the file under today’s show date the october eighth and the fire was called cutting costs that is provided to our listeners from jeff. I want to thank him for giving us that resource. What else? Sounds like you might have more, more, more advice around utilities? How? Well, let me ask you specifically, how often should you be going into the marketplace to compare what you’re paying now with what you could be paying is that every year, every couple of years, how is that good question? Completely different from the health care area it’s. Completely different competitive situation. There are in new york state. There are about twenty five, cos it’s much more of a commodity. So basically, if you’re staying with a variable month to month kind of cost once a year, you should seriously reconsider. If you enter into a contract one, two or three years, then you, about three months before your contract terminates. You get back with the company or your broker, and and you take a look at it. But it’s much more of a of a commodity situation. It’s interesting. There are different areas of savings where you should be into the marketplace, um, or or less frequently, definitely. And this gets back into using your broker. Your provider? Your vendor as a consultant and finding out what the market is in terms of your relationship to the market in terms of buying and going out forbidden that sort of thing, so they will tell you, and it changes from subject matter to subject matter and it’s really up to you to broaden your relationship with your broker, tio, this consultative advisory role that you’re suggesting in whatever area we’re talking about, right? And you should not you should not feel hesitant to do that. People want to get they want to get your business, and they are able to provide these services and in tougher economic times they’re increasingly willing, and therefore you don’t have to staff up or it’s it’s there for the asking. One other thing on energy we’ve talked about buying energy for less thie other is using less energy. New york state has a subsidy for energy audits by third party funds to do an audit of your facility, so the state will help you pay for the others. And, uh, the cost of the audit is certainly less than a thousand dollars, and as i said, it’s, a third party, a situation it’s not done by a lighting engineering company, and so they’re going. Teo recommend all kinds of lighting situation thes air companies with with contracts with the state, and they will take a look at the physical plant and all your equipment and that sort of thing and give you give you a report, that’s the other side that’s the other side of the utility area where you may be able to save money. Certainly over the next a five year period, for example, and for our listeners that might be outside new york, that could be something that they should look for. Also, if even if there isn’t a state subsidy but the energy audit, maybe money worth spending because you can save the cost of the audit over several years in the future? Yes, and it’s, much more likely that this state subsidized program exists in in new york than it does anyplace else, given the level of expenditures in new york, my my warning for people is that they that is very possible that they could find the right consultant and they might find a affirm that is in the biz is in one segment of the business. Of lighting or h, v, c or some other area. But if you have a good heart to heart discussion with them about, we want to see everything, not just your specialty. You it may very well be worthwhile. Tohave it done. We have about a minute and a half left. Jeff, i’d like to look at the ah, the sort of more mundane actually have about a minute left office supplies off of everybody spending money on paper, paper clips, staples are their savings that can be wrenched out of this. Yes couple of rules of thumb never buy office supplies from a company that has retail stores. Really? Retail stores are expensive, and even though you’re buying over the internet, you’re paying for the retail store. So staples, office depot, although they recommend they are major companies that are lower, lower crossed so let’s, just focus on that because we only have a little time left in thirty seconds or so. What what’s the alternative if we’re not going to buy from staples, office depot, et cetera, where should we go? Well, ah, i have a favorite company and i don’t think we should i don’t think i should promote them, but if people want to talk to me about that, i can, i can do that off the air this is an area that most companies that they have not gone out for bid in the last twelve months can save fifteen to twenty five percent. Four office supplies saving big money from the sort of big brick and mortar stores it’s tony’s take two time roughly thirty two minutes after the hour, and i’m goingto remind you, as i did last week, that the i r s has something you should be paying attention to your non-profit status could be at risk. I’m reading from a press release of theirs from this summer small nonprofit organizations at risk of losing their tax exempt status because they failed to file required returns for two thousand seven, two thousand eight and two thousand nine can preserve their status by filing returns by october fifteenth of two. Thousand ten under a onetime relief program that gives you a week. So you go to the irs dahna dot gov site, and they have a list of non-profits that are at risk? Um, i can save you having to navigate through their sight because on my blogged at m p g a d v dot com there’s an irs widget, and you click on that widget, it will lead you directly to the list of non-profits that, the internal revenue service has said are at risk for losing their non profit status because of not having filed in the over the past three years. So at the blogged click the widget, you can see the list if you’re not in a non-profit but if you know people in non-profits you might want to send them to that widget so that they can read the list and see what organizations are at risk of losing non-profit status, i’d hate for you to not be able to listen to tony martignetti