Good morning. Thanks for having me, it’s my pleasure to have you welcome. Dave is the ceo and chief consultant of granite partners, which you’ll find out granite hyphen, part p a r t dot com he has been creating successful marketing programs for clients, mostly in the washington d c metro area for over twenty five years, and i’m very glad that his work and his expertise in email marketing specifically bring him to the show. Welcome again, dave, thank you, david. What does somebody do if they don’t have an email list to get started with him as well? Talk about building the list before we talk about what to do with it. Uh, there are a number of approaches that depends on what situation you’re in. If you’re looking for consumers, there are off a lot of ways to build a consumer list. Um, one of the more prominent and more recently evolved is the social media. You can use social media to evolve yourself into an e mail list based on friendster, facebook twitter followers linked in connections those kind of things can all be gathered and uses a colonel for a personal sort of networking list that you can use to promote whatever business you’re in. Okay, we’re non-profits fundraisers, it’s a little more complicated. Okay, well, that’s let’s deal with complicated cause. Our audience is small and midsize non-profit so that’s that’s where we want to be how should they go about it if they have a list of people who have been supporting them? Maybe just for a couple of years, maybe for many years, but they don’t have email lists. Uh, probably the first thing to do is make sure you have permission to communicate with their members are builders. They say something. Do you have a least an address for them? Send him a postcard asked him to send you back their email address. In response, you’ll give them some sort of data special report or a copy of research or something the value to them in response in return for them giving up their email. Okay, so use their their physical address to get their email address or okay on your website if the organization has a website. And you simply ask visitor’s log in before they can access certain pieces of it or certain information that they need include a lot to give them your e mail address. In that way, you can collect it and use it for later. Okay, so maybe not to get to your home page, but to get to some deeper content on your site. You mean then then there’s ah, little there’s an access that requires email address that’s one good way to do it. Because you’re making sure that it’s not just a casual visitor, you’re having themselves collect by their level of interest. Okay, okay. What’s, what you would end up doing if you if you put it on the front of the home page, you’re going to get every tom, dick and harry that entered that in the search. They wanted to see the front page and make sure they got to the right spot. See if there’s anything of interest there at all, you make them register, you get their email address, you send out e mails. You wasted all that time, money and effort to maintain the list. And they have no interest in on what you’re offering right? Ok? Or you might even just turn people off who might have an interest, but they said just to see the home page, i have to sign in, right? Right, you’re going to get some abandonment issues, they’re for your for your web page as well, and there are people that have a legitimate reason to see your front page and can use the information, but that you don’t want to write. I love how you call it abandonment. I’m not going to put you in jargon jail for that way have jog in jail here on tony martignetti non-profit but i already know you. I said it and then you called it abandonment. I just love the you know everybody every every business has its has its language. So abandonment issues. Yes, of your plus, if you know if you having spouse problems, that could be an abandonment issue. But we’re not going that deep again. That’s a different show that’s ahold of yes that’s a whole different person. Um, abandon ministers? Yes. Alright. What about what about events? And if you’re hosting an event, maybe just put post cards on the table at the events or something like that. Anytime you’re gathering an environment where you have potential donors or potential participants, you want to make sure you’re gathering, collecting email addresses, okay, people importing them on their business cards. It’s a good way to start raffles contest, even offering as i do on my website content in exchange for the information we talked about it buying, offering by mail some sort of special report i offer electronically a report on my website and i forced people to give me their email address, so i consented to them. Okay, electronically and it’s, a much fairer trade and people who are looking for something to read like to receive free reading material and return. It makes a lot of that now. Will people see that example on the site that i gave the girl to granite hyphen p a r t dot com they will there’s a new report there on how engaged customers on the left hand column. If you click there, you’ll be able to download on a free pdf of a report guard through some research. We did a little while ago about how to engage customers. Also have tto log in. To give me your email address, i can send it to you, you’ll get a response back that tells you yes, we received your order, and if you like anything else, please let us know, and you’ll also get a confirmation of the fact that you received the order and a questionnaire about whether you like it or not. Okay, so i assume those are all the best practices because you’re doing them for your business, it’s all automatic. I don’t have to do a dog gone thing, and it makes people connected to me much better and gives them a lot more opportunity to give me feedback on the information. And unless they collect their name without creating too much of a problem with their identity and something you alluded to in that description of the way you’re recommending things go about o r non-profits go about building this list is having permission. What? What is what is permission? Marketing and how do we get permission? Permission marketing is a critical step in producing effective push down marketing. What you’re essentially doing is letting people to give you their permission to market to them. And that does two things. One engages their level of interest and let them self select what they want to receive. Two it also tell you how they want to receive it by medium, he opted in is a way of gathering permission marketing. If you send out an e mail to all your members, say ifyou’re non-profit membership organization and say, we’re updating our record, we’d like to give you would like you to give us your email address so we can communicate with you that way. Check the following boxes about what’s appropriate what the best address to use is if we have this information correct listed below. Check that and we’ll keep that. And also, if you do not like to receive anything from us, check the box below to opt out, so opt in permission has sort of past it if you give them an opt out option it’s a little less over on a lot of people to sort of ignore it, which gives you sort of tacit permission to market to them. But the trick is they’ve given you the information and are allowing you to market to them directly without being directly at fort alright, and then you as the e mailer as the non-profit have a responsibility to honor all those selections that the person has made. Absolutely. And if you don’t honor them, your reputation with that person and in general, gets tarnished to the point where it’s almost unusable, and we’ll go into that a little further with, with the a little later on. Dahna hello and welcome back to tony martignetti non-profit radio we’re live today with dave polish. We’re talking about excel in email execution and since we’re alive, that means we’re taking calls so you can call with a question for dave about female best practices. Frustrations you might be having the number is eight seven seven for a tow for one two oh eight, seven, seven for eight o for one two. Oh, dave, now we’ve developed this list. How do we keep it clean? What’s a clean list? Well, cleanly is one that functions and deliver your message precisely where you wanted to go every time. And there are a couple of things that you need to start with. You’ve built a list that you think is right. The first thing is to make sure that what you start with is good, that we all know about computers, garbage in, garbage out. You have to make sure that you all the addresses fit and conformed to the format for proper email address. Okay. Typos, bat fingering the addresses, getting things backwards, transposing characters. Email addresses are far, far higher accuracy level than postal address. Write the e mail. I just has to be exact, right has to be perfect, another perfect every time or it will not go. I know what you have to do is check it bilich manually and electronically to make sure that all conforms and you, khun, send every piece of mail on their towards both to go ok is the simplest way to do that. To send a test email to someone to verify that on dh, then get their permission in the way you described is that is that a decent way to do it? Uh, you’re better off eyeballing a list firsthand mechanical and then going through optically and and making sure you haven’t missed anything. Because if you get things wrong, you may get stuck or trapped in filters and create problems. And what that’s going to do is block you when you get the right of duitz okay, you want to clean it up visually? First, as best you can make sure that all the symbols are right before the domain name it’s not a exclamation point instead because i’m gonna get the wrong key. Happens a lot. You can do search and replace doing this. It takes very little time. To do it electronically and then go through and i bought a list they just have to three people looking over, make sure there’s no glaring errors. You want to make sure that all the domain names that have the letters spam in them are taken out those traps put in there by the sometimes when you rent list more often than not, but occasionally somebody’ll flip one in there. When they’re registering, they’ll give you a bogus address that doesn’t really exist. You want to pull out the ones that have a domain name that’s sort of suspicious looking, you’ll learn about it after a while to make sure you’re getting exactly what you think you’re getting, okay, so to get behind to get into the content, let’s say so this wouldn’t thiss wouldn’t be people filling out cards at an event, probably or mailing back in response, it’s when registering so people might give bogus address you know i don’t have such a good hearted person, i don’t even think of e don’t even think of people cheating on something so simple is that really learned over time that it’s ok, you fill out a form somebody’s going to send you back something, and often those lists are sold over and over and over again, and by the time the third generation sale is over, you have no relevance to the list of all right, and you’re getting stuff that you really don’t want it clogging up your e mail box, and you don’t want that, so they either make up a fake address to give you so that bill passed through the filters as a legitimate address initially, or they’ll give you one that they never open, which isn’t gonna do you any good. Anyway, a lot of those gmail accounts or a well accounts that are free people will just have one of those strictly as they used to fill out all that junk drops into there. I see you don’t want to be in that list. You want to see a legitimate lift with a legitimate carrier, verizon or comcast, or or one of those for home and the businesses typically you want them to reflect the domain of the business there. Part of that tells you a legitimate what gmail but gmail dahna all those could be legitimate accounts, you couldn’t you couldn’t screen all those out? No, you can’t, but you can see one that looks, uh two, far from their real given name. If you have that to compare it to, uh, nobody’s registering, you know, as nerd sixty five jool and they’re not giving you a scientific address or their name is fred spelled backwards or something. You start to look at the bogus ones and figure it out. Okay? And since you did mention something that we hadn’t talked about in developing the list, let’s, talk a little about purchasing a list. What is that valuable for the small or midsize non-profit purchasing a list rental and compiled lists can be of value. You have to be very careful about the source if you go through a legitimate list broker and you’re looking for a very legitimate piece of a database that concerns especially business addresses. Yes, you can gain a lot out of that because those things have been double opt in check they’ve been verified on a monthly basis that they do exist and they are really and that they do fit the profile that you’ve selected when you rented the list. Now you have to keep in mind that those are usually for one time use only, and you cannot reuse them unless you have a special agreement from the renter compile lists are another story, those of those public things that you could buy that say have been scraped off of websites or have been captured out of the air from from email conversations and that kind of thing. Hackers will market these things to bring an extra bucks. They’re not very useful, they’re not very male herbal, and you’re getting into some serious spamming trouble by even attempting to use most of them because they’re loaded with with the monitors and traps and keys in their little tell people that you’re ok, then you want to be working with a legitimate company that you can verify you mentioned scraping off female what’s your trading closely to jorgen jail has, and it sort of has a a suggestion of what it is, but but i don’t want you to even be anywhere near drug in jail. So what? What is scraping somebody’s? It sounds like unsavory practice. It isn’t unsavory practice in its connotation, and it is information what you want to avoid. There are people out there, who will go to a business website and literally capture copy paste electronically scrape off every email address that’s buried in there. Your entire staff listing all your if you’re going to a law firm, they’ve got every lawyer listed on there with a love with a separate email address for them, they’re going to scrape all those off of there and compile them all into a big list. Listen, this may be legitimate, but they don’t know who they belong to or what they go to what level of persons is they have no information that goes with it, it’s just a list of addresses, as if people would really want to communicate with a bunch of lawyers or anything. There could be no manufacturing firm or, you know, the post office website or anything. They just gathered a bunch of e mail addresses from a bunch of list. Sometimes they’ll use. They’ll sort of piggyback on someone else’s, the internet activity as well, and their going from site to site start scraping through that. Okay, it gets very, very tedious and very touchy when you start doing stuff like that because you have privacy issues, you have legal issues? Uh, spam laws have teeth in them. Ladies and gentlemen, they can sue you for spamming. So you want to be careful what addresses you’re using and who you’re sending? Okay? And i didn’t want to suggest that. Buying a list from from verifiable source would be a good way of trying to get donors. I mean, as a fund-raising consultant, i didn’t mean to suggest that this is a way to acquire new donors, but maybe to acquaint someone with your with your non-profit but you’d have to be very precise in the type of list you bought in terms of the interests of the people. Is that is that possible, dave, to drill into get a list of people who are interested in, i don’t know environmental activism, and but maybe in the pacific northwest, i mean, do the lists from vera from from stable and appropriate cos come with that level of detail, some do, and some do not, uh, they’re further a head for business than they are for kapin consumer availability, drilling that deeply. Okay, if you drill down into segments that deeply on consumer list, chances are good you’re gonna have to pay a pretty penny for it. A good place to start with that if you have a specific interest, they look bilich environmental, you would want to try going to print publication that deal with that concept sierra club or audubon society or any of those that deal in environmental issues routinely subscriber list from them could be segmented by geography. And you could also rent additionally, email addresses that go with those mailing address him that way. Excellent idea. Okay, because that, yes, you know, the publications targeted. Okay, great. All right, so we need to get around that trying to pull that out of a compiled list is virtually impossible. Okay. Okay, good. Thank you. So we’ve developed our list. We understand how to get it clean and make sure it stays clean. Has to be maintained another thing, because now thing out, once you’re going to get some activity coming back from it, not only response is that you want, but response is you don’t want your going to get people that ask you to take them off. You’re going to get because you missed the target. It wasn’t who you thought it was not interested. And they don’t want you to lock up their box for the next six months with stuff they don’t need. That’s a good thing. You like getting those out of there? Because that saves you time and money. Yes, too. You’re gonna have people that were out of the office that day and i just bounced back and told you they may get hurt or they may not. Three you’re going to have bounced back for another reason, theis, and that part of the country was a little slow that day and missed something. There was a glitch in in a certain segment of the internet that went down for a moment your mail got trapped in it could be any number of other things. There’s a whole series of bounce back code that the internet service provider will give you that helps you interpret those bounce back unless you separate them out and decide whether to keep that address that is a temporary thing or whether it’s permanent it’ll tell you if you got the address wrong, if that person’s not at that address anymore. If that business is not there, that remains not active. Whatever they’ll tell you. What the problem woobox with it, when you learn how to read the code, we got to get those out of there. Once you’ve sent the first one, you’re gonna have to be prepared with how to deal with all those. Things that bounce back and those happen fairly quickly, usually within the first hour or so after you send it. Okay, so that’s that’s really list maintenance and that that’s going to be happening every time you send to your list sounds like there will be a certain level of activity depending on how little that down to practically nothing. Yeah, alright, depending on how many people you’re mailing to if it’s just a few hundred, you’ll have fewer of those which is get you in fewer because you’re making good decisions based upon those code taking the bad ones that are going to be permanently bad out. All right, you’re not re mailing, right? Okay. So, uh, well, let me just remind people that my guest is dave polish he’s, the principal of granite partners. And we’re talking about ex selling in your email execution. So then, dave, we have developed our list and it’s clean, and we’ve gotten the appropriate permissions and we know how to maintain the list over time. You have some elements of effective messaging, actually. What to say? What? What? What’s. Your first bit of advice on what the content of the message should. Be, uh, some of it is what to say, and so that is how to say it. Okay, um, the first thing you’re going to notice is that with the new influx of mobile customers that are out there that have their email come to a mobile device, you have far less