non-profit radio. I mean, how can you listen to the show if you’re not a non-profit if you lose your tax exempt status, you can’t listen to this show that’s. Probably the biggest consequence of letting this happen, and i also want to tell you that i’m pretty excited to be partnering with the chronicle of philanthropy at the national conference on philanthropic planning next week. Claire is a marketing specialist for non-profits we’re going to be talking about your five minute program, super streamlined events that keep your audiences informed, engaged and awake. Clare is a marketing specialist who works with fundraisers and nonprofit organizations she’s, a former broadcast journalist with lots of acronym big acronyms, cbs radio, x m and cnn and during those stints, she covered lots of events either. Covered or attended hundreds of non-profit events, she combines that experience with her production skills to help non-profits design and execute programs that are entertaining, informative and concise. And we’re going to be talking a lot about concise because the topic is your five minute program. I’m very glad that claire’s work is her to the show today. Claire, welcome. Thanks, tony, thanks so much for having me. Because this is a great forum to share with the non-profit audience about events which are so so important. Yes, i’m pleased to have you back. Claire’s, a repeat guest and also the creative producer for tony martignetti non-profit radio. Claire, i think organizations don’t pay enough attention to planning their their events. Their program. What advice do you have? Well, i think that in my in my little a world where i where i come up with little acronyms for things, the little names for things i’ve just come up with this is i was waiting to come on and that’s that i think the event and specifically the program portion of the event is the final frontier of fund-raising you could see me, you can see why claire is the creative producer of this show she’s waiting on hold to join the show and she comes up with final frontier fund-raising please go ahead elaborate. Sorry, it’s it’s the final frontier of fund-raising is what’s what’s. The first step of fund-raising is just is just the ask the simple ask, you know your son is raising money for jump rope for hard, and he goes to the next door neighbor, and says, would you support may and that’s an easy one, right? Because that’s the neighbor and it’s, not for very much money. So that’s that’s a pretty easy ask so that’s, sort of the first frontier of fund-raising and then we go, you know, down the line for very sophisticated asked, and even, you know, planned giving and thank you, she she mentions plan giving say so dear to my heart. Yes, the more sophisticated, you know, that’s sort of a ah, deep frontier of fund-raising it’s a long time before you get that donor to the point where they’re goingto do a bequest, our charitable gift, a new innovation so there’s all these different levels of the ask and fund-raising and when you put on a fundraising event that is the time of year where you’re celebrating your organization, you’re having fun with it, you’re inviting all these different people to come. They bought a ticket for thirty dollars, seventy five dollars, one hundred fifty dollars, six hundred dollars, depending on where you are and how fancy your event is. So now these people have come and they’re all dressed up and you spend a lot of time on the food and the orders and the decorations. And should we have balloons, or should we have four kids? And what should the place look like? Should we have strolling singers and acrobats running around our event hall? So it’s it’s very events are very labor intensive, my my event supremely labor intensive and then when i found from working with non profit organisations, is that the program part of the event is almost an afterthought. It’s something that happens maybe the week before or even i’ve seen it the day before, where they say okay, well, who’s going to get up and speak and what are we going say and who’s going to say what? And the program is really one of the most is more important than the little shrimp order bs that you serve or if you’re going to have caviar or little tiny hot dogs, it’s much more important what you actually say to your donor’s while you’re up there on a stage and you have their undivided, hopefully attention. So that’s, why it’s so very important this is an opportunity for you to speak to donors, whether they’re long time dedicated donors or they are that donor’s guests at the event. So let’s say you have someone they’ve been coming to your event for ten years, and they are very good supporters. They’re in your hair in your special circle, they give, you know, twenty five hundred dollars a year and they are very important donors to you, and they have brought their friend, their neighbor, who they would like to introduce to your organization. So this is your chance to speak. Can not only your dedicated donors, but also your your new donors, your potential donors, potential friends of your organization so it’s really, really important it’s almost more important to me than just about anything else, except perhaps the auction if you’re going to have an auction, okay, so that’s really important? So pure, so clearly now the program people, you are on stage, you’re on the air, you know, let’s say your you know, a newscaster and you have five minutes or ten minutes to talk to your audience. What do you tell them? You tell them the most important news of the day or things that you think your particular audience is interested in learning about so that they don’t shut you off or turn you off. So think about your guests as viewers that are watching your little show about your organization, and so you’re recommending claire the five the five minute programmes you want, you want the program to be more important than whether the bunting matches the flowers clearly and you have the really the five minute program tell us about what buy-in organization should be doing at this gala in just five minutes. Well, there’s, a lot that you could do in five minutes and you have these people and they’re usually sitting there right there, the round tables in this big room at the d’hotel, and they’re sitting there and what i like to say is that your guests, our donors and guests and friends they’re not hostages, they’re not a hostage for the next five minutes, ten minutes a half hour to your speakers and your program, they’re your guests and they could just get up and leave, but they’re much, much too polite to do that. So your goal is to keep them engaged and keep them informed and keep them entertained. And i think that that’s the perfect way say it and so what’s, your first step is you want to, you know, welcome that you want to greet them. That’s easy to do, you don’t have to say a whole lot to greet them. You don’t have to go on and on with the greeting you just simply, you know, thank everybody for being there. So that’s, the most important part is to thank everyone several times, just as you would thank a donor several different ways of, you know, a good donor. You would thank um, several different ways you’d call them you send them a note, you didn’t fight them to a little event. You thank them in a lot of different ways, whereas whereas we’re as we’re developing the program, who should be the key speaker, who should? Be the first one up to say thank you. Well, the first one option to say thank you should be really quote the host of the event whoever that person is that was kind of the most important person in bringing all these people together. So let’s just say this particular year you have a local person who’s very well loved. Maybe you have the local ah weathercaster from the tv station whose daughter has really benefited from your after school program that you’ve been running for years. And she’s decided this year to step up from doing something kind of simple to being the chair of the event. So let’s just say she’s been very, you know, she’s been key in planning this event and that’s why people are there, she should be the person that should get up and thank everybody, not the executive director of the organization. So it should be that key person that people are going toe really appreciate them getting up and saying thank you. So think, really think about and not just go to the default like, oh, we should have, you know, our event chair or we should have our executive director get up, speak. So it could be you know, anybody that you think is that person that everybody that’s in the room would be interested in having them thank them. So come up, come up with who that person is, and and that person kind of plays the role of the host. And this is a simple little roll of just keeping keeping things moving along because it is a little program. It’s a little show. Just like when you watch jay leno, he is the host. He keeps the show moving along. Yes, the band plays. Yes, the guests come on and talk. Yes, there’s. Some other there’s a singer performing or something like that. But jay leno was the host that he keeps things moving, so appoint someone the host i can think of another host isn’t. Isn’t there another host you might like to use as an example host of ah, a radio show, perhaps, who keeps things moving along and has guests and they come in and is there possibly another example besides jay leno? Oh, what a coincidence. Oh, thanks. Carry great non-profit radio show on the planet. As far as i know, i didn’t ask you to say that part thank tony, keep things moving along and he did besides what the show is going to be like, and he keeps things moving along and make people feel welcome. And most importantly, tony martignetti is a radio host. What he wants to do is keep people entertained and engaged and informed and staying show on dh claire, i have to tell you, just clear to my role we just have about ninety seconds before the break and you had just explained who the the first guests should be. The main host should be thanking everybody in just a ninety seconds til we have before a break what should come after that person in your five minute program? Well, in my five minute program, i could probably do that. I’ll run the whole program down for you in ninety seconds, and i’ll do it head into the brakes. So your first thing is someone greet, greet the crowd. The next thing is they tell them why they’re they’re so tell them something important about what’s going on right now that they might not know about. So you know you’re here because because this year we’re launching this major endeavor where we want to, you know, we serve fifteen schools now, and by this time next year we hope to be in every school in the county and that that takes a lot to do that. So tell them something very important. Give them some news about why they’re there and why it’s important then the next thing that you khun dio is is simply give someone a gift and that’s my favorite way tio, to build a program around the gift say it’s an after school program and you have a teacher in the program who’s really done fantastically she’s done wonderfully. And her dream is tio, you know, take the kids, ice skating or something and do these different things for the kids. But she needs a certain amount of money to do it that’s outside of the normal budget. So this is a great way to honor this person. Plus explain a little bit more about your mission. So you can say, you know, we have our guest of honor tonight is, you know, mary katherine stewart. And she is the director of such a program. And she’s been here for twenty years. And she’s done extraordinary work, and we would like to say thank you to her tonight. Then she comes up and you say, and we have a gift for you, mary, catherine and it’s, something that she doesn’t know about. You know, we know that you’ve been dying to take the kids to the brand new skating rink, so here is a gift certificate from the skating rink. Well, the other elements of the five minute program are basically what you feel like you absolutely have to include so that’s where, you know, you’ve decided that while we have our board chair is retiring this year, we need to honor him or we have a new director. We need to have him speak, he has to speak. If he doesn’t speak, you know