real estate with which to impress the recipients you have basically a from a dress and a single subject line that’s all they’re going to see on a mobile device there’s no preview function. So what you have to do is make sure that a the address you’re sending from is from a brand they will recognize or at least understand. So whatever service you are using to send these out, if its outlook, you have to set up a box that sort of carrie’s co-branded makes sense for the outgoing mail or if it’s a service, you want to make sure that they’ve gotten you on outgoing address that reflects your brand so that they know who this thing is from and they recognize. But wouldn’t wouldn’t the service just be using your own? You’re you’re non-profit domain name, sometimes they do, and sometimes they don’t they have what’s called rotating? Yeah, what’s. A rotating what’s, a rotating. Why would they understand? Why would they rotate for the same non-profit why would they use different domain names to send from? They’ll mask them behind an existing name, so the recipient will only see your name, but they’re using ten or twelve different outgoing addresses because they could shove more down the data pipe. That way they can spread your list out, get it out the door faster, but if you’re a non-profit you want it to come from your domain, absolutely time your domain is that the physical space that your domain inhabits doesn’t allow enough passed through dahna you can’t shove enough email through it fast enough because you just don’t have enough bandwidth, you didn’t run enough stone, so what happens is they’ll spread it out and they’ll mask it. They’ll refer to your domain name. The recipient only sees your domain, which is good, but they’re using ten twelve different ones with sam filters will pick up on the sub and block things out on who’s, the who’s the day that we’re talking about is this a company like constant contact? Is that o r who’s today you’re referring to there are service providers after that do nothing but deliver both female. They are, they’re registered there, certified they’re they’re very, very compliant with the service providers that give you internet access and then actually deliver and carry the mail. This is a middleman that you would go to as a non-profit if you have a list of of ten or twenty thousand potential donors that you’re going to be sending to routinely, you’re not gonna be able to shelve twenty thousand addresses through your outlook account and with any kind of accuracy or time limit. Okay, so what you’re gonna do is anything over about two hundred names you’re gonna want to goto what provider that sends out both female for a living that’s all they do and is constant contact an example of what you’re talking about male chimp? Is that an example? Or there are eyes that i am i in the wrong line, the wrong space, you’re in a similar space in a different scale gostin contact and male chimp and those kind of things arm or of the do-it-yourself version of that, their sort of big versions of outlook, they’re attached to larger relation all databases that lets you get mail out in larger volumes by yourself from your workstation, ok, here, but if you’re sending ten and twenty thousand, even though we’re gonna have a problem, they’re going to start to bog down and go very slowly, and they’re going to use up a lot of bandwidth, okay, but for our audience of small and midsize non-profits the ones i mentioned, what might be suitable absolutely after they’re a great way to get started. If you’re looking at that between two and five thousand names of any kind. Yeah, constant contact, be a very good bargain, ok, dave, we have just a little less than a minute left. Why don’t you tell us what you think is coming next? What’s the what’s, the next generation of email going to look like email’s going to get a lot more robust in the next six months to a year, you can bet on the fact that you’ll be able to embed photographs and video in your outgoing e mail and have it be interactive and reacted currently, if you put an image in an email, you run the risk of having it be screened out by spam filters or by network. Firewall because they don’t allow images, they scan for them and they remove the as being too large, and they cut down on the volume of data traffic so they get rid of them. So if you’re putting an image in there, one of the things we tell people who don’t let the image tell the entire story, have some text that tells the story because the image probably going to make it and you see video coming in email, absolutely video will be able to be embedded in outgoing email beyond the capability we have today where it’s, just a lincoln it’s, actually resident somewhere else. We’re going to be able to actually carry video imagery on before too long. All right, we have to leave it there. I chose planned giving as the subject of my evangelism on this week’s blawg, and i’ll just share a couple of the things that i think go into being an evangelist for what you do. Yeah, i love it, you know, in my example, you gotta love plant e-giving you gotta recognize that it has value for non-profits and for donors and for their families, and recognize the good that it khun do for society as you’re helping charitable missions. So whatever it is that you want to evangelize about, you really have to love it and be unashamed about your love of it don’t talk you know sort of humbly or shyly about whatever it is you want to evangelize about, you got you need to be out in the open, you need to be enthusiastic, which should be easy because you love what it is you’re talking about, so carry that enthusiasm don’t don’t don’t talk, you know, sort of humbly about your your love of the subject you want to evangelize about lear, love of your work and and and as you’re being unashamed, spread that word, spread it to people that you work with, people who are in your network that you don’t work with, um, when the topic comes up, you know, what do you do? What do you love doing? You want to be unashamed about sharing it, and you want to use the opportunities that you have to spread the word. I’m joined now my guest is claire meyerhoff. Claire, how are you doing, tony, right, how are you? Pleasure to have you back. I’m well, thank you very much. Claire meyerhoff is editorial director at the plant e-giving company, and she is the creative producer of this show. We’re going to talk about howto write for email fund-raising so that your messages get opened, read and respond to do so. Continuing the topic of excel ing in email execution claire so dave paulus sort of left us with write a perfect point, i think, talking about the header of the email he talked about where it’s from what’s your advice about the subject line of the email? Well, the subject line is really important because if you think about your own email use, what do you do? You’re on your iphone slip. Through it. So the subject find is very important and what you want to do, it make really some buddy. So so whatever you are promising them, you need to deliver it on the inside. All right, clara, i’ll tell you what were you sure need to repeat? Actually, what you said about the subject line because you were you’re breaking up. You’re on a landline, right? I am on a landline, and i’m hearing some feedback. Okay? I know the feedback is a little challenging. Try toe, i guess. Talk through the feedback and or maybe not listen so much, but just just talk on dh when you’re done talking, then put the earpiece back to your ear. But could you tell us again what your advice is for the subject line? I’ll do that. Ok, ok, my advice for the subject line is the subject line is going to be the thing that the person will either open it for. They will delete it so your subject line needs to be something that is really, truly news. What? What is it that you are going to be telling people or you want them to do or you want them to hear about most? So put that in there and basically only about thirty characters or so because they don’t even see the rest of us. Put your good stuff up front. Yeah, you sort of have to write that like headline, right, it’s, it’s, a lot like a headline and think about the news business and think about why you pick up a newspaper and read it it’s because of the headlines and any new yorker knows that york post the daily news, they’ve had a long history of really pretty interesting headlines that really grabs your attention. So think about the same thing with your non-profit what is your non-profits headline? And what is the headline for this newsletter that for sending people something generic, like may newsletter june newsletter? Okay, yeah, i have to. Yeah, the new york times are the sari, the daily news and the new york post. My favorite. Well, one of my favorites there’s a whole book about new york post headlines, which is it’s called topless body in head headless body in topless bar. Aunt, i have a copy of that, but it’s a headless body in topless bar from a murder. But one of my favorites was when jack cousteau’s ship crashed and the headline was calypso collapse. So isn’t that genius? I just have to show you right now, it’s go on and you’re like a save the whales organization. You’re not gonna have that to live so collapse. So are anything like that? So i think that’s pretty cool, it’s. Hard to be that clever. But those clever and you know what? If you were that clever, someone would probably open up your email. Certainly. What do you have any other advice for? The for that header information. Uh, maybe the from la who should be from or or any other advice there. Well, unless everybody knows that lisa is the head of your organization, it shouldn’t be from one person instead, make it from your organization and have it the name something that is sort of more of an action. Kind of a word. Like not information, but news. Maybe, you know, news at habitat for humanity, dot com or something like that. So give it give it a name that is a little newsy sounding might get someone’s attention better than, say, info at or or you know, something really generic and, you know, keep again, keep it really, really short. And you put the key words right up front and whatever some buzz words are that air right now in your field. So if sustainability or something is a good buzz word, that and so definitely just put the key words right up front that the main thing, okay? And you mean in the from line, so maybe sustainability at the domain is that is that what you’re suggesting? I’m talking about the subject line, so okay, you have your nature organization, and you’re always talking about sustainability, and the name of your newsletter is something with sustainability. Perhaps that could be your email address. I hadn’t thought of that, but it could be whatever, whatever you want. So that it’s recognizable and again it’s all about the brand and it’s recognizable and always be thinking about who your audience is. And i like to think of your email recipients, the people that will open the email and those are the ones we care about, the most people that actually open it, and then the few that follow through, right? Who were those people? Those are your most boyle people just like implant e-giving who were the best plan giving donors your boil donors, people, that e-giving for a long time with the people that are actually opening and reading. Your email, those who you’re really boils followers those year loyal supporters? Yes. Oh, so you’re you want you’re saying you want to have them in mind as you’re crafting your message? Exactly. Keep them in mind. What? What do they care about? So think about a few people that you know, supporters of your organizations have names and faces and think about what are they interested in? What is kathy interested in? What is robert interested in and crafted that way? Ok, on, daz were crafting our message. What’s your advice about how long it should be the subject line. Oh, no, the length of the body of the message. The body of the entire email newsletter should be chunked. So if you have, you know, one big article, you know, trumped that up into different articles. But faras length, you know, there’s. No specific lengths to into an e newsletter. It could be his long or short. As as you like. Think about the ones that you read and pattern yourself after that. If you’re bored after a certain amount of time, then your readers our board, pretty sure. Okay. What other advice have you got to share? I’ve been sort of, you know, suggesting topics, but you tell us tell me what? Your your advices. Well, here is some duitz do plan ahead. A newsletter done that’s on the fly usually looks like it’s been done on the fly. So plan your news letter ahead of time and that means preparing an editorial calendar. Maybe for the whole year. How often are you going to send these out? If you feel like you can send out one a month that’s great. And then think about what you might be doing in those months. Like, if you know, your annual report is coming out and you’re gonna have a lot of new information, then you know that khun, your main news letter might be packed with a lot of great, um, like statistical information, all kinds of cool stuff that you know about in may, but of course in december of the holidays, so you know that you can do holiday related things, so come up with an editorial calendar, so if you’re going to do it once a month, pick a day that you think is a good day to send it out when your readers are most likely to read it and then plan ahead, say well in in february and do this in march. We’re going to do that and have a couple of things knowing full well, what what’s going on if it’s september back to school and that’s important for your organization. Well, then that’s your back to school newsletter and you know you’re going tohave information about that and also decide on a goal before you do your newsletter what’s. The goal of the newsletter is the goal just oh, well, we want to tell people a bunch of stuff that’s going on. Well, that’s not a goal. What’s your real specific goal. Are you entering into a campaign? Are you announcing something? And you want everybody to know about it? Are you trying to raise money? Are you trying to get people to come to an event to sign up for a walkathon? What is the goal of the newsletter and then work backwards from what your goal is. Okay, claire, we just have about thirty seconds before the break. You mentioned planning ahead. And maybe as much as a year as you’re developing your email marketing plan. You want that? To be dovetailed with your other marketing activities, right, you might be sending print pieces as well around your events, things like that, right, absolutely. And marketing is a huge challenge for most small non-profits. The person doing marketing is also doing fifty other things, so the more planned you khun b, the easier it makes your job, so have a little marketing plan for the year, even if it’s one page and it’s a calendar, we’re going to do this in january, february, march, april, may, june, july, august and it’s all about when you send postcards. When you send email, when you send a regular newsletter and other mailing, okay, we’re going to take a break. I’m talking to claire meyerhoff and were ex selling in your email execution. Claire, you had a list of do’s that you wanted, teo continue sharing with us. Well, some other dues are due. Motivate your reader. You are sending this email to them, and you want them to do something and you need to motivate them to do it. And the easiest way to keep them unmotivated is too forthem, boring and dull. And the best way to do to motivate them is to tell them about something great that’s going on. That really would matter to them. So, do you have a really great event coming up? Do you have something really cool that you and your organization to tell people about it’s is? And news means it’s, usually something you what’s going on in your organization. That’s important to your reader? Not just what’s important to you? Yeah. You just finished your quarterly report, or or you have a new, you know, drink machine in the break room that might be important to you. But it’s not important to your readers. So think about the things that you are. Reader will think. Okay? And that’s consistent with your advice earlier just have a few people in mind and think about what’s interesting to them and write to that audience and think about what’s interesting to them also do the cocktail party saying or the or the coffee shop thing where if you ran into someone at starbucks and they said, hey, what’s new in your organization will help. Yeah, excellent, right? If you just had a couple of minutes, right? Excellent. Another any other dues? Uh, you might want to tell people why this is important now, which is usually through for fund-raising so what is going on right now? Why this is important. So if you’re an environmental organization and there’s some sort of threat that’s what you want to tell people about right now, we need to do this now you need to sign the petition. Now you need to send the money now we’re trying to fight it now your call to action it’s the call to action and make sure your call to action really is a call to action and that you’re writing matches the urgency of it. What i see a lot of times in email that i get from a lot of different non-profits is, you know, it’s sort of the henny penny email the sky is falling, they’re taking our rights away and they’re going to ruin the environment and they’re really bad, and i don’t really want to see that i want to see the action i want to see, like what you were doing, like, you know, we’ve got a bus on its way to this place full of volunteers, and they’re all going, and we need some gas money, like, i want to know what the thing is right now, the action that you’re doing that you need my help, why are you writing to may? Why is that news? So tell me that okay, before we get to your don’ts, which i’m sure you have, how do you make sure that you’re emails are consistent with your general identity for the organization? So they look like the rest of what you send out, whether it’s emails or website or or print well, that goes back to your marketing plan if you have one in some places, don’t you don’t have one it’s pretty common. So think about a couple of simple things that you always do and include that in your newsletter. So if you always have a pet of the month because you’re the animal adoption agency and you always have a pet of the month and you have a cute little name for it used that, make sure you use that in your in your identity, so use those identifiable things that you’ve already created, and if you don’t have some it’s time to create them, okay, so that’s excellent that’s the substance? What about just the appearance of the messages? How do you mean by the appear? What? What artwork? You might include the photos or our identity elements that you have for your non-profit well, i was listening todavia earlier about sending photos and e mails and how a lot of those get filtered out. So i’m definitely thinking about the photo thing because if people aren’t getting them that maybe not a great fool. I love photos if you can use photos, photos are the best and frankly, a lot of times your most loyal donors are also on facebook, and they’re a friend of your organization on facebook and as long as you’re not putting up things like ten times a day, they’re interested in being what you have there not gonna block you. Okay, so think about your facebook think about your email newsletter in conjunction with each other and how they can play off each other. So if you have a great, great photographic like the best photograph that tells the story of your mission like no other photograph, use that photograph a lot of times, repurpose it so you might want to send it in your e news letter and have it on your facebook and in your e newsletter say there are more photos like this on the facebook or on our web sights and people through the website where there are more of these great photographs and then