the world will collapse and that’s that’s what’s really important with the program is to completely tryto limit the number of people that are getting up in speaking. And then the next challenge is to limit the amount of time that they are speaking. So if you could give people something to do rather than just give them this open ended, we would like you to speak that’s your first step in in controlling on that’s something to do was probably give a gift. Let’s, let’s, explore that. There are two things i definitely want to dive into e-giving the gift and sharing your timeline, but let’s talk giving the gift what do you mean by that? Well, in the giving the gift is this is a way for you to do a numerous things with one simple gesture, one simple action, and that is you can have the, you know, the giver of the gift could be an important person, so let’s, just say you have a new executive director and it’s important to introduce him to your crowd, but you don’t really want him to speak for ten minutes and give his resume and his vision for the future because you’re going to bore your audience with that. Yes, so instead you can have your new executive director give that gift to the woman that has done a great job for your after school program for the last twenty years. So this is where you if you have an honoree, in other words, you’re saying this is this would be a great opportunity to honor that honoree by having that the special person give a gift. To the honoree, is that what you’re talking about? Exactly? It gives everybody like something to do, as opposed to just an open end, and we would like you to speak or we’re going to give you this award, so please get up and speak for a half an hour and for assault also tears. So if you have this honoree that’s, a way to introduce them, so you let’s just say it’s, the new executive director, and and she has come from, you know, let’s, just say you’re in st louis and she’s come from new york city, and she used to run some big organization and now she’s with you and and you want to let people know that so that you introduce her? You say we’d like to introduce our very new executive director she’s part of all our exciting plans for the future and she’s come from new york and she’s done this and she’s done that and it’s a better way to do it rather than have the person talk about them selves, because when people talk about themselves, it’s one of two things it’s either they you know, go on and on and on. To tell you how great they are or their humble like hopefully most people are and they don’t like talking about themselves. A lot of people have said they really don’t like talking about myself, so let someone else do it. And in this case, it’s your host of your event so they can say we have our new executive director. I’d like you to introduce her to you, she’s come from new york, where she ran this, that and the other thing and we’re so excited to have we could not possibly dream of ever having a wonderful person like this here in st louis helping our organization. And we’re gonna we’re gonna put her right to work by announcing who our honoree is this year. So then you’re you’re first honoree. Really? Your new executive director gets up and then they know all they have to do is say, oh, thanks for saying that night i’m so happy to be here in st louis. I love it here already and there’s so many great people here, and i’m gonna tell you about one of them right now. And that’s mary katherine stewart, who is our executive, you know? Our director of our programs and is doing it for twenty years not such a great job, we have a gift for you. This is exciting, you know, trip, you can take your kids on whatever it is you give her, and then the executive director gives the gift to your other honored person. Now all your other honored person has to do is say thank you for the gift you have to say anything else and look at the things you’ve done now in a very short period of time for your audience, your donors, you’re dedicated donors and your potential donors, your new friend, they see that you have great people working for you. They see that you’re very generous and that you have your act together, that you went out and got a gift for this person, that you could afford to do that. But you’re not dying in this economy, like so many people are cutting back, you actually went out and got a gift for this person kapin the gift has something to do with another sponsor. So in this case, i’ve come up with this skating rink where thie person, the honoree is going. To take her kids from her program. And so now that skate rink gets a nice big thank you in front of the whole crowd of people so used now brought in another spot, sir, and you, you’ve highlighted somebody else. We have a right and a small amount of time you’ve said, thank you. And you’ve also explained a little bit more about your mission. The gift should have something to do with the mission. We have to move on to the next topic i want you to share your ideas on, and that is you alluded to it the value of the timeline, but we just have about thirty seconds. Claire what’s what’s the value of the timeline and who should we be sharing it with? Well, a value of the timeline is that it keeps everybody on schedule, so someone needs to be appointed a producer of an event, and that should be someone with experience doing something like that. They don’t have to be a professional producer, but just someone that knows how to make the trains run on time. And everybody knows somebody like that. And you say we have five minutes. How are we? Gonna fill that up and they come, they just do a little run down timeline. This is what happens, you know, from the you know, the first minutes of the second minute, second minute of the third, fourth, fifth boom and if you try to make it five minutes on paper in reality, it might be about ten minutes long. We have to wait. We have to stop there. I’m sure there’s also value in sharing that timeline with the people who are going to speak so that they see you speak for one minute you’re on for two minutes, and all of this adds up to your five minute program super streamlined events.