take that really great that one great photographs and put it in your print newsletter used it on a postcard for fund-raising let’s say, you’re doing a little plan giving postcard campaign. Put that one great photo on that postcard so we use the good stuff that you have. Good, we have just about two minutes left. What are some of the don’ts that you want to share? Well, it’s funny that you say that because i try to be positive these days. So i wrote a big list. Do you have all dues and no don’t so i thought for sure. Ok, right around. Okay, well, so okay. Don’t don’t be not creative. Be creative, be creative use of environmental organization. And you just did a survey about ice source in your community. What are the top three? See, that would really get attention. So be creative with stuff. The good stuff that you have that’s interesting that your organization really had a handle on. So let’s say you are an environmental organization. You just did a big survey, and out of that survey results came the, you know, little thing that wasn’t the main focus, but in it was, you know, people complain the most about the certain areas in your county that we’re the biggest eyesores. Well, that’s a new story for you where you can say, what are the top three ugliest eyesores, the whole county. And you can do a lot with that that’s really interesting people will open up that email is your town, you know? Is this eyesore in your neighborhood? Why don’t you leave? Us with one more of your dues or however you want to phrase it dues or don’ts duse or don’t? Well, i like to talk about, you know, writing and words and storytelling, so just do tell really good stories that are about someone that affect other people don’t talk about yourself and how how great you are, talk about the people that you’re serving and how you’re solving prop emblems for people. I’ll give you this one. This is my one last tip i give everybody these days, you can’t think of a story, look at the money, find out a recent gift that you’ve got and how did you use that money? And then find the person that’s benefiting from the money that you’re using. So, for instance, if you just got a gift and you build a handicap ramp, who is benefiting from that handicapped wrapped rampant your facility to find that person and do a story about them and that’s where you find your story stories, they’re everywhere to follow the money, certainly because charities are doing good work so people who are people are benefiting those stories should be very common, right? Where’s the money. Going find, find someone benefiting from it and focus on them. And where would their life be without this organization? And where would their life be without specifically this money that just came in and how it was used? You had a big campaign. Everybody gave money, you raised thousands and thousands of dollars. Where did it go? Thank you very much. Thank you very much, claire. Alice aspen, march welcome to the show. Thank you, tony alice, there aren’t many people talking about paying attention and giving attention to others. What first do you mean when you’re talking about attention? Well, first of all, you’re right, nobody is talking about it like i am paying attention is the most important part of our lives because attention is with us twenty four seven and people know today when you’re not paying attention, especially when you’re on your cell phone or you’re texting or you’ve got your earphones on or you’re looking at your computer or your answering a phone, and people feel that what i mean by paying attention or being present is when you are listening to somebody when you are looking at them, when you’re in their energetic field and when you’re not, people can feel invisible or not respected or not included are angry and they they withdraw. They act out. The roots of your work are pretty personal. Yes, they are, because i have three adult sons. And one day i discovered that my youngest one, who had been a television addicts nobody was talking about that at all at that time had gone on to abuse drugs, and i was really terrified tony, that i could lose him. And so i went looking for the role i played in his dysfunctional behavior and att. First i changed my life, selby, but i didn’t know what i was looking for. It was very frustrating until i had an epiphany in a u c l a extension class. I lived in los angeles at the time. I had an epiphany over the word attention, and i knew that was a clue. So then i went looking for everywhere. I could find anything about it, and strangely enough, the on ly place iphone. It was attached to a d h d and a d day, and that wasn’t really what i was looking for. So i went further into the subject and i have a generalist mind. And pretty soon i realized i was reading about attention, but they never used the word. So in about a year, i had a body of work, which i took to a spot that i’d spoken at years before, and i realized that my subject matter resonated with everybody, because attention is everybody’s primary need my guest is alice aspen march, founder of the attention factor, and we’re taking your calls today. The number to call for alice is eight seven seven for eight xero forty one twenty eight, seven, seven for eight xero for one to zero for calls to alice aspen march alice it sounds like with greater attention we can increase our own and maybe and probably other people’s productivity efficiency as well as well being. Tony, you’ve just said the magic words. Yes, the deprivation of attention leads two it can lead to disease, it can lead to violence it can lead to stealing in in corporate the corporate world, people need attention and when they don’t get it, they’ve got to act out. So when they do get the kind they need, of course, productivity goes up. Morale in a corporate world goes up people’s relationships change and our positive i’ve had people who have heard me on a ship or in europe or new zealand and say to me afterwards, i don’t believe this why haven’t we heard this before? You basically just change you saved my daughter’s life or i’m going home and treat my employees differently, or i’ve got to do something about my wife or now i know what’s been wrong in my marriage for forty three years, yes, is this is obviously pervasive work that you’re doing affecting personal and professional relationships and to bring it home for our listeners, i’m thinking about relationships with boardmember sze volunteers, co workers, co workers may be working for you or you’re working for them or against you when you mentioned violence that makes me think a little bit of that phrase going postal violence, that’s not the only place the postal service is not the only place where people where we’ve seen violence in the workplace, certainly, but it can rise to that level. And is your sense that a lot of that violence stems from people not being respected and getting attention in words of one syllable? Yes, and, you know, of course, that expression going postal came out of the post office. You see, an exit interview is vital for people that you’re letting go because it’s a closure for them, and if they don’t get that when they don’t get that, they feel invisible. Well, certainly one way in a unique way. That’s not very usual is to ask them. Ask somebody what kind of attention would you like from me? And i could bet that they don’t even know. So the next sentence that you would share with them would be. You may not know right now what kind of attention you want from me. But when you figure it out, please call me. Please let me know. So i can either give it to you are we can talk about it o r o r it would make good conversation. So you think in a professional relationship that’s ah, that’s. A fair question to ask. Now, this is let’s say, boss and employee and the employees, i guess asking the boss what kind of attention do you need from me? Absolutely. Yes. First of all, it makes the employees feel visible that the boss really cares about her or him, and it opens up a whole world of communication. Absolutely. Alice, we have a caller. Well, the friends that i want, i know that i’ve turned with computers so that i’m giving her one hundred percent of my attention. Thank you. Also, i grieve if what you’re saying and i tried to do that, then how can you paying attention to someone when you, when you’re talking to someone who just talks in circles, who never gets to the point? And it could just get frustrating? In-kind that when that happens, my mind, i just go where had also focus, focus those difficult, sort of, maybe frustrating, even moments when someone isn’t getting to the point. Alice so what do we do, what we do in that situation? First of all, how do you feel when that happens? Barber to you, that’s important to realize how do you know when i’m not getting to the point. Yeah, well, you’re feeling frustrated, right? Okay, well, probably one thing you could certainly say to the person is i don’t think you’ve heard what i said because i’m feeling very frustrated about something right now. That’s a direct communication, okay, are you got to say that? Well, i’m sorry to hear that. I know they would have had to see that that’s a good thing to say, oh, good are i need you to repeat back what i’ve just said to you, so then i know that you got it because it’s really important, alice is clearly all about open communication that sounds like the advice that you’re giving not to be afraid to sort of, i guess, obviously politely but firmly ask for more, ask for the attention you’re seeking and in case of barbra’s question, ask for affirmation of what it is that you’re looking for are acknowledging tony, close communication doesn’t work, so you have to have open communication, but you have to know really what you need and if you need somebody to stop talking in circles, which is so really normal, you need that you have. To you have to let them know they’re really not getting you a zay said the way to get the way to alert them to that is to get to never repeat back what you’ve said, barber, does that help you? Alice let’s focus more on how we can be better at giving attention be more attentive. Eso you’ve mentioned turning off electronic devices? I mean, those air obviously distracting, and your point is people feel that distraction, um, asking for attention, asking what type of attention is being sought. Are there other ways that we can be better at this? Well, once you ask somebody what kind of attention they need and you start a conversation, you’re going to get lots of information, they’re going to tell you what they need and how to give it to them and and and miracles happen. First of all, you’ve got to know that way are three different kinds. Of people, some of us need attention visually, some of us needed auditory lee. Is that a word? Yeah, auditory and another. Some of us need a kinesthetic lee. And when you established in aesthetics is movement correct? Like i’m flailing my arms right now as i’m talking to you, right? Well, you can hear it in people speech. They will either say, you know, i really see what you’re talking about. I hear what you’ve said. I really don’t feel that well, that’s a big clue that comes from really listening when you get that clue, you could address that need in that person and put it in put your conversation in visual terms or auditory terms or keane aesthetic terms you don’t. I’d like to talk about retention. That’s a new popular issue right now, it’s not only an issue in in your area but it’s in the issue that i’m working with now college kids, you know it usedto only belong in the corporate world. They would talk about retention because people leave. There was a tremendous turnover. Well, college kids, they’re not leaving and trustees air now leaving and i believe firmly cause i hear this from enough people that they leave when they don’t get their needs met and their primary need is for attention. We’ve had a show actually about retaining the good employees that you work so hard to to recruit way look to recruit the best not only employees, but also board members and volunteers and it’s difficult for the organisation when there’s a lot of turnover. Um, your point is you think some of the this turnover could be reduced if people would just be more open about what they’re needs are around attention and fulfilling those needs. Toni, i’ve got lots of research in my files showing that employee turnover khun b reduced when employees start to get the kind of attention they are they need, and i’ve worked with a group. The bottom line personal publication corporation had a fall fabulous experience. It was an experiment. It was called i power. Yes, tell us and they were losing a publication and they had tremendous turnover and stress in their workplace. And they developed this experience where they got their employees to tell them how they felt they could do their job better. There was a process involved in this. But not only did employ turnover cease, the bottom line went up and and the hundreds of dollars were saved in tiny ways, because employees know about waist and they really don’t want to waste their time, nor their owners resource is that it was a miracle. I took that course twice to see if they were doing what i wanted them to do, and they were a fabulous story. Fabulous. This reminds me two of something that was in the is in the news very recently, there’s ah, a university, harrisburg university of science and technology. They’ve decided that for one week they were going to turn off access to all social media to the students so there would be no text messaging, no facebook access, no twitter access for for a solid week and these air all the sorts of distracters that you’re talking about and what happened? No, they haven’t done it yet, it’s coming on, i do it. I would like to know what they’re going to do. I mean, how it turns out, you know, there was a president of santa monica college when i lived there who decreed dead for one hour, just one hour a week, his staff and his service people would do nothing but read that’s. What he proclaimed and the whole campus changed. People were starting to talk to each other again. The gardeners were talking to the only students because everybody want to know what the other person was reading. The point is, we need that in our lives. We need a turnoff. We need to start looking at people and paying attention. You know, i just moved to new york from los angeles where i spent my life in a car isolated the difference. And living here is so overwhelming because i take the bus is i take the subways and i look at people and i talked to people. People are people, people are people all over and they want to be talked to. They want to be looked at. They want to get directions if they look like they’re lost. I stopped. I stopped a couple of the other day in grand central station because the man was taking a photograph of his wife and i said to him, how would you like me to take a picture of both of you and this guy? Smile? From ear to ear, he couldn’t believe it. A small gesture. You and i met on the subway. We met on the atria. We did did that’s how we met on the time we got to know each other. If someone has a difficult relationship with let’s, say a boardmember because that’s, those can be sometimes the most the most excruciating. Ah, they where should they really start to try toe engage the person mohr or teo sort of hell. The relationship. Well, i think if you really know that the relationship is out or not working, you ask him out for lunch and you say, you know, i’d like to talk to you about a few things and that’s when you could say, you know, i get that there’s not a lot of attention around here. What kind would you like? Are we are we scheduling meetings at the wrong time? Are you being harassed by my staff? Are you getting too many emails? But, you know, over food, some wonderful things happen, and generally a person when you’re eating with him will be more comfortable and feels safer. Ah, and you could ask him, of course, if this is a good time to talk about what’s going on that the non-profit you’ve gotta enroll, people enroll in an engage in rolling and gay just asked permission permission for what? I ask permission to talk to him about what’s going on at the non-profit that is attention. I happen to like your idea of sharing a meal with someone it’s, it’s, it’s, a physical, sharing your sharing a physical space, the table. I also like that meals in a restaurant are timed. We know the flow exam there also are going to be the office interruptions because you’re out of the office and adhering to your advice, you’ve turned off your cell phone. You want to be attentive to this person? So you have you’ve eliminated distractions, hopefully, and then there’s the physical level of the physical, but the sharing of a meal and be sure you pick up the bill don’t let him i want to give you another example that occurred in one of my workshops. Ah woman’s boss would call her in for a meeting, and either he was on the phone or on his computer or texting or something, and the meetings were generally disasters. Because he would give her moments. And she said, what could i do? And i said, next time you see him in the hall say, could i have seven minutes of your time with no interruption? You know, if somebody hears is a beginning and the end, they can handle that. And so they a set aside a seven minute time and went in, and they had the meeting with no interruptions. And he was the one at the end of the meeting. Who said, you know, this has been the best meeting we’ve ever had in just a brief period. Yes. And she was she was elated because when she walked out of his office before she felt deflated, depressed, un respected and areva nails particularly invisible, which is a terrible place to be and they were able to turn it around in just a seven minute meeting. That’s, right without interruption. You doing a five minute meeting? Alison? Just a minute. We have left. This also gets me thinking about two types of people. Are you actually think of the movie pulp fiction? The scene with uma thurman and and john travolta? Are you the kind of person? Who listens or either kind of person who waits to talk? Yeah, good question. There are both in our land and i’ve been guilty of both. So i am particularly joining the first group where i listen until the people are really done. And you know, tony, i’ve had people say to me, you know, you’re really a good lister, so i know that it’s happening for them. Well, john travolta would admire you because he answers that he’s the kind of person who waits to talk, but he says he’s working on it. Alice, we have to leave it there. We were in the leona helmsley suite, which was very nice that actually used to be the only helmsley’s home, so you could imagine it quite an opulent suite overlooking central park set on the forty sixth floor, and we had about fifty guests at the reception when it was a very lovely night, i interviewed naomi levine, who is the executive director of new york university’s heimans center for philanthropy and fund-raising and i’ll be broadcasting that interview with her on a future show coming up shortly. Why i do radio i was at the nbc studio tour about a month or so ago with some friends who were visiting from outside new york, and we took the studio tour, and at the end of the tour, they asked for volunteers who want to record something in the newsroom. And as i’ve been doing since third grade, the mistake i’ve been making since third grade, i shot my handup and i volunteered and i ended up doing the weather for a brief newscast so you can see that video of me doing whether in the nbc studio on my blogged at m p g a d v dot com and i called the post me doing tv why i do radio that’s tony’s take two for friday, may twentieth with me now is scott koegler, of course, he’s, our regular tech contributor, he’s, the editor of non-profit technology news and we’re going to talk about how have people pay attention to your well website? Welcome, scott, how you doing? I’m good tony, how you terrific pleasure to have you back. Good to be here. All right, let’s, talk about websites and i’d like to just actually start with the name of the website the domain name. You have some advice around domain name for website i do i have funny of one of the things is that if you have a website, if they have one that was generated with one of the free utilities and your domain name, maybe something like by non-profit dot, three webs st dot com and you know it works. It gets people there but it’s not catching e i mean, people may know the name of your non-profit but they’re probably going to type in something more like my non-profit dot com or my non-profit dot or something. So the first suggestion is get your get your own domain name and they’re readily available, you know, for non-profits is typical to get the dot or ge extension. Typically, those will run ten to fifteen dollars, a year. They, uh and even if you already have one of those free websites that i just referred to generally use and replace the default pompel name that’s been given to it with your own domain name. Okay? And how does an organization by the domain name were first, you know, find out whether it’s available or whether they have to be a little creative? Maybe teo find availability. How does one do that process? How do you know what’s available? And then how do you do actually buy it? I have pretty much used go daddy, dot com or all of my domain names out there. There are some reasons that folks may not want to use go daddy, dot com now, those there’s a lot of political stuff going on around that, but my by much. More pragmatic than that, it works is cheap it’s, easy to use and advantages by thirty or so domain names pretty easily. Okay. Oh, let’s, stop you there. So so one person or one organization can own multiple domain names absolutely typically a comfortable on the set of domain names around their company names. So if my organization name is my non-profit, i will want to get domain name by not-for-profits not orders and probably dot net maybe dot info and even maybe dot com, though there we’ve got five domain names that’s going to be probably fifty dollars, per year. Okay, so not expensive, but you’re trying to buy all the all the possibilities around your name so that somebody else doesn’t exploited. And then you’re constituents get confused. Basically, is that it? Exactly? Okay. On dso really? So and as little as ten dollars, per year per domain name as little as yes, some of them are a little bit more expensive and some are ridiculously expensive, you know, in the hundreds of dollars, but the ones we’re we’re talking about here typically ten to fifteen dollars. Okay, so go, daddy dot com that’s a sight you’re recommending. For research, and then you also buy it through through them he simply type in there’s about as soon as you go there, you’ll see a domain name and that’s kind of like a search bar right across the top, and the most obvious thing to do is just type in the name of your organization and hit enter and they’ll come back and immediately. And they say this is available or it’s not available. It’s not available, it’ll will suggest alternatives for you, so i won’t get into what those might be. But it automatic it’s a great tool. It’s really kind of guide you to it. Ok? And if the name that you want precisely is not available that’s why i was suggesting earlier you might have to get a little creative with some variations or i guess using hyphens things like that. Okay, i don’t want to go too far straight because you do want people that were looking for you to be able tio type in your organization name as closely as possible. Of course. All right on dh. Then you have advice about email accounts also using the same name. Right? Right. Once you have. A domain name, then you khun sign email accounts to that domain. So if you have a volunteer ten volunteers in your organization and maybe three staff members, the chances are that right now, if you don’t have a domain name that each one of those people is goingto have their own email address is going to be, you know, hotmail, dot com or gmail or, you know who knows what? And it’s very it’s tough or people on the other end, people receiving e mail from them to immediately recognize that they’re part of your organization. So with the domain name that is assigned to your organization, you can typically and again prices vary and facilities very go. Daddy does have that facility and i can’t remember off hand how much they cost. Ok, so that’s something you’d you’d pay for additional isto have email accounts with that domain name, but your point being it’s worth it for identity it is and whether it’s traditional price or not depends on the the provider. Ok, if left you the credibility and the direct relationship so people get a an email from scott, my non-profit dot com they know that i’m with non-profit dot com. And they get scott at gmail dot com. They have no idea who that is. Yeah, it sounds like you know, you sound like you. You appear to be a more professional, more together organization that way. Yeah. And i would argue that this by the fact that doing that you actually are okay. All right, well, it’s the reality as well as the perception. Okay, if we could get both that’s great here, sam. Shallow. I just go for the perception. I’m all facade, it’s, all plastic. But scott is a genuine person. He goes for the death and reality depth of character. Not like me. What? So let’s, talk about some features. Okay, so you have your domain name and you got your email accounts affiliated with it as right? Exactly your non-profit name, or as close as you can get. What do you like to see on that site so that people pay attention to it and come back? No, in a variety of things. Okay. Let’s, let’s. Just take them in. No particular order. Okay? Content is king. So you need to be able to post updates and easiest way to do. That is what people normally consider a block. You know, a blogger is really just a bunch of articles that are listed in typically and dates sequential order. So you know, school down the list to see today just yesterday as you see the day before content needs to be on your site and give people a reason to come back. And that also, if you’re updating your block regularly keeps people a reason to come back because there’s fresh content yeah, exactly. And hopefully you’re being interesting and people talk about subscribing to blog’s. I have that on my website. What does that mean to subscribe to a blogger? Subscribe is simply telling the website hey, tell me when there’s a new blogged posted and there’s a variety was doing that, one of the most popular for website is what’s called a okay what’s jargon jail. Now, are you teetering on the edge of george in jail? You have to explain what are ss is our stands for really simple syndication, okay? And that by itself means almost as much as our ss. But what it does is it allows you to use a tool like google reader to bring that information either into google reader or actually into your email, so essentially i post a new block item to my website and your subscribe to it you’ll actually get a copy of that in your email. Oh, you get a copy of the block post in the email, not just a notice that there is a new block post get a link to it and probably the first. Okay, okay, so the description is email course that that’s a whole different topic, but yeah, well, we can talk about that, and and i want to remind people to that that’s something scott and i talked about when we did a feature called fabulous facebook, which was talking about your organization’s facebook page and that the remind i’m reminded of that conversation because one of the things got recommended was having of youth utility there, where people could sign up to get email messages from you. Get your regular email messages from the facebook page where they could sign up, and that was the february twenty fifth show. This year, it was called fabulous facebook. Okay, so keeping people current with your with your your blogged is it isn’t. It pretty common now that the block really is the website scott difficult? Yes, the block generally makes up most of the content of the website. And yeah, so that’s s o i think just, you know, a couple of years ago way used to seymour where there was a website opening page, and then there’d be a link to a block inside. But i see more now that the block is the opening page and i know that’s how i do it on my site, but i’m not saying that because i do. I’m following the trend. I didn’t create it and you mentioned facebook. One of one of the other subscription methods on this needs to be a feature of the website itself is that if you post a new block in addition to posting it to the speed, it will also automatically posted both to facebook and twitter. So all right, essentially, what happens is if a visitor looks the like button on the website and of course that’s, a feature that has to be enabled us. Well, then, that the person like the website and the here backed of liking the website in the function that is built into the website and then take that new block post and posted directly to facebook. So if your main interaction with the internet is facebook, it’s gonna pop up in your stream, okay, so you’re you’ve posted to your blogged and people who like your blogged meaning like it, as in facebook, like they’ll they’ll get your new block post on their wall. Is that right? Okay, all right, so these are a lot of these are a lot of interesting features. I mean, how do you build all these little things in, like posting to twitter automatically when you post a block or adding the like button functionality to your website? How did these little things get in there? Sometimes? It’s easy, sometimes it’s not cans on who’s setting up your web site depends on your website provider because on the tool, the i think previously talked about webs that you’re using, we’re pressed. Yes, we have talked about wordpress, right? And my my tool of choice is juma, and, uh, i know that i’m not familiar with that much with wordpress, although i believe that since it’s still popular, probably those incorporate or at least have yes, ability to incorporate some of these features and that’s the same thing with julia. Would scott wanted us spell jew melissa and give the earl for it to j o m l a and it’s a dot or gall, though dot com will get there as well? Ok, it’s open source free doesn’t mean that it’s that every part of its free but open source software, you could make use of it and that’s for creating a website that would include a blogger or creating a blogged that is the website. Yeah, it’s, kind of a little different from work best, which really started life as a blogging applications juma is what’s termed a content management system, and so one of the things that it manages out is a lot, but it also convicted advertising hyre wake up and we’re going to get to that after the break. Some tools make it pretty easy. Some require additional programming. Again, i’m really with julia and it’s, one of those add ons that can be put in a pretty, pretty easily. Most of these go to paypal, which is, you know, pretty easy to do. Yeah, i think that it’s generally recognized me there, and even with paypal, you can accept credit cards. Yeah, that is very common. And we did talk about that previously. Also on that february twenty fifth show. What about keeping your people your constituents? Apprised of what’s going on through, like through newsletters? How can your blogged support your newsletter activity? The easiest way is to use the block entries that you put in as just part of your normal update a cz your newsletter comes and that’s an alternative way of getting information to your constituents out an alternative who either the speed or the or the facebook updates. I personally like those letters because it gives me the opportunity to select out the articles that i want to present i could put him in the order that i want, i can add images, pictures, links to other what other resource is within it? And, uh, again, depending on the tool that you’re using, whether it’s, we’re press or junior or some other tool, there are functions that make it easy to say, okay, but this article, this article, this article put him in this order and send up main now almost. Okay, so now you’re repurpose ing your blawg articles for your e newsletter because i’m just so people know we’re talking about an online newsletter and e newsletter that people are going to get. My email, right? Yeah, but now that i don’t know what if people are regularly subscribing to your block, then your newsletter is kind of redundant for them. No, it can be. Some people like to get consolidated, but, of course, you need to be able to allow people to opt out of any of their subscriptions. Whether the newsletter subscription argast. Sabelo let them have that flexibility, okay? They’re complaining completely. Yeah, you’re breaking up a little bit there, so i’m just gonna repeat just a part of what you said, which was you need to give people the opportunity, the option to opt out so that if they are subscribing to your r s s feed getting your block posts the way scott described, maybe they want to opt out of getting your e newsletter, right? Okay, what should this thing this this website look like? Good question and that that’s really open to it kind of hyre the style of the organization, i mean, some can be very formal, some can be very informal. The good thing about most of these again, i’ll talk about weird press, and juma is that there is pretty much an unlimited supply of what’s called templates, and you can apply a template to your website and give it a new look and even change it. You can even change it from page to page if you want to, but the design really is a matter of taste and making sure that it fits within the overall style and perhaps not only style, but you might want to deviate from those templates to have ah, designer who’s goingto do something so that your site is identical to the rest of your visual identity. Yeah, can you? Usually if you are using the templates, can you can you usually import your own artwork so that you can at least have elements that are the same? Like, i mean, you want to bring your logo and if that’s possible is that is that kind of functionality? Absolutely. Those air parts of the initial sped up generally. And because of the way these things were made, there’s usually quite a bit of online help that either can say you go on to the support sessions and you say, how do i do this? Forgive you inspections for you pay a few dollars, get someone too, actually customized to exactly the way, okay? And you find the online help to be actually helpful. Decently robust? Yeah, they’re very good people. He’s kind of systems are, i guess mildly put it fanatical what they do. Okay? And so i think an important message for small shops is that you’re not alone. You’re probably not the first person to have. Encountered a problem with juma or wordpress? Used. Use the online help resource is all right. Wait just a couple minutes left. You know what i find always annoying tio have to look for and sometimes i don’t find it is a way of contacting the organization. You know, i’d like to go beyond your blogged. I’d liketo actually maybe talk to somebody. Or or at least we have the chance to email somebody. And sometimes you can’t find that so easily what’s your thoughts on contact. Well, the standard is at the bottom of the page. There’s a length that says contact their standard that’s pretty much always there. But, you know, certainly those states not they’re pretty frustrating, depending on how important it is the organization’s actually get contact. He may want make-a-wish prominent as the donate, but okay, and again, you were cutting out a little bit. So you’re you’re advice to make the contact button as prominent as the donate button if that’s important to your organization. Yeah, i know that’s the standard down at the bottom that should be looked contact, but and that’s, the first place i look, but sometimes it’s not there, and i have to go hunting for howto email somebody or send it if it’s not an e mail, send a message using the site ondo that crucible frustration leased for may. You don’t want your visitors to be frustrated that, uh, that’s a big deal, i frustrate easily, you know, because i’m shallow person. So it it all goes it’s all consistent with the shallowness and the facade and the perception it’s, it’s all bundled together and something that i need to talk to my therapist about, okay, we have just like a minute left. Scott, what about having a community? Is that like a place where other people who love love your organization, khun gather, is that worth doing? Or should that just be your facebook? Your organization’s facebook page? It depends on your community like everything else like you. Facebook is great if you want to have a relatively open community. What two people engaged it’s entirely possible to build a community function into your website. Juma has a couple of these that air very much facebook like except that they’re closed community. So information and conversations that go on inside that community, stay there, they’re not public. As they are pretty much in the on facebook and the other thing is that, uh, if you can set up your own terms and conditions of that that are much more favorable to those people that use it. In other words, facebook, anything you put on facebook is the property of facebook and they can do anything they want to, and you can kind of go the opposite direction of that say, ok, if you post anything here, you could take it off any time you want it’s your property if you put a picture up it’s your property and, you know, so sometimes it’s more advantageous to have this kind of locked up communities than it is to be open to the world. So it really eso it really depends on what the character of your community is that you wanted to be, scott, we have to leave it there. Good morning. Thanks for having me, it’s my pleasure to have you welcome. Dave is the ceo and chief consultant of granite partners, which you’ll find out granite hyphen, part p a r t dot com he has been creating successful marketing programs for clients, mostly in the washington d c metro area for over twenty five years, and i’m very glad that his work and his expertise in email marketing specifically bring him to the show. Welcome again, dave, thank you, david. What does somebody do if they don’t have an email list to get started with him as well? Talk about building the list before we talk about what to do with it. Uh, there are a number of approaches that depends on what situation you’re in. If you’re looking for consumers, there are off a lot of ways to build a consumer list. Um, one of the more prominent and more recently evolved is the social media. You can use social media to evolve yourself into an e mail list based on friendster, facebook twitter followers linked in connections those kind of things can all be gathered and uses a colonel for a personal sort of networking list that you can use to promote whatever business you’re in. Okay, we’re non-profits fundraisers, it’s a little more complicated. Okay, well, that’s let’s deal with complicated cause. Our audience is small and midsize non-profit so that’s that’s where we want to be how should they go about it if they have a list of people who have been supporting them? Maybe just for a couple of years, maybe for many years, but they don’t have email lists. Uh, probably the first thing to do is make sure you have permission to communicate with their members are builders. They say something. Do you have a least an address for them? Send him a postcard asked him to send you back their email address. In response, you’ll give them some sort of data special report or a copy of research or something the value to them in response in return for them giving up their email. Okay, so use their their physical address to get their email address or okay on your website if the organization has a website. And you simply ask visitor’s log in before they can access certain pieces of it or certain information that they need include a lot to give them your e mail address. In that way, you can collect it and use it for later. Okay, so maybe not to get to your home page, but to get to some deeper content on your site. You mean then then there’s ah, little there’s an access that requires email address that’s one good way to do it. Because you’re making sure that it’s not just a casual visitor, you’re having themselves collect by their level of interest. Okay, okay. What’s, what you would end up doing if you if you put it on the front of the home page, you’re going to get every tom, dick and harry that entered that in the search. They wanted to see the front page and make sure they got to the right spot. See if there’s anything of interest there at all, you make them register, you get their email address, you send out e mails. You wasted all that time, money and effort to maintain the list. And they have no interest in on what you’re offering right? Ok? Or you might even just turn people off who might have an interest, but they said just to see the home page, i have to sign in, right? Right, you’re going to get some abandonment issues, they’re for your for your web page as well, and there are people that have a legitimate reason to see your front page and can use the information, but that you don’t want to write. I love how you call it abandonment. I’m not going to put you in jargon jail for that way have jog in jail here on tony martignetti non-profit but i already know you. I said it and then you called it abandonment. I just love the you know everybody every every business has its has its language. So abandonment issues. Yes, of your plus, if you know if you having spouse problems, that could be an abandonment issue. But we’re not going that deep again. That’s a different show that’s ahold of yes that’s a whole different person. Um, abandon ministers? Yes. Alright. What about what about events? And if you’re hosting an event, maybe just put post cards on the table at the events or something like that. Anytime you’re gathering an environment where you have potential donors or potential participants, you want to make sure you’re gathering, collecting email addresses, okay, people importing them on their business cards. It’s a good way to start raffles contest, even offering as i do on my website content in exchange for the information we talked about it buying, offering by mail some sort of special report i offer electronically a report on my website and i forced people to give me their email address, so i consented to them. Okay, electronically and it’s, a much fairer trade and people who are looking for something to read like to receive free reading material and return. It makes a lot of that now. Will people see that example on the site that i gave the girl to granite hyphen p a r t dot com they will there’s a new report there on how engaged customers on the left hand column. If you click there, you’ll be able to download on a free pdf of a report guard through some research. We did a little while ago about how to engage customers. Also have tto log in. To give me your email address, i can send it to you, you’ll get a response back that tells you yes, we received your order, and if you like anything else, please let us know, and you’ll also get a confirmation of the fact that you received the order and a questionnaire about whether you like it or not. Okay, so i assume those are all the best practices because you’re doing them for your business, it’s all automatic. I don’t have to do a dog gone thing, and it makes people connected to me much better and gives them a lot more opportunity to give me feedback on the information. And unless they collect their name without creating too much of a problem with their identity and something you alluded to in that description of the way you’re recommending things go about o r non-profits go about building this list is having permission. What? What is what is permission? Marketing and how do we get permission? Permission marketing is a critical step in producing effective push down marketing. What you’re essentially doing is letting people to give you their permission to market to them. And that does two things. One engages their level of interest and let them self select what they want to receive. Two it also tell you how they want to receive it by medium, he opted in is a way of gathering permission marketing. If you send out an e mail to all your members, say ifyou’re non-profit membership organization and say, we’re updating our record, we’d like to give you would like you to give us your email address so we can communicate with you that way. Check the following boxes about what’s appropriate what the best address to use is if we have this information correct listed below. Check that and we’ll keep that. And also, if you do not like to receive anything from us, check the box below to opt out, so opt in permission has sort of past it if you give them an opt out option it’s a little less over on a lot of people to sort of ignore it, which gives you sort of tacit permission to market to them. But the trick is they’ve given you the information and are allowing you to market to them directly without being directly at fort alright, and then you as the e mailer as the non-profit have a responsibility to honor all those selections that the person has made. Absolutely. And if you don’t honor them, your reputation with that person and in general, gets tarnished to the point where it’s almost unusable, and we’ll go into that a little further with, with the a little later on. Dahna hello and welcome back to tony martignetti non-profit radio we’re live today with dave polish. We’re talking about excel in email execution and since we’re alive, that means we’re taking calls so you can call with a question for dave about female best practices. Frustrations you might be having the number is eight seven seven for a tow for one two oh eight, seven, seven for eight o for one two. Oh, dave, now we’ve developed this list. How do we keep it clean? What’s a clean list? Well, cleanly is one that functions and deliver your message precisely where you wanted to go every time. And there are a couple of things that you need to start with. You’ve built a list that you think is right. The first thing is to make sure that what you start with is good, that we all know about computers, garbage in, garbage out. You have to make sure that you all the addresses fit and conformed to the format for proper email address. Okay. Typos, bat fingering the addresses, getting things backwards, transposing characters. Email addresses are far, far higher accuracy level than postal address. Write the e mail. I just has to be exact, right has to be perfect, another perfect every time or it will not go. I know what you have to do is check it bilich manually and electronically to make sure that all conforms and you, khun, send every piece of mail on their towards both to go ok is the simplest way to do that. To send a test email to someone to verify that on dh, then get their permission in the way you described is that is that a decent way to do it? Uh, you’re better off eyeballing a list firsthand mechanical and then going through optically and and making sure you haven’t missed anything. Because if you get things wrong, you may get stuck or trapped in filters and create problems. And what that’s going to do is block you when you get the right of duitz okay, you want to clean it up visually? First, as best you can make sure that all the symbols are right before the domain name it’s not a exclamation point instead because i’m gonna get the wrong key. Happens a lot. You can do search and replace doing this. It takes very little time. To do it electronically and then go through and i bought a list they just have to three people looking over, make sure there’s no glaring errors. You want to make sure that all the domain names that have the letters spam in them are taken out those traps put in there by the sometimes when you rent list more often than not, but occasionally somebody’ll flip one in there. When they’re registering, they’ll give you a bogus address that doesn’t really exist. You want to pull out the ones that have a domain name that’s sort of suspicious looking, you’ll learn about it after a while to make sure you’re getting exactly what you think you’re getting, okay, so to get behind to get into the content, let’s say so this wouldn’t thiss wouldn’t be people filling out cards at an event, probably or mailing back in response, it’s when registering so people might give bogus address you know i don’t have such a good hearted person, i don’t even think of e don’t even think of people cheating on something so simple is that really learned over time that it’s ok, you fill out a form somebody’s going to send you back something, and often those lists are sold over and over and over again, and by the time the third generation sale is over, you have no relevance to the list of all right, and you’re getting stuff that you really don’t want it clogging up your e mail box, and you don’t want that, so they either make up a fake address to give you so that bill passed through the filters as a legitimate address initially, or they’ll give you one that they never open, which isn’t gonna do you any good. Anyway, a lot of those gmail accounts or a well accounts that are free people will just have one of those strictly as they used to fill out all that junk drops into there. I see you don’t want to be in that list. You want to see a legitimate lift with a legitimate carrier, verizon or comcast, or or one of those for home and the businesses typically you want them to reflect the domain of the business there. Part of that tells you a legitimate what gmail but gmail dahna all those could be legitimate accounts, you couldn’t you couldn’t screen all those out? No, you can’t, but you can see one that looks, uh two, far from their real given name. If you have that to compare it to, uh, nobody’s registering, you know, as nerd sixty five jool and they’re not giving you a scientific address or their name is fred spelled backwards or something. You start to look at the bogus ones and figure it out. Okay? And since you did mention something that we hadn’t talked about in developing the list, let’s, talk a little about purchasing a list. What is that valuable for the small or midsize non-profit purchasing a list rental and compiled lists can be of value. You have to be very careful about the source if you go through a legitimate list broker and you’re looking for a very legitimate piece of a database that concerns especially business addresses. Yes, you can gain a lot out of that because those things have been double opt in check they’ve been verified on a monthly basis that they do exist and they are really and that they do fit the profile that you’ve selected when you rented the list. Now you have to keep in mind that those are usually for one time use only, and you cannot reuse them unless you have a special agreement from the renter compile lists are another story, those of those public things that you could buy that say have been scraped off of websites or have been captured out of the air from from email conversations and that kind of thing. Hackers will market these things to bring an extra bucks. They’re not very useful, they’re not very male herbal, and you’re getting into some serious spamming trouble by even attempting to use most of them because they’re loaded with with the monitors and traps and keys in their little tell people that you’re ok, then you want to be working with a legitimate company that you can verify you mentioned scraping off female what’s your trading closely to jorgen jail has, and it sort of has a a suggestion of what it is, but but i don’t want you to even be anywhere near drug in jail. So what? What is scraping somebody’s? It sounds like unsavory practice. It isn’t unsavory practice in its connotation, and it is information what you want to avoid. There are people out there, who will go to a business website and literally capture copy paste electronically scrape off every email address that’s buried in there. Your entire staff listing all your if you’re going to a law firm, they’ve got every lawyer listed on there with a love with a separate email address for them, they’re going to scrape all those off of there and compile them all into a big list. Listen, this may be legitimate, but they don’t know who they belong to or what they go to what level of persons is they have no information that goes with it, it’s just a list of addresses, as if people would really want to communicate with a bunch of lawyers or anything. There could be no manufacturing firm or, you know, the post office website or anything. They just gathered a bunch of e mail addresses from a bunch of list. Sometimes they’ll use. They’ll sort of piggyback on someone else’s, the internet activity as well, and their going from site to site start scraping through that. Okay, it gets very, very tedious and very touchy when you start doing stuff like that because you have privacy issues, you have legal issues? Uh, spam laws have teeth in them. Ladies and gentlemen, they can sue you for spamming. So you want to be careful what addresses you’re using and who you’re sending? Okay? And i didn’t want to suggest that. Buying a list from from verifiable source would be a good way of trying to get donors. I mean, as a fund-raising consultant, i didn’t mean to suggest that this is a way to acquire new donors, but maybe to acquaint someone with your with your non-profit but you’d have to be very precise in the type of list you bought in terms of the interests of the people. Is that is that possible, dave, to drill into get a list of people who are interested in, i don’t know environmental activism, and but maybe in the pacific northwest, i mean, do the lists from vera from from stable and appropriate cos come with that level of detail, some do, and some do not, uh, they’re further a head for business than they are for kapin consumer availability, drilling that deeply. Okay, if you drill down into segments that deeply on consumer list, chances are good you’re gonna have to pay a pretty penny for it. A good place to start with that if you have a specific interest, they look bilich environmental, you would want to try going to print publication that deal with that concept sierra club or audubon society or any of those that deal in environmental issues routinely subscriber list from them could be segmented by geography. And you could also rent additionally, email addresses that go with those mailing address him that way. Excellent idea. Okay, because that, yes, you know, the publications targeted. Okay, great. All right, so we need to get around that trying to pull that out of a compiled list is virtually impossible. Okay. Okay, good. Thank you. So we’ve developed our list. We understand how to get it clean and make sure it stays clean. Has to be maintained another thing, because now thing out, once you’re going to get some activity coming back from it, not only response is that you want, but response is you don’t want your going to get people that ask you to take them off. You’re going to get because you missed the target. It wasn’t who you thought it was not interested. And they don’t want you to lock up their box for the next six months with stuff they don’t need. That’s a good thing. You like getting those out of there? Because that saves you time and money. Yes, too. You’re gonna have people that were out of the office that day and i just bounced back and told you they may get hurt or they may not. Three you’re going to have bounced back for another reason, theis, and that part of the country was a little slow that day and missed something. There was a glitch in in a certain segment of the internet that went down for a moment your mail got trapped in it could be any number of other things. There’s a whole series of bounce back code that the internet service provider will give you that helps you interpret those bounce back unless you separate them out and decide whether to keep that address that is a temporary thing or whether it’s permanent it’ll tell you if you got the address wrong, if that person’s not at that address anymore. If that business is not there, that remains not active. Whatever they’ll tell you. What the problem woobox with it, when you learn how to read the code, we got to get those out of there. Once you’ve sent the first one, you’re gonna have to be prepared with how to deal with all those. Things that bounce back and those happen fairly quickly, usually within the first hour or so after you send it. Okay, so that’s that’s really list maintenance and that that’s going to be happening every time you send to your list sounds like there will be a certain level of activity depending on how little that down to practically nothing. Yeah, alright, depending on how many people you’re mailing to if it’s just a few hundred, you’ll have fewer of those which is get you in fewer because you’re making good decisions based upon those code taking the bad ones that are going to be permanently bad out. All right, you’re not re mailing, right? Okay. So, uh, well, let me just remind people that my guest is dave polish he’s, the principal of granite partners. And we’re talking about ex selling in your email execution. So then, dave, we have developed our list and it’s clean, and we’ve gotten the appropriate permissions and we know how to maintain the list over time. You have some elements of effective messaging, actually. What to say? What? What? What’s. Your first bit of advice on what the content of the message should. Be, uh, some of it is what to say, and so that is how to say it. Okay, um, the first thing you’re going to notice is that with the new influx of mobile customers that are out there that have their email come to a mobile device, you have far less real estate with which to impress the recipients you have basically a from a dress and a single subject line that’s all they’re going to see on a mobile device there’s no preview function. So what you have to do is make sure that a the address you’re sending from is from a brand they will recognize or at least understand. So whatever service you are using to send these out, if its outlook, you have to set up a box that sort of carrie’s co-branded makes sense for the outgoing mail or if it’s a service, you want to make sure that they’ve gotten you on outgoing address that reflects your brand so that they know who this thing is from and they recognize. But wouldn’t wouldn’t the service just be using your own? You’re you’re non-profit domain name, sometimes they do, and sometimes they don’t they have what’s called rotating? Yeah, what’s. A rotating what’s, a rotating. Why would they understand? Why would they rotate for the same non-profit why would they use different domain names to send from? They’ll mask them behind an existing name, so the recipient will only see your name, but they’re using ten or twelve different outgoing addresses because they could shove more down the data pipe. That way they can spread your list out, get it out the door faster, but if you’re a non-profit you want it to come from your domain, absolutely time your domain is that the physical space that your domain inhabits doesn’t allow enough passed through dahna you can’t shove enough email through it fast enough because you just don’t have enough bandwidth, you didn’t run enough stone, so what happens is they’ll spread it out and they’ll mask it. They’ll refer to your domain name. The recipient only sees your domain, which is good, but they’re using ten twelve different ones with sam filters will pick up on the sub and block things out on who’s, the who’s the day that we’re talking about is this a company like constant contact? Is that o r who’s today you’re referring to there are service providers after that do nothing but deliver both female. They are, they’re registered there, certified they’re they’re very, very compliant with the service providers that give you internet access and then actually deliver and carry the mail. This is a middleman that you would go to as a non-profit if you have a list of of ten or twenty thousand potential donors that you’re going to be sending to routinely, you’re not gonna be able to shelve twenty thousand addresses through your outlook account and with any kind of accuracy or time limit. Okay, so what you’re gonna do is anything over about two hundred names you’re gonna want to goto what provider that sends out both female for a living that’s all they do and is constant contact an example of what you’re talking about male chimp? Is that an example? Or there are eyes that i am i in the wrong line, the wrong space, you’re in a similar space in a different scale gostin contact and male chimp and those kind of things arm or of the do-it-yourself version of that, their sort of big versions of outlook, they’re attached to larger relation all databases that lets you get mail out in larger volumes by yourself from your workstation, ok, here, but if you’re sending ten and twenty thousand, even though we’re gonna have a problem, they’re going to start to bog down and go very slowly, and they’re going to use up a lot of bandwidth, okay, but for our audience of small and midsize non-profits the ones i mentioned, what might be suitable absolutely after they’re a great way to get started. If you’re looking at that between two and five thousand names of any kind. Yeah, constant contact, be a very good bargain, ok, dave, we have just a little less than a minute left. Why don’t you tell us what you think is coming next? What’s the what’s, the next generation of email going to look like email’s going to get a lot more robust in the next six months to a year, you can bet on the fact that you’ll be able to embed photographs and video in your outgoing e mail and have it be interactive and reacted currently, if you put an image in an email, you run the risk of having it be screened out by spam filters or by network. Firewall because they don’t allow images, they scan for them and they remove the as being too large, and they cut down on the volume of data traffic so they get rid of them. So if you’re putting an image in there, one of the things we tell people who don’t let the image tell the entire story, have some text that tells the story because the image probably going to make it and you see video coming in email, absolutely video will be able to be embedded in outgoing email beyond the capability we have today where it’s, just a lincoln it’s, actually resident somewhere else. We’re going to be able to actually carry video imagery on before too long. All right, we have to leave it there. I chose planned giving as the subject of my evangelism on this week’s blawg, and i’ll just share a couple of the things that i think go into being an evangelist for what you do. Yeah, i love it, you know, in my example, you gotta love plant e-giving you gotta recognize that it has value for non-profits and for donors and for their families, and recognize the good that it khun do for society as you’re helping charitable missions. So whatever it is that you want to evangelize about, you really have to love it and be unashamed about your love of it don’t talk you know sort of humbly or shyly about whatever it is you want to evangelize about, you got you need to be out in the open, you need to be enthusiastic, which should be easy because you love what it is you’re talking about, so carry that enthusiasm don’t don’t don’t talk, you know, sort of humbly about your your love of the subject you want to evangelize about lear, love of your work and and and as you’re being unashamed, spread that word, spread it to people that you work with, people who are in your network that you don’t work with, um, when the topic comes up, you know, what do you do? What do you love doing? You want to be unashamed about sharing it, and you want to use the opportunities that you have to spread the word. I’m joined now my guest is claire meyerhoff. Claire, how are you doing, tony, right, how are you? Pleasure to have you back. I’m well, thank you very much. Claire meyerhoff is editorial director at the plant e-giving company, and she is the creative producer of this show. We’re going to talk about howto write for email fund-raising so that your messages get opened, read and respond to do so. Continuing the topic of excel ing in email execution claire so dave paulus sort of left us with write a perfect point, i think, talking about the header of the email he talked about where it’s from what’s your advice about the subject line of the email? Well, the subject line is really important because if you think about your own email use, what do you do? You’re on your iphone slip. Through it. So the subject find is very important and what you want to do, it make really some buddy. So so whatever you are promising them, you need to deliver it on the inside. All right, clara, i’ll tell you what were you sure need to repeat? Actually, what you said about the subject line because you were you’re breaking up. You’re on a landline, right? I am on a landline, and i’m hearing some feedback. Okay? I know the feedback is a little challenging. Try toe, i guess. Talk through the feedback and or maybe not listen so much, but just just talk on dh when you’re done talking, then put the earpiece back to your ear. But could you tell us again what your advice is for the subject line? I’ll do that. Ok, ok, my advice for the subject line is the subject line is going to be the thing that the person will either open it for. They will delete it so your subject line needs to be something that is really, truly news. What? What is it that you are going to be telling people or you want them to do or you want them to hear about most? So put that in there and basically only about thirty characters or so because they don’t even see the rest of us. Put your good stuff up front. Yeah, you sort of have to write that like headline, right, it’s, it’s, a lot like a headline and think about the news business and think about why you pick up a newspaper and read it it’s because of the headlines and any new yorker knows that york post the daily news, they’ve had a long history of really pretty interesting headlines that really grabs your attention. So think about the same thing with your non-profit what is your non-profits headline? And what is the headline for this newsletter that for sending people something generic, like may newsletter june newsletter? Okay, yeah, i have to. Yeah, the new york times are the sari, the daily news and the new york post. My favorite. Well, one of my favorites there’s a whole book about new york post headlines, which is it’s called topless body in head headless body in topless bar. Aunt, i have a copy of that, but it’s a headless body in topless bar from a murder. But one of my favorites was when jack cousteau’s ship crashed and the headline was calypso collapse. So isn’t that genius? I just have to show you right now, it’s go on and you’re like a save the whales organization. You’re not gonna have that to live so collapse. So are anything like that? So i think that’s pretty cool, it’s. Hard to be that clever. But those clever and you know what? If you were that clever, someone would probably open up your email. Certainly. What do you have any other advice for? The for that header information. Uh, maybe the from la who should be from or or any other advice there. Well, unless everybody knows that lisa is the head of your organization, it shouldn’t be from one person instead, make it from your organization and have it the name something that is sort of more of an action. Kind of a word. Like not information, but news. Maybe, you know, news at habitat for humanity, dot com or something like that. So give it give it a name that is a little newsy sounding might get someone’s attention better than, say, info at or or you know, something really generic and, you know, keep again, keep it really, really short. And you put the key words right up front and whatever some buzz words are that air right now in your field. So if sustainability or something is a good buzz word, that and so definitely just put the key words right up front that the main thing, okay? And you mean in the from line, so maybe sustainability at the domain is that is that what you’re suggesting? I’m talking about the subject line, so okay, you have your nature organization, and you’re always talking about sustainability, and the name of your newsletter is something with sustainability. Perhaps that could be your email address. I hadn’t thought of that, but it could be whatever, whatever you want. So that it’s recognizable and again it’s all about the brand and it’s recognizable and always be thinking about who your audience is. And i like to think of your email recipients, the people that will open the email and those are the ones we care about, the most people that actually open it, and then the few that follow through, right? Who were those people? Those are your most boyle people just like implant e-giving who were the best plan giving donors your boil donors, people, that e-giving for a long time with the people that are actually opening and reading. Your email, those who you’re really boils followers those year loyal supporters? Yes. Oh, so you’re you want you’re saying you want to have them in mind as you’re crafting your message? Exactly. Keep them in mind. What? What do they care about? So think about a few people that you know, supporters of your organizations have names and faces and think about what are they interested in? What is kathy interested in? What is robert interested in and crafted that way? Ok, on, daz were crafting our message. What’s your advice about how long it should be the subject line. Oh, no, the length of the body of the message. The body of the entire email newsletter should be chunked. So if you have, you know, one big article, you know, trumped that up into different articles. But faras length, you know, there’s. No specific lengths to into an e newsletter. It could be his long or short. As as you like. Think about the ones that you read and pattern yourself after that. If you’re bored after a certain amount of time, then your readers our board, pretty sure. Okay. What other advice have you got to share? I’ve been sort of, you know, suggesting topics, but you tell us tell me what? Your your advices. Well, here is some duitz do plan ahead. A newsletter done that’s on the fly usually looks like it’s been done on the fly. So plan your news letter ahead of time and that means preparing an editorial calendar. Maybe for the whole year. How often are you going to send these out? If you feel like you can send out one a month that’s great. And then think about what you might be doing in those months. Like, if you know, your annual report is coming out and you’re gonna have a lot of new information, then you know that khun, your main news letter might be packed with a lot of great, um, like statistical information, all kinds of cool stuff that you know about in may, but of course in december of the holidays, so you know that you can do holiday related things, so come up with an editorial calendar, so if you’re going to do it once a month, pick a day that you think is a good day to send it out when your readers are most likely to read it and then plan ahead, say well in in february and do this in march. We’re going to do that and have a couple of things knowing full well, what what’s going on if it’s september back to school and that’s important for your organization. Well, then that’s your back to school newsletter and you know you’re going tohave information about that and also decide on a goal before you do your newsletter what’s. The goal of the newsletter is the goal just oh, well, we want to tell people a bunch of stuff that’s going on. Well, that’s not a goal. What’s your real specific goal. Are you entering into a campaign? Are you announcing something? And you want everybody to know about it? Are you trying to raise money? Are you trying to get people to come to an event to sign up for a walkathon? What is the goal of the newsletter and then work backwards from what your goal is. Okay, claire, we just have about thirty seconds before the break. You mentioned planning ahead. And maybe as much as a year as you’re developing your email marketing plan. You want that? To be dovetailed with your other marketing activities, right, you might be sending print pieces as well around your events, things like that, right, absolutely. And marketing is a huge challenge for most small non-profits. The person doing marketing is also doing fifty other things, so the more planned you khun b, the easier it makes your job, so have a little marketing plan for the year, even if it’s one page and it’s a calendar, we’re going to do this in january, february, march, april, may, june, july, august and it’s all about when you send postcards. When you send email, when you send a regular newsletter and other mailing, okay, we’re going to take a break. I’m talking to claire meyerhoff and were ex selling in your email execution. Claire, you had a list of do’s that you wanted, teo continue sharing with us. Well, some other dues are due. Motivate your reader. You are sending this email to them, and you want them to do something and you need to motivate them to do it. And the easiest way to keep them unmotivated is too forthem, boring and dull. And the best way to do to motivate them is to tell them about something great that’s going on. That really would matter to them. So, do you have a really great event coming up? Do you have something really cool that you and your organization to tell people about it’s is? And news means it’s, usually something you what’s going on in your organization. That’s important to your reader? Not just what’s important to you? Yeah. You just finished your quarterly report, or or you have a new, you know, drink machine in the break room that might be important to you. But it’s not important to your readers. So think about the things that you are. Reader will think. Okay? And that’s consistent with your advice earlier just have a few people in mind and think about what’s interesting to them and write to that audience and think about what’s interesting to them also do the cocktail party saying or the or the coffee shop thing where if you ran into someone at starbucks and they said, hey, what’s new in your organization will help. Yeah, excellent, right? If you just had a couple of minutes, right? Excellent. Another any other dues? Uh, you might want to tell people why this is important now, which is usually through for fund-raising so what is going on right now? Why this is important. So if you’re an environmental organization and there’s some sort of threat that’s what you want to tell people about right now, we need to do this now you need to sign the petition. Now you need to send the money now we’re trying to fight it now your call to action it’s the call to action and make sure your call to action really is a call to action and that you’re writing matches the urgency of it. What i see a lot of times in email that i get from a lot of different non-profits is, you know, it’s sort of the henny penny email the sky is falling, they’re taking our rights away and they’re going to ruin the environment and they’re really bad, and i don’t really want to see that i want to see the action i want to see, like what you were doing, like, you know, we’ve got a bus on its way to this place full of volunteers, and they’re all going, and we need some gas money, like, i want to know what the thing is right now, the action that you’re doing that you need my help, why are you writing to may? Why is that news? So tell me that okay, before we get to your don’ts, which i’m sure you have, how do you make sure that you’re emails are consistent with your general identity for the organization? So they look like the rest of what you send out, whether it’s emails or website or or print well, that goes back to your marketing plan if you have one in some places, don’t you don’t have one it’s pretty common. So think about a couple of simple things that you always do and include that in your newsletter. So if you always have a pet of the month because you’re the animal adoption agency and you always have a pet of the month and you have a cute little name for it used that, make sure you use that in your in your identity, so use those identifiable things that you’ve already created, and if you don’t have some it’s time to create them, okay, so that’s excellent that’s the substance? What about just the appearance of the messages? How do you mean by the appear? What? What artwork? You might include the photos or our identity elements that you have for your non-profit well, i was listening todavia earlier about sending photos and e mails and how a lot of those get filtered out. So i’m definitely thinking about the photo thing because if people aren’t getting them that maybe not a great fool. I love photos if you can use photos, photos are the best and frankly, a lot of times your most loyal donors are also on facebook, and they’re a friend of your organization on facebook and as long as you’re not putting up things like ten times a day, they’re interested in being what you have there not gonna block you. Okay, so think about your facebook think about your email newsletter in conjunction with each other and how they can play off each other. So if you have a great, great photographic like the best photograph that tells the story of your mission like no other photograph, use that photograph a lot of times, repurpose it so you might want to send it in your e news letter and have it on your facebook and in your e newsletter say there are more photos like this on the facebook or on our web sights and people through the website where there are more of these great photographs and then take that really great that one great photographs and put it in your print newsletter used it on a postcard for fund-raising let’s say, you’re doing a little plan giving postcard campaign. Put that one great photo on that postcard so we use the good stuff that you have. Good, we have just about two minutes left. What are some of the don’ts that you want to share? Well, it’s funny that you say that because i try to be positive these days. So i wrote a big list. Do you have all dues and no don’t so i thought for sure. Ok, right around. Okay, well, so okay. Don’t don’t be not creative. Be creative, be creative use of environmental organization. And you just did a survey about ice source in your community. What are the top three? See, that would really get attention. So be creative with stuff. The good stuff that you have that’s interesting that your organization really had a handle on. So let’s say you are an environmental organization. You just did a big survey, and out of that survey results came the, you know, little thing that wasn’t the main focus, but in it was, you know, people complain the most about the certain areas in your county that we’re the biggest eyesores. Well, that’s a new story for you where you can say, what are the top three ugliest eyesores, the whole county. And you can do a lot with that that’s really interesting people will open up that email is your town, you know? Is this eyesore in your neighborhood? Why don’t you leave? Us with one more of your dues or however you want to phrase it dues or don’ts duse or don’t? Well, i like to talk about, you know, writing and words and storytelling, so just do tell really good stories that are about someone that affect other people don’t talk about yourself and how how great you are, talk about the people that you’re serving and how you’re solving prop emblems for people. I’ll give you this one. This is my one last tip i give everybody these days, you can’t think of a story, look at the money, find out a recent gift that you’ve got and how did you use that money? And then find the person that’s benefiting from the money that you’re using. So, for instance, if you just got a gift and you build a handicap ramp, who is benefiting from that handicapped wrapped rampant your facility to find that person and do a story about them and that’s where you find your story stories, they’re everywhere to follow the money, certainly because charities are doing good work so people who are people are benefiting those stories should be very common, right? Where’s the money. Going find, find someone benefiting from it and focus on them. And where would their life be without this organization? And where would their life be without specifically this money that just came in and how it was used? You had a big campaign. Everybody gave money, you raised thousands and thousands of dollars. Where did it go? Thank you very much. Thank you very much, claire. Welcome back to tony martignetti non-profit radio we’re talking about your brand today, your organization’s brand. Joining me in the studio with me is howard levy principle of the red rooster group howard’s, an interest industry recognized brand strategist specializing in non-profits he has over a twenty year career devoted to helping non-profits improve their marketing, he’s helped many organizations launch new branding programs, gained visibility, increased membership and increased, giving he’s, the founder of the non-profit brand institute, to help non-profits learn how to create a more effective brand. I’m very pleased to have him in the studio today, howard welcome, thank you very much. Pleasure to have you. We’re taking calls for howard at eight seven, seven for eight xero for one to xero howard, i hate to start with a stint in jargon jail, so i’m not gonna let that happen. Wei have jargon jail here on the show. I can keep you out of jargon jail, if you will tell us what is a brand that’s? A good question, tony and it’s. Not an uncommon one. There is a lot of jargon in the marketing and branding sector, so i’ll try to make this real simple. Simply put, brand is your reputation. So how do we get to a reputation by making a promise? Typically for a non profit organization, that means their mission, they’re trying to help people. They’re trying teo cure a disease, they’re trying to protect the environment, so the brand essentially, is how well they’re performing on their promise. Okay, they’re brand is their promise. How do they express that promise through a brand so that’s a great question, the way they like to simplify this is, in a word equation certificate picture three words the promise plus communication plus your experiences equals your reputation, and i’ll explain what i mean by that. So the promise like we just said, is really the main premise that the organization is in business, what’s the problem that they’re solving and how they go about addressing it. Some organizations have a really clear and compelling brand, so the red cross, we all know, is going to be there in times of disaster relief. One lap one laptop per child, for example, expresses their brand promise in their name. They want to be able to provide technology for children who don’t have it that’s an actual non-profit one laptop per child so the communication part what you were asking about, which is the next word in this sentence is how they go about expressing it because you could have the greatest idea in the world. This is the same for business, but unless you tell people about it, then they’re not going to know so non-profits can use their websites, their email, communication, their events and many other forms of communication to help tell people about what they’re all about and what their promises. So much of this is wrapped up in perception, right? Exactly. So the last part is the experience that they deliver now, how well are they actually performing on doing what they say they’re doing? If one laptop per child is not actually delivering laptops at a reasonable rate and giving them tio children in the appropriate venues, then they’re not fulfilling on their promise. If red cross is not there in times of disaster relief, then there’s a gap in the perception of how they’re coming across self. For example, after nine eleven, you may remember they actually had a little glitch whereby they had an outpouring of support from the public people gave them a lot of donations, and they in fact, had way more than they needed to fulfill the immediate need for that disaster. So what happened was they took that money, and they put it aside for the next disaster. People, though, complained about that, they said we’re giving specifically for with the expectation that is going toward the nine eleven relief, so there’s a gap between their promise of of using that money for one purpose, and i’m not using not delivering on that. All right? So they’re brand suffered now, given the communication to go back to that they were able teo recover by by actually performing differently by taking the money and putting it toward the nine eleven telling people what they were doing and the reputation they had developed over there hundred year history enable people to overlook this one time bonem infraction of promise, although red cross is kind of interesting example, i mean, they have troubles sort of perpetually because their congressional e, uh, chartered and so there’s greater oversight, but i understand you’re certainly understand your point about the nine eleven and the sort of perception gap there on and in that case, that was a lot of public relations effort to try toe um, recovered help the brand to recover from it’s perception problem, right? I mean, in a way, a brand is an insurance against crisis. If you have invested heavily in helping people to understand what you do, you communicating with them? Clearly, transparency is a key factor in authenticity and conveying really what you’re about it’s not about creating an image. That’s not true it’s about it. It’s i like the word identity versus image. Identity is what the organization really is. What are the organization’s values? What are you actually doing? And if you could communicate that clearly, people who identify with those values are going to support you. Okay? And that’s really the key. And if you have invested in the brand, then it’s got some resilience so it can overcome a perception problem that hopefully becomes temporary. It’s a good question we like tio start with research. Yeah, because you really want to start with something that’s authentic and not just, you know, be making something up with an assumption that may be incorrect. So you wantto do you really want to find out? Because you’re gonna be spending a lot of time and money in creating this brand and promoting it? You’re bored and we’re gonna talk about all that, so you don’t want to just do it based on what a few people think it ought to be, right? So you want to get a three sixty perspective, you know, from different different points of view, in other words, so the staff in the board usually have one one perspective, or maybe even to the staff. May have one since or even the executive leadership in the program, people may have different perspectives about it, so asking them is a good point of departure. So we like to do research and do interviews with the staff, the board and also others. The donors people are funding the organization and also the constituents. People who are using the services of the organization are benefiting from the organization and maybe there’s other people to, like media or legislators or other community groups or partner organizations. These are all people who are goingto having some relation or interface with the organization and may know it in some intimate way or may not know in an intimate way, and we want to know about their awareness in the level of awareness and their perceptions of it and so forth. And how do you let’s dive in a little deeper? How do you actually ask these questions, focusedbuyer oops. Is it printed questions? How does that work? We typically do one on one phone calls are in person sessions. So we have questions scripted for these different types of organ, different types of audiences, people that are in the organization, people. That are outside it and we’ll have some different questions other you can do focusedbuyer oops! We typically do the one on ones we also dio surveys. We recently did a survey for unorganised ation where we had questions online. We surveymonkey it’s a free tool and you can promote that through the organization’s newsletter or other venues hopefully reach people who know about the organization and some people who don’t know about the organization. If that’s your intent, some other things we do to gather information are a brand review essentially that’s taking a look at all the organisations marketing materials look at their current logo in their tagline will look at their website and see how well does it perform? Certain shins cannot collect donations online. How well does it expressed their mission? How much interaction is there? Can people post or do they post photos of events? How do they engage people online? Well, look at their other forms of communication, like their email newsletters, their print newsletters, brochures, and we’ll get a sense of our the communicating cousin consistently, you know, sometimes they are, and sometimes we’ll find some gaps that need to be addressed, but not only are they communicating consistently, but are they communicating the right message exactly the right manner consistent, but not what the audience is need to here. Exactly. So how do you then deconflict all these different opinions that you’re going to get from what what they’re currently doing and all these different constituents so it’s best to do? We find that with non-profit organizations is best to do this in a manage process, so we’ll put together a marketing team made up of people from the organization and typically that might be staff, and it might be some representatives from the board or other committees, and we’ll have them take a look at the findings that we assess from all this type of research, and we’ll walk him through it, and we’ll get their sense of how this is reflected in what they want to say, and so it’s a way of managing it so that it’s not just us, is outside consultants coming in or it’s, not them from an internal perspective, thinking that they know what’s best to say, we’re really providing the value, synthesizing all the information gathered from different points of view, but then filtering. It through the organization itself. Okay? And this is really sounds like creating sort of expectations about what, what people can i expect to receive from the organization may or expect to get back if there a donor or if their service recipient is it sort of building the brand around expectations? Yeah, in a way, it is, i think a lot of organizations, they’re very inward looking, here’s the services that we provide, you know we do x, y z what donors are looking for is what impact you have. What are the results that you’re actually having in society on, you know, are you fulfilling your mission? Many non-profit they’re set up to actually address a problem, but they’re really not actually addressing the solving the problem. They’re providing services toward meeting a certain populations need so we look at that and we say, you know, is more effective to actually just keep providing this service versus trying, tio we have a larger impact in society if i could simplify your example there’s that saying of ah, give a man a fish and he eats for a day teach a man to fish and he eats for life. So in the same way is the non-profit teaching people to fish or is it just providing the fish for them? So i think that’s something from the donor’s perspective they want to see are you actually teaching people to fish? What are the ultimate impact that you’re going tohave in society? So in identifying what your brand should be, then you really are also looking at what you’re delivering. This is a much bigger conversation. Then what is? Our logo and letter had looked like, what is it is? The promise is really the mission of the organization. So, you know, we do look at the mission of the organization. So if the mission is sound and their promises sound, then it goes into the next phase of that word. Um, um, phrase we had which is the communication part and that’s typically where we focus most of the efforts on so in cases where they need help in refining their promise, or their mission will address that, and in many cases that’s pretty clear. And then it goes to how do we express it effectively? Okay, so this really is a huge conversation for the organization and all. Its constituents tohave, and it needs to be a managed process. And that’s that’s, your work is with the red rooster group. Um, it does. And that’s why it’s important? I think tio have the process a clear process and toe to involve people and to really create the expectation of what the process is so that they don’t you think, oh, it is slapping on a new creating a new logo, putting that on the website and we’ve done branding we really are up to speed with what we need to do is really a lining your promise with how you communicate that across all the forms of communication. And so let’s talk about what some of those different constituencies sort of ar are expecting, i mean, in terms of board members, i will talk later about the board’s responsibility in the brand, but this could have implications for board recruitment, right? I mean, what do they expect when you’re inviting them to be on the board? Definitely, in fact, that’s a key point that people call us in order to redefine their brand or to define their brand is our board can’t express what we dio you know we do so many different things, people come on, they serve for a period of time or we have a new boardmember and really, we want them to be our brand ambassador. We want them to be our spokesperson in the community and really they should be boards boardmember is have their own spheres of influence in whatever worlds there i’m traveling in, and they can be great advocates for the organisation, but they need toe have the tools in order to do that, so they need to have a firm understanding of the mission. And then the mission needs to be clear enough that it could be expressed as an elevator pitch we could in business. We called an elevator pitch, you know, you’re going up the floors and you have, like ten seconds to tell someone in the elevator about your organization, you know, can you do that or not? Are their communications is there a presentation? Is there a brochure or there’s something that the boardmember is proud toe point to tell a business colleague who’s used to a certain level of sophistication? If they’re going, teo asked them for a large amount of money or a sponsorship for an event. So those are the kinds of issues that way address from the question that you said, how do you help inboard recruitment and facilitating board members as brand ambassadors? You know, you want to empower them on this obviously has implications that you’re alluding, teo, for your fund-raising you’re mentioning, you know, approaches to funders, that thinking of institutional funders, but also individual individual donors as well, exactly, and that’s, really the bulk of what precipitates examining brandy issues is how we articulated a message to that donors understand it, and that gets out through their events through their website through their e mail communication. So we like to do is look at having core messages that then permeate the entire communication spectrum. So so yeah, well, i just i just started picking back. So what organization should have a few core ideas that sort of everything else revolves around? Yeah, so for example, if they’re looking to establish themselves as the voice of authority in a certain sector and not all are but for example, if you’re performing funding medical research, then maybe you do wanna have a voice at the table when it comes. Tio congressional funding for your disease. So unless you can build up a certain level of cloud and credibility than legislature, legislators are not going to take you seriously. So if that is a key area that we identify, that should be part of the brand is speaking from authority about your issue, then we’ll look to communicate that in whatever we d’oh so in your newsletter instead of just having a story about someone that you’ve helped well, look att the resource is that the organization brought to bear in order to help that person, so it gives a little deeper to show that the organization has the wherewithal tio have an impact we beyond that one individual, but doing deep research can i give you another hypothetical? What about, say, a small college take a small liberal arts college, then they tend to all sort of be grouped together like i just did, you know, small northeast liberal arts college, how how how would they dive in and sort of identify themselves as different from the rest of the cluster? So brand distinction is the point that you’re really alluding. Teo s o we looked like to look at three, brand attributes we, as we call them a lot of jargon, you’re right. Okay, well, the word attributes people know on you’ll define that really distinguish the organization from others. It’s really key to understand that there’s a range of services that an organization may provide. So in a community college, they may have classes in various areas, right in various departments similar to other other schools. But there is typically something that is unique about that college. So we look to find out what that uniqueness is, okay, and that will come out in those conversations that you have rights, right? All right. Conversing with alumni boardmember sze faculty administrators. And i’m sure you start to see common themes that, you know, a lot of our students may be our first generation in college or got a grant for doing some certain type of research. Or, you know, we write called kids, go off to do one’s particular area or get hired by certain company. That’s found some part of the training very valuable it might be to do with the geographic location association with certain professors on their relationships. It could be anything. I mean, the idea really, is that think in broad terms, and then the key is understanding how that can be a value to your donors or in this case, probably student recruitment is usually a huge issue for colleges, which is why they wantto distinguish themselves. And so there i guess there isn’t any charity that can’t define itself and break away from the general cluster. I mean, animal shelters, you know, i don’t know churches there isn’t there you haven’t made a case that you couldn’t identify, i guess identify in a particular unique way. Some of them are tougher than others, okay, what are some tough one with that name? Names? Some of the tougher, not have none, and i don’t mean a specific organisation. They worked. But what what type of mission were they working in? That was hard to distinguish? Well, one’s social service agencies, which we deal with a lot, often provide a whole range of services, so they’ll, for example, provide services to senior’s senior care services. They might provide foster care services for for children. They might provide counseling services for adults going through troubled times. So right there, there’s, three different populations and three distinct services, but we’ve encountered a lot of organizations that have become full service in a way like conglomerates, whether they’ve gobbled up different divisions or started different ah, division’s, teo, meet the needs of a certain population, especially seeing that now and what i think is the tail into the recession. But for the past eighteen, twenty months or so, a lot of consolidation, right? Right? So just saying where you know, we’re a behavioral health care organization or something with a large catchall phrase is the way that many organizations go, which may sound good to them, but it doesn’t really help the donors to understand the specific things that they provide. So that’s an interesting challenge because you do want to provide them with the sense that there are larger and they are taking advantage of all these things so they can get funding at the same time they need to have a little bit of uniqueness. I’m with howard levy, and we’re talking about branding your organization and how important that is, how to go about it and then what to do after you have branded we have just a couple minutes before a break, howard what about the use of technology in? I don’t know, maybe determining what the brand should be or butt or but propagating the brand once you’ve once you’ve identified it, yeah, it’s a big concerns a non-profits and we find that a lot of the larger organizations are well refined in their sensibility about how we go about using technology, so we look at the, you know, the upper echelon organisations, they have departments, the whole interactive departments, they’re using social media, they have web development departments keeping the website up today, blogging, tweeting, it’s the smaller organizations and don’t have the staff to do it so that the tools are out there, and it is a huge opportunity for them to get feedback on their brand by by getting to a communication through surveys and tweets and blog’s and so forth a cz well, a cz disseminating their message and, um like this, we’ll talk about this a little later through facebook and other media where they can actually build up a base of supporters. Also, i have a block post that i did this week, which is called beware of self serving objective report, an object of his in quotes, it’s getting ah good a number of comments from people who are aware of the fund-raising challenges that arts and culture organizations face on, and also some prospect researchers have commented, essentially, the post is about something that i got in an email, which suggests that arts and culture organizations should be spending approximate actually, they don’t say approximately spending at least twenty five percent of their time on prospect research. These air arts and culture organizations twenty five percent of their staff time on prospect research is ludicrous, i think it’s just dangling in front of them ah, carrot that they can never consume, never get to it’s just it’s, just impractical even for the larger organizations or largest arts and culture organizations, big dance companies, big theatre companies that we think of opera companies and there the outliers anyway. But even for them, i think twenty five per cent is is ah big stretch, but for a small arts and culture organization struggling to keep the keep the theatre rent paid and get the next show up and it’s just completely impractical. But i talk more about that in the block post, and as i said, it’s getting a fair number of comments, my blog’s is that m p g a d v dot com and again, that post is called beware the self serving objective report, and that is tony’s take two for friday, february fourth i’m with howard levy, we’re talking. About branded, you’re the importance of your brand. He is the principal of the red rooster group, which you’ll find at red rooster group dot com. And as i said before the break, howard let’s talk a little more about technology, but on the, you know, for the small and midsize organization, what tools are there that they can use? Well, i think for small organizations, you just taught it’s interesting you’re just talking about time that they have available and that’s probably the most precious commodity, i guess, other than their limited resource is itself, which both translate. The same is how did they use your their time? Tio maximize the effectiveness of social media because really, it takes a lot of time to develop an effective social media campaign. The bottom line is you have to be dedicating some portion of your time to creating the online presence to blogging on a regular basis to be twittering and so forth, you know, creating and maintaining right? It does no good to have a blogged that only gets one post every month or yeah, it’s twitter identity that doesn’t get posted regularly. Frequently. Yeah, it’s, not magic, is working. That’s really what it comes down to so that i think the key this two keys one is understanding what you looking to accomplish? So if you ask most organizations, they’ll say, well, we want to raise money so that’s good, but what’s realistic amount to raise online and how do you go about doing that? And also there are other things that you can accomplish online, i mean, creating awareness about your organization, creating credibility. We talked about that and how that could translate maybe to cloud full on advocacy issues, whether we talked about for legislators, teo, you know, on capitol hill or your state capital, but what about getting people to take some action on behalf of the organization, like sign a petition or send the letter or do something attended demonstration or so forth? That’s also very valuable and people are can be inspired to do that through social media tools. How should an organization decide whether it should let’s say let’s, let’s, take twitter? I mean, i think it’s, i think facebook is so common and we we have had guests in the past, including someone from facebook, andrew noise, one point talking about the value of facebook so i think that’s sort of understood having a facebook page for the organisation, but let’s take one, twitter, which does have to be updated pretty regularly. I mean, you should be tweeting at least a couple of times a day, i think. How does an organization decide whether it’s worth it to devote the time to create the twitter identity and then post regularly? Well, one thing you can try to do is take some steps in that direction. I think just starting often tweeting two times a day is really going to be on realistic for people who are not accustomed to that form of communication and not doing allocating the time. So, i mean, start off with block posts this way, it gives you a way to think about your organization think about resource is like this article you’re commenting on, right? So there’s ways of having content that you’re not creating. You can comment on another article you could post another article or resource from another organization so that’s an easy way to get started. Another way is to think about how you can automate some of these processes. So for example, i’m going to tell you about something we dio i don’t is not a best practice, but it can work out a better practice. Those it’s not a bad practice that’s a bad practice don’t share if you don’t have to be best long that’s good, it works for us, good or better, but maybe not best. Okay, so what we do is we have our blogged feeds block post, go out as twitter as tweets basically, so any time we post a blogger post, it goes out on our twitter feed, so we’re not actually tweeting the way that you intended to tweet on use that tool, which is for a short missives that are very timely on targeted, but it does convey all the target in timely information that we do have on our on our post, and we have found that it is a way to generate a base of followers and things are being noticed and retweeted and that’s probably an automated feature. Yes, okay, so you’re so you’re doing a block post and it automatically is promoted threw it through your twitter feed. It goes afternoon on twitter and it also we so the idea is really, how can you automate your technology? Because that’s going to reduce the amount of time that you have to spend and re posting and redoing things so there’s, a lot of ways to do this. Another way, for example, is on arlington page. You can import your block posts directly there. So when we post a block now, effectively it’s going out on twitter and it’s going out, it’s appearing on are linked in paige. So is many ways as you, khun, get to automate these things, and they’re integrations with facebook and other social media applications. So in terms of addressing, ah, small, non-profit and what they can do is have a goal. Think about realistically what they could accomplish, and then try to automate as much as possible. And we’re well, i’m with howard levy principle of the red rooster group we’re talking about branding your organization, how important that is and how to convey it and we on the block post for this show. So you go to my blogging mpg a dv dot com on the block post for today’s show i have links to three of howard’s articles he’s written many, but there are links to three on this block post. How would one of them talks about using linked in for for your board? I’m pretty sure that i got that from any of our articles what’s the what’s the value there of using linked in for help, you’re bored. Well, i mean the board is going to be a key asset in your organisation, at least it should. And actually a lot of smaller groups don’t really fully take advantage of it. It’s more the mature organizations that air have a well developed board, but it’s something teo aspire to? How could you involve your board in your organization in a deeper way so they could help communicate your value and bring into don’t the donors and the funders like we talked about? So unease e way is through lincoln, at least form a lincoln group for your organization and have your board members link there so that when someone from their network there, business associates, are checking out their profile, at least they’ll see the organization i mean, that’s it should be a no brainer for for organizations to do that. And for small and midsize groups. I mean, that’s really easy to do you’re saying i don’t you’re saying you’re suggesting the larger ones, but i think for smaller organisms, which are smaller, you could okay, they could certainly create a linked in group just for their board, and then that doesn’t become an easy freeway. Teo seventeen information to your board. Yeah, and hopefully will help the board if you have an active board. Hopefully the president is taking a bit of a leadership role can actually use the linked in forum to communicate with the other board members. So it’s inspiring a little bit of online interaction that could then spawn out to other people. Eventually, you might wantto use that group to bring in other people, for example. Okay, i was thinking of it just for the board. But what if you had one that is on ly for the board? I’m thinking of these burdensome board packages that that’s pretty good alliteration, you know, my love of a liberated, burdensome board? Ah, i don’t know, all right packages off to suffer with that that people that organizations do sometimes once a month, and they’ve aboard me once a month. But even if it’s only once a quarter they’re they’re they’re bulky. There typically in a notebook, they take along a lot of staff time to prepare and then and then time to print. And then they always fedex them, which is expensive. And you have a board of a dozen people or mohr and you’re doing this every month or every quarter. That’s really burdensome, but you could just use your linking group to upload a file, right? You do have to be careful about what’s public inwards. Private group is private. No, it wouldn’t work. Yeah, if it’s, i’m not quite sure how that works. Actually, i’m posting files. But you do bring up a very good point. Which another piece of jargon i’ll call brand infrastructure and that’s ah, like you saying communicating internally is also is important as reaching donors and other outside audiences. So in terms of the whole brand process, we look att what systems are in place in order to facilitate communication among the board and among the staff and among other parties that would not be shared with outside sources, so we’ll try to put together and internet, or at least an online archive for somewhere to post these things. You’re referring to board notes but also brand assets. So where the copies of the logo files stored so that they’re not on one person’s computer, that everyone can access them that needs to sew when they’re creating a new document, they khun see what the typefaces are the colors, the logo’s, the templates and things like that. Having this kind of brand infrastructure in place is really crucial to maintaining the brand over a long period of time. Yeah, we’re investing a lot of money in creating it wast want to keep it active on, and i think what you call propagating the brand right let’s, talk a little about the board’s role in the brand i’d like to bring them in. You ah, well, one of the articles that you’ll find on my block for this show is howard’s article the board’s role in managing your non-profits brand. So we’re going to talk about the what he has there, the four p’s that you’re bored has to take on in terms of its brand. And of course, i love alliteration. So, you know, i’m drawn to the four piece, so want to tell us what the four p’s are, first of all, howard, so there are different ways. Well, i just want to say also that the board, um it’s every organization is different in terms of their board involvement in their brand process, so some of them are going to have ah, much stronger role that the board will play and some of them are fairly hands off, and they kind of rubber stamp something that the organization does. So this is all taking in the in the sensibility of the organization, okay, but the the better practice and we’ve had people on to talk about toward practice, right? Better practice for your board and for your organization. Is that the board be involved in important initiatives of the organization? And co-branding is one of them, right? Okay, i understand your viewpoint is different cultures, different accusations, but i want to make the point that the board ought to be involved in this. Yeah, so some of the areas there are producing the brand. So in terms of this process we discussed in terms of this the discovery of doing the research we should be involved and be interviewed and so forth beyond some representation on the marketing committee, probably one or two people from the board on the committee that’s responsible for i’m going through this process, so you have the producing part. You have the projecting part which has had a weak now communicated through the website through email and so forth. So in helping to identify those different areas, you have the protecting part which is really interesting. The ideas of brand is your reputation and that’s something that’s to be protected because that’s the goodwill that you can parlay into corporate sponsorships or other valuable things. So we’re headed into a break shortly, so we’re going to talk more about the protection part leader lead us into the fourth, the fourth key, which is parlaying, parlaying your brand, right? So that goes into this sense of now you have some equity, your value built into the brand. How do you parlay that into cause marketing or other opportunities? Okay, so this is really all around just in the minute we have left before the break. It’s really all creating a sort of marketing mindset is that? Do you think that’s right that term? Yeah. We, uh, ended right before the last break with howard’s article the board’s role in managing your non-profits brand again, you’ll find a link to that article on my blogged the block post for this show, and i think how would we should spend a few minutes on the last two of the four piece, which are protect anne and parlour? Because i feel like we’ve talked a good amount about producing and projecting your brand? What what did you do? Your thoughts, they’re about protecting the brand well, the brand is really a valuable piece of intellectual property for the non-profit i mean, if you think about all the good work that the non-profit does, you’re building up a fair amount of goodwill, right? We talked about the brand being a reputation, so if your reputation is positive, that’s something that’s worth some money, so you really want to be able to protect how your brand is portrayed. So one of the things that board khun do it just is a general responsibility in terms of the oversight of the organization is just to make sure that the brand is being used in a consistent and professional way, right? I mean, if it’s used it in inconsistently logo appears one way on the website in another way on the newsletter, then you’re not really building up the kind of recognition for the organization that you want in a way you’re undermining the professionalism of the organization, right? You’re creating a fractured viewpoint that donorsearch e this organization doesn’t really know what the heck they’re doing, you know, they’re the each male piece i get looks a little bit different, yeah, something like that. S so i mean, this is all in business terms. They think they talk about valuing a brand and having equity and actually sell brands for a ton of money, literally millions of dollars like when pan am the airline went out, they actually sold the name and the logo for millions of dollars. Bear stearns, i think it was in redoing their i’m sorry, i think it was merrill lynch with the bull and they were going to redesign it think they had valued it at some x amount of millions of dollars. So it’s a non-profit you have a lot of good will. In what you’re doing, and if you can develop the communication part of the branded logo and the way that you’re using it, then you’re going to be able to dahna leverage that somehow and that goes to the next part of the parlay in-kind going right? So you may have heard of cause marketing there’s a lot of different ways of going about leveraging the goodwill that you have so causevox eating relationship is where corporation will somehow leverage the goodwill you have in exchange for something. Now i want to distinguish between a sponsorship where a company just gives you money. They’re not expecting anything in return other than maybe listing on the website, you know, your look, their logo appears somewhere, right? So that that’s a sponsorship cause marketing is where there’s more of a reciprocal relationship where the corporation is actually gaining some of the goodwill and you’re gaining some of the knowledge, expertise or distribution to access to their the corporation’s audience? Okay? And that let’s let’s apply that to the small and midsize non-profit that isn’t going to be able to attract, you know, big corporate attention, really, but that could be done with ah, local company, right? A smaller local company? Yeah, yeah, even retail stores anywhere that has a high volume of traffic and specifically ones that are attracting the type of people that you’re looking for. So, i mean, you mentioned an animal shelter, for example, so the animal lover where would an animal lover go? You know, maybe a local big local petco. Yeah, exactly. So if there’s some some relationship that you can have with that other business that will benefit both parties that’s really where you can take advantage of having the brand equity, okay? And in just a minute and a half we have left are so you have maybe some advice for funding for the for this sort of research that goes into creating the brand once you give some suggestions that way. Yeah, well, the typically funders wantto don’t individual donors want to donate teo own organization and have their money go directly to programs. But there is a growing realization that capacity building this new phrase that having this organization’s infrastructure be sustainable over the long term is in everyone’s interest, because if they’re out of business next year, that no that’s not going. To benefit anyone. So so we’re slowly funding that funders air supporting capacity building and brand development is part of capacity building. Okay on dure finding that on the individual level, individual donors to some degree interested in that mostly it’s like they’re getting grants from a parent organization, umbrella organization or a funder. You know, a major funder, mate, could be a large individual funder or, you know, a foundation of some sort that’s interested in the long term viability of the organization. Okay, some help out